Ultimate Guide to Security Guard Tour Systems

A  guard tour system is an integrated network of wireless sensors connected to a central software dashboard you use to manage and log their guards’ rounds. Reliable real time security guard tour systems improve the speed and effectiveness of your security patrols. They also help mitigate human errors that might otherwise creep into your operations.

This article covers some of the best practices for designing and deploying your guard tours that we’ve identified in our nearly 30 years in the security industry. While these practices are best applied when designing new real time guard patrol systems , any security team can use them to improve existing security plans. They are meant to be adapted to each organization’s strategic needs and their facility.  

Why You Should Use a Real Time Security Guard Tour System

Guard t our systems use a network of sensors strategically placed throughout your facility that actively or passively monitor guard locations as they conduct patrols , escort visitors, or carry out any other activities you want to track. You can use sever al different wireless technologies in guard tour systems . For example, Real Time Networks’ product uses radio frequency identification (RFID) tags, which provides several key advantages.  

Automated non-contact checkpoints

On patrol, guards carry active RFID badges detected by the wireless checkpoints. They can either be active or passively powered. Active RFID badges have a built-in battery to extend their read range. Passive badges draw power when they’re brought close to sensors. For example, with tap-to-pay credit cards.  

The checkpoint sensors automatically timestamp a guard’s approach and relay their location to the control center. No line of sight is required, and checkpoints can be hidden or relocated for greater accountability. And guards do not need to stop and check in on their patrol manually, so they can better maintain situational awareness .  

Real-time incident reporting and alerts

Guard checkpoint systems automatically raise alerts for different incidents to help improve your security team’s response times. For instance, when a patrol does not start, takes too long to complete, or when a guard misses a checkpoint. In each of these instances, your team will be alerted right away, allowing you to investigate and address incidents quickly when needed. For example, if you’ve deployed a real time security guard tour system in a casino, you could configure the system to alert you when a cash cart does not reach a checkpoint on time.  

No additional equipment required  

Aside from the RFID badges and sensors, not much other physical equipment is needed to run an RFID guard tour system in your live facility. You can simplify your guard tour service even further with other technology.   

For example, many security guard checkpoint systems today use Near Field Communications (NFC) sensors that communicate with electronic devices, such as smartphones. This method allows tracking a guard's movement as long as they carry their phones. However, guards may not be allowed to carry personal devices in high-security environments.  

What to Look For When Evaluating Automated Guard Tour Products  

Managing on-site security guards , especially in the wake of the pandemic, is challeng ing. Organizations of all sizes are looking for tools to make this work easier. If you’ve spent a lot of time evaluating different RFID guard tour systems , they can all start to look alike. But four key qualities can set a system apart. We recommend invest igating each system’s usability, customer service and support, tracking capability, and reporting options.  

If the new technology you introduce into your workplace is clunky, awkward, or time-consuming, your personnel will find ways to work without it. It doesn’t matter how much you spend on new technology or how strict you make your policies. If the system makes someone’s job more difficult, they’ll find ways to avoid it.  

When comparing guard tour patrol systems , look for usability. You want a system that is easy to use and will fit into the workflows that make sense for your guards' existing patrol patterns. Don’t settle for a square peg solution in a round hole.  

Customer support  

Security guard tour systems aren’t bits of technology you drop into place and decide you’re done with them. They require ongoing management and support. They’re living technologies that must change and adapt as your workplace grows. Evaluate the design and support options offered by each provider you’re considering.  

Will they help you customize hardware for your facility’s unique needs ? Will they update your guard tour system management software when you need additional features? Are they available for ongoing support requests when you need to modify your system?  

Tracking capability  

Busy worksites require real-time tracking capabilities. Evaluate how each tracking system will work in your existin g facility. Will you receive real-time results on guard locations? Is each system's wireless standard compatible with your facility’s security requirements? Will the signals work in your environment without interference?  

Real-time reporting & alerts  

One of the key benefits of digitally automating guard tour management is the amount of new, actionable data you can collect. Every tag signout, checkpoint reached, and real-time location logged feeds into the central management system. As a result, you’ll collect a massive volume of new data. But that data is only as useful as the new insights you can generate from it.  

Compare the reporting capabilities of each RFID guard tour system . Do they collect data in a meaningful way? Do they offer reports that allow you to monitor KPIs? Do they provide data to meet regulatory standards?  

Best Practices for Designing Your Own Tour Program  

The guard tour system you buy must fit within your greater security program to be truly effective. To achieve your security program's strategic goals , follow these best practices for designing your guard tour system.  

First, Define Your Security Goals  

Whether establishing a new tour plan or updating an existing one, you must start the process by defining your organization’s overall security goals. You have unique security needs and unique risks that you must protect against. That usually leads to unique patrol requirements.  

What are your priorities? Are you deterring theft , detecting intruders, or managing emergency response ? Identify your priorities and determine how they align with your overall strategic objectives .  

Align Checkpoint Deployment with Your Security Goal s  

Now you can plan out your system layout and tour checkpoints. If your priority is to deter theft from an administrative space, place checkpoints at the back of each store room. If you have office space where staff work on proprietary materials, place checkpoints at opposite ends of that space to ensure guards can observe visitors anywhere. If there’s a heavily-trafficked doorway that must remain locked off hours, place a checkpoint right at that door and include a documentation check in your automated guard tour system for guards to confirm it is secured.  

Digital systems also allow you to quickly and easily customize patrol routes that maximize coverage and are unpredictable to attackers. Random patrols are essentially force multipliers against attackers looking to bypass your physical security routines.  

Address Your Security Guards’ Needs  

Remember, the guard tour monitoring system is there to supplement your human security guards and make their efforts more effective. Therefore, you should build the system around them. That means an effective guard tour pla n must address their needs for better communication, management, and equipment.  

Communication

If your business implements these best practices, ensure your guards and other security personnel know the new objectives. Get them into the planning process early. Then, keep them updated throughout the process. Keeping staff invested in a project is an easy way to help ensure success.

Management  

You must strike a balance between having your guards familiar enough with their routes to identify concerns but not so familiar that they become desensitized to the environment. Use your guard tour control system to adjust or randomize patrol routes to reinforce guard awareness.  

If you’ve assigned other duties like alarm inspections to your guards, ensure you’ve scheduled sufficient time for them to complete those tasks and properly complete their patrols. Adding inspection tasks without increasing overall patrol time creates a situation where your guards are compelled to cut corners.  

Equipment  

Just as important day-to-day is suppl ying proper equipment for your guards on patrol. That means defensive and protective gear appropriate for your environment, lights, and other tools to enhance their awareness. Guards should be focused on the environment, not distracted by walking condition s or temperature.  

Integrate With Existing Security Systems  

Guard patrols are one of the most effective risk management practices businesses can deploy. But they are still just one facet of an effective security program.  

Ideally, your business’s security should have an integrated design with complementary camera deployments, key control, access control stations, patrol routes, and tools for managing everything efficiently. For example, knowing how your access control will route foot traffic through your facility can be useful in planning guard patrols to monitor unauthorized access. Likewise, knowing where you have your most and least reliable camera coverage can also inform your patrol planning.  

Remember, best practices are proven across an entire industry, on average. That means not every practice will be right for your business. Only you and your trusted security advisors can determine the best plan to meet your individual security needs.

The history of our company

deister electornic was found in Barsinghausen near Hannover. Straight after finishing his diploma in IT, Anatoli Stobbe founded the company and started the adventure. 

The first steps

After a few years of selling R&D services to other company, deister starts selling its first own solution: an electronic Guard Tour system, which rapidly became the market leader and the number 1 solution for most guarding companies.

More growth, more capacity

After several successful years the team has grown a lot. A new, bigger building is needed that offers more space, also for the future. deister stays is in Barsinghausen, but moves to a new address: Steinradweg 3.

Worldwide expansion

The first international subsidiaries are founded in USA, Canada, UK and France. These new offices created the foundation for the international sales and service infrastructure. In the coming years the international business will grow even more.

Innovation leads the way into the future

deister electronic develops the first read/write RFID transponder. This RFID chip cannot only be read, but new data can be written onto it – the basis for today’s RFID technology.

RFID becomes the core technology

As a second pillar next to the guard tour system deister electronic starts to produce and sell RFID Access Control readers, which up until today is a core business for deister.

New room for new ideas

The existing office reached ist limits in capacity. The company moves to a new location, Hermann-Bahlsen-Strasse 11-13, where a new building was build that offers more space and room for the production, sales and R&D departments.

The product portfolio expands

RFID is finding more and more new applications and is increasingly arousing interest in a wide range of markets. Among other things, a chip for car immobilisers is developed for the automotive industry.

RFID in pigeon racing

RFID is also used in pigeon racing to identify the animals. We are the market leader in this segment.

RFID for vehicle identification

Long-range identification with RFID can identify transponders over a longer distance of several metres. In this way, vehicles in access control, products and pallets in logistics can be identified.

RFID gains reach

As a co-partner of Intel, deister electronic develops a reader chip for long-range identification, which is used in typical supply chain applications in retail and industrial automation.

Textile circuits

deister electronic invents the first textile transponder, that can be washed and can be integrated into clothing and other textile/flexible products such as floor mats or lifejackets.

From electronics to mechatronics

Introduction of the electronic key lockers "proxSafe", which can be used to manage door keys, car keys and other items.

Expansion to the far east

More subsidiaries are founded in Japan and Singapore to supply the local market demand. Especially because of the well-known Germany quality and innovative ideas many Asian customers decide to buy deister products.

Digital locks

Following the success of proxSafe, another mechatronic solution "doorLoxx", a digital locking system consisting of digital cylinders and locks, is launched.

Security gets connected

The different systems the portfolio are getting more and more integrated. The software Commander Connect starts to play a central and very important role, because it connects all systems – the start of Connected Systems..

The second generation

Nicolas Stobbe, the second generation in the family business, joins the company and focusses on the growth of the international business. Also mobile devices such as smartphones are further integrated into the portfolio and modern ways of controlling devices are in the focus.

Intelligent laundry dispensing

Smart laundry cabinets automate the dispensing and return of workwear. The transponders in the garments are so intelligent that each garment itself knows what it is and how it wants to be treated. With intelligent laundry cabinets, the dispensing and return of workwear is automated.

Guard tour system

deister’s guard patrol system provides you with the data and reports needed to ensure your staff are visiting specific locations as part of their duties. You simply fix checkpoints in areas that require attending, this can be inside and outdoors. Staff then carry a data collector on their round which they present to each checkpoint to record their presence. At the end of the round, the data including the time, date and checkpoints visited can be downloaded into the reporting software.

Maintenance-free, thanks to RFID technology

Using the power of RFID technology, you can easily identify and manage important equipment and other high value items by attach an RFID transponder to any asset stored in the smart lockers. Since the asset ID is uniquely stored in the RFID chip, all removals and returns are automatically detected by the antenna installed in the locker and logged in the software for important audit trail information.

RFID chips do not require a battery and are completely maintenance free with an unlimited service life.

flexx – Scalable and modular key cabinets

flexx key cabinets are scalable, modular systems that can accommodate your current needs with the ability to easily scale at any time.

Choose a flexx key cabinet in the size and design of your choice – from 8 to 324 keyTag capacity. Its modular construction allows you to integrate the cabinets into your current wall design, and each cabinet features your choice of solid steel or glass door. Customize the keyTag spacing in the cabinet to accommodate keys of all sizes and shapes, including groups of keys (grouped by vehicle fleets, project, etc.) that may require more space.

Flexible recharging and storage solutions

Just as its name implies, the Deister flexx portfolio of cabinets offers the flexibility of myriad different size cabinets to provide diverse storage options. Securely store holders for radio handsets or slots for keys – all storage options are individually adapted to suit the corresponding device.

You can safely store and manage different devices in the same cabinet and even integrate a battery charging station. A charge status display gives you the ability to issue only fully charged devices while others remain securely locked in the cabinet to be charged.

bloxx – Modular system for smart storage and asset management

The bloxx system is ideally suited for the administration and storage of car keys and vehicle documents. bloxx consists of modules and can be assembled as required. There are different modules available, e.g. 10 wide or 20 narrow drawers. As an option it is possible to fit each drawer with an RFID reader.

The bloxx system is operated via a 17-inch touch screen. In addition, other features such as cameras can be integrated to capture documents. bloxx provides the freedom to use a third-party PC and operating software.

Deister’s bloxx system is ideal for the smart storage of car keys and vehicle documents, as well as other important assets.

An extremely modular system, bloxx lets you build your ideal solution; for example, use 10 wide or 20 narrow drawers and add an optional RFID reader and even a camera to maximize asset control and management.

dataLog is the market leading proof-of-visit and patrol verification system, that records the presence and location of security, cleaning and maintenance personnel at given locations and times. dataLog systems allow better use of staff, improves efficiency, and provide accurate and fast audit information on work carried out. Most importantly they highlight any checks that were missed, so that appropriate action can be taken.

The main components to a dataLog proof-of-visit system are a handheld data collector, location checkpoints and management software. Checkpoints are fixed to locations to be visited, and the worker carries a robust handheld data collector which they use to read the checkpoint when it is visited. The checkpoints identification number and time of the visit is recorded by the data collector.

dataLog systems are ideal to determine the location of security guards and other workers where security, safety, servicing or cleaning checks need to be done. deister dataLog systems are used globally for manned guarding operations and many other applications where a mobile worker’s attendance at a given location needs to be verified.

This technology is perfectly suited for use in outdoor areas, which need to be checked regularly.

Our dataLog products are contactless and the checkpoint is read simply by holding the data collector in proximity to the front of the checkpoint. Since checkpoints require no physical contact they can be painted over or installed in walls, woodwork or masonry.

Event cards

Quick reporting of additional information

Event cards allow you to report additional events which may be required during the patrol or checks being done. For example; window open, toilet leaking, maintenance required. The event cards can be carried with the data collector and when an event needs to be recorded simply hold the corresponding card in front of the data collector, the time and event will be logged.

You can choose the events you would like to report on depending on the environment or to address health and safety requirements.

Designed for use in potentially hazardous environments, the guardiX II EX is the ideal solution for chemical and petrochemical applications. With no buttons or moving parts our intrinsically safe guardiX II EX meets the requirements of the EU ATEX directive and is water resistant.

A rugged data collector for all day use

One of the many distinguishing features of the guardiX II data collector is that there are no buttons, switches or other external moving parts that could be prone to failure. Its clever design also means that there is no need for a hole for a sounder, instead the data collector vibrates when a checkpoint is read making it near silent in operation. An LED and vibration provide haptic feedback making it ideal for patrols or checks that need to be carried out in places such as in hospitals, prisons and hotels or in a noisy manufacturing environment where a sounder would not be heard by the user.

When a checkpoint is read its identification number along with the time and date are stored in the data collector for transmission and processing. The guardiX II is able to read up to 500,000 checkpoints from a pair of AA batteries thereby minimising downtime. In addition to reading our checkpoints the guardiX II collectors are also able to read other deister RFID transponders.

All deister electronic systems can share the data and information they gather using one common software platform – Commander Connect.

The guardiX II collector has environmental protection of IP67 and has an operational temperature range of -10 to 60 degrees. It is also available as a special ATEX version for hazardous environments.

Checkpoints

Robust and reliable

The RFID checkpoints are maintenance free and do not require any power. The small, inconspicuous checkpoints can either be glued or securely mounted using a special security screw.

The RFID checkpoints are resistant to temperature, weather and other environmental factors.

Data transfer unit

The guardTrans is the data transfer unit for the guardiX II USB collectors. It is connected to a PC or laptop via the USB port and transfers the date when the collector is inserted. To guarantee maximum accuracy, the real-time clock in the guardiX II data collector is synchronized during the download operation.

LED and vibration provide haptic feedback when the data has been correctly downloaded.

guardiX Connect

Remote collection of data

guardiX Connect transmits data immediately after completing each tour, without the need for a data transfer unit. Data is transmitted via the GSM network and securely encrypted via the deister Cloud.

This allows independence of any local infrastructure. The data remains securely encrypted at all times and is only decoded by your system.
