How to edit a PDF on Mac

Often you’ll be required to fill in a PDF. Maybe you are applying for a loan, returning an item to a shop, making a request, or applying for a job. Whatever it is, it’s likely that the document you need to fill in is a PDF. This is because PDF is a universal format for documents and it works on Windows, macOS, Android or iOS–and looks the same on whichever platform you open it on.

That’s all fine, but it can be annoying to have to print it out, fill it in with a pen (which requires actual writing!) and then either scan it so you can email, or put it in the mail. Nobody wants to be wasting their time with those shenanigans.

So, what do you do when faced with PDF forms? Luckily it is easy to fill in a PDF on your Mac, and you don’t have to buy expensive software to do so.

The built-in macOS features make filling in and even signing a PDF easy. Depending on the version of macOS you are using, the PDF editing tools are either built in to Quick Look (which shows you a preview of a document when you press the spacebar), or you can open the PDF in the Preview app and access tools to add text to the PDF as well as highlight, underline and strikethrough text, rotate pages, add and remove pages, add arrows and other shapes, and add comments to PDFs.

How to edit a PDF on a Mac using Quick Look

Quick Look is a great tool for opening a preview of anything on your Mac without needing to open the software associated with it. You can preview any document by locating it in the Finder (or if it’s on your desktop you can access it there). Just click on the file to select it and press the spacebar.

Here’s how to use the edit tools in Quick Look to fill in a PDF on a Mac:

  • Find the PDF you want to edit.
  • Select it and press the spacebar.
  • When you press the spacebar a preview of the file will appear on your screen.
  • In the top right of the preview, look for the icon that looks like a pencil. Click on it.

  • When you click on the text tool a box will appear with the word Text inside. You can move this to position on your screen and type in whatever you want to add to the PDF. You will be able to move it around if you click inside the box so that a hand icon appears to turn into a fist.
  • The text might be red by default. To change the appearance, select the text and then click on the “Aa” icon in the menu. A drop-down menu appears where you can choose the color, font and size of the text.
  • Some forms are designed so that it is easier to fill them in and you may find that text boxes automatically appear where you need to type. It may even be the case that you can add a tick (or check) just by clicking in a box.
  • Once you are finished, click on Done to save the changes.
  • Now you can share the completed PDF.

How to add a signature using Quick Look

You can also add your signature all from within this Quick Look preview. To do so, follow these steps:

  • Click on the Signature icon in the menu.

  • Either use your trackpad to add the signature, or sign your name on a piece of paper and hold that up to the camera. You’ll get a better result if you use a thick black pen.
  • Now just click on your signature and it will be added to the document.
  • Drag it into place.

  • You can use the various tools in Preview to add text, underline, highlight, draw on, and more to the PDF. We’ll walk through how to use these tools below, but for just adding text to a PDF the method is the same as that described above for Quick Look.

How to add text to a PDF on a Mac

Once you have the PDF document open in Preview  (or Quick Look), try clicking in the space where the PDF indicates you should enter some data. It is possible you will be able to type there; sometimes PDFs have been set up in such a way that Preview can tell where text should be entered. If that is the case adding text is a simple case of clicking in the correct area and typing.

If the text boxes aren’t set up correctly, you’ll need to create a text box yourself, here’s how.

  • If you want to move text boxes around just click on them and drag.

How to tick (checkmark) a box in a PDF

It’s quite common for PDFs to have boxes that you are supposed to add a tick (√) or a cross (X). To add a cross, just use the X key, but what if you want to add a tick?

Sometimes a PDF is set up in such a way that the tick sign appears automatically (sometimes you need to click twice), but if it doesn’t here’s how to put a tick in the box:

  • Click on the Text box (the T in a square).
  • Move the text box onto the place where you need to add the tick.
  • Type Option/Alt + V. This is how to type a tick on a Mac keyboard.
  • If you don’t like the appearance of that tick (checkmark), try changing the font until you find one you like.
  • When you are happy with your tick, copy and paste it to every place you need to use it in the document.

How to copy text from a PDF

There are times when you’ll want to copy text from one document into another, but this can be awkward in PDFs.

Preview has an easy solution, though. The first icon in the toolbar, which has an “A” with a bar that looks like the one you usually see in a word processor, enables the text selection option.

  • Click this then find the words you want to save.

  • Now you can paste the text into any document, or anywhere else in the PDF (as long as you create a text box).

How to add notes and comments to a PDF

Another useful feature found in the toolbar of Preview is Notes. This allows you to select an area on the document (text containing errors, say) and highlight it to alert your colleagues, or leave a reminder for yourself.

Now type in any thoughts you have, click on another part of the document, and the box will close into a yellow square.

If you want to see what’s in a note just click on it and it will expand.

How to create shapes in Preview

Preview also includes the ability to create shapes where you can highlight certain areas that you want to standout.

  • Click on the icon that has a Square and Circle then select your shape from the menu.

  • If you want to change the color of the shape, select the shape and click on the box with thick lines around it in the menu, this will bring up a color pallet.
  • You can also change the thickness of the lines by clicking on the icons of three lines. There’s also the option to add a shadow to make the shape really stand out.

How to rearrange and add pages to a PDF

If the PDF you are editing has multiple pages, or if you want to add more pages to it, this can be easily done in Preview, here’s how.

  • Start by clicking on the View Menu button in the menu (above the Aa tool).
  • Choose Thumbnails . This will give you an overview of all the pages in the document.

  • To remove a page from the PDF, click on the thumbnail of the page to select it and then press the delete key.
  • To rearrange the pages in the PDF just click on a page thumbnail and drag it to move it up or down in the sidebar.

How to reduce a PDF file size

If you are trying to email a PDF to someone and the file size is a little on the large side you might like to reduce the size. This is a good idea if you were thinking of texting the PDF to someone, too.

  • To reduce the size of the PDF, click File > Export as PDF .

  • Click on Save .
  • The resulting document will have a much smaller size.

Add a signature to a PDF

You may want to sign the document, and this too can be done in Preview. We have a more detailed tutorial about adding a signature to a PDF here , but the steps are as follows: 

  • Go to the icon in the toolbar that looks like a scribble and select Create Signature.

  • If you don’t get it right first time just click the Clear button and try again. Once you’re happy click the Done button and your signature will be saved into Preview, ready to use whenever you want to sign a document in the future.
  • To actually insert the signature, click the scribble icon once more, then click on the signature you’ve created and it will appear on the document in a text box.
  • Now drag the signature to the appropriate area, resize it if necessary, then click anywhere else on the document and the box will disappear, leaving behind your autograph.

Edit a PDF using Preview

1. You can follow the steps above and select Preview from the Quick Look window .

2. You can also find a PDF that you want to edit and double click it. This should automatically open Preview unless there is another PDF viewer installed on your Mac.

3. If Preview is not opening, right-click the PDF and go to Open With > Preview .

4. Click the pencil icon and you will be presented with a bar of editing tools.

The editing process is the same in Quick Look and Preview. Both of these will allow you to add text, for example, which is essential for filling in forms – it certainly beats having to print it out and fill it in by hand before scanning it.

Some forms will allow you to move from box to box and tick, but others will require a bit more legwork on your part. Either way, Quick Look and Preview quickly allow you to quickly get the job done.

1. Click the Text tool . This looks like an A inside a box. (In Preview, you can also go to Tools > Annotate > Text ).

2. You should now see the word “Text” appear on the screen.

3. This is usually red but you can easily change the color. Click the Aa icon and then click the red box . This will allow you to pick a different color .

4. You can also change the font – again click Aa but this time use the dropdown font menu to pick the font you want to use .

5. The Aa menu also lets you resize the text . Look for the box showing a number (and the abbreviation “pt” for “point”). Then click the up and down arrows next to the number (or enter a number in the box).

6. There are also options to bold, italicize or underline text. Just click B, I or U .

7. Once you have chosen a text color and size, you can start to type .

8. You can then click inside the text box (the cursor will turn into a hand) and move the text wherever you would like it to go.

9. You can mark boxes using an X . You will need to keep clicking the Text tool to add more text.

10. When you are finished, click Done in Quick Look or go to File > Save in Preview .

You can also sign a form when using Quick Look or Preview. It's very easy to do and you can store a signature for future use.

1. When you're ready to sign, click the signature icon in the toolbar.

2. You have three options.

Click Trackpad and you can use your finger or a stylus to write your signature on your Mac's trackpad.

Click Camera and you can sign your name on a piece of paper and hold it in front of your Mac's camera to be scanned.

Click iPhone or iPad and, so long as your iPhone or iPad is signed into the same account as your Mac you will be prompted to use either device's screen to write your signature.

3. Select Done when you're finished to save your signature. You can also click Clear to start over .

4. You can then click the Signature icon to select the signature and drag it into position . You can click Create Signature if you want to add more signatures (perhaps you have different signatures for different purposes).

You may want to add shapes because you'd like to highlight something on a form. You may want to draw an arrow to ensure something doesn't get missed. Whatever your reason, you can easily create and add shapes to a PDF document in Quick Look and Preview.

1. Click the Shapes icon in the toolbar.

2. Select a shape from the dropdown menu, whether a square, curved-corner square, circle, speech bubble, star or hexagon. You will also see a line and an arrow. After doing so, the shape will appear on the screen.

3. You can then use the color tool to change the appearance of the shape.

4. You can also alter the border color of the shape – click the outline color tool and make your choice.

5. The shapes can be dragged around the PDF and placed in position. If you are using an arrow, click the dots at either end to lengthen and shorten it. Drag the dot next to the arrow head to alter where it is pointing ( drag the dot in the centre to create a bendy arrow ).

6. You can also use the magnifying option in the Shapes menu. Click it and you are able to make any text beneath it appear larger – it's a great way to draw attention to a section (a green dot allows you to alter the level of magnification).

1. Click the View Menu icon next to the name of the PDF document and select Thumbnails .

2. The pages of the PDF will be shown down the left side of the Preview window. You can rearrange them by clicking a thumbnail page and dragging it up and down .

The Files app that Apple rolled out with iOS 11 in 2017 came with a useful feature that many seldom use. In case you’re not aware, the app lets you perform basic editing of PDFs using your iPad. The app has various PDF editing tools that let you add a digital signature, fill out forms, and of course, manipulate the text of PDFs using several editing options. If you want to know how to edit PDFs on iPad, this quick guide is for you.

Download, Save, and Open PDFs on Your iPad

Before you can edit PDFs on your iPad, you need to download them from your iPad first and then save them to the Files app. If you received the PDF via AirDrop, simply follow the steps below to save, download and open it via the Files app.

  • As soon as AirDrop finished sending the file to your iPad, tap on it.

  • Open the PDF in the Files app.
  • Tap the Plus sign at the bottom of the screen.
  • Tap Text from the Markup menu.

  • Resize the text box to match the font size used in the PDF.
  • Drag the text to the appropriate area in the PDF.

Add, Remove, or Rotate Pages of PDF

When you open a PDF in the Files app, you can do three additional things to the document: add, remove, or rotate pages.

  • Tap and hold on to the thumbnail of the PDF, then click Rotate Left or Rotate Right .
  • To insert a new page, tap and hold on to the page that you want to appear before the page you are inserting.
  • Tap Insert Blank Page or Insert from File .
  • To delete a page, simply tap and hold on the page, tap Delete , and confirm.

How to Add and Edit Text

You can edit the text in PDFs using third-party apps. You shouldn’t have any difficulty finding one from the App Store that suits your needs. Some of these apps are free while others are paid. Some of the apps we recommend include PDFElements and the more popular Adobe Acrobat Reader.

Bonus Tip: Google Drive App Lets You Open PDFs Using Third-Party Editors on Your iPad

For those of you who receive PDFs through the Google Drive app, you will be glad to know that you can save the file onto your iPad and open it directly using a third-party app. This means that if you installed a tool like Adobe Acrobat Reader , you can easily open the PDFs from Google Drive and start editing using the app.

But you do not need the Books app now. I can edit PDF’s directly from Files or Safari (when found on line) wˆth Markup or convert a webpage to PDF and save it. Books seems unnecessary — am I missing something?

This is a little out of date. As of iPadOS 16, you can simply choose Markup from the Action menu in Safari. No specific need for the Files app though of course that’s where you have downloaded files. You don’t need Books and you can add text boxes directly to web pages and save it to your iPad or iCloud as a PDF. Hi Tony, – Maybe I’m missing it, but the article doesn’t make any mention of the Books app at all. Perhaps the featured image at the top leads one to believe that’s what’s being used, but everything there refers to Files. – Yes, you can edit PDFs directly in Safari, but what if you need to save it afterwards, filled out? For that, you need to save to Files. – I will, however, talk to the author about adding in a section on filling out PDFs directly from Safari. In the meantime, it would be fantastic if you could edit your Medium post so it doesn’t say we recommend editing PDFs in the Books app. – Thanks so much for your feedback!

The popular image editing software Pixelmator Pro has just received another update with new features. This time, users are getting the ability to edit text in PDF files, as well as better support for Apple PDF files and new “bento” templates.

Editing PDFs with Pixelmator Pro

Editing text in PDF files can sometimes be complicated because PDF text is not originally editable. However, Pixelmator Pro 3.5.8 now lets users edit text in PDF files just like regular text layers. You can now replace, format, and style any existing text in PDFs using Pixelmator Pro tools. And if your Mac doesn’t have a specific font installed, you can still edit the text with a different font.

Also regarding PDFs, the latest Pixelmator Pro update improves support for Apple PDF files, which are PDF files exported by Apple apps such as Safari, Keynote, Pages, and Numbers. Users can also edit text in Apple PDF files with support for Apple’s SF Pro font.

“The new text editing capabilities in PDF files now allow for even more seamless integration between macOS iWork apps and Pixelmator Pro,” said the developers in a blog post . The update also makes it easier for users to create custom outlines around text layers with the option to add strokes inside, center, or outside of the text.

There’s another welcome change to Pixelmator Pro, and that’s the addition of new Bento Grid templates – which have become quite popular in Apple’s keynotes in recent years. There are 12 different templates for the web, social media, and more inspired by the popular Japanese lunch box.

The templates are perfect for highlighting exciting new product features, announcing app updates, or showcasing other creations in a neat and organized way. Each template also includes a variety of alternative color palettes to perfectly match your product or a specific theme.

NPR is defending its journalism and integrity after a senior editor wrote an essay accusing it of losing the public's trust.

NPR's top news executive defended its journalism and its commitment to reflecting a diverse array of views on Tuesday after a senior NPR editor wrote a broad critique of how the network has covered some of the most important stories of the age.

"An open-minded spirit no longer exists within NPR, and now, predictably, we don't have an audience that reflects America," writes Uri Berliner.

A strategic emphasis on diversity and inclusion on the basis of race, ethnicity and sexual orientation, promoted by NPR's former CEO, John Lansing, has fed "the absence of viewpoint diversity," Berliner writes.

NPR's chief news executive, Edith Chapin, wrote in a memo to staff Tuesday afternoon that she and the news leadership team strongly reject Berliner's assessment.

"We're proud to stand behind the exceptional work that our desks and shows do to cover a wide range of challenging stories," she wrote. "We believe that inclusion — among our staff, with our sourcing, and in our overall coverage — is critical to telling the nuanced stories of this country and our world."

She added, "None of our work is above scrutiny or critique. We must have vigorous discussions in the newsroom about how we serve the public as a whole."

A spokesperson for NPR said Chapin, who also serves as the network's chief content officer, would have no further comment.

Praised by NPR's critics

Berliner is a senior editor on NPR's Business Desk. (Disclosure: I, too, am part of the Business Desk, and Berliner has edited many of my past stories. He did not see any version of this article or participate in its preparation before it was posted publicly.)

Berliner's essay , titled "I've Been at NPR for 25 years. Here's How We Lost America's Trust," was published by The Free Press, a website that has welcomed journalists who have concluded that mainstream news outlets have become reflexively liberal.

Berliner writes that as a Subaru-driving, Sarah Lawrence College graduate who "was raised by a lesbian peace activist mother ," he fits the mold of a loyal NPR fan.

Yet Berliner says NPR's news coverage has fallen short on some of the most controversial stories of recent years, from the question of whether former President Donald Trump colluded with Russia in the 2016 election, to the origins of the virus that causes COVID-19, to the significance and provenance of emails leaked from a laptop owned by Hunter Biden weeks before the 2020 election. In addition, he blasted NPR's coverage of the Israel-Hamas conflict.

On each of these stories, Berliner asserts, NPR has suffered from groupthink due to too little diversity of viewpoints in the newsroom.

The essay ricocheted Tuesday around conservative media , with some labeling Berliner a whistleblower . Others picked it up on social media, including Elon Musk, who has lambasted NPR for leaving his social media site, X. (Musk emailed another NPR reporter a link to Berliner's article with a gibe that the reporter was a "quisling" — a World War II reference to someone who collaborates with the enemy.)

When asked for further comment late Tuesday, Berliner declined, saying the essay spoke for itself.

The arguments he raises — and counters — have percolated across U.S. newsrooms in recent years. The #MeToo sexual harassment scandals of 2016 and 2017 forced newsrooms to listen to and heed more junior colleagues. The social justice movement prompted by the killing of George Floyd in 2020 inspired a reckoning in many places. Newsroom leaders often appeared to stand on shaky ground.

Leaders at many newsrooms, including top editors at The New York Times and the Los Angeles Times , lost their jobs. Legendary Washington Post Executive Editor Martin Baron wrote in his memoir that he feared his bonds with the staff were "frayed beyond repair," especially over the degree of self-expression his journalists expected to exert on social media, before he decided to step down in early 2021.

Since then, Baron and others — including leaders of some of these newsrooms — have suggested that the pendulum has swung too far.

New York Times publisher A.G. Sulzberger warned last year against journalists embracing a stance of what he calls "one-side-ism": "where journalists are demonstrating that they're on the side of the righteous."

"I really think that that can create blind spots and echo chambers," he said.

Internal arguments at The Times over the strength of its reporting on accusations that Hamas engaged in sexual assaults as part of a strategy for its Oct. 7 attack on Israel erupted publicly . The paper conducted an investigation to determine the source of a leak over a planned episode of the paper's podcast The Daily on the subject, which months later has not been released. The newsroom guild accused the paper of "targeted interrogation" of journalists of Middle Eastern descent.

Heated pushback in NPR's newsroom

Given Berliner's account of private conversations, several NPR journalists question whether they can now trust him with unguarded assessments about stories in real time. Others express frustration that he had not sought out comment in advance of publication. Berliner acknowledged to me that for this story, he did not seek NPR's approval to publish the piece, nor did he give the network advance notice.

Some of Berliner's NPR colleagues are responding heatedly. Fernando Alfonso, a senior supervising editor for digital news, wrote that he wholeheartedly rejected Berliner's critique of the coverage of the Israel-Hamas conflict, for which NPR's journalists, like their peers, periodically put themselves at risk.

Alfonso also took issue with Berliner's concern over the focus on diversity at NPR.

"As a person of color who has often worked in newsrooms with little to no people who look like me, the efforts NPR has made to diversify its workforce and its sources are unique and appropriate given the news industry's long-standing lack of diversity," Alfonso says. "These efforts should be celebrated and not denigrated as Uri has done."

After this story was first published, Berliner contested Alfonso's characterization, saying his criticism of NPR is about the lack of diversity of viewpoints, not its diversity itself.

"I never criticized NPR's priority of achieving a more diverse workforce in terms of race, ethnicity and sexual orientation. I have not 'denigrated' NPR's newsroom diversity goals," Berliner said. "That's wrong."

Questions of diversity

Under former CEO John Lansing, NPR made increasing diversity, both of its staff and its audience, its "North Star" mission. Berliner says in the essay that NPR failed to consider broader diversity of viewpoint, noting, "In D.C., where NPR is headquartered and many of us live, I found 87 registered Democrats working in editorial positions and zero Republicans."

Berliner cited audience estimates that suggested a concurrent falloff in listening by Republicans. (The number of people listening to NPR broadcasts and terrestrial radio broadly has declined since the start of the pandemic.)

Former NPR vice president for news and ombudsman Jeffrey Dvorkin tweeted , "I know Uri. He's not wrong."

Others questioned Berliner's logic. "This probably gets causality somewhat backward," tweeted Semafor Washington editor Jordan Weissmann . "I'd guess that a lot of NPR listeners who voted for [Mitt] Romney have changed how they identify politically."

Similarly, Nieman Lab founder Joshua Benton suggested the rise of Trump alienated many NPR-appreciating Republicans from the GOP.

In recent years, NPR has greatly enhanced the percentage of people of color in its workforce and its executive ranks. Four out of 10 staffers are people of color; nearly half of NPR's leadership team identifies as Black, Asian or Latino.

"The philosophy is: Do you want to serve all of America and make sure it sounds like all of America, or not?" Lansing, who stepped down last month, says in response to Berliner's piece. "I'd welcome the argument against that."

"On radio, we were really lagging in our representation of an audience that makes us look like what America looks like today," Lansing says. The U.S. looks and sounds a lot different than it did in 1971, when NPR's first show was broadcast, Lansing says.

A network spokesperson says new NPR CEO Katherine Maher supports Chapin and her response to Berliner's critique.

The spokesperson says that Maher "believes that it's a healthy thing for a public service newsroom to engage in rigorous consideration of the needs of our audiences, including where we serve our mission well and where we can serve it better."

Google Pixel 8's Flagship AI Photo Editing Feature Coming to iPhones

Google next month will make its latest AI-powered photo editing feature available to all users of Google Photos on iOS, the company has announced .

The edits mimic the kind of possibilities afforded by more professional editing tools like Photoshop, except Magic Editor achieves its automated results via AI, rather than the user having to do them manually.

The editing tool debuted as one of the headline AI features on the company's flagship phone when it launched six months ago, and has since been exclusive to Google Pixel 8 owners and Google One subscribers. The tool will become available to all users of Google Photos starting May 15.

Google Photos for iOS and Android will include 10 Magic Editor saves per month. To use more than that, users will need to buy a Premium Google One plan, which starts at 2TB of storage for $10 per month or $100 annually.

In addition to Magic Editor, Google is bringing several more editing tools to Google Photos, including Photo Unblur, Sky suggestions, Color pop, HDR effect for photos and videos, Portrait Blur, Portrait Light (plus its add light/balance light features), Cinematic Photos, Styles in the Collage Editor, and Video Effects.

To use the AI features, Apple devices must be running iOS 15 or later. Google Photos is a free download for iPhone and iPad available on the App Store .
