I promise you are going to enjoy your stay here in San Jose, Los Cabos. This is a beautiful, quiet city where you can relax, sit by the beach, enjoy great meals and feel very safe. You can walk into town and enjoy the fountains or take a moonlit walk along the water. Please do not swim here. This is not a safe place to swim because there is a strong undertow. Cabos San Lucas is the place to go if you want to enjoy swimming in the ocean. You can take a short bus ride from your hotel. There you will also enjoy entertainment and dancing.

Suntan tours offers a variety of special discounts depending on your travel plans. We have golf packages, as well as guided whale boat tours, and fishing charters. There will be a short information session at 1pm in the lobby of the hotel tomorrow where you can learn all about these offers. We recommend that you do not purchase packages from street vendors as they are not always 100 percent reliable. They also may charge you more than what they say. Please take my advice and allow Suntan tours to book all of your day trips and activities while you are here.

If you need to exchange your dollars into pesos, please use a bank or money exchange. We don't recommend exchanging your money at the hotel because you won't get a fair rate. Some restaurants will accept American or Canadian money, but you are better off to exchange your money and pay with pesos. Or, if you prefer, you can always use your credit cards. Also, if you want to get around the city, or travel to Cabos San Lucas, we recommend that you take the local bus rather than a taxi. The bus costs about one American dollar, and the driver can give you change if you don't have the exact amount. If you do decide to take a taxi make sure that you negotiate a price before you go.

Then, define your goals. Are you educating, entertaining, or both?

Let’s say you live in Philadelphia: The city has heavy historical significance, so you design a walking tour that takes guests on a chronological journey of the signing of the Declaration of Independence.

With your tour’s theme and goal in mind — “historical” and “to inform” in the example above — you can start to create a cohesive and memorable storyline.

We’ve all been on one of those tours before, trying to surreptitiously check our watches to count down the minutes until it’s over.

A free walking tour is like a play: each word is of vital importance to transmit your speech in the best way and touch the emotions of your travelers. In this post, we will explain how to create an amazing script, which will be the bible of your journey. It will allow you to choose the best content in order to create an incredible experience and receive lots of money.

Before creating the tour script

Before starting to write the script, you should be aware of at least these 2 elements:

  • Make sure to have identified all the places of interest (ex: town hall) and topics (ex: gastronomy) that you want to introduce throughout the tour.
  • Make sure to have ordered all the places and topics to create your tour itinerary , taking into account a coherent structure and the shortest distance between each stop (max. 2-3 minutes).

1. Create a great introduction

Think about it as if it were the first few minutes of a movie or the first pages of a book. You have to create the “WOW” effect.

Your tour introduction has several goals:

  • Captivate your travelers: you have to show travelers how special this experience will be with you and that it was worth booking. Make it clear that you will exceed the expectations they have.
  • Break the ice: travelers don’t know you yet, they don’t know your city, or the other travelers in the group. It’s important to reduce this tension from the beginning.
  • Give confidence: You must show your professionalism and credibility so that travelers can trust what you explain.

This introduction is usually short (5 minutes) and is normally structured like this:

  • Tour structure (key sights) and practical information (duration, if there will be a break to go to the bathroom, the payment concept, …). You make sure travelers know what to expect from you and to show them your professionalism.
  • Get travelers’ interest and give time for some practical questions.

Then, in the same place, gurus usually start with their first explanations (most of the time, it’s an historical introduction of the city and the country). This explanation is normally a bit longer than the others (10-15 minutes) and serves to put the context for the rest of the tour. It’s also important to start at the meeting point so late travelers can still join.

2. Balance the types of content

It’s important to find a balance between the different kinds of content to include in your tour so it’s easy for them to follow you. 

These are the different types of content that your tour must include:

  • History: it’s usually the main focus for the content of your tour and helps to introduce the rest of your explanations. In many cases, travelers have already read part of the story before joining the tour in their travel guide or online but it’s important to explain it as travelers expect it and to put everything in context. It can be both the history of a building or monument, as well as the history related to a topic (specific period, important social movement, gastronomy, …).
  • Anecdotes and curious legends: that’s what makes the difference for travelers and what they will remember, since it’s usually something that surprises them and that they don’t usually know about. It touches travelers’ emotions and keeps their attention. This kind of content is usually explained after the historical context.
  • Customs and recommendations: Travelers who participate in a free walking tour don’t just want to listen to stories. They also want to be able to understand the city as a local, live as a local and go to places that are not as touristy. That’s why it’s important to include some local customs and personal recommendations in your tour.

While doing this research, also consider the following things:

  • Keep only the most essential and relevant information: you can talk for hours about some places, so it’s important to select only the most interesting part for the traveler. 
  • Open your search beyond the content of the tour: If you read more than the content of your tour, you’ll be able to show to travelers that you are a true professional by answering all their doubts, which often go beyond what you explain on the tour.
  • Verify the data: you can’t trust just one single source of information. Cross-check the data to ensure your script’s content is reliable.
  • Write in an understandable way for everyone: sometimes travelers don’t know anything about the topics you are dealing with on your tour, so you have to explain it in a simple and clear way and avoid technical words.

4. Think of the best way to explain your stop

5. Create natural transitions in your itinerary

Maintaining the logic between your explanations can be achieved when you have good transitions, because it gives a common thread to the whole tour. Your experience is not just going from one place to another, you have to see it as a set where each explanation tells a story that supports the overall idea of ​​your experience, like a movie with different scenes.

Good transitions allow travelers to better remember key facts and will help make the journey more meaningful. It also helps you memorize your speech better and will keep travelers interested to follow the whole tour.

You have to add these transitions at the end of the stop or when starting the next one. It can also serve to get travelers’ attention and surprise them, as we explain in this post .

6. End the tour with style

The final part of the tour has to be the cherry on top. Like a good movie, the final part is essential and will be the last impression travelers get before paying you. It’s important to make an emotional ending , so travelers realize how awesome this experience has been with you.

What is usually said at the end:

Remember, the best free walking tours last between 2 and 3 hours. Shorter than that, travelers will feel that the experience was not complete and longer, you will tire them out too much and they will end up bored.

With Google Maps, you can approximate the time you will need to walk. In this example of an itinerary in Brussels, which is a 2-hour tour, you walk about 40 minutes, leaving 1h20 to tell stories. Only the main stops are represented there, but there are about 10 stops, which makes 10 minutes per stop, taking into account that the first stop is usually longer, so it’s fine.

So, you can put a timer so that each stop on your script is no more than 10 minutes. It is not an absolute rule. There are places that require more time and others less.

Now that you’ve added or removed content from the tour script, it’s time to practice it at home and learn it well.

Once you have it ready, practice it with a friend or family member in real conditions. This person can also give you valuable feedback to improve your speech. Look at the time before starting the tour and halfway through the tour, verify your progress at the halfway point to make sure you are on target. If not, you will have to add or remove content.

You have to constantly review your tour script . With practice, you will realize what is more or less interesting to travelers.

However, keep in mind that the speed of the group is always different. So you have to identify less important explanations or places that you could skip or add to meet the duration of the tour.

It’s important to memorize the tour script perfectly. In front of the group of travelers, you can’t doubt or read something from a notebook. Otherwise, you may lose all your credibility (and money… ).

How To Craft An Effective Facility Walking Tour

A tour is a powerful branding opportunity but it’s one that companies frequently miss — or mess up.

Here are five steps you can take to craft a more effective facility walking tour.

Step 1: Identify your goal and create a strategy.

While it’s nice to feel proud of your facility and impress your visitors, for a walking tour to have real impact on your brand, there needs to be a strategy behind it.

Before you can create a strategy, however, you need a goal for your walking tour.

  • What do you want people to walk away with?
  • What do you want their perceptions to be?

Once you know this, you can then build a walking tour that will help accomplish it.

Here’s what not to do: Focus on what your competitor is doing.

Instead, gather your key stakeholders and work together to identify what it is that makes your company different.

In fact, this is the most important work you’ll do in crafting the tour.

It could be the way you make your product – maybe you’re a challenger brand that builds a common product but in a very unique way – or it could be you’re a category leader based on the way you treat customers.

You want to bring that uniqueness front and center and celebrate it throughout the tour.

Step 2: Identify the top stations that define your process.

Using furniture manufacturing as an example, your tour stops might include:

  • Raw materials selection
  • Gluing and assembly
  • Upholstering

But, just because you have all those stops, it doesn’t mean you highlight them all equally.

Maybe it’s the manner in which you select each individual piece of wood or the application of a 100-year-old family finishing recipe that makes you stand out amongst your competitors.

Or if distribution is more important to your customer, the manufacturing process could be shown at the macro level via catwalk, while the bulk of the tour focused on a more granular look at distribution and the customer service experience.

Don’t forget the lobby!

Even though it is not where your craft takes place, the lobby is the visitor’s initial introduction to your facility and so is effectively the first “station” in the tour. The lobby should contain displays and other materials that set the tone for the tour and build excitement and anticipation for what’s to come.

Step 3: Make each station a destination.

Each station stop on the tour should be clearly marked with signage or a display. The idea is to make the station a destination .

You can have some fun here.

Maybe the displays are made from the same materials your product is made from and incorporate that stage of the process somehow. Signage might reflect the key topics that are covered.

If much of what you are showing on your tour is assembly, maybe your tour stops get more complete as you advance along the tour.

Limit the number of stations to only the important ones – it’s not about how many stations you have, it’s about ensuring a quality visitor experience at each stop.

Step 4. Choreograph the walking tour experience from beginning to end.

A well-crafted tour experience communicates many aspects of your brand simultaneously and in three dimensions . In many ways it’s a performance, and good performances are planned, scripted, choreographed and rehearsed.

Create and distribute a written tour script and ask all employees to get familiar with it. Appoint employees willing to master the script, as tour guides. At each station, there should be a few employees within earshot of the presentation and the tour guide should incorporate them in a conversational but in a planned way. This technique keeps the visitor engaged and gives them a glimpse into the company’s inner workings.

Involving everyone in the tour process will have the added benefit of greater alignment within your company. In fact, a great aspiration would be for everyone in the company to be able to give the tour.

Step 5. Build visitor dialog into the experience.

The tour is a golden opportunity to engage visitors in dialog and make them feel connected to your brand. You can foster this dialog by providing visitors with a dialog starter in the form of a card with a list of best questions to ask at each stop. The “best questions” book/pamphlet/sheet could be handed out in the lobby before starting the tour. It’s a great way to show you’ve organized and planned this tour and demonstrates to visitors that their time is important to you.

The most important aspect of the facility tour, however, is to craft it in a way that shows your company as it really is, including its quirks and characters .

The more “real” you can keep it, the easier it will be for visitors to really connect with your brand, and become attached to the idea your product or service is definitely for them.

Before writing the script

Before creating the tour script, ensure you have already written down the places of interest and topics you want to mention on the trip.  Also, list the places and topics on your itinerary in order of movement.

036 How to give a guided tour around your company

Hi everyone, welcome back to another episode of the Art of Business English. Recently, one of my students was promoted to a new position. He will be required to show guests around the factory and explain the different areas and processes. So, I decided to put together this episode for him and for those of you who may have to do the same thing. Today, we will be covering how to give a guided tour and how to show people around your company.

Preparation

The key to a successful tour is planning. You need to have an idea of what you are going to explain and the route that you are going to follow before your guests arrive.

You should keep the following things in mind when preparing a tour:

  • Objective: if possible you should know your visitors´ objectives. This will help you to adapt the tour and show them the parts of the factory that interest them most.
  • Ask for an anticipate questions: you should be ready for any questions that come your way. Furthermore, you should ask regularly if there are any questions you can answer.
  • Make sure staff know: having your staff know a tour will take place will help them feel more comfortable if they are asked any questions. Include staff members in your tour where possible.
  • Duration of tour: Think about how long the tour will take and make sure you have enough time and things to say. Check with your guest how much time they have before the tour and if necessary adjust the tour length to fit this.
  • The route: Think about which route you should take around the factory or offices. Keep in mind factors such as noise and any dangers.
  • English expressions: Prepare what you are going to say and then print some expressions out or have them on a tablet ready to consult during the tour. Remember the general rule, large groups, more formal language, small groups of 3 or 4, less formal.
  • Machinery and noise: This can be a big issue for effective communication. You will need to use effective body-language and signalling with your hands. Try and avoid turning away from people when you are talking to them. It is best to explain a noisy machine before you reach it, so you don’t need to shout.

Before we end this first part of the episode, I would like to give you an example of how to brainstorm some typical questions. Simply sit down with some colleagues and generate some ideas based on what you think people will want to know. Remember, this will be linked to the individual objective for each visit.

Here are some example questions to get you started.

How many people for this process?

How many people do you need to handle the material?

What is the workability of this part/process?

Can you explain the ease of production?

How are you implementing MTCR in the process?

OK, now that we have a plan in place, let’s take a look at some expressions you can use to start the tour.

Welcoming guests and starting the tour

Starting a tour is similar in some ways to starting a presentation, we need to welcome the guests and give them some indication of what we will be doing. Let’s take a look at some useful expressions.

Good morning/afternoon everyone.

If I could all just have your attention for a minute/May I have your attention, please.

Welcome to The Ford Motor Company/ I would like to welcome you all to the Ford Motor Company.

My name is Andrew Ambrosius and today I will be your guide around the installations / offices / plant / factory/ As some of you may know, my name is Andrew and today I will be leading this tour of the installations / offices / plant / factory.

The tour should take about 30 minutes, please feel free to ask me any questions as we make our way around/The tour should last about 45 minutes. Don’t hesitate to ask me any questions at any time. / I expect the tour to last 30 minutes, is that OK for everyone?

Depending on the type of tour, you can offer some warnings about noise and dangers.

For example, you could use some of the following expressions.

All guests must put on their ear muffs when I indicate. I will hold mine up in the air before we enter a noisy area.

Before we enter the plant, please place your protective glasses firmly on your face.

Can I please bring to your attention some safety points? / I would like to explain the safety rules before we officially start the tour. / Could all guests listen carefully while I explain the safety precautions.

OK, now that we have welcomed the guests and explained any safety precautions, let’s look at some essential language for during the tour.

What to say during the tour.

I would like to start this section by looking at some common expressions we can use for giving indications. I’ll give you the expression then the translation.

Now that we have some common expressions for giving indications, I would like to quickly give you a list of common prepositions.

In front of

Here are a few phrases to help you with some small talk before the start of the tour. These will help in situations where you are waiting for someone to arrive and you find yourself alone with the guests.

Let’s look at some common expressions for talking about your company. During the tour you may want to explain the company history or some milestones.

Once you have finished giving some history and milestones, you may want to talk about the building premises, plant or offices.

Finally, let’s look at some expressions for talking specifically about a plant or factory space.

Bringing the tour to an end

To finish up today, I am just going to give you some tips on how you can bring a tour to a nice close. Remember, this language depends on the formality of the tour. Let’s take a look at some nice expressions for wrapping things up.

Final thoughts

Well, there we are, the end of another episode. I would like to finish up by giving you some final tips. The key to your tour is planning, all tours are different but with these expressions you have the framework to help you to put together your tour. You have nice expressions for the introduction and conclusion and the body of your tour can be filled in with relevant information and some key language from this episode.

Company guided visits in English

Useful phrases and expressions for giving a guided visit or tour of the plant, factory and offices, general conduct during the visit:.

Taking visitors to your company on a tour of the installations requires a certain amount of planning. You should prepare especially: the route and the duration of the visit. If you are going to carry out a tour in English, you may take a copy of a selection of the English phrases below (adapted to your needs) attached to a clipboard. It is better to practise the English expressions aloud until you are happy with the pronunciation. Ideally, memorise a few of the key English phrases.

You should take particular note that the dynamics of the visit and that the English language used may change depending on the size of the group. A large group requires a more formal address while with one to three people you would get physically closer to them and would use less formal English expressions.

When with a large group, each time you stop to talk about something, you should remain still, look and speak facing the group with your back towards or by the side of the object or place you are describing. Look at faces; not at the floor or in the air. Choose a place where you can speak: do not obstruct the movement of people working. If necessary, you can stand on something (a pallet, box, etc.) so that the group can see and hear you better.

You should choose a place where the visitors can hear you without excessive noise from machinery, etc.

When explaining the workings of a noisy machine, it is preferable to do so before arriving and then you can take the group to the machine without further explanations once standing in front of it. For example:

"We are going to see the machinery which... We will now go and see the machinery I've been explaining. We'll stop briefly for a minute to watch then please follow me to the rear entrance where you may ask questions." >>

Indicate with an outstretched arm or even with two thumbs pointing back over your shoulders. Be careful not to speak when looking away from the group (or they may not hear you).

When you are with just one, two or three people, you may position yourself at their side and be facing the object or place you want to explain.

It is advisable to plan the route of your company tour so you know how long it will last. If you inform your visitors at the beginning of the visit of its duration, they will not become impatient about catching a plane, etc. during the visit.

Expressions of introduction for a company visit in English:

Good morning, ladies and gentleman. Could I have your attention, please? Welcome to Acme. My name is Mary and I'm going to give you a tour of the installations / offices / plant / factory. The tour will last about thirty minutes. >> (Formal visit for larger groups.) Good morning. Nice to meet you. I'm Mary. Come with me and I'll show you around. It'll just take thirty minutes. >> (A less formal visit for individuals and very small groups. You should also ask names if you have not been introduced.) If you would like to follow me, we will begin our tour of the premises. >> Please, follow me. >>

Expressions in English for guiding visitors during the company tour:

As you will see... >> You may have noticed that we came past a large blue-coloured machine. That was... >> Take a good look at... >> I'd like to point out... >> Keep your eyes open for... >> Over there is... >> Shall we now walk over here? >> If you have any questions, please feel free to ask at any time during the tour. >>

Expressions for talking about the history of the company:

The company was founded in 1972 by (founder's name). >> The company was the brainchild of (name). >> The company was started by (name) at the end of the nineteenth century. >> In the early days... >> In those days, the company was based in (place name). It was transferred to its present location 6 years later. >> Its first product was... >> The company was the first to announce the development of... >> It delivered the first (product name) in March of 1973. >> Since its inception, this company has led the field in the area of (company activity). >> For 40 years the company has led the industry in new technology, product development and customer-oriented after-sales support. >> It was only some years later that the company started getting involved in (company activity). >> In 1986, the company took the leap into the U.S. market and founded (new company name) in (place name). >> In 1990, the takeover of (company name) located at (place name) took place. >> In 1992, the company started a joint venture with the company (name) in (place name) which was the point of departure for a successful strategic partnership between both companies. >> In 2000, the company was relocated from (place name) to (new place name) and began production of new products. >> Thanks to (company name's) enduring success, as early as in 2004 it became necessary to build a new and larger factory. >> Moreover, in 2008, it became a necessity to make new investments in the acquisition of additional machines and equipment. Expressions for describing buildings, offices, premises, etc:

Buildings, premises..

Our offices are on the twenty-eighth and twenty-ninth floors of this building called (building name). >> It is the third highest building in the city and one of the most recently constructed. >> It has a very good location overlooking the river and park areas. >> It is very well situated for staff and visitors with the train station at just a five-minute walk away and a taxi-rank almost opposite the front entrance. >> There is ample parking space for employees and visitors below the building and close to the park area next to it. >> For our most prestigious clients there is a heliport on the building roof. >> Our premises were constructed 10 years ago using moern lighteight materials and full insulation. >> There are ample garden areas around the premises where staff can relax and have a coffee during breaks. >> All waste water produced by the plant is fully treated at our sewage plant before being returned to the river. >>

There are over twenty-five offices here at (company name). There are also five hundred square metres of open plan office. >> This company employs one hundred and twenty-five permanent staff as well as over fifty outsource workers. >> On the floor below this one, there is a small gymnasium exclusively for company staff and visitors with all-day opening hours. >> Apart from the offices, there are also two reception areas, four conference rooms fully equipped with the latest video-conferencing machines, communal rest areas with kitchenettes, and a cafeteria area with seating for fifty people. Lunches are provided from one-thirty to three-thirty at very economical prices - if you're interested after the tour! >> There are toilets to our right if you would like to take advantge of tm before I begin the tour of the offices. >> Our offices are so designed that all areas have natural exterior lighting and soundproof glass, which greatly reduces our lighting and heating consumption and also allows us to be more environmentally friendly. >>

Premises, warehouses and plants.

The plant has over one thousand five hundred square metres of ground floor area. >> The warehouse stands fifteen metres high, sixty metres long and thirty metres wide. >> It can store up to two thousand tons of (substance name) at any one time. >> There are three main buildings at the plant. The first is where manufacturing takes place, there is another for storage of dangerous and possibly volatile products and a third for storage of non-volatile compounds. >> This room is where packaging takes place. Goods are then loaded onto pallets and await transport. >> To enter this area, hard-hats are required. Please pick one up on the bench over here before following me inside. >> The wareseas a loading dock on one side and can handle up to twenty forklifts working at any one time. >> This crane in the loading dock can load lorries of all sizes. >> Communications with the local airport, rail station and motorways are excellent allowing easy door-to-door delivery. >> The local seaport is only forty kilometres away and fifty percent of our goods are shipped to our main clients and distributor outlets. >>

Expressions in English for ending the company visit.

(More formal for larger groups...) Well, that concludes our tour. I hope you have enjoyed it and have found it interesting and informative. If you have any further questions, I should be very happy to answer them now. >> On behalf of (company name) and myself, I should like to thank you all for visiting us today. I wish you all a very pleasant journey home. >> (Less formal for small groups...) So, that's the end of our tour. I hope you've enjoyed it. Can I help you with any last questions? >> Thanks for visiting us today. I hope you have a good trip home. >> (More useful information...) If you are leaving us now and need to get public transport home, the train station is just five minutes away by foot. Please, ask at reception for a street plan. >> If you need a taxi to the airport, the taxi rank is just opposite the main entrance. The airport is about a twenty-minute taxi ride. >>

  • How to write an audio guide tour script

Need to know how to write an audio guide tour script for tourist visitor attractions? I’ve written several scripts for audio guides and visitor interpretation. Here are some tips on how to create an engaging experience for listeners.

Get to know the site or building

As a first step, get hold of any available leaflets, interpretation or background for the project. Do some research. Then, go on a recce of the site you’re writing the guide for. Ideally, do this with the curator, or the client who has commissioned the audio guide. If you’re creating a tour by yourself, you’ll need to plan the flow of the tour, start and end process, and listening points. Keep it simple, and not too long. Clients should have an idea of the right length of guide for their typical visitors.

Record your visit and story points

Take a well-charged camera or phone for photos. I also record video of any story and transition points, and scans of the rooms. This is essential for orientation when you’re writing a tour. Take pictures of key objects in the displays which are likely to be focal points, story ‘nodes’ or listening stations. If anything strikes you as a good story, take a photo. Take pictures of architectural or landscape features, too.

As a new visitor to the attraction, you’re in a great position to notice what will strike and appeal to other visitors. I like to record audio, too, as curators and desk staff are very good at explaining exhibits in language you can use. Also, it’s hard to take everything in on a first visit, and tricky to write notes on the hoof.

Establish the audience and access needs

Will the tour be for adults? Children? Find out the target age range, as this will have a bearing on your writing style and content. Will listeners include overseas visitors? Will the guide be translated into other languages? You’ll need to bear this in mind when writing about cultural references – what may be familiar history to you may be far from obvious to non-local or younger visitors.

Will the tour be indoors, outdoors, or a mix? What areas will visitors have access to? What’s underfoot – stony paths, turf, narrow stairways, bridges? Visitors may have prams, or mobility or sight issues. Ask your guide how visitors engage with the space, and about any changes up ahead that need to be incorporated.

Decide what story you’re telling

Is it the story of the place? Of the building? Of someone who lived there? A family? Another group of people? Maybe it’s an outdoor story interpreting the natural world? Or it’s on a larger scale, such as a town or video tour? Sometimes this is clear, and will give you a good throughline.

Sometimes, even with venues associated with a historical character, you might find several dimensions in play at once. For example, I wrote a linear tour for Mary, Queen of Scots House in Jedburgh, telling the story of the Queen’s visit to the town. It also had to incorporate the regional context, and architectural features. So, we used two narrative layers – a general narrator with a third person viewpoint, and the first-person viewpoint in the character of the Queen.

Ask if the audio guide tour script is linear or non-linear

This will affect what and how you write the guide. Some audio guides are linear tours which have a set length, sequence and number of clips. This kind may be used when there’s a limit on visitor capacity, and the organisers need a tour structure, to keep visitor flow moving. Other guides are non-linear, and visitors have a choice of what to listen to, how long, and in what order. They usually have listening points with numbers or QR codes which allow visitor to find the right audio clip. This kind are often found in galleries, where visitors can’t possibly see everything on a single visit, and have different subject interests.

Choose listening points and focal points

Choose locations and objects where people can stand and listen safely, without causing logjams. With linear tours, you’ll also need to factor in time for people to move between points. I’ve usually written linear tours at 30-40 minutes, no more, though it depends on the scale of venue. Any longer is a substantial time for visitors to be on their feet. 

You and the curator will have to make tough choices about what to focus on. Listeners can only take in so much, and have background noise and movement to contend with. An actual object that can be seen is often a stronger choice than a story about something that can’t be seen. In historical buildings, the building itself might be the story – a mediaeval toilet, a left-handed staircase.

It’s good to begin each new listening point with a line of context to help the listener to pull focus – “You’re now standing in front of/ this is the oldest tree in the forest/ the King’s Bedroom/ a wonderful example of Art Nouveau painting”. See my article on attunement in audio writing . 

Discuss writing parameters and production budget

Most audio tours are simplest to write from a traditional, third person narrator viewpoint. But it can also be fun to write a character viewpoint. I once wrote a historic jail tour from the jailer’s perspective. We were able to dramatize his character, have him talk about prisoners, and even ring the prisoner escape bell. This kind of character can use direct address to the listener and breach the fourth wall, which is fun. Some audio guides use dramatized dialogue between characters, which feels more like eavesdropping.

These choices have a bearing on budget and casting, so make sure you’ve agreed this before you start to write. It’s a good idea also ask about music and sound effects, as you can write these in. It’s best to keep this as simple and uncluttered as possible, as listeners will be moving around, often with background noise, which can make it hard to hear highly nuanced sound. I usually suggest just some mood-setting production music, and sometimes background sound effects – ideas such as rowdy crowds or courtly music can be good for populating empty spaces.

It’s a good idea to ask the curator about local musicians and voice talent, especially with historical venues. Authentic music and voices are a great asset to an audio tour, and production companies may not be as thoughtful about local choices, if the job is just one of many.

Clarify credits, wordings, costings

Ask which organisations, funders and contributors have to be acknowledged. If you’re unfamiliar with any mentioned people or place names, record the curator’s pronunciation. This will be useful for briefing the production company later on.

On costings, I suggest quoting a package cost based on days spent. Agree the job scope – the number of listening points, length and number of words – and any extra jobs, including research or music sourcing. Keep it simple. You’re not being asked to research the entire backstory of the project, as your client should be able to give you this information. Agree a rough running order and ask them to fill in the main bullet points. Any research gaps in your first draft can be filled in by your client – it’s far quicker for them to do this, with their subject expertise, than for you to reinvent the wheel. Allow for two or three rounds of feedback on drafts.
