The Opportunity :
The Administrative Assistant II coordinates, communicates, and supports Office of Research (OR) faculty and staff, manages core functions and procedures for multiple departments located on UCF Main, Research Parkway, Kennedy Space Center, Lake Nona, and Daytona Beach, as well as outlying centers and facilities in and around central Florida and the state.
Responsibilities:
Manage and coordinate core operational functions. Supervise, train, and support 1-2 OPS Office Assistants.
Greet and direct guests, assist with phones, arrange meeting space, and overall is the face and first contact for OR guests. Provide excellent customer service and possess detailed knowledge of the processes, people, and systems involved.
Responsible for mass distributions/communication of events, training, notices, and mailings related to sponsored programs activities, education, and information.
UCF Expense Cardholder: Responsible for inventory and purchase of office supplies, educational books/manuals, staff memberships/annual renewals, certification testing etc. Follow UCF/OR policies for special order requests. Submit Workday supplier punchouts and invoices for approval with department worktags.
Serve as shipping administrator sending notifications requesting distribution preferences of incoming packages/mail. Responsible for set-up of user information for access and accountability. Receive proposal-related correspondence and ensure the appropriate routing and confidentiality to the responsible specialist.
Serve as the Workday Timekeeper: Assist the supervisor/manager with auditing the worker’s time sheet for accuracy and ensure time is submitted and approved by the designated deadlines.
Ancillary Proposal and Sub-award services: Provide administrative support in the preparation of proposals that include copying, collating, packaging, and obtaining appropriate wet signatures. Provide public notary services for sponsored project official forms, reps, certs, etc.
Support Facilities Specialist regarding communication and coordination of office relocations, upgrades, remodels, and construction projects. Assist with ready room assignments, office moves, and dismantle/reconstruct furniture as needed for smooth transitions.
Assist Asset Coordinator in locating assets for inventory and organize surplus items for pick up.
Assist HR with onboarding and exiting personnel.
Provide general technical support, offering AV and computer support during trainings and meetings.
Maintain and provide access to hoteling office space.
Other duties as assigned.
Minimum Qualifications :
High School Diploma or Equivalent and 2+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications :
Experience managing a front desk and working independently.
Outstanding customer service skills.
Strong interpersonal and communication skills, written and verbal.
Computer skills in MS Office Suite: Word, Excel, PowerPoint, Publisher.
Some knowledge of Workday and Peoplesoft is a plus.
Ability to organize, multi-task, and prioritize to ensure timely completion of work.
Knowledge/familiarity with UCF Main Campus.
Valid driver's license with safe driver status and the ability to drive a Golf Cart or Low-Speed Vehicle.

This is a Contract and Grant (C&G) funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.
The selected employee may be required to complete Florida Notary Public Certification. Any associated costs will be covered by the department.

6 Places Every UCF Downtown Student Should Visit
UCF students share their list of activities and places to see in downtown Orlando.

One of the major benefits of the new UCF Downtown campus is its proximity to numerous local landmarks and cultural experiences. A group of UCF students provide some suggestions of places to see and things to do as their fellow Knights settle into their routines and start exploring the downtown community.
Discover Downtown Center 201 S Orange Ave. #102 | Open Monday–Friday, 8 a.m. to 5 p.m. A good first stop on your tour of downtown Orlando, the Discover Downtown Center provides information about events, attractions, venues, restaurants and more. You can also find merchandise created by local makers and take a picture in front of an Instagram worthy mural by local artist, Boy Kong.
Orange County Regional History Center 65 E Central Blvd. | Open Monday–Friday, 9 a.m. to 5 p.m. For two decades, the Orange County Regional History Center has honored the area’s past, present and future through permanent and traveling exhibits. Earlier this year, the museum was named one of 10 recipients of the 2019 National Medal for Museum and Library Service — the highest honor given to museums and libraries across the nation. Visitors can enjoy free admission on the third Thursday of each month from 6 p.m. to 9 p.m.
Wells’Built Museum 511 W. South St. | Open Monday–Saturday, 10 a.m. to 5 p.m; Sundays, Noon to 5 p.m. Listed on the U.S. National Register of Historic Places, The Wells’Built Hotel was converted into a museum and houses memorabilia of Orlando’s African-American community and displays on the Civil Rights movement along with some African art and artifacts.
Dr. Phillips Center for the Performing Arts 455 S. Magnolia Ave. After opening its doors in 2014, this state-of-the-art facility has entertained audiences with Broadway shows, concerts and performances year-round. Every April, the Dr. Phillips Center hosts UCF Celebrates the Arts, an annual festival showcasing the creativity, innovation and collaboration across the university.
Sam Flax 1800 E. Colonial Dr. One of the more colorful locations in Orlando, the Sam Flax art supply shop is known for its murals. Every year, it hosts a wall project and invites the community to watch mural artists paint live on their walls. While visiting Sam Flax, check out some of the great foodie spots in the nearby Mills 50 district.
Lake Eola Park 512 E. Washington St. Whether visitors to this notable landmark wish to grab a bite to eat at a lakeside restaurant, attend an early-morning yoga session, take a spin on a Swan Boat, catch a free movie at the Walt Disney Amphitheater or pick up some goodies at a weekend farmer’s market, Lake Eola is always bustling with activity.
