Travel planning hack: How I use a platform called Notion to organize my travels

There are generally two types of travelers: people who like to plan out trip itineraries in advance and those who prefer to fly by the seat of their pants when they are exploring a destination. I personally fall into that first category. Neither approach to traveling is wrong — I envy anyone who is able to take impulsive trips with minimal planning besides booking a flight and maybe a hotel or Airbnb . But for those of you who do enjoy planning everything from flights to a daily itinerary to your daily outfit choices, it can be hard to keep everything organized.

Notion is a platform that falls somewhere in between a project management tool such as Asana and a digital version of a bullet journal — an "all-in-one workspace," according to the Notion homepage. The basic version is free, and I started using it as a way to keep my personal creative writing projects organized, but I quickly fell in love with the way you can build out pages and databases to fit pretty much anything you need. These days, I use it for everything from journaling to long-term goal planning to meal planning to keeping my finances organized to planning out trips.

There are plenty of apps and platforms out there that help you keep things like flight schedules and hotel reservations organized, but I still haven't found anything that lets me customize pages the way Notion does.

I'll admit there's a learning curve to the platform because you're able to build out the pages to do pretty much everything under the sun, but thankfully Notion has a ton of quick and easy training resources to help get you started — it took me almost no time at all to get the hang of the features.

For anyone who is as much of a planner as I am, here's a rundown of how I use Notion to keep all my travels organized.

My travel "hub" page

Notion lets you set up different pages accessible through a sidebar and through links in another page. Here's what my travel "hub" looks like in Notion.

Notion pages are all customizable, and you can build out a page from scratch, chose a premade template or use a template as a starting point and adjust it to your needs (what I do more often than not). Notion has hundreds of templates, either made by the company or made by community members and brand ambassadors. For my travel planning page, I use an adapted version of a template from Notion ( linked here ).

Up at the top, I have a few links out to my travel bucket list, a list of people I've met who I can link up with when I'm in certain destinations and a page filled with resources (mostly embassy phone numbers at this point).

Below those links, I have a table of contents that links to all of the trips I am in the works of planning in the near future. My recent trip to Cancun in May is still listed, but you can see the others I have planned for this summer, too — Disney World , California and a trip to the mountains in North Carolina with some friends.

Keeping my itinerary organized

If you click on any of those trips in my table of contents, it'll scroll down to where everything related to planning that trip is organized.

I call out my planned travel dates, and then have links out to my packing list and trip contacts. The hotels and contacts page will list out the addresses and phone numbers of all of the hotels or rentals I'm staying at, the nearest hospital to whatever area I'll be in and the list of the embassy when I'm traveling abroad.

Under that, I have an itinerary. In a table, I list out all of my flights, accommodation plans and any other activities. I then add the date, location, time, a link to the website (if applicable) and any notes I want handy. I upload screenshots of confirmations for everything applicable and then select a tag — flights, hotels, activity or reminder.

I like having everything easily viewable in a big list. It's easily accessible when I'm on the go via the Notion app on my phone, and this way I have everything related to a trip in one place to share with others who may be traveling with me or to send to a contact at home (I share my travel plans with my mom when I go on solo trips for safety).

My trip to Mexico was to review two area resorts — the Royalton CHIC and Hilton Playa del Carmen — so I didn't have a ton of activities planned outside of those destinations. But when I went to Hawaii last year, there were far more daily activities listed.

One of my favorite thing about Notion is the ability to take tables, calendars, lists and other "blocks" on the page and add different views and filters for the same information. My default view is a table of my full schedule for a trip, but I also have a calendar view and an activities one set up.

The calendar view is nice for seeing what is going on during different days on a trip. And the activities list filters out flights and hotels so that all I'm looking at are the excursions or other plans I have for the trip.

You can also embed maps and other documents into Notion pages. I always embed a Google map; sometimes, I'll embed a saved map with points of interest I want to visit, but I didn't do that for Cancun so just a standard map is embedded currently.

Packing list

Once I have my itinerary sorted out, I start working on my packing list. I am a forgetful overpacker (a great combination, right?), so having a packing list in Notion helps make sure that I remember to pack everything I need but leave the four extra outfits "in case of a freak snowstorm in July" at home.

When I click on the packing list link at the top of each trip heading, it takes me to a page with an outfit planner table and a checkbox list of everything I plan to take with me.

I sketch out a general plan of what outfits I want to bring each day based on what activities I have going on. For longer trips, I'll repeat outfits or specific items, but Cancun was a short enough trip where I didn't really have to. What I actually wear from day-to-day will change, but having a plan helps keep me from packing an abundance of clothes I don't need and makes sure I don't forget outfits for specific occasions (say, going out for a formal dinner one night).

Once I have a general sketch of outfits planned, I list out everything I plan to pack.

Each item has a checkmark next to it so I can know what I have packed (I use packing cubes for extra organization) and what I still need to get squared away. This means I don't forget anything — and more importantly that I don't spend my entire flight worried that I left something behind even though I did not.

Bottom line

If you are a hardcore planner like myself, I highly recommend Notion. You can currently create a free personal account, and there are a ton of templates and resources to help you build out your pages in whatever way works best for you. Notion has a ton of guides and tutorials to get you started when you create your account.

Is this level of planning and organization for everyone? No. My best friend from back home loves spontaneous trips where all she plans are her flights and a place to stay ahead of time. The idea of traveling without a plan stresses me out, where as my tableized itinerary list would stress her out — and that's okay. Everyone is different. Even if I don't stick to whatever plan I have (which happens more times than not because unfortunately the universe doesn't always behave according to my plans), it gives me peace of mind to have everything organized in one place. It also makes it easier for larger trips with friends where there are a lot of moving parts to coordinate, or solo trips where I want to be able to share my plans in case of emergency.

For me, Notion is a godsend for keeping things organized — whether it be my credit card perks and benefits, grocery lists, creative writing projects and — of course — my travel plans.

The Inspiration

A younger version of me loved scrapbooking. I remember watching the movie Up and imagining creating my own version of the “Adventure Book”

You add this to the fact that I’m the designated travel planner in every family I’m a part of (I even once planned a trip to Dubai for 5 people and had to get everyone a visa in 36 hours). And this dashboard comes as a result.

Recent studies show that Just the Act of Planning a Trip Can Boost Happiness . I knew this already from experience and I wanted to create something both beautiful and functional. Something that I’d love to spend time playing around with.

So I added a World Clock widget and a Map Widget which just elevates the whole look of the page.

I also added a filtered view of the Countries database showing countries on my bucket list. And quick access to the pages of Canada and Calgary my home now. But the most exciting part of the home page is the statistics section which makes it like a real travel app and not just a notion template.

These stats are automatically calculated based just on the trips that I added to the template. So I don’t update the number of visited countries myself. I don’t even check a box to say I’ve visited this country. Instead, whenever I add a trip to a certain city the country where this city belongs gets included. and if I added a future trip it won’t count till I actually take it.

The Basic Components (Databases)

So this dashboard has 14 databases. I know it sounds like a lot but it’s designed so that you rarely interact with them directly. Instead, you access everything from within the trip itself.

The Countries

So in this database, I have included 194 sovereign states but I have also added around 30 dependencies these are places like Puerto Rico and Bermuda.

Each country has its flag as an icon and a cover image. And I also included the official currency and language and the capital city of the country. There’s also a navigation menu to browse countries by continent. In addition, each continent is divided into subregions.

I have also created a template that contains filtered views that shows everything related to that country.

And I already applied this template to every single country. (I did it using automation. Let me know if you wanna know how)

These are the cities that I have added (and we’ll go through the cities database later).

Mobile Apps

So this database is how you get the stats on the home page.

It only has 7 records: One for the whole world and the other 6 is one for each continent. The trick here is I linked each country to the world record. and to the continent, it belongs to. That’s how I was able to roll up all the data from all the countries and create these stats.

In this database, I’ve included all the world’s capital cities but also some other famous cities. So, it includes a total of 365 cities. Capital cities have this pink icon and other cities have the default greyish ones.

The City Template

So, like countries. I have created a template that pulls up relevant data about a specific city when you open its page.

I didn’t however apply it to all the cities. You’ll just click the template button and it will be generated

This is a super simple table that contains all the hotels and rentals and Airbnb’s. The thing is, in this table I only record the Hotel data and nothing about my reservations and I’ll show why in a second.

I also have a super simple template for each hotel that I usually fill out after taking the trip where I add some pictures, the hotel location and the pros and cons. So whenever I go back to the same city or someone asks me to recommend a hotel in Thailand I know what to tell them! because otherwise, I forget!!

So, here is where I log the actual reservation to a specific hotel. And I do that and don’t link the hotel directly to the trip because I wanted to be able to save things like how much did I pay for this exact reservation what meals did I order what room view did I have and if I linked that directly to the hotel then what happens when I wanna stay there another time? do I delete the old data? I certainly didn’t like that.

so the solution was to have a separate table for the reservations which is linked to the hotel.

Here is where all the transportation data is kept whether it’s a flight, a bus or just driving our car.

I love this formula here it showed the path of the trip.

so basically if it’s a return trip

I fill the: “Travel from” & “Travel to “ and “return to” fields

like this trip from Alexandria to Istanbul and back

If it’s a one-way trip I only fill in the “Travel from” & “Travel to”

Like my trip to Calgary here.

And because I had a transient in Toronto I filled that up too

If it’s a multi-city trip like my trip to Luxor and Aswan south Egypt

We flew from Cairo to Aswan. Went to Luxor by cruise ship, and flew back to Cairo from Luxor.

So this circle here means we moved to the other city using some other flight or means of transportation.

Expenses tracker & Itineraries

These tables are not meant to be accessed directly but from a specific trip so, I’ll skip them for now.

Attraction & things to do

Here I save the places I want to visit or visited on a trip. I would sometimes (especially when planning a trip) save things like the entry fees or the opening hours but I don’t do it religiously. I also love to take notes after visiting the place.

Experiences & Recommendations

Sometimes I’d come across a vlog from someplace I wanna visit or a Facebook post recommending a restaurant in a nearby city. So, instead of taking screenshots and saving facebook posts and forgetting about them, I save the link in this database. So, I can make use of it when I’m actually planning my trip.

And as you have seen in Each city you see a filtered view showing the experiences and recommendations specific to this city.

Travel Applications

This is where you keep a list of apps you might need on your trip that only works in that country or are more popular or cheaper than the ones you use at home. For example, when my husband and I went to Thailand on our honeymoon we used to use an app called Grab to order taxis. and I remember when I was in Russia back in 2014 2GIs was more popular than google maps, especially in determining which public transportation you should take to get from A to B.

Okay, so this database is just a database of people who you travel with. so you can totally not use it or replace it with a drop-down list. But personally, I already have a database full of people in my life and people I follow. It’s already linked to so many other databases. So, I linked to my trips too.

Anyway, I like using it and I also have like people’s photos as icons so it makes it very personal which I love but you can totally ditch it or use your own people database if you have one.

Now that I have gone through almost all of the databases it’s time to see what an actual trip looks like.

You can see the hotels we stayed on (and this here is a view of the reservation table and not the hotel because like I said this table carries information about this trip only).

I create my Itinerary inside Notion too. Using the help from all the data I recorded while researching like the attractions and experiences & recommendations.

I also create a printable version to carry with me because I don’t rely on my laptop while travelling

Visited Attractions

The Travellers

I have a to-do list these are the things that I usually have to do before each trip like do the laundry and empty the trash. I also keep things I need to do while I’m on the trip like things to buy and gifts and souvenirs

Emergency Contacts

The emergency contact is a page that I print a few copies of and keep with me at all times in case my phone dies or something.

You also see the cost of this trip which is calculated using the entries from the expenses tracker in addition to the transportation cost and the hotel reservation cost and the visa cost.

Also, because I keep track of how many people were on the trip I calculate how much the trip cost per person.

I also have a view of the apps used in the visited country.

The Expenses Tracker & Currency Converter Widget

The first drop-down list will automatically pick up your location and use its currency. So you add how much did you spend in the local currency of the country you’re visiting and the conversion rate from the widget and the formula calculates how much that is worth in your currency.

And you can see your expenses by category too.

yeah so that’s how it all comes together and that’s where you’re gonna spend like 90% of the time cause everything else is already taken care of.

I have been using this same list for years and years and I love it. Watch the video to see how I use it.

If I were you, I’d go through the list first and maybe add or remove a couple of items depending on your needs but that’s simply it.

As exciting as travel is, it often requires significant planning. This is especially true if your adventure will last for a week or longer. You’ll need to think about booking flights, your must-do activities, and what the people you’re traveling with will want to do.

You can use a number of apps to keep your plans together, but Notion is arguably the best tool. Here's how to use it to plan your next big trip.

1. Outlining Times and Dates for Your Trip

If you have a full-time job, you’ll need to ensure that the dates you’re planning to go on holiday match with your annual leave allowances. Meanwhile, students must ensure they don’t miss important exams or assignment deadlines.

Having a rough idea of when you want to travel is wise, and you can iron out the details later once you know you’re allowed to go. While you can use calendars and tables, it’s more than acceptable to simply write when you’re going away on a new Notion page.

To do this:

• Open Notion and go to New page at the bottom of the left-hand toolbar.

2. Creating Checklists for Packing

Many people reading this article will know just how annoying it is to get to the airport and realize that you forgot to bring something important, such as a power adapter or—in the worst-case scenario—your passport.

Having an outline of what you want to do can help ensure that you get the most out of your adventure, but flight delays and other annoyances can occur—so we recommend not planning every single minute.

When creating day-to-day itineraries in Notion, you can organize these however you want. One option is to put everything on the main page within your document, which will provide easy access whenever you need it. At the same time, however, you risk making everything look disorganized if you do that.

Arguably, a better option is to create another sub-page and include each day for when you’ll be on the road. This way, you can bring everything together with much less stress. You can choose several additional apps if you want a stress-free vacation , too.

5. Inviting Others to Collaborate

If you’re going on an adventure with others, sharing your workspace and the things you want to do with others is a good idea. You can also encourage them to include what they want to see and do on the trip, ensuring that everybody’s needs are met.

You can invite others to the Notion document where you planned your trip in several ways. Making a shareable link is the easiest option, and here’s how to do that:

• Paste the link in conversations with the people who’ll join you on the trip.

Alternatively, you can enter the contact information for the people you want to share the document within the Invite box.

6. Changing Cover Photos

Adding a cover photo isn’t strictly necessary, but you might find that it helps you get excited about your journey. You can include cover photos for every page you create in Notion.

When changing your cover pictures, you can directly upload files from your computer, smartphone, or tablet. Alternatively, Notion lets you choose images from Unsplash—which is one of the best websites for copyright and royalty-free photos .

7. Making Shopping Lists for Necessary Purchases

Sometimes, it’s cheaper to buy items like deodorant in the country you’re visiting. But in other cases, you’re better off purchasing it before you travel. We’ve planned a trip to Switzerland, for example, which is notoriously expensive.

If you’re planning a longer trip, Notion is an excellent app for keeping everything organized. You can access your itinerary from all of your devices, too, which is incredibly useful. Keep in mind, however, that you’ll need an internet connection—so you might want to take screenshots of pages if necessary. You can also use local Wi-Fi or purchase a local SIM card.

From Idea to Adventure: How I plan trips using Notion

This post explains how I organize my From Idea to Adventure trip planning database in Notion. Below, I give you a video tour of my own system, and a short tutorial video of how to set up your own. I am planning on releasing a template version of my system soon at some point (sorry!), as well as a free series of emails to walk you through setting up and using your own version. If you use a Travel Dashboard like me, you probably use some digital tool to chart out your trips. Not just when you might take them, but your itinerary, who is joining you, and all the other relevant details, too.

I use an app called Notion for this. The free version is sufficient, it works across devices, and also allows for easy collaboration. Notion can be hard to describe; it’s sort of a cross between a note-taking app, a nested database system, and a personal wiki. Because it’s so powerful, it can be a bit intimidating at first. But it’s actually pretty easy to use.

My wife and I chose Notion for our Travel Dashboard because it was easy to bring together all of our travel related information: the seasonal trip brainstorming pages (since replaced by the system below), our quests, our Adventure Maps and Adventure Files , our travel budget and trip costs, Life Block Planning , as well as other planning and reference docs. It’s all in one single place, accessible to both of us.

Since then, I’ve rethought how we do our trip planning and built my own travel calendar database instead. It may sound complicated—ugh, a “database” sounds boring and tedious, right?—but it really does make things so, so much easier.

From trip idea to upcoming adventure

The best part of our From Idea to Adventure system is that it does most of the work for you.

You enter some basic trip ideas, whether they’re shorter day trips or longer international adventures, and add a few tags to note which season it works in and whether it’s a short or longer trip. Then, when you run across something useful for that trip, like a blog post, you simply add it to the trip idea using Notion’s simple web clipper. Just a couple clicks saves the page right to your trip.

We add all of our available weekends to the calendar, so we know when we’re free. Then, it’s just a matter of choosing which trip ideas to add to which free periods.

This is where the system really shines. Because this whole thing is a database, you can easily use custom views to show you just the relevant entries.

For instance, to plan a trip for the July 4th holiday weekend, I simply select the “Summer long weekend trip ideas” database view I set up, and bam, there’s a list of our existing destination ideas.

After choosing an idea, I just add the dates to the trip entry, and it now shows up as an upcoming trip (as opposed to just being an idea we saved). Now that it’s an upcoming trip, I add a few status tags (like “make reservations” or “invite”) so we can see what still needs to be done at a quick glance. One more click loads my long weekend road trip template, which includes all the sections I use, including a default packing list, other more detailed tasks (like turn down the thermostat when we leave), and a dedicated place to upload digital tickets and reservation confirmations.

Each of these trip entries can have countless things nested within it. You could have table databases to lay out your daily itinerary and keep track of expenses, and a place to embed a custom road trip map if you make one. You could have sub-pages dedicated to your travel journaling. Or it could just be a mostly blank page with a few quick notes. It’s all up to you, how detailed you want to be, and what the specific trip requires.

Because each of these trip entries are in this larger database, you can also have custom views for various statuses. I have one view that shows me all the trips where I still need to make reservations, for instance. We have another custom view set up to show us all the long weekends we still have available to plan a trip. We have other views to show us which group trips we’ve talked to friends about, but haven’t quite scheduled yet.

And once the trip dates pass, it automatically moves off the “upcoming trips” view and into the “archive” view, to help keep things tidy and uncluttered. And because we use these trip entries to aggregate all sorts of info about each trip we take—including the final expense tally, links to our photo albums from the trip, our travel journals, and so forth—each of these entries becomes its own Trip Dashboard . And so we also have a view set up to display the trips where we still need to complete these items.

And as you’d expect, having our travel history archived like this is an easy way to implement my Return on Adventure (#BetterROA) system.

How I use Notion for travel planning

I have written about some tools I have tried for travel planning, including Evernote and Trello . Then, I discovered Notion in mid-2018. I was hooked and started using it for more and more things. It is excellent for storing information and planning. I had an extensive work trip with personal travel days that I needed to plan for. That was the first time I used Notion for travel planning. After that, I used Notion again to plan a family vacation. Again, it worked well. Now, I only use Notion when I have to plan a trip. Keep reading this blog post if you are interested in using Notion to plan your next trip!

What is Notion?

Notion is a tool to organise anything and everything. It works in internet browsers and has apps you can download for Mac, Windows, iOS and Android. You can use it for personal use by creating pages for your daily routine, goals and to-do lists. You can even use it for language learning by tracking your vocabulary and resources. If you have a business, you can use it as a project management tool or a business budget tracker. With Notion, you can either create a template or use one of the many robust templates provided by Notion.

Several people sell Notion templates as digital products on Reddit, Facebook or Notion platforms. Even Etsy sells Notion templates – you may find a simple trip planner or the ultimate travel planner template there.

If you buy a template from someone, you can still customise it to your liking. For example, you may want to have an animé café dashboard – it is easy to make these changes. The best part of using Notion is the extensive range of flexible templates.

Notion for your travel bucket list

When you log into your Notion account, your starting point is your home page. From the home page, you can create a page for any or every item you want to plan for. You can also favourite pages to have quick access to them on the left-hand side’s sidebar.

A great way to use Notion is to create a Notion page for your travel bucket list. You create a Notion page and choose a travel-focused cover and page icon or emoji. Then, choose how you want to categorise the bucket list of your dream destinations. You may want to list the sights and attractions you want to experience per country, or, if you like a simple approach, you can list everything in one list. If you want, embed one or more Google Maps on your page to show all the destinations you want to visit.

Creating a travel bucket list in Notion is fun, and you may create a detailed bucket list for all your life ambitions in Notion – here is a Notion template you can use!

Notion for pre-trip research

Notion is handy for longer trips to help you see essential information about your trip in one place.

I combined work and personal travel for my work trip, but I did not have a specific list of destinations I wanted to visit. My travel plans were still flexible, so I started my pre-trip research by creating a template to capture my research on possible destinations I could visit. To do this, I amended a trip template provided by Notion. The ability to create a template to use repeatedly is one of the impressive features of Notion. When you have a well-designed Notion template, you will want to use it for multiple trips or projects.

For my pre-trip research, I use sites like TripAdvisor and posts from travel blogs I had previously saved in Evernote .

I used my Notion travel template for my vacation plans to create a separate Notion page for each destination. As you can see in the pictures above and below, the template includes tables for sights to see and restaurants to try, a list of possible hotels to stay at, and other valuable information, such as web pages with information on the destination. The tables included columns for the cost of each item, tags to categorise each item, the URL, comments based on reviews read or important information to remember.

I also included a tick box to keep track of the items we visited and which we did not. This may be useful if we ever get to the same destination again. Researching each town took a long time, but it was the most important step in planning our travel itinerary .

The completed destination pages helped me to see how much there was to do and see in each town. Based on the information collected, I then decided on the high-priority sights and restaurants to visit, which helped me decide how much time we should spend in each town. I then decided which towns we would overnight in and which we would pass through.

Creating an overall travel itinerary

From here, I created a database with a calendar view to show our weekly itinerary layout with the overnight stops. Each day’s entry includes details about the hotel I have booked , including the contact details, address and other essential information.

Another outstanding feature of Notion for travel planning is that it allows you to see the same information in different formats. Here is the same information as above, but in a table view.

I added used a Google map to plot the route we would follow from the beginning to the end. Although Notion allows for embedded maps, I included a screenshot instead.

Identifying the main pre-trip tasks

Once I knew our overnight stops and transport requirements, I listed the main pre-trip tasks. This included items such as booking flights, accommodation and car rentals . Using Notion for trip planning helps you create lists of tasks you need to complete. Having a checklist improves your chances of creating a bulletproof action plan and not forgetting any essential details when you plan your trip.

Saving all trip documents in Notion

After completing the main pre-trip tasks, I included the booking confirmations for our flights, car rental and hotels. For some, I added the booking PDFs; for others, I embedded the documents from Evernote. I find it helpful to have all the essential trip information together in Notion.

Notion for travel budgeting

After making the bookings, I started a page in Notion to keep track of our travel budget and expenses.

I first created a pre-trip spending table to calculate the cost of items such as car rentals, hotel bookings and flights cost us. Notion’s tables allow calculations, which is perfect for budgeting spreadsheets.

I then created a table to track our travel expenses during the trip. I updated this table daily during our trip to give me the total trip expenses when we got home.

Creating a packing or other lists in Notion

I also used Notion to create a complete packing checklist. I now have two templates, one for work travel and one for personal travel. If I go on a work trip with personal travel days, I combine the two items from both templates. Even though the packing list may differ depending on where I travel to and the time of year, it is easy to delete items irrelevant to a specific trip. By copying the template, I can easily use these packing lists for future trips.

I also developed lists of items to purchase before our trip and other items I needed to get done. Notion allows for lists in many formats. You can use a simple to-do list or a relational table linking items. It is a flexible tool that allows you to get things done the way you prefer.

Notion for travel planning: items to consider

Here are some additional things to think about when you are considering using Notion:

• Although I have not tried it before, keeping a travel journal or diary in Notion would be easy. It is something I would do for a future trip. I like having a complete view of a trip, from the initial planning to the total expenses to a travel diary of daily activities and experiences in one place.
• Notion does not have offline capabilities. Offline viewing is only an issue when you don’t have access to the internet. I download each page as a PDF, which I then store in both Google Drive and Evernote for easy access and viewing.
• Sharing pages with friends and family is easy in Notion. This is perfect if you travel in a group and must agree on an itinerary or activities.
• Notion has a web clipper, but I still prefer using Evernote for clipping blog posts and articles, which I later utilise when I start my trip research in Notion.
• Notion has apps for all platforms that can be used on the web and syncs well between devices. This is useful if you prefer planning on your desktop but want to access the information for your trip on the mobile app.
• If you use Notion to plan all your trips, you will end up with a trip database. This has been so useful for me as I can easily see a list of my trips, what I packed for each one, my itinerary, and which sites I have not yet seen.

IHG Hotels Partners with Google to Build AI Trip Planner

IHG Hotels & Resorts sees a future in helping travelers plan their entire trip, not just where to stay.

​​IHG Hotels & Resorts is planning to release a trip planning tool powered by artificial intelligence from Google. 

The hotel giant plans to release the tool in the second half of the year as a feature within its One Rewards mobile app, which the company has been upgrading regularly since relaunching it almost two years ago.

The first version of the AI tool will focus on helping users with the “dreaming phase” of travel, according to Josh Weiss, vice president of guest digital products for IHG. 

“We knew that a significant portion of our mobile app users and our web users have their minds made up about where they want to go … but we also know that a substantial portion of people —  perhaps even a growing segment of our customers — are open to inspiration,” Weiss told Skift.

This is the first announcement that Google is making about a hospitality company integrating its generative AI tech, according to Carrie Tharp, vice president of strategic industries for Google Cloud. 

“You should expect a lot more in the travel space, which is why it’s important to get moving,” Tharp said.

And it’s among the first announcements like it by a hotel brand. Many have said they are experimenting with AI in various ways, but that usually hasn’t included trip planning. 

“A lot of the work is on the guest to sort through where they want to go, what are the criteria, and there’s lots of tools that help them do that today, but nothing quite like the experience we used to have decades ago with travel agents,” Tharp said. “And so I think IHG gets to step into the foray of really advancing what digital can do.”

IHG is designing the tool using the Google Cloud platform for building AI software, called Vertex AI . And the AI comes from Google’s proprietary Gemini (formerly Bard) model.

The partnership between the two companies began in 2022 when IHG migrated components of its data to the Google Cloud database. Google has played a big role in helping IHG organize its data and create a foundation that can be used toward new innovations, Weiss said. 

The Long-Term Vision

IHG first wants to ensure the core of the tool is valuable, with as few bugs as possible. And then the company plans to upgrade regularly.  

The vision is that the chatbot will be able to answer general and specific questions based on Google’s swath of information paired with IHG’s data. 

There could also be integrations from third-party travel companies for products like events and attractions bookings. Weiss expects IHG to test several companies to see how their products integrate with the app. 

IHG gave a few examples of prompts the chatbot will be able to answer in the long term:

•  “Give me four late-night dinner options near the InterContinental London Park Lane.” 
• “Does the Kimpton Shinjuku Hotel in Tokyo allow pets?” 
• “What jazz shows are happening near the Holiday Inn Express Manhattan Times Square South the weekend of October 12th?” 

There could also be an opportunity in the future around engaging the customer before and during the stay, not just before booking. 

User feedback will help determine how the tool evolves, whether that’s focused more on hotel information and insights, or more on local events and attractions and entertainment.

“I don’t know the answer to that yet,” Weiss said. “But the great thing is we have the opportunity to take it in multiple directions very quickly based on what these platforms enable us to do.”

A Work in Progress 

The IHG tool will be the latest of many from large and small travel companies since OpenAI released the first generative AI tech in 2022. None of them yet have lived up to the big ideas about the future of travel planning and personalization that experts have been talking about. 

But Tharp said it’s important for travel companies to start experimenting now and adjusting based on feedback. 

“Every experience is not going to be perfect. Having human-in-the-loop feedback and being able to help tune the responses and really suit things to your brand voice is important,” Tharp said. “You don’t want to wait until everything’s perfect and a competitor has a really market-moving-type experience. You want to be out there learning as you go.” 

Weiss added that the tool will be there for those who really want to try it, but it won’t disrupt the experience for those who want to continue searching and booking as they currently do. 

“Some users have great desire to be part of very early developments and are willing to accept lots of glitches in exchange for some advantages and the chance for their feedback to actually help shape the future of the product,” he said.
