Boarding a cruise ship isn't like boarding a city bus or hopping on the subway. Because cruises involve international travel, you won't be allowed to sail if you don't have all the proper cruise documents and identification. That means you'll want to know exactly what to take with you and, once you have a list, double and triple check it to ensure you haven't forgotten anything.

The check-in process can be intimidating if you haven't gone through it before. You might be wondering what, exactly, cruise documents are, which ones you need and how you obtain them.

Gear up for a successful and stress-free embarkation day, and make sure you have all the necessary items on hand and ready to go with this guide.

What are cruise documents?

Necessary cruise documents include acceptable official forms of identification, proof of your booking number and boarding information, and confirmation that you aren't ill. You must present these upon arrival at the port.

At a time when eco-friendliness is top of mind and nearly every traveler has a mobile phone, it's easy to rely on apps to keep everything in one spot and avoid wasting paper. However, what would happen if your phone was lost, stolen or broken during your travels? For that reason, I always advise printing hard copies of anything you might need in a pinch, using as little paper as possible.

Pack all necessary travel documents in your carry-on luggage so you have them on hand when needed.

Documents needed for cruisers to board a ship

Identification.

For most cruises, you'll need a passport book that's valid for at least six months from the day your sailing ends. In some cases, you can use a passport card instead of a passport book , but that will only work if you plan to reenter the United States via your ship from Mexico, Canada, Bermuda or the Caribbean.

Similarly, if your cruise is a closed-loop voyage (one that begins and ends in the same U.S. port and visits destinations in the Western Hemisphere, with a few exceptions), you can embark using an original birth certificate and driver's license if your cruise line allows it.

However, neither a passport card nor the combination of a birth certificate and license will allow you to fly to a foreign country or return to the U.S. from a foreign country by air. If you must fly to a foreign port for embarkation or if something unforeseen happens on your sailing and you need to cut your cruise short and fly home from a foreign port, you will need a passport book for identification.

Additionally, if you are a U.S. permanent resident, you must carry your green card. You can use it instead of a passport on closed-loop sailings, but carrying a passport from your country of citizenship is highly recommended. Also note that if your green card is expired, you likely will not be allowed back into the U.S. You are responsible for contacting the embassies in the places you'll be visiting to make sure there is no additional paperwork required.

Boarding passes

Similar to what you'd need for a flight, a cruise boarding pass is the document that shows you've checked in for your sailing, set up an onboard charge account for purchases and chosen a boarding time . It also includes relevant information like your name, booking number and cabin number.

Most cruise lines now have mobile apps that allow you to check in prior to arriving at the terminal and pull up your boarding passes electronically. If you don't plan on using the app, come prepared with a printed copy of your boarding pass; having one will speed up the check-in process on boarding day.

If you arrive without a boarding pass, don't worry. In a pinch, the check-in desk can look up your reservation in the system when you arrive, but it will add to the time you spend in the terminal before boarding your ship and beginning your vacation.

HOW TO GET YOUR BOARDING PASS

Guest are required to provide Carnival with check-in information by completing the Online Check-in and select an Arrival Appointment no later than midnight (eastern time) prior to their sailing date.

In order to get your boarding pass, please follow these instructions:

• Go to  carnival.com
• Select 'Organizer Access' at bottom of the page (under 'Already Booked' column)
• Provide reservation number, guest last name with date of birth, ship and sail date
• From 'My Cruise Manager' page please select 'Cruise Details'
• Select 'Online Check-in' to complete registration (follow the prompts) from 'Select a Guest' or 'Get Started'
• Answer Guest Information, Citizenship Information, Travel Information, set up the Onboard Expense Account and accept the Cruise Ticket Contract
• Then select 'View Cruise Documents' (check all boxes please)
• From E-Document, you may print your boarding pass (page one) and luggage tags (last page)
• You can print your boarding pass if your booking is paid in full and Online Check-in is complete or incomplete. Click 'Print Documents' found in the 'To Do List Box' on the My Cruise Manager page.

Online Check-in ends at midnight (eastern time) prior to your sailing date; after that time you will have to check-in at the cruise terminal. You may also access your reservation through your carnival.com profile if you already have a profile. Please note you must add the reservation into your profile.  

On embarkation day, a boarding pass will be emailed to your email address that is linked to your reservation profile, whether Online Check-in has been completed or not. At embarkation, you may show your printed boarding pass or the boarding pass on your mobile phone.  

HOW TO COMPLETE ONLINE CHECK-IN

Guests must enter their full legal name in 'Online Check-In' as it appears on their travel documentation. Guest names that are different on their reservation to what they have entered as their legal name will be given an advisory to contact Carnival's call center to have their name changed, to reflect the name they have entered in 'Online Check-In'. Information Pre-Populated in 'Online Check-In' The 'Online Check-In' system will pre-populate the following fields based on the information in the guest's reservation; if this information needs to be changed, the guest must call their travel agent or Carnival (if booked directly):

• First name  

For guests that have previously sailed with Carnival (past guests), the 'Online Check-In' system will pre-populate the following fields based on existing information in the Past Guest database; guests will have the ability to make the necessary changes to any of these fields:

• Middle name
• Date of Birth
• Email Address
• Home Telephone Number
• Have you sailed with Carnival before?
• Permanent Home Address section (Address Line 1, Address Line 2, City, State/Province, Zip Code and Country)

STEP 2 OF 4 - ONBOARD EXPENSES Carnival operates a cashless system onboard - all guests must be added to an expense account for onboard services and purchases, even if they are not given charging privileges. Since the onboard currency is the US Dollar, all monetary transactions on your onboard account (i.e, billing, charges, disbursements, etc.) are managed in USD. Click  Open a New Account Please select the type of account you would like to open. Credit or Debit / Cash Account

• Credit or Debit Card: Open your onboard expense account (billed In U.S Dollars) using any major credit or debit card. We accept: Visa / MasterCard / American Express / The Discover Card / JCB / Diner's Club
• Cash Account: Open your onboard expense account using cash. Cash will be collected upon boarding. We accept only U.S Dollars.

Terms & Conditions - Accept Terms: Once the method of payment is selected, guests are asked to accept the Terms and Conditions of the Onboard Expense Account. Once they have read them, they must select their name from the dropdown and click 'Accept Terms'. • Note: Please provide the information as it appears on your credit/debit card. Authorization will not be obtained until the day of the voyage. Throughout the cruise, incremental holds will be obtained as needed, applied by your card's issuing bank. Would you like to give charging privileges to guests in another stateroom? Click on link 'Include guests from another booking/stateroom' and enter the booking information for the guests you would like to include on this account (you can access up to two bookings). • In order to complete your minor's booking, they will need to be added to an adult's onboard expense account but do not necessarily need to be given charging privileges. Please include any applicable minor in your own booking.

STEP 3 OF 4 - CRUISE TICKET CONTRACT This page provides Terms and Conditions about the cruise. This information should be reviewed thoroughly. To complete your online check-in, you must agree to the following cruise ticket contract.

• Cruise Ticket Contract Acceptance Information: Guest must scroll through the cruise ticket contract and review thoroughly. Guest will certify that he/she is an adult with full legal authority to enter into this cruise ticket contract for themselves and/or on behalf of the guest(s) selected.
• Accept Cruise Ticket Contract Terms and Conditions: Guest must select their name from the dropdown and click on the names they will be accepting for.
• Would you like to accept Cruise Ticket Contract for minors in another stateroom? In order to accept the cruise ticket contract for minors, an adult must accept the contract for them by signing the contract. Click on link 'Include guests from another booking/stateroom' and enter the booking information for the minor guests you would like to accept cruise ticket contract for (you can access up to two bookings).

STEP 4 OF 4 - CHECK-IN SUMMARY Once the Terms and Conditions have been accepted, this completes the Online Check-In process. This is indicated by the guest name(s) appearing in green and the prompt will read 'This guest has completed Online Check-In'. Why is this important? Completing this process before you arrive at the port will make the boarding process even easier. Once your Online Check-In is complete, you'll be able to print your boarding pass, luggage tags and even additional documents from home, to save you time when boarding.

Carnival Cruise Line outlines strict boarding rule for passengers

G etting on a cruise ship takes a lot more effort than checking into a hotel: You have to go through security, have your passport checked, and check in at multiple stations.

People taking a cruise are, of course, really eager to get on board because the sooner you board, the sooner you can get something to eat, have your first drink or visit a pool.

Ships generally have a number of bars and restaurants open as soon as they start letting people board, which can be as early as 11 a.m. Boarding passengers have selected windows during which they're supposed to get on the ship.

It varies by cruise line, but in some cases you can buy your way into the earliest boarding groups, while suite passengers on both Royal Caribbean ( RCL ) and Carnival get priority. 

It's also possible, however, to get an early boarding time without spending any extra money, simply by checking in at the earliest possible date and selecting an early time.

If you board early, there's a catch: Your room won't be ready, and depending on whether you checked your luggage, you will have your carry-on bags with you and your luggage if you opted to walk it on yourself. 

All cruise lines have slightly different rules for handling that luggage before rooms are opened to passengers (usually about 1:30 p.m. on Royal Caribbean and Carnival Cruise Line ( CCL ) ships). 

Cruise-line baggage and room rules vary

Having a bag with you is an added burden and most people are eager to get their bags to their cabin. It's hard to fully enjoy yourself on a cruise ship when you're lugging around even a carry-on bag because that bag contains your passport and maybe a laptop as well as any medicine you might need. 

Royal Caribbean does not allow nonsuite passengers to access their rooms until they are fully ready. People who buy the cruise line's The Key pass, which enables early access, can leave their bags at a designated spot on the ship for quick delivery to their rooms.

All other passengers must wait until the captain announces that the rooms are ready before making their way to their rooms. Once that happens, they can fully use their rooms, unpack, take a nap, or do whatever else they might like. 

Royal Caribbean's Celebrity Cruises brand has a very different policy. All passengers are allowed to visit their cabins to drop off their bags. They are supposed to do that, then leave so the final cleaning can be done.

Carnival's namesake cruise line has a policy that falls somewhere between the two. The company's brand ambassador, John Heald, wants to make its policy very clear.

Carnival issues a plea to passengers

Carnival allows some, but not all, passengers to drop off their bags in their cabins before they have been opened. The cruise line allows people who have hit certain levels in its loyalty programs as well as suite passengers, and people who paid for its early boarding program, "Faster to the Fun," to drop their bags off in the cabin.

"Here is my almost monthly reminder to my friends, who are diamond, platinum, staying in a suite, or have Faster to the Fun," Heald wrote. "You can go directly to your cabin to drop off your carry-on bags." Once they've done that, Heald asks that those passengers leave their rooms so they can be fully and properly cleaned.

The cruise line wants passengers who have reached those levels, or paid for more expensive rooms, to have this added convenience, but it doesn't want passengers interfering with the cleaning process.

"I’ve been dealing with five different guests who have all had some kind of confrontation with the crew regarding this," Heald added. "Some have tried to have a shower, some have tried to unpack, and one gentleman literally decided to show his loyalty card very close up to the housekeeping staff demanding she leave the cabin, which was yet to be prepared because 'he needed to take a nap."
