Accessing and Updating Your Concur Profile

This training guide walks you through accessing and updating your Concur Travel Profile. Before you use the Concur Travel booking tool for the first time, you MUST update your Travel Profile. The required fields will be notated in red in Concur. 

Concur can be accessed through your KU Single Sign On (SSO) by typing concur.ku.edu into the address bar of your internet browser window.

Open the Profile Options page.

  • From the Concur Home Page select Profile > Profile Settings.
  • The Profile Options page appears.
  • You can update specific sections of your profile from the individual links provided under the Profile Options heading or use the menus on the left to select a section to update.
  • To review/update your entire Profile select Personal Information .

The remaining STEPS walk through each section within the Profile.

The first section of the Profile contains a Jump To: dropdown for quick access to the various sections within the profile and your NAME.

  • Add your Title.
  • If you have no middle name, check the “no middle name" box.
  • If a correction needs to be made please contact KU Financial Management Systems (FMS) via email at [email protected] with the requested update.

Step Three:

The Company Information section contains:

  • Employee ID - already populated for you
  • Manager - optional field
  • Employee Position/Title - leave blank

The Work Address section contains:

  • Company Name - already populated with University of Kansas
  • Assigned Location - not required
  • Address - optional, but you can complete

The Home Address section contains:

  • Home Address - not required, but helpful information for CTP if you request assistance to have missing bags shipped to your home.

The Contact Information section contains:

  • It is highly recommended that travelers enter their mobile number in the Work Phone field .

  • Mobile Phone - Please enter your Mobile Phone Country/Region and Mobile Phone number, even if you entered it already in the Work Phone cell.

Step Seven:

The Email Addresses section contains:

Email Addresses - Your KU Email address should already be populated in this area. You will need to Verify it. You can also + Add an Email address  as needed. 

It is highly recommended that you add the email address of your SSC support staff or department travel processor.

1. By verifying your KU Email address , you are giving Concur the ability to associate information forwarded from that Email address, the Concur Mobile apps, or the apps of Concur partners (such as Uber, Parking Spot, etc.) to your Concur account.

  • On your KU email address, select Verify.
  • Check your email for a verification message from Concur.
  • Copy the code from the Email and paste into the Enter Code field next to the email address back in the Concur profile - email addresses section.
  • Select OK to submit the code and complete verification. Your email will now show as Verified in green.

Note: With your verified email you can also forward receipt emails to [email protected] to have the receipt uploaded directly into your Available Receipts in Concur.

  • Select the red + Add an email address link.
  • Enter the email address of the SSC/travel processor where you normally email your invoices and receipts.
  • Leave Contact for Travel Notifications as No . 
  • Please  do not verify the SSC or travel processor's email that you added.  They will verify their email on their own profile.

Step Eight:

The Emergency Contact section contains:

  • Emergency Contact - The individual you list here will be contacted in the event of an emergency if you cannot be reached.

The Travel Preferences section contains:

  • Eligible Discount Rate/Fare Classes - By checking those that apply to you, the system will include the applicable discount rates/fare classes. You must have a card to present for proof of eligibility if requested by vendor.

  • Note: Adding preferences will limit your search results accordingly when booking travel. For example, if you choose Aisle under Seat preference, your search results would not return any flights where an aisle seat is not available.

  • Select [+] Add a Program
  • Can enter up to five travel vendors at a time
  • Select Save.
  • Repeat as needed.

  • Unused Tickets Credits - Credits for canceled flights that were booked in Concur are automatically saved and appear here for easy tracking until applied to a future ticket purchase. While booking, just indicate that Yes, you have unused credits to apply and CTP will apply them to your ticket purchase.

  • Gender – prepopulated from HR
  • Date of Birth – prepopulated from HR
  • DHS Redress No – if applicable
  • TSA Pre-Check, Known Traveler Number, or Global Entry Pass ID – if applicable

Note:   At this time, Concur only has Male and Female gender options available because these are the only values currently accepted by Transport Security Administration (TSA).  TSA rules require name, gender, and DOB when creating an airline reservation.  Their Secure Flight program checks the reservation information against government watch lists.  The gender information included in the reservation is used to eliminate false matches with the same or similar names - not to evaluate a person's gender. Please visit the TSA Transgender/Non Binary/Gender Nonconforming Passenger webpage for additional information.  Please know that we will update our Concur gender options as soon as TSA allows the change.

The International Travel: Passports and Visa section contains:

  • Select [+] Add a Passport or [+] Add a Visa
  • Enter the information.

Step Eleven:

The Assistants and Travel Arrangers section contains:

  • Note: If you check the “ Refuse Self Assigning Assistants ” box, a Concur administrator in the FMS will not be able to proxy into your account and assist you with travel issues. It is strongly recommended that you leave this box unchecked .

  • Select [+] Add an Assistant
  • Begin entering your SSC or assistant’s name in the Assistant field and select it from the list of choices that pops up.
  • Can book travel for me = someone that can book travel on your behalf and view your trip itineraries in Concur.
  • Is my primary assistant for travel = same as Can book travel for me, but also receives itinerary email confirmations when the traveler books travel for themselves.
  • Select Save

Step Twelve:

The Credit Cards section contains:

  • Credit Cards - In this section you will add and securely store the card information used to purchase or reserve travel arrangements.

To add card:

  • Select Add a Credit Card
  • NOTE:  For Single Trip Declining Balance P-cards , even though there is no name on the card, it has been assigned to you in the bank system.  So you will enter your First and Last Name as the name on the card. 
  • Your P-Card is typically the default card for all categories
  • 1246 W Campus Rd, Lawrence, KS 66045
  • 2385 Irving Hill Rd, Lawrence, KS 66045
  • Notice all but the last 4 digits of the saved card number are masked for security purposes.
  • You can Edit or Delete a credit card by selecting on the pencil or trashcan icon.

There are a few important items of note pertaining to credit cards in Concur:

  • SSC and Department P-cards may no longer be used for travel expenses, except for Guest Travel.
  • A KU or KUCR Individual 'standard' or Travel P-Card issued in the traveler’s name
  • A KU Declining Balance P-Card issued to the traveler
  • A personal credit card
  • Although it is not prohibited, it is highly recommended not to use a personal card to pay for travel expenses. Out-of-pocket expenses must be entered manually to your expense reports, and reimbursement for these will be processed only after the conclusion of your trip. When you use a P-Card your expenses automatically feed into Concur and auto-matched with e-receipts, allowing your SSC or expense report processor to assign them to expense reports with ease.
  • Hint:   Employees who travel more than once per year should get an Individual standard or Travel P-card rather than a Declining Balance P-card.   
  • Note : If applying for a Declining Balance P-Card a TR must be approved before applying.
  • Complete and Pass the P-Card Quiz in Canvas. The requestor will be notified by email with the link to take the quiz .
  • Note : The process to get a Travel/Individual p-card takes approximately 10 business days.  Declining Balance P-Cards are generally ready to pick up within 4 business days or less (extra lead time is appreciated due to limited office hours). 

Step Thirteen:

You should now be to the bottom of the My Profile—Personal Information page.

Routine uses which may be made of the collected information and other financial account information in the system(s) of record entitled "Contracted Travel Services Program GSA/GOVT-4" are: (a) To another Federal agency, Travel Management Center (TMC), online booking engine suppliers and the airlines that are required to support the DHS/TSA Secure Flight program. (b) To a Federal, State, local, or foreign agency responsible for investigating, prosecuting, enforcing, or carrying out a statute, rule, regulation, or order, where agencies become aware of a violation or potential violation of civil or criminal law or regulation; (c) To another Federal agency or a court when the Federal Government is party to a judicial proceeding; (d) To a Member of Congress or a congressional staff member in response to an inquiry from that congressional office made at the request of the individual who is the subject of the record; (e) To a Federal agency employee, expert, consultant, or contractor in performing a Federal duty for purposes of authorizing, arranging, and/or claiming reimbursement for official travel, including, but not limited to, traveler profile information; (f) To a credit card company for billing purposes, including collection of past due amounts; (g) To an expert, consultant, or contractor in the performance of a Federal duty to which the information is relevant; (h) To a Federal agency by the contractor in the form of itemized statements or invoices, and reports of all transactions, including refunds and adjustments to enable audits of charges to the Federal Government; (i) To a Federal agency in connection with the hiring or retention of an employee; the issuance of security clearance; the reporting of an investigation; the letting of a contract; or the issuance of a grant, license, or other benefit to the extent that the information is relevant and necessary to a decision; (j) To an authorized appeal or grievance examiner, formal complaints examiner, equal employment opportunity investigator, arbitrator, or other duly authorized official engaged in investigation or settlement of a grievance, complaint, or appeal filed by an employee to whom the information pertains; (k) To the Office of Personnel Management (OPM), the Office of Management and Budget (OMB), or the Government Accountability Office (GAO) when the information is required for program evaluation purposes; (l) To officials of labor organizations recognized under 5 U.S.C. Chapter 71 when relevant and necessary to their duties of exclusive representation concerning personnel policies, practices, and matters affecting working conditions; (m) To a travel services provider for billing and refund purposes; (n) To a carrier or an insurer for settlement of an employee claim for loss of or damage to personal property incident to service under 31 U.S.C. § 3721, or to a party involved in a tort claim against the Federal Government resulting from an accident involving a traveler; (o) To a credit reporting agency or credit bureau, as allowed and authorized by law, for the purpose of adding to a credit history file when it has been determined that an individual's account with a creditor with input to the system is delinquent; (p) summary or statistical data from the system with no reference to an identifiable individual may be released publicly; (q) to the National Archives and Records Administration (NARA) for records management purposes; (r) to appropriate agencies, entities, and persons when (1) The Agency suspects or has confirmed that the security or confidentiality of information in the system of records has been compromised; (2) the Agency has determined that as a result of the suspected or confirmed compromise there is a risk of harm to economic or property interests, identity theft or fraud, or harm to the security or integrity of this system or other systems or programs (whether maintained by GSA or another agency or entity) that rely upon the compromised information; and (3) the disclosure made to such agencies, entities, and persons is reasonably necessary to assist in connection with GSA's efforts to respond to the suspected or confirmed compromise and prevent, minimize, or remedy such harm. Information requested is voluntary, however, failure to provide the information may nullify the ability to book online travel reservations."

Once your company is a SAP Concur customer, user profiles are created by your company's SAP Concur Administrators and login information is emailed to you. If you do not know your credentials, you can navigate to www.concursolutions.com and click the link “Forgot your user name?” to have your user name emailed to you.

Administrators

If you are an Authorized Support Contact for your company or an Administrator who makes changes to your SAP Concur system, please log into your SAP Concur system, click on Help, then click on Contact Support. This provides you with the Client Support phone number and allows you to create a case online or use the chat feature with a Support representative.

If you are an SAP Concur user seeking support, please log into your SAP Concur system, click on Help, then click on Contact Support. This provides you with the User Support Desk phone number and allows you to create a case online or use the chat feature with a Support representative.

Please note:

If you do not have the option to contact Support under the help menu, your company has chosen to support the SAP Concur system internally. Please contact your internal support desk for assistance.

If your company is interested in using SAP Concur, you should contact our sales department and discover which solutions work for you. Information on how to contact sales can be found here . Once you are a customer, individual user profiles are created by your company’s SAP Concur Administrators.

Navigate to www.concursolutions.com and click the link “Forgot your password?” to request an email with a hint or a link to reset your password. If your company uses single sign-on (SSO), please try that URL. If you continue to have problems, please contact your company’s help desk or travel/expense department.

Common Travel & Expense Questions

When logged into your SAP Concur account, navigate to Profile > Profile Settings > Personal Information. From there you can enter your loyalty accounts, travel preferences and other personal data for travel bookings.

The ability to change a booked trip is controlled by a site setting, which means some companies allow changes and some do not. To determine if this is possible for you, simply log into your Concur account, click on the Travel tab and then click the Upcoming Trips tab. You can then select your trip and click Change Trip. If you do not see this link and you need to change your ticketed reservation, please contact your supporting Travel Management Company (TMC).

For assistance using the travel booking tool within Concur Travel, customers of the User Support Desk can reach out to SAP Concur Support via the support portal, where the appropriate number will be listed. If you would like to have someone book travel on your behalf, or if your company is serviced directly through your travel agency instead of Concur, please reach out to your Travel Management Company (TMC).

Non-User Support Desk customers should contact their internal Concur Administrator or TMC for booking assistance.

Yes, if the report has not yet been extracted, it can be changed if it is either sent back to you or recalled. The Recall button can be found by opening your report and looking in the upper right hand corner of the page. If you do not see this option, please reach out to your Authorized Support Contact.

Questions or issues regarding the site can be directed to SAP Concur support via the SAP Concur support portal. Authorized support contacts can direct questions regarding their Concur service or products to their designated SAP Concur client success manager.

Concur offers three mobile solutions: the Concur mobile app, ExpenseIt, and TripIt.

The Concur mobile app complements our Web-based solution, allowing you to manage anything expense and or travel-related, wherever you are, from booking and managing itineraries to capturing receipts and submitting expense reports.

ExpenseIt is an app that turns receipts into expenses, automatically, and sends them directly into Concur Expense. It makes submitting receipts, creating expense reports and getting reimbursed quicker and easier by doing a lot of the work for you.

TripIt is the travel organizing app that automatically creates a master itinerary for every trip so you can access all your travel plans, anytime, on any device.

SAP Concur offers a variety of apps that can work in conjunction with the Concur mobile app to create the perfect trip. A full listing of apps, along with additional information, can be found at https://www.concur.co.uk/app-center .

The first step is downloading the app on your Apple or Android phone. This can be done directly from your device, or by sending yourself a download link located under Profile & Profile Settings > Mobile Registration. Your username will be listed on this page, and the Concur mobile app uses the same password you use to log into the web-based version.

A mobile PIN (Personal Identification Number) is a password specifically for the mobile app and is different from the password used in the web version of Concur. To set your PIN, click the Profile tab and select Profile Settings. Under Other Settings select Forgot Mobile Password (PIN). Enter your Login ID and you will receive an email with a link to reset your PIN.

The knowledge base can be accessed by logging into your SAP Concur account, clicking Help > Contact support, and by navigating to the Resources tab. UO Concur delegates can qualify for the processor role to invoice reports without additional travel office oversite.  Processor’s user group reports are subject to random audit.   Concur processors are required to qualify per these program guidelines.

To qualify:

  • Departmental user group must be set up in Concur (or existing group is updated by processor candidate.) Candidate is assigned to user group as first approver to allow for scoring
  • Major Error – policy violation, incomplete business purpose, missing documentation, overpaying or underpaying traveler
  • Minor Error – Expense Type error, form error, receipts in wrong place
  • Processor must participate in at least one Processor phone check-in per month.  Processor Phone Check-in Sessions are offered two times per week for all processors to provide feedback, discuss challenges, network with peers. 
  • Processor must participate in four Concur Roundtable sessions per year (last Wednesday of every month, available via remote connection).
  • Concur Processors are responsible to collect any overpayments identified on reports they approve and process

Candidate Scoring Approval Workflow:

  • Candidate is assigned as Approver 1 until qualifications are met. 
  • Once Processor role is earned and assigned, approver role is removed as Processor invoicing becomes the final approval.
  • Processor role allows invoicing for UO Employees for domestic travel reports. International travel and guest travel reports are processed in the Travel Office.

Puerto Rico has issued a public health emergency after recording an unusually rapid rise in dengue cases over the first few months of this year.

It's the latest area to grapple with a surge of infections of the mosquito-borne disease, which sickens an estimated 100–400 million people globally each year.

According to Puerto Rico's health department, the territory has recorded 549 cases since the start of the year, nearly half of which have occurred in the San Juan region. Puerto Rico saw a total of 1,293 cases throughout all of last year, the Associated Press reported .

The Largest Exercises of the Ministry of Emergency Situations on Disaster Management in the Moscow Region

On June 8, within the framework of the Salon, a large-scale demonstration exercise was held at the site of the Noginsk rescue center of the EMERCOM of Russia.

In addition, the XXIII International Scientific and Practical Conference on the problems of protecting the population and territories from emergency situations was held. A meeting was also held with the heads of federal executive bodies and executive bodies of the subjects of the Russian Federation on the issues of civil defense and population protection. In total, more than 1 thousand people and about 200 units of special equipment took part in the exercises.
