DOT Travel Order and Manual (DOT M 1500.6B)

Effective date: 3-29-2018.

This Order and the included DOT Travel Manual establish Departmental policy and guidance on all aspects of Federal travel and also identify key roles and associated responsibilities for DOT personnel. The Order was developed in accordance with the Federal Travel Regulations (FTR), Title 41 of the Code of Federal Regulations (CFR), Chapters 300-304 and is intended as a supplement to provide DOT-specific guidance where applicable.

The goal of this Order is to facilitate and standardize a safe and cost effective method for travelers to perform job-related travel in a manner that is financially advantageous to the Government and convenient for the traveler.

What Is a Travel Order Form?

How to Make a Travel Order

• Make the simple order form format by listing down the name of the business, the contact number of the business, and other information sheets that you want to place in a travel order header.

Guidelines in Making a Travel Order

• Make sure that you will properly write the reference number of the travel printable order as different updates should be done within the duration of the transaction. Having a reference number clearly stated out will make it easier for you to know which travel order is for a particular client.
• Use samples and templates of simple order forms in Docs used in the hospitality and travel industry so you can make sure that you are guided in making an effective travel order. How to get a Travel Order – Form, Letter Philippines

How to get and request Travel Order in the Philippines? All government officials and employees are strictly required to have a Travel Order to authorize them to travel abroad no matter what the purpose or how long the duration of their travel will be. In this post, I’m sharing a travel order letter sample and the procedures and requirements in getting the form. I got the approved travel order in two weeks.

According to the Section 1 of Executive Order No. 459 (by ex-President Gloria Macapagal Arroyo), “the following officials shall seek approval from the Office of the President to travel abroad.”

Members of the Cabinet and officials of equivalent rank; Heads of GOCCs (Government-Owned and Controlled Corporations), GFIs (Government Financing Institutions) under or attached to the Office of the President; and Heads of agencies under or attached to the Office of the President”

Provincial governors and mayors however shall seek approval from the Secretary of the DILG.

Heads of State Colleges and Universities shall get Travel Order approval from the Chairman of CHED while other officials and employees of these state colleges and universities will get their approval from their respective heads.

The same with TESDA heads, they must seek approval from the Chairman of TESDA.

All officials and employees of government agencies must get approval from the head of their agencies.

In this post I’m sharing how I got a Travel Order for my mom who is a teacher. Since public school teachers are under the Department of Education, I got the approval from the Director of DepEd Region. Take note that every district has a liaison officer who will usually do the paper work with this matter. But because we were in a rush, I decided to be the one who would process all stuff.

My son has been promoted to an executive position and he will be officially introduced on February 15 on their company’s big celebration. As proud parents, we were invited to witness the special event. I will be forever grateful of your kind authorization with this matter. Thank you very much, Sir.

Procedures in getting a Travel Order for Teachers

The process involves 3 endorsement – first from the district office, second from the division and third (last) from the region office.

1st Endorsement – have your papers signed by the District Supervisor

Submit the letter addressed to the District Supervisor together with your latest payslip and Clearance. The liaison officer then will issue you 1st Endorsement Letter and Clearance after all documents has been signed by the Supervisor. You need to bring these forms at the Division Office for all the authorized heads to sign.

2nd Endorsement – you will need to go to the Human Resource Office (H.R.O.) for your 2nd Endorsement. Have all your papers signed and noted by the department heads. Some of the department heads you will need approval from are:

• Accounting (Provident Loan)
• Admin. Officer
• Supply Officer
• Schools Division Superintendent

Then you need to go to the Personnel Section for your Form 6 to get verified and signed.

Proceed to the Admin. Officer for your other papers to get signed. Let the Superintendent also sign them.

Go back to the Records Section and submit your Clearance and a copy of signed endorsements.

3rd Endorsement – go to the Deped Region office to have the final approval of your Travel Order. All papers are stamped and singed there so it’s good to have photocopies or self-copies of them as proof or reference.

Wait for your Travel Order to be released.

The original docs will be left in your hand. You’ll need them to show at the immigration officer at the airport upon your flight abroad. Bon Voyage!

Important Notes:

This process was based from my experience getting a Travel Order for my mom who is an Elementary teacher. Some steps and procedure may differ slightly if the applicant has another job or position or is in another department. The Liaison officer in your agency knows the procedure in case you want assistance. Good day!

My travel request was disapproved because the reason is not valid according to our SDS. HI! I am a public school teacher. and I’m going to spend my Christmas vacation in Singapore and Malaysia. Dec 22-26 sa Singapore kami and 26-28 sa Malaysia. Hindi po ako nagfile ng travel order. Dapat po ba hindi ko na lang ideclare na public school teacher ako? Ano po kaya dapat kong gawin? Salamat!

Getting a travel order will take a month to be processed (based on my own experience). Since it’s late for you to file, you can risk not to declare that you’re not a teacher in public school just present other IDs pero if ever magtanong about your employment dapat meron po kayong back up plan for that.

Hi po! I will be travelling to Japan this Sunday and I am a public school teacher also. Hindi po kayo hahanapan ng TO pag kukuha pa lang kayo ng passport. Sa immigration na raw sa airport when you travel ipapakita ang TO. Sa amin sa Cebu, kailangan iprocess ang TO one month before your travel date. Kung gusto ninyong mapadali ang proseso, personal ninyong lalakarin yong papers. For my case, ang liaison officer lang yong ng process kasi I had seminars. Mga 3 weeks po lahat ang processing kung hindi nyo personal na lalakarin. hope this helps! 🙂

You need a travel order if you have declared you’re a public school teacher

Anything you declare must be true. It’s like under oath. You don’t want to risk having bigger problem in the future or risk your reputation 🙂

Hello. I am an American going through the fiance’ visa process (we’re down to the CFO seminar, the last thing, we thought). My fiance’ is a school teacher in a public school. She is, essnetially, immigrating here to marry and stay permanently. We are having a debate as to whether she should acquire a “Leave of Absence’ (which, I argue, really isn’t the case as she has no intention of returning to teach), OR, whether she should just resign (which, again, I argue that with a resignation I do not see why ANY ‘travel order’ is required). Please help!! I went ahead and booked the flight for 3 weeks from now, and we don’t need anymore surprises or delays. In short, what is the suggested…and required…procedure for my teacher fiance’ to leave her position, which we need to do NOW, roughly a month before the school year officially ends. Many, many thanks.

I think the best option for now since you have minimal time is to to let her file a leave and have a TO. Follow the steps above in getting a travel order. It is much faster to let herself process the papers than letting a liaison officer from her school do it because she will be directly face to face with the authorized signatories, thus much faster to get signatures. Resigning takes a lot of process and papers, I think she might need more than 3 weeks for that

Valid naman po ang reason nyo, sabihin nyo sa letter, special trip po iyon kasi first time abroad with your family. To help you get approved, choose the days na walang occasion or seminar para payagan ka

Hi, unfortunately can’t find a copy anymore. Invitation letter is not required by Deped however it may be required by the Immigration when you leave the country so you better prepare an original copy

They both indicate that an individual is allowed to travel. If he’s officially resigned, then he won’t need a travel order anymore

Travel Order is for all government employees who travel abroad. Since you are under Deped, you need it even if you travel on weekends or summer vacation coz during those days, you are still in service and getting paid right? Unless of course you have resigned

Hi ilang araw mo na process ang travel order?

It took about 4 days coz the officers who needed to sign the papers were not always in the District Office so I had to return another day for the signatures. If all signatories are there, it would only take a day or 2 🙂

Clearance is supposedly required only when the leave is more than 30 days.
