2. Papers, please

As a first-time business traveler, you might be nervous about forgetting important documents. Let's do a quick review. For international travel, you need a current passport with at least six months until expiry.

You’ve got free flights, time out of the office, and your company is paying for (almost) everything.

Who wouldn’t want that?

But anyone who’s actually taken a business trip knows there’s another side to this coin. Between the red-eye flights, working remotely , and juggling back-to-back meetings and events – it’s exhausting.

Well, it can be.

The savviest business travelers know the importance of time management, efficient packing, and trip planning that allows you to squeeze in some exploration without missing a single meeting (all while still getting enough sleep).

If you’re a first-time business traveler, here’s how you can still bring your A-game and see more of the world at the same time!

Know Your Company’s Travel Policy Like The Back of Your Hand

The secret weapon in your business travel toolkit? Memorizing your company’s travel policy.

Why? Well, for two important reasons:

  • If you’re clueless about what is allowed, you could be leaving some serious business travel perks on the table.
  • If you’re clueless about what isn’t allowed, you might have an unexpected deduction on your paycheck next month.

Before your first work trip, take the time to review your company’s travel policy word for word and note anything crucial that you’ll need to remember as you begin to pack your bags. 

By the time you’re done familiarizing yourself with your policy, you should know things like:

  • Your per diem for travel days (i.e., do you get a flat amount for expenses, or a unique budget per item, like breakfasts, lunches, dinners by yourself or with clients, and transportation?).
  • Whether or not you need receipts (physical or a scanned copy) for purchases.
  • What expenses are up for reimbursement (e.g., will your company cover your visa application fee? Your rental car? Your checked bag?) 
  • The deadlines for submitting expense reports.
  • How much can you spend per night on a hotel room? Does it need to be a specific hotel or hotel chain? Can you use an alternative accommodation like Airbnb or VRBO?
  • Can you use your frequent flyer number to collect flight miles? Does it need to be a specific airline?
  • Can you use your own credit card or is there a company card?

What happens if your company’s travel policy isn’t super clear on the above? Set up some time with HR and/or your boss to go over these details and address any lingering questions you might have.

Doing so will help prevent any surprise expenses before, during, and after a work trip.

Tip: Use an app like Mint.com to track all your expenses and take pictures of every single receipt you get as soon as you’re handed it, just in case you lose any!

Book The Right Hotel

Booking a Hotel for Traveling for Work

Booking a hotel room seems pretty basic, right?

Hop onto a site like Booking.com , put in your budget range, select the “I’m traveling for work” box (which allows you to filter for key amenities like free wifi or included breakfast), and you’re done.

Well… it’s not that easy .

When traveling for work to a new city, other factors that you can’t always control come into play.

First of all, you might be limited to a specific hotel or hotel chain your company has a negotiated agreement and special rate with, which means you won’t have a choice as to where you stay. However, if your company doesn’t have a specific hotel requirement, you have to make sure to familiarize yourself with the city and the surroundings using Google Maps. The worst thing you could do is accidentally choose a hotel far away or in an unsafe neighborhood. 

To avoid this, figure out where your meetings or work obligations will be, and try your best to book a hotel room as close as possible to it.

You might have to pay more for a hotel with a convenient location, which will no doubt save you travel time and the stress of navigating a new city. But keep in mind that more expensive accommodations should be discussed with your company in case they fall outside of the suggested hotel budget listed in their travel policy.

What if you’re not the one booking your hotel room? Speak to the person in charge of corporate travel at your company and give them a list of your preferences, such as:

  • Walking/driving distance to the location(s) you need to visit for work
  • Amenities like reliable wifi, secure parking, a business center, etc.
  • Desired neighborhood preferences
  • Hotel policy and procedure for booking with a card that is not in your name

Give Yourself Enough Time for the Unexpected

Whether you’re traveling for work or pleasure, you need to expect the unexpected.

  • Flights can get canceled or delayed.
  • Traffic delays can prevent you from getting to a meeting on time.
  • The airline could lose your bags in transit.

While these scenarios may be out of your control, you can give yourself a bit more breathing room to react and recover by doing these things:

  • Instead of flying into the city the same day as your meeting, fly in the night before.
  • If you’ve booked a red-eye flight, try to give yourself enough time to catch up on sleep before your first meeting.
  • Driving to your meeting? Give yourself a bit more time in case traffic is bad or parking is difficult.
  • Book a direct flight whenever possible. It will help you avoid missing connections and get you to your destination more quickly.

By following these tips, you’ll arrive on time, feel fully rested, and be stress-free so you can perform at your best!

Plan Your Sightseeing AFTER Important Meetings

If you’re a long-time reader, you’ll know I’m all about maximizing my work trips by using them to help me explore more of the world.

While work travel isn’t a vacation, if you’re smart with your time and plan ahead, you can squeeze in a weekend trip or quick adventure by simply extending your business trip by an extra day or two.

The trick here is to always plan your sightseeing after your meetings or when the conference you’re attending has ended. Give yourself the time to solely focus on your work so you can show up and be 100% focused on the tasks at hand.

Then, when work is over, reward yourself!

Book that NYC food tour of your dreams. Go on a short hike up Ensign Peak in Salt Lake City , or spend an afternoon wandering around the Desert Botanical Garden in Tempe, Arizona.

Just don’t go too crazy with your itinerary. Give yourself ample time to explore without rushing, and keep your sight-seeing goals reasonable, because exploring after work trips usually doesn’t leave you with as much time as if you were just going on vacation.

I promise if you dial back a bit, you’ll enjoy the whole experience more, and you’ll have some time to reset before you’re back at work.

And who knows? You could stumble onto a gem you didn’t know about and would have missed if you stuck to a super rigid itinerary.

Don’t Ditch Your Healthy Eating & Workout Habits

When you travel, it’s easy to accidentally skip a meal here or there with all the running around, or order a super decadent meal because it’s quick and easy (and you’re likely not paying for it).

While indulging in fast food and networking cocktails is all fine and well (and often comes with the territory of entertaining clients and attending events), moderation is key – especially if you’re on the go often!

As a business traveler, you need to fuel your body with things that will make you feel good and maintain your energy levels whenever possible. If you don’t, you might feel sluggish in meetings, and your motivation will plummet before the end of the day, making it hard to concentrate and do your job.

Here are my tips for staying healthy while on the road:

  • Don’t skip breakfast. You need to give your body enough energy to last throughout the day, and breakfast is especially important if you’re normally a breakfast eater when you’re home. When ordering your meal, choose something like granola and yogurt, or eggs and turkey bacon, instead of a pastry. Sugary treats don’t give you long-term energy, and you’ll crash from your high before it’s time for lunch.
  • Stay hydrated. I always travel with a reusable water bottle, and I bring it wherever I go throughout the day. Lots of conference setups will typically have water refill stations anyway, and you can feel good about skipping the unnecessary plastic if you’ve already brought your own.
  • Keep snacks in your bag. Not all airline food is great, and some meetings mentally drain you before lunchtime. Keep a few snacks like protein bars in your bag to munch on throughout your business trip. It will keep you satiated and stop you from spending money on overpriced airport food.
  • Research nearby cafes and restaurants. You’re less likely to opt for some Taco Bell if you have a list of healthy eating options at your fingertips. Before your work trip, spend some time researching nearby eateries with healthier menu options for lunches and dinners on the days you don’t have work commitments.
  • Try not to skip workouts. Before you start the day, a solid workout can clear your mind, help you sleep better, and keep your fitness goals on track. If your hotel comes with a gym, use it. If it doesn’t, log onto YouTube or turn to pretty much any online bodyweight-only workout program.

When you’re having after-work drinks in a new city, it’s tempting to have more than one.

That’s totally cool, but remember – alcohol and a good night’s rest don’t mix.

It’s long been said that the effects of alcohol significantly reduce the quality of sleep and the amount of time spent in REM.

REM is a mentally restorative type of sleep, and when you’re traveling for work, you want to maximize your time there as much as possible.

I know when I’m away on a business trip, my days are usually packed with back-to-back meetings. The only way I can get through those days is by having a good 7-hour sleep and keeping my night outs short and to a minimum.

If your meetings are out of the way though, by all means, treat yourself on the last night in a new city!

To end things off, here are some quick packing tips to always keep in mind as a corporate traveler:

  • Try to stick to carry on only when possible
  • Invest in a sharp-looking purse or tote that can be used both for travel and for meetings
  • Pack any items you need to help you fall asleep faster (eye masks, melatonin, earplugs, etc.)
  • Pack clothes that don’t wrinkle easily
  • Use garment bags to help keep items wrinkle-free, and shoe bags to avoid accidentally dirtying your clothes
  • Bring back-ups of important meeting resources (have copies of your presentation on a USB or Google Drive, pack extra business cards, etc)

5 Tips to Prepare for Your (Very First) Business Travel Trip

You've got your business casual blazer and your carry-on suitcase—here's what else you need to travel for work without worry.

“Congratulations, <Insert Your Name Here>. Management has decided that you should represent us at XYZ Conference.  You’ll need to travel to Anywhere, USA in three days.”

Your reaction may vary depending on your actual destination and your own past experiences while traveling for work. Business travel, after all, is a completely different animal from family, friends, or fun travel. And if you haven't traveled for business in a while, you may find yourself overwhelmed by the fray of transportation hubs, transfers, and packing.

Some may argue that forgetting the right pacifiers is worse than losing your laptop charger. However, snafus during a business trip have a higher risk of long-term consequences than, say, a missing binkie issue on the family beach trip.  

Your travel skills will improve with practice, however, just like any other game you play. Follow these tips to win (or at least not lose ) at the game of business travel. Please note that these tips are targeted to those traveling on an extended basis (not a one-off trip), yet they may be applied to any jaunt away from home.

1. Understand the Rules of the Road

You need to understand the rules, i.e., your company's Travel & Expense policy, in order to succeed at business travel. Your employer or client should already have a policy. If a T&E policy does not exist, clarify the expense approach for this trip in advance via email. Key points to clarify are: per diem (daily allowance) versus actual expenses; nightly hotel rate (inclusive of taxes); airline fare restrictions; ground transportation guidelines; Internet costs; meals, particularly a lunch reimbursement; and exceptions to the policy (Are there any? What documentation is needed?).  

A final key question is: Are any rewards accrued from frequent traveler programs mine to use or are they claimed by you (the agent/company reimbursing your expenses)?  Some employers claim these rewards to offset travel costs. However, many others allow business travelers to keep them as incentive to stay on the road. Your spouse is more likely to sign off on your time away if your hotel and airline points results in a free trip to Hawaii.

2. Join Frequent Traveler Programs

Customer loyalty programs, a.k.a. frequent traveler programs, allow road warriors to accrue benefits based on expense and activity levels throughout the course of your travel. Programs have increased incentives based on traveler tenure so register for the program with a personal information so your account continues even if your employer changes.  

3. Coordinate with Colleagues

Team up with workmates whenever possible while on the road. You will have a co-adventurer with whom to celebrate and commiserate in addition to recognizing some practical gains. Sharing a rental car cuts cost and creates the ability to race down the High Occupancy Vehicle lane—a boon in most metro areas. Pre-shipping of gear to a work location can be convenient, but you lose control of those assets when you turn them over to others. A better alternative for the risk-averse is splitting up corporate materials between sets of luggage.  

4. Choose Function Over Form

Your choice of equipment will impact your travel experience more than many other considerations. Suitcases and business cases top the list of business travel equipment, but the list of kit does not stop there: Laptop. Tablet. Mouse. Toothbrush. Ink pen. These items and hundreds more will end up hopscotching destinations with you. Make an informed choice based on your end goal.

5. Inform Your Family & Friends

Duh. Managing personal relationships at home and beyond becomes exceedingly difficult as you hit the road. You will be well served to let your significant other, kids, pets, friends, and therapist know if you expect to travel repeatedly or for an extended period of time. A heads up will allow you and them to plan around your time away...and possibly avoid alarming them.  I returned to several anxious text messages after having not advised a few friends of a trip abroad without cell service. Although it was nice to be missed, it’s also best to minimize hysteria.

Modern and design-oriented: IntercityHotel Herford officially opens

The first Steigenberger Residence opens in Doha

On 1 October 2022, General Manager Tim Henrik Göhring and his team welcomed the first guest, marking the official opening of newly built IntercityHotel Herford. The hotel has 135 guest rooms, a breakfast restaurant and bar, not to mention three meeting rooms boasting 90 square meters. Italian architect and designer Matteo Thun was in charge of the interior design. The hotel is operated by Scoop Hotels, a franchise partner of H World International.

"We are very pleased with the successful launch of our new hotel in Herford, a city that has much to offer both businesswise and culturally," says Kai H. Gehrmann, Vice President Franchise, H World International. "After celebrating the opening of MAXX Hotel Aalen in June, IntercityHotel Herford is already the second hotel this year that we have been able to open with our partner Scoop Hotels."

According to Axel Jünke, Managing Director Scoop Hotels: "The opening of IntercityHotel Herford on 1 October is another milestone in the joint history of H World International and Scoop Hotels. Guests in Herford can look forward to a combination of mobility, design, comfort and service in actual practice."

Tim Henrik Göhring, General Manager of IntercityHotel Herford, puts it like this: "The whole team has been looking forward to the opening with great anticipation. It is always a very special experience for everyone involved to welcome the first guests at a new hotel and going from the pre-opening phase to the daily business."

The IntercityHotel Herford is located in the heart of the city, near Herford main station. Directly across the street is the "Marta Herford" museum for contemporary art, architecture and design, which opened its doors in 2005. The exterior itself looks like a work of art: The asymmetrical museum building made of red clinker brick and stainless steel was designed by star Canadian-US architect Frank Gehry.

Paik’s Noodl e -  This is one of the best Korean restaurants in town, to experience mouthwatering Korean noodle dishes like Bokkeummyeon and Jjamppong that will transport your taste buds to noodle heaven! This place has the feeling of a delicious homecooked meal, and it is served with love. Orenchi - Since its opening in 2010 and earning a recommendation in the 2016 Michelin Guide, this popular Ramen Shop is a must-try. Their renowned specialties include the signature Orenchi tonkotsu, the soy sauce Shoyu, and the spicy miso ramen. Additionally, they offer delightful sides dishes such as Chicken Karaage, Geso (Calamari) Karaage, and Takoyaki octopus snacks.

Birk’s - Birk’s is the epitome of classic Santa Clara. Since its establishment in 1989, it proudly identifies as “the traditional city grill with a contemporary twist.” Here, you can savor amazing steaks, chops, and seafood, perfectly complemented by an award-winning wine list. Rocko’s Ice Cream Taco s - If you have a sweet tooth, this spot is a must-try. The taco shell is a handmade waffle filled with house-made ice cream flavors, coated with chocolate or peanut butter dip, and adorned with various toppings. To top it off, this delightful taco is placed in a tub of liquid nitrogen, creating a harmonious blend of all the delicious flavors. Experience Activities in Santa Clara

After a day of hard work, when you're ready to unwind, here are some enjoyable activities to consider for your evenings. If the opportunity arises, you might opt for the obvious choices – attending a concert or sporting event at Levi’s Stadium or experiencing the thrills of California’s Great America's rides. These world-class facilities promise an amazing time.

However, it's worth noting that both  Levi’s Stadium and  California’s Great America may be closed at various times of the year. (Look at their websites for their operating hours.) In such cases, here are some fantastic alternatives we highly recommend.

Westfield’s Valley Fair  and Santana Row - Come shop until you drop. Within close proximity of Santa Clara, you have top notch shopping centers such as Westfield’s Valley Fair and Santana Row. (Both centers are within walking distance of each other.) Here you have all your favorite retailers, expansive dining options, and various entertainment options as Bowlero, Showplace Icon Theatres, and The Escape Game (escape room).  These shopping centers are bound to keep you occupied during your downtime.

K1 Speed   - Do you have the need...the need for speed? K1 Speed Santa Clara offers a thrilling indoor go-kart track, making it the perfect group activity. Complete with an arcade, onsite food and drink options, and private meeting rooms, you're sure to have everything you need for a lively social gathering with your colleagues and clients.

Pruneridge Golf Club - This is a fantastic and fan-favorite spot in the South Bay Area. Come here to unwind, whether you’re casually swinging the iron at the driving range or playing the full nine-hole golf course. This course is casual and even if you’re pressed for time, this nine-hole course shouldn’t take more than two hours to complete. You can easily book a Tee Time on their website.

Barebottle Brewing Company - Looking to end the day by saying “cheers?” This taproom is a very bright, open, and spacious environment. Here you will find a great collection of innovative and delicious beers brewed with local ingredients. Additionally, there are some wine and non-alcoholic options such as coffee, soda, and kombucha. If you’re craving something to eat Barebottle serves various empanada and pretzels. This venue is excellent for larger groups or corporate events. (You can make reservations on their website here ). 15 Things to Do in Santa Clara (CA)

Santa Clara is a city of nearly 125,000 residents that’s located in Santa Clara County, about 75 kilometers south of San Francisco .

The city was founded more than 200 years ago as a Spanish Mission. Now, it’s most well-known for its booming tech industry that’s commonly referred to around the world as Silicon Valley.

Though it’s common knowledge to most football fans, it’s a surprise to many to discover that the relatively small city is also the home of the National Football League’s San Francisco 49ers.

Visitors to Santa Clara have abundant activity options at their fingertips without venturing outside city limits, so staying engaged and entertained shouldn’t be an issue.

1. Levi’s Stadium

With a capacity of nearly 70,000, Levi’s Stadium on Marie P. DeBartolo Way in Santa Clara is one of the country’s premier professional football stadiums.

The 49ers play their home games here, and during the off-season, the stadium hosts a variety of annual events, including concerts featuring big names in the music industry.

Taking a family to a football game isn’t the least expensive activity option in the area, but for those who’ve never taken in a pro game, it’s an exhilarating experience that may be worth the cost.

Guided tours are also regularly available, and the bars and restaurants around the stadium are fun to visit year-round.

2. Ulistac Natural Area

Despite its large population and the overall hustle and bustle, the Bay Area features plenty of urban parks and natural areas that are convenient options for those interested in enjoying the great outdoors.

The Ulistac Natural Area is located on Lick Mill Road in Santa Clara. It is comprised of more than 40 acres that include a variety of distinct environments.

The natural area straddles the Guadalupe River and is home to an array of plants and animals that are well-suited to its riparian habitat.

A particularly popular attraction for bird watchers, it features a number of well-marked nature trails dotted with interpretive signs.

3. Santa Clara Art & Wine Festival

Californians take their art and wine seriously, and there’s no better way to combine the two than by visiting the Santa Clara Art & Wine Festival.

The event is held in the city’s Central Park and features nearly 200 vendors from across the country selling fine art and crafts, gourmet food, and a vast selection of California’s best wines.

Proceeds are donated to worthwhile causes that benefit residents in need. It all takes place in the early fall when the central California weather is perfect for outdoor activities.

Other highlights include live entertainment and lots of art-related activities for kids.

4. The de Saisset Museum

Though he’s not exactly a household name for those who don’t typically travel in West Coast art circles, Ernest de Saisset was one of the Bay Area’s most prominent artists in the 19th century.

Saisset was a French immigrant who enrolled in Santa Clara University and studied painting as a young man.

The museum that now bears his name is located on the university’s campus. It includes a collection of more than 100 of his most impressive works.

It’s as much a historical attraction as it is an art one, and it also has other works from European and American artists dating back hundreds of years.

5. Intel Museum

Intel is one of the titans of the tech world. Over the years, it has been responsible for some of the most significant technological leaps forward in computer hardware.

The Intel Museum is located on the campus of the company’s world headquarters in Santa Clara, and it’s regularly open to the public.

Even for those who don’t fall into the tech-savvy category, it’s a fascinating place that’s definitely worth an hour or two of time.

Though it may sound dry to technophobes, it’s packed with interactive exhibits for visitors of all ages, so it’s great for kids with short attention spans too.

6. Santa Clara Farmers’ Market

There’s really no better way to rub elbows with locals, enjoy pleasant weather, and have access to tons of great products you won’t find elsewhere than by visiting a farmers’ market.

The Santa Clara Farmers’ Market is open year-round and features a little bit of everything – from seasonal produce and fresh baked goods to health and body products and prepared food items.

Held on Jackson Street near the downtown area, it’s common to find different items each time you go.

Spending a few bucks is a great way to support local farmers and entrepreneurs, and don’t be shy about asking them for suggestions for things to see and do while in town.

7. California’s Great America

There’s no shortage of theme parks in the Golden State, but there’s one clear choice for those visiting Santa Clara.

California’s Great America is located on Great America Parkway just outside of town. It features tons of rides, dining options, kid’s activities, and a water park that’s a huge draw during the hot summer months.

Though Great America can really draw a crowd during peak times when kids are enjoying their summer vacations, previous guests have noted that wait times for rides weren’t overly long.

Many families choose to spend an entire day on-site to avoid wasting valuable recreational time in the car.

8. Mission Santa Clara

Mission Santa Clara is one of the city’s premier historic sites, and it’s now conveniently located on the campus of Santa Clara University.

The mission was established by Franciscans in the 1770s to spread Christianity to the area’s Native American population.

Sadly, things didn’t go according to plan; due to several natural disasters, the mission was forced to move from its original site to where it is now.

Over the years, it was also run by the Jesuits. Though it’s no longer functioning in its original role, it now doubles as a museum and chapel that are open to visitors.

9. The Triton Museum of Art

Though guests tend to visit the Triton Museum of Art for the works in its collection, its stunning contemporary architecture usually makes a big impression as well.

The museum’s collection includes works from all over the country, but its emphasis is on pieces created by Bay Area artists using local people and scenery as inspiration.

The grounds also include a sprawling outdoor sculpture garden spread over nearly seven acres, and a home from the mid-1860s that’s among the most well-preserved examples of historic American architecture in the area.

The museum is located on Warburton Avenue, and most visitors spend a few hours on-site.

10. Santa Clara Players

The Santa Clara Players traces its roots all the way back to the early ‘60s, when a group of local performers began putting on small shows for the community.

Now nearly seven decades later, they’re still going strong. Their annual performances run the gamut from dramatic theater and mystery to satire and humor.

The players are part of a community theater group staffed by talented volunteers dedicated to providing high-quality, family-friendly entertainment at a reasonable cost.
