Create and add an email signature in Outlook

In Outlook, you can create one or more personalized signatures for your email messages. Your signature can include text, links, pictures, and images (such as your handwritten signature or a logo).

Note:  If the steps under this New Outlook tab don't work, you may not be using new Outlook for Windows yet. Select Classic Outlook  and follow those steps instead.

Create and add an email signature

On the View tab, select   View Settings . 

Select Accounts > Signatures .

Select    New signature , then give it a distinct name.

In the editing box below the new name, type your signature, then format it with the font, color, and styles to get the appearance you want.

Select Save when you're done.

With your new signature selected from the list above the editing box, go to  Select default signatures and choose whether to apply the signature to new messages and to replies and forwards.

Select Save again.

Note:  If you have a Microsoft account, and you use Outlook and Outlook on the web or Outlook on the web for business, you need to create a signature in both products.

Open a new email message.

Select Signature from the Message menu.

Under Select signature to edit , choose New , and in the New Signature dialog box, type a name for the signature.

Under Edit signature , compose your signature. You can change fonts, font colors, and sizes, as well as text alignment. If you want to create a more robust signature with bullets, tables, or borders, use Word to create and format your signature text, then copy and paste it into the Edit signature box. You can also use a pre-designed template  to create your signature. Download the templates in Word, customize with your personal information, and then copy and paste into the Edit signature box. 

Type a new signature to use in your email

You can add links and images to your email signature, change fonts and colors, and justify the text using the mini formatting bar under Edit signature .

You can also add social media icons and links in your signature or customize one of our pre-designed temlates. For more information, see Create a signature from a template .

To add images to your signature, see Add a logo or image to your signature .

Under Choose default signature , set the following options. 

In the E-mail account drop-down box, choose an email account to associate with the signature. You can have different signatures for each email account.

You can have a signature automatically added to all new messages. Go to in the New messages drop-down box and select one of your signatures. If you don't want to automatically add a signature to new messages, choose (none). This option does not add a signature to any messages you reply to or forward. 

You can select to have your signature automatically appear in reply and forward messages. In the  Replies/forwards drop-down, select one of your signatures. Otherwise, accept the default option of (none). 

Choose OK to save your new signature and return to your message. Outlook doesn't add your new signature to the message you opened in Step 1, even if you chose to apply the signature to all new messages. You'll have to add the signature manually to this one message. All future messages will have the signature added automatically. To add the signature manually, select Signature from the Message menu and then pick the signature you just created.

Add a logo or image to your signature

If you have a company logo or an image to add to your signature, use the following steps.

Open a new message and then select Signature > Signatures .

In the Select signature to edit box, choose the signature you want to add a logo or image to.

Insert an image from your device icon

To resize your image, right-click the image, then choose Picture . Select the Size tab and use the options to resize your image. To keep the image proportions, make sure to keep the Lock aspect ratio checkbox checked.

When you're done, select OK , then select OK again to save the changes to your signature.

Insert a signature manually

If you don't choose to insert a signature for all new messages or replies and forwards, you can still insert a signature manually.

In your email message, on the Message tab, select Signature .

Choose your signature from the fly-out menu that appears. If you have more than one signature, you can select any of the signatures you've created.

Automatically add a signature to a message

You can create an email signature that you can add automatically to all outgoing messages or add manually to specific ones.

Select Settings   at the top of the page.

Select Mail >  Compose and reply .

Under Email signature , type your signature and use the available formatting options to change its appearance.

Select the default signature for new messages and replies.

Manually add your signature to a new message

If you've created a signature but didn't choose to automatically add it to all outgoing messages, you can add it later when you write an email message.

In a new message or reply, type your message.

If you created multiple signatures, choose the signature you want to use for your new message or reply.

When your email message is ready, choose Send .

Note:  Outlook.com is the web version of Outlook for users signing in with a personal Microsoft account such as an Outlook.com or Hotmail.com account.

Forget anti-heroes ... a grandma in New Mexico is a full-blown hero after shooting an intruder who was on the run from cops -- right in the middle of Taylor Swift 's "Eras" flick!

Anissa Tinnin was watching the movie version of Taylor's tour with her granddaughter. They were having a great time, singing, dancing, popping M&M's ... when a guy named Joseph Rivera came charging through her front door. Turns out Rivera had allegedly stolen a car and cops were on to him.

Tinnin says she was manhandled, threatened and ordered to turn over her car keys, which she did. She says, "I told him not to hurt us ... I would do whatever he wanted."

She says when Rivera walked outside, she called 911 and beelined it for her gun case, where she removed a weapon.

For some reason, Rivera came back inside the house. By this time she had put her granddaughter in a bedroom for safety, but the guy came charging at her.

She screamed, "Get back. I will f***ing shoot you! " ... and she did. He asked why she did it, and Tinnin responded, "Because you're in my f***ing house!"

Tinnin even showed compassion, rendering first aid by putting pressure on the wound.

But, she warned Rivera ... one false move and she'd shoot again.

Cops showed up and Rivera is now in custody, charged with burglary, auto theft and other crimes.

Dude has 5 prior felony convictions for burglaries and theft, the stakes were high for Tinnin, and she rose to the occasion.

Taylor Swift: The Eras Tour

AMC Theatres , the world’s largest cinema chain, is leaning into distribution.

The company is expanding its distribution team with a key hire and promotion, underscoring its commitment to releasing its own movies in addition to showcasing titles from traditional and independent studios. AMC Theatres launched its distribution team with the premieres of last year’s concert films, “Taylor Swift: The Eras Tour” and “Renaissance: A Film by Beyoncé.”

AMC is bolstering the team by promoting Kevin Arnold to VP of programming promotions and partnerships, effective immediately. Arnold, who joined AMC in 2011, has risen through the ranks in the film programming department. Now, he will oversees promotional strategies that aim to drive moviegoer engagement and increase ticket sales.

“The remarkable success of AMC Theatres Distribution last fall opened an exciting new business for AMC, and we are thrilled to have Stephanie Terifay’s expertise and enthusiasm build upon the brilliant leadership of Nikkole Denson-Randolph,” said Elizabeth Frank, AMC’s chief content officer. “Through the addition of Stephanie and the much-deserved elevation of Kevin Arnold, AMC Theatres Distribution is well positioned to continue to deliver exciting and compelling content to moviegoers at AMC and across the industry domestically and internationally.”

Major step in malaria prevention as three West African countries roll out vaccine

Cotonou/Freetown/Monrovia — In a significant step forward for malaria prevention in Africa, three countries—Benin, Liberia and Sierra Leone—today launched a large-scale rollout of the life-saving malaria vaccine targeting millions of children across the three West African nations. The vaccine rollout, announced on World Malaria Day, seeks to further scale up vaccine deployment in the African region.

Today’s launch brings to eight the number of countries on the continent to offer the malaria vaccine as part of the childhood immunization programmes, extending access to more comprehensive malaria prevention. Several of the more than 30 countries in the African region that have expressed interest in the vaccine are scheduled to roll it out in the next year through support from Gavi, the Vaccine Alliance, as efforts continue to widen its deployment in the region in coordination with other prevention measures such as long-lasting insecticidal nets and seasonal malaria chemoprevention. 

Benin, which received 215 900 doses, has added the malaria vaccine to its Expanded Programme on Immunization. The malaria vaccine should be provided in a schedule of 4 doses in children from around 5 months of age.

“The introduction of the malaria vaccine in the Expanded Programme on Immunization for our children is a major step forward in the fight against this scourge. I would like to reassure that the malaria vaccines are safe and effective and contribute to the protection of our children against this serious and fatal diseases,” said Prof Benjamin Hounkpatin, Minister of Health of Benin.

In Liberia, the vaccine was launched in the southern Rivercess County and will be rolled out afterwards in five other counties which have high malaria burden. At least 45 000 children are expected to benefit from the 112 000 doses of the available vaccine. 

"For far too long, malaria has stolen the laughter and dreams of our children. But today, with this vaccine and the unwavering commitment of our communities, healthcare workers and our partners, including GAVI, UNICEF and WHO, we break the chain. We have a powerful tool that will protect them from this devastating illness and related deaths, ensuring their right to health and a brighter future. Let's end malaria in Liberia and pave the way for a healthier, more just society," said Dr Louise Kpoto, Liberia’s Minister of Health.  

Two safe and effective vaccines — RTS,S and R21 — recommended by World Health Organization (WHO), are a breakthrough for child health and malaria control. A pilot malaria vaccine programme in Ghana, Kenya and Malawi reached over 2 million children from 2019 to 2023, showing a significant reduction in malaria illness and a 13% drop in overall child mortality and substantial reductions in hospitalizations. 

In Sierra Leone, the first doses were administered to children at a health centre in Western Area Rural where the authorities kicked off the rollout of 550 000 vaccine doses. The vaccine will then be delivered in health facilities nationwide. 

“With the new, safe and efficacious malaria vaccine, we now have an additional tool to fight this disease. In combination with insecticide-treated nets, effective diagnosis and treatment, and indoor spraying, no child should die from malaria infection,” said Dr Austin Demby, Minister of Health of Sierra Leone.

Malaria remains a huge health challenge in the African region, which is home to 11 countries that carry approximately 70% of the global burden of malaria. The region accounted for 94% of global malaria cases and 95% of all malaria deaths in 2022, according to the World Malaria Report 2023.

“The African region is advancing in the rollout of the malaria vaccine – a game-changer in our fight against this deadly disease,” said Dr Matshidiso Moeti, WHO Regional Director for Africa. “Working with our member states and partners, we’re supporting the ongoing efforts to save the lives of young children and lower the malaria burden in the region.” 

Aurelia Nguyen, Chief Programme Officer at Gavi, the Vaccine Alliance, noted: “Today we celebrate more children gaining access to a new lifesaving tool to fight one of Africa’s deadliest diseases. This introduction of malaria vaccines into routine programmes in Benin, Liberia, and Sierra Leone alongside other proven interventions will help save lives and offer relief to families, communities and hard-pressed health systems.”

Progress against malaria has stalled in these high-burden African countries since 2017 due to factors including climate change, humanitarian crises, low access to and insufficient quality of health services, gender-related barriers, biological threats such as insecticide and drug resistance and global economic crises. Fragile health systems and critical gaps in data and surveillance have compounded the challenge. 

To put malaria progress back on track, WHO recommends robust commitment to malaria responses at all levels, particularly in high-burden countries; greater domestic and international funding; science and data-driven malaria responses; urgent action on the health impacts of climate change; harnessing research and innovation; as well as strong partnerships for coordinated responses. WHO is also calling attention to addressing delays in malaria programme implementation.

Spotlight: How the Palm Beach Sheriff’s Office is Using Co-Responder Teams to Address Targeted Violence Threats

As a FY21 and FY23 TVTP Grant Recipient, the Palm Beach Sheriff’s Office (PBSO) is using its funding to deploy a co-responder model to address local targeted violence and terrorism (TVT) threats. This model pairs a trained officer with a clinician to mitigate TVT threats in different community areas, forming the basis of PBSO's collaborative multidisciplinary approach.

Understanding that some calls-for-service begin as mental health and evolve to TVT threats, PBSO prioritized increasing the agency’s ability to train officers and deploy co-responder teams of officers and clinicians. PBSO addressed many of the same obstacles faced by law enforcement agencies across the nation. Distrust and procedural differences between clinicians and officers can challenge the ability of the two groups to work together.

Multiple-discipline teams improved call effectiveness and reduced violent events.

In response, PBSO paired clinical staff with plainclothes detectives instead of uniformed officers. PBSO restructured its management team to foster effective collaboration between detectives and clinicians, allocating a clinical supervisor, too instead of a lone supervising law enforcement officer.

To date, PBSO has screened 257 individuals for mental health services through its Linking Individuals Needing Care (LINC) Program which aims to assist individuals with mental health issues. The program intervened with eight individuals subsequently assessed for mental health services. Four received the mental health services they required.

Assessments for substance use disorder and coinciding illnesses continue under the LINC program, along with housing services. A total of 12 participants successfully discharged from the LINC program since the beginning of PBSO's FY23 Grant.

PBSO achieved significant success with its co-responder model. The model helped improve PBSO's ability to triage, differentiate, and respond effectively to both mental health and TVT calls-for-service. Multiple-discipline teams improved call effectiveness and reduced violent events.

"We've helped two children [who were threatening to hurt themselves]," explained Captain Randy Foley, Division Commander for PBSO Behavioral Services Division during the TVTP 2024 Symposium.

The PBSO uses FY23 TVTP grant funding to prevent school and community violence in Palm Beach County by expanding the threat assessment strategy, providing targeted bystander training, fortifying referral services, and incorporating community education to enhance local capacity and prevent mass violence.

PBSO hosted its second annual Palm Beach County Threat Management Team Conference on April 8-9, 2024. It will focus on lessons learned from mass casualty events, building and sustaining threat management teams, enhancing threat assessment skills, developing partnerships, and resource building.

Deploy Microsoft 365 Apps from a local source

Follow the steps in this article to deploy Microsoft 365 Apps to client computers from a shared folder on your network by using the Office Deployment Tool (ODT).

Before you begin

This article is intended for admins using ODT with admin rights on client devices. Admin rights can be obtained either through a software deployment tool or by allowing users to install with admin rights. For a more streamlined approach to deploying and managing Microsoft 365 Apps, Microsoft Intune or Microsoft Configuration Manager are recommended. For more information, see Explained - Your options for deploying Microsoft 365 Apps with Microsoft Intune and Intune documentation on Microsoft 365 Apps .

If you haven't already, complete the assessment and planning phases for your Microsoft 365 Apps deployment.

To install Microsoft 365 Apps on one or a few devices, check out Download and install or reinstall Microsoft 365 or Office 2021 on a PC or Mac or Use the Office offline installer .

Best practices

Installing Microsoft 365 Apps directly from the cloud is recommended, using Microsoft Intune or Microsoft Configuration Manager . This method reduces the complexity of configuring the installation and having to the local shares on a regular base.

The steps in this article are based on the following approach:

  • Manage updates to Office automatically , without any administrative overhead. For more information, see Choose how to manage updates . To manage updates for the Microsoft 365 Apps, use cloud update .
  • Lead with Current Channel : Deploy Current Channel to most devices to give users immediate access to the latest features and improvements. Create a second package for installing Monthly Enterprise Channel for users who need more predictability and a fixed update cycle.

You can customize these options to match your organization's requirements, including setting up various update channels, and deploying Visio and Project. For more information, see Customize your deployment .

Step 1: Create shared folders for installation files

Because you're deploying Microsoft 365 Apps from a local source, you have to create folders to store the installation files. Create one parent folder and two child folders, one for the Current Channel sources, and one for the Monthly Enterprise Channel sources.

Create the following folders:

  • \\Server\Share\Microsoft365Apps : Stores the ODT and the configuration files that define how to download and deploy Office.
  • \\Server\Share\Microsoft365Apps\Current : Stores the Microsoft 365 Apps installation files from Current Channel.
  • \\Server\Share\Microsoft365Apps\MonthlyEnterprise : Stores the Microsoft 365 Apps installation files from Monthly Enterprise Channel.

These folders include all the installation files you need to deploy.

  • Assign Read permissions for your users. To install Microsoft 365 Apps from a shared folder, users need Read permission for the folder, so you should assign Read permission to everyone. For details about how to create shared folders and assign permissions, see Shared Folders

In this article, we have just one shared folder on the network, but many organizations make installation files available from multiple locations. Using multiple locations can help improve availability and minimize the effect on network bandwidth. For example, if some of your users are located in a branch office, you can create a shared folder in the branch office. Those users can then install Microsoft 365 Apps from the local network. You can use the Distributed File System (DFS) role service in Windows Server to create a network share that is replicated to multiple locations. For more information, see DFS Management .

Step 2: Download the Office Deployment Tool

Download the latest version of the ODT from the Microsoft Download Center to \\Server\Share\Microsoft365Apps.

After downloading the file, run the self-extracting executable file, which contains the Office Deployment Tool executable (setup.exe) and sample configuration files.

Step 3: Create a configuration file for Current Channel

To download and deploy Microsoft 365 Apps to the first group, you use a configuration file with the ODT. To create the configuration file, we recommend using the Office Customization Tool .

  • Products and releases: Microsoft 365 Apps. You can also include Visio and Project if you plan to deploy those apps to all devices.
  • Update channel: Choose Current Channel
  • Language: Include all the language packs you plan to deploy.
  • Installation: Select Local Source , and type "\\Server\Share\Microsoft365Apps\Current" for the source path. To silently install Office for your users, choose Off for Show installation to user .
  • Update and upgrade: To update your client devices automatically, choose Office Content Delivery Network CDN and Automatically check for updates . Choose to Uninstall any MSI versions of Office, including Visio and Project . You can also choose to install the same language as any removed MSI versions of Office.
  • Licensing and activation: To silently install Microsoft 365 Apps for your users, choose On for Automatically accept the EULA .
  • Application preferences: Define any settings you want to enable, including VBA macro notifications, default file locations, and default file formats

Each additional language specified in the configuration file will increase the size of the files which we will download later. Check Right-sizing your initial deployment for tips on how offload storing language packs to the cloud.

  • When you complete the configuration, select Export in the upper right of the page, and then save the file as configuration-cc.xml in the \\Server\Share\Microsoft365Apps folder.

The installation files and updates come from Current Channel. For more information on what is included in the most recent release, see Release information for updates to Microsoft 365 Apps .

Step 4: Create a configuration file for Monthly Enterprise Channel

Using the Office Customization Tool , create the configuration file for the Monthly Enterprise Channel group.

Go to Office Customization Tool and configure the desired settings for your Microsoft 365 Apps installation. We recommend matching the options used in Step 3, except for the following changes:

  • Update channel: Choose Monthly Enterprise Channel .
  • Installation: Select Local Source , and type "\\Server\Share\Microsoft365Apps\MonthlyEnterprise" for the source path.

When you complete the configuration, select Export in the upper right of the page, and then save the file as configuration-mec.xml in the \\Server\Share\Microsoft365Apps folder.

Step 5: Download the installation files for Current Channel

From a command prompt, run the ODT executable in download mode and with a reference to the Current Channel configuration file:

\\server\share\Microsoft365Apps\setup.exe /download \\server\share\Microsoft365Apps\configuration-cc.xml

The files should begin downloading immediately. After running the command, go to \\server\share\Microsoft365Apps\CurrentChannel and look for an Office folder with the appropriate files in it.

When you download Microsoft 365 Apps to a folder that already contains the same build, the ODT conserves your network bandwidth by downloading only the missing files. For example, if you use the ODT to download Microsoft 365 Apps in English and German to a folder that already contains Microsoft 365 Apps in English, only the German language pack is downloaded.

If you run into problems, make sure you have the newest version of the ODT and your configuration file and command reference the correct locations. You can also troubleshoot issues by reviewing the log file in the %temp% folder.

Step 6: Download the installation files for Monthly Enterprise Channel

From a command prompt, run the ODT executable in download mode and with a reference to the Monthly Enterprise Channel configuration file:

\\server\share\Microsoft365Apps\setup.exe /download \\server\share\Microsoft365Apps\configuration-mec.xml

The files should begin downloading immediately. After running the command, go to \\server\share\Microsoft365Apps\MonthlyEnterprise and look for an Office folder with the appropriate files in it.

Step 7: Deploy to the Current Channel group

To deploy Microsoft 365 Apps, you provide commands that users can run from their client computers, or you incorporate these commands into your installation automation. The commands run the ODT in configure mode and with a reference to the appropriate configuration file, which defines which version of Microsoft 365 Apps to install on the client computer. Users who run these commands must have local admin privileges and read permissions to the share ( \\server\share\Microsoft365Apps ).

From the client computers for the Current Channel group, run the following command from a command prompt with admin privileges:

\\Server\Share\Microsoft365Apps\setup.exe /configure \\Server\Share\Microsoft365Apps\configuration-cc.xml

Most organizations will use this command as part of a batch file, script, or other process that automates the deployment. In those cases, you can run the script under elevated permissions, so the users will not need to have admin privileges on their computers.

After you run the command, the Microsoft 365 Apps installation should start immediately. If you run into problems, make sure you have the newest version of the ODT and your configuration file and command reference the correct locations. You can also troubleshoot issues by reviewing the log file in the %temp% and C:\Windows\Temp folder.

Step 8: Deploy to the Monthly Enterprise Channel group

If devices need a more predictable update schedule, they should be included in the Monthly Enterprise Channel group. To install Microsoft 365 Apps, run the following command from a command prompt with admin privileges:

\\Server\Share\Microsoft365Apps\setup.exe /configure \\Server\Share\Microsoft365Apps\configuration-mec.xml

This command is the same as the Current Channel group, except that it references the configuration file for the Monthly Enterprise Channel group. After you run the command, the installation should start immediately.

Customize your deployment

The steps in this article cover the standard best practice recommendations from Microsoft. This section covers common customizations.

Build and deploy multiple packages to multiple deployment groups

If you want to deploy both the 32-bit and the 64-bit version in your environment, you can create more installation packages. (Two different architectures can't be included in the same package.) For more information, see Define your installation packages .

Use different update channels

With Microsoft 365 Apps, you can control how frequently your users receive feature updates. To do so, you choose an update channel for your users. For more information, see Overview of update channels for Microsoft 365 Apps .

In this article, we're using Current Channel, which provides users with the newest features as soon as they're ready. Also, quality updates and performance improvements are released more frequently to this update channel compared to others. We created an installation package for Monthly Enterprise Channel for devices that should only receive one update per month.

A single Microsoft 365 Apps installation package can only include one type of update channel, so each new update channel requires an extra package.

Deploy Visio and Project alongside the core apps

To deploy Visio and Project with Microsoft 365 Apps, you can include them as part of installation package. For more information on licensing and system requirements, see Deployment guide for Visio and Deployment guide for Project . If you're upgrading from an MSI-based Office, we also recommend using the MSICondition attribute in the configuration file. Adding Visio or Project to the configuration file doesn't require a redownload of the source files.
