Travel is a major expense item for many companies, and while teleconferencing via Zoom and other online platforms may have eliminated the need for some trips, it remains essential for a wide range of business purposes, such as industry conferences and trade shows, critical sales calls, and certain meetings.

Corporate travel management (CTM) is one way that companies large and small can attempt to control and cut down on their travel costs. If you’re considering implementing a corporate travel management program for your business, here is what you need to know about how it works.

Corporate travel management refers to processes that businesses put into place to oversee their employees’ travel and entertainment (T&E) expenses and ensure that they comply with the company’s policies. While the COVID-19 pandemic resulted in significant cutbacks in business travel, an October 2023 survey by the Global Business Travel Association found that 84% of companies said their business travel had “largely” or “mostly” returned to pre-pandemic levels.

Companies can choose to exert varying degrees of control over their employees’ travel, from fairly general guidelines on spending limits to very specific, step-by-step procedures, including which travel suppliers to use. Here are some of the matters they may take into consideration.

Itineraries

A business travel itinerary is a summary of a proposed trip, including travel dates and times, flight numbers, hotel bookings, meeting appointments and contact information, and so forth. Corporate travel managers may develop itineraries in collaboration with employees, making sure that each aspect complies with company policies. A written itinerary is also a handy reference for employees to bring with them on their trips.

Transportation

Corporate travel managers will often make transportation arrangements on behalf of employees, much like a travel agent might for someone’s personal vacation. Because they may control a high volume of business, they can have more leverage in negotiating with suppliers, such as airlines or rental car companies. They may also have special arrangements with certain suppliers, and the company might require its employees to use those suppliers whenever possible.

Even if they don’t have such arrangements in place or much power to negotiate prices, they may have tools at their disposal for searching out deals and discounts that individual employees don’t have. For example, they may have access to an online global distribution system (GDS), such as Amadeus, Sabre, or Travelport, allowing them to compare multiple carriers at the same time.

Accommodations

As with transportation providers, corporate travel managers can help arrange hotel bookings, often securing discounts that would be unavailable to employees individually. Hotel prices and availability are also provided on GDS platforms, which can save employees a lot of time and effort calling around to book a room.

Meetings and Events

For companies planning meetings and other events, corporate travel managers can book venues and assist attendees with their travel arrangements. Some companies may have separate travel management and event planning departments or merge the two into a single department. They can also farm out these functions to third-party companies that specialize in arranging events and have deep experience and contacts in that area.

Costs and Reporting

Since keeping costs under control is a major reason for implementing a corporate travel management program, setting spending policies and enforcing them is one of the managers’ key responsibilities. Employees must generally submit expense reports at the conclusion of their travel, which travel managers can then review.

Keeping accurate records, and receipts where necessary, is also important for tax reporting purposes. Companies can generally deduct employees’ travel expenses if they have a clear business purpose and are “ordinary and necessary” and not “lavish or extravagant.”

In many cases, companies will provide corporate credit cards for employees to use during their travels. Corporate credit cards can make it easier for companies to collect the information they need for reporting purposes, and spare employees the cost and bother of putting travel expenses on their own credit cards and having to wait for reimbursement.

Policy Compliance

Most companies of any size will have a written travel policy that they expect their employees who travel for business to become familiar with. This document will cover matters such as any required approval process before starting on a trip, spending limits, preferred travel suppliers, expenses that are reimbursable (or not), rules on the use of a corporate credit card, and how to fill out and submit an expense report at the conclusion of a trip. Written travel policies serve the dual purpose of controlling company costs and saving employees unwelcome surprises over expenses that the company won’t reimburse them for.

Beyond specific travel-related policies, corporate travel can be affected by broader company policies. For example, a 2023 Deloitte study reported, “Climate concerns will likely put a cap on corporate travel gains for several years to come. Four in 10 European companies and a third of U.S. companies say they need to reduce travel per employee by more than 20% to meet their 2030 sustainability targets.”

Travel Support and Assistance

In addition to helping employees with the logistical and financial aspects of travel, corporate travel managers can provide other forms of support, including help in a medical or other emergency. Many large corporate travel departments and third-party companies have support services available 24/7, just in case.

As mentioned, companies don’t have to take on all (or any) of these responsibilities themselves but can hire another company to handle it for them. While that represents an added cost, a company that specializes in corporate travel is likely to bring greater expertise to the role and may find cost savings that would otherwise go unnoticed.

Companies can also buy travel management software programs that allow employees to book their own travel arrangements and that may link to the company’s accounting software to simplify expense reporting. Such software can also flag and even reject any expenses that don’t comply with company rules.

If they don’t have access to professional GDS platforms, travel managers can also make use of regular consumer booking sites, such as Expedia and TripAdvisor.

Challenges of Corporate Travel Management 

While corporate travel management will often benefit a company from a financial perspective, it does present challenges.

For example, because it takes away some of the autonomy that employees may have become accustomed to in planning their own trips, it can cause them to feel mistrusted or micromanaged and make travel seem like more of a burden. In addition, for corporate travel management to be effective, it requires that the people who oversee it know what they’re doing, which may require not only training but also frequent refresher courses to keep up with the rapidly changing travel industry.

A good corporate travel management policy will lay out as specifically as possible the company’s rules for arranging flights and other transportation, booking hotel accommodations, and expensing other reimbursable travel-related costs, such as meals and entertaining. Any caps on costs should be regularly revisited and revised as necessary to keep up with inflation and changes in the marketplace.

The policy should describe a clear process for having travel approved in advance, if that’s required, and submitting expense reports after the trip for timely reimbursement.

An effective policy will also strive to avoid situations in which lower-level employees feel they are subject to stricter or more penny-pinching rules than higher-ups.

Finally, it’s important that employees be encouraged to read the policy and know the rules. They may also be given the opportunity to provide feedback on ways that the rules can be improved next time the policy is revised.

Corporate travel managers not only play a role in monitoring how a company’s money is being spent and looking for ways to cut its costs. They also often have a major say in setting the company’s annual travel budget, based on previous years’ needs and anticipated pricing changes throughout the travel industry.

Today that may involve weighing in on when a virtual meeting can substitute for an in-person one. A 2023 Morgan Stanley survey of 100 global corporate travel managers found that they planned to replace 17% of their corporate travel with virtual meetings in 2024 for reasons “ranging from cost savings to lower carbon footprints.”   

Why Is Corporate Travel Important?

While many companies learned during the COVID-19 pandemic that they could sometimes substitute virtual meetings for in-person ones, they have also found that travel can more than justify its cost in many instances . As Harvard Business School Associate Professor Prithwiraj Choudhury remarked in a recent interview on the university’s website, “Even in a hybrid world, even in a world of work-from-anywhere, we still need to occasionally meet colleagues in person for social purposes.” In addition, face-to-face meetings can help establish more profitable and productive relationships with a company’s key customers and suppliers.

Who Handles Corporate Travel?

Companies handle corporate travel in a variety of ways. Many have created internal departments dedicated to corporate travel management, while others outsource that role. However, many companies still leave most of the decisions to individual employees. One 2023 survey by Morning Consult Research Intelligence reported, “Over half (51%) of those who travel frequently for work book on their own using a platform of their choice.”

What Does Corporate Travel Include?

Corporate travel can include both domestic and international trips that have a business purpose. It generally doesn’t include employees’ everyday commuting. Commuting costs are not tax-deductible for employees, but companies can choose to subsidize them up to certain limits through what the Internal Revenue Service (IRS) calls qualified transportation benefits. Those benefits are not taxable to the employee, but the employer doesn’t get any tax deduction for providing them.

Corporate travel is expensive, but many companies find that its benefits outweigh the costs. Corporate travel management is one way that companies can try to keep those costs under control and get the most value from their travel budgets. While many companies have embraced corporate travel management programs, others still leave most decisions to their individual employees.

To make sure your return to business travel is smooth, safe, and successful, use these packing tips.

1 | Choose Versatile Clothing & Shoes

Whether you’ll be flying with a carry-on only or driving to your destination, space will be limited. Choose basics from your closet to wear multiple ways and make the most of your luggage space. Lean into easy-to-pack accessories to dress an outfit up or down and change the details of your look.

A navy or black skirt, pants, or suit can be paired with more than one shirt, meaning you’ll only need to bring only one blazer or jacket. Simply swap your shirt and any other accessories to give yourself a new look for each meeting or dinner reservation. Select a shirt that you’d wear with or without the jacket so it will satisfy both formal wear and business casual. Alternate your suit jacket or blazer for a woman’s cardigan or a men’s sweater to create an additional outfit for wearing whether you’re touring the city or a new building site. When dressing up isn’t required, pack a pair of dark wash blue jeans that pair with almost any top, yet still look appropriate for after-work cocktails or dinner.

Taking the time to neatly roll the clothes that won’t show wrinkles will save more space than you realize and cut down on the ironing needed later. Neatly fold the items you do not roll and pack them into the bottom of your suitcase or place them on top of your rolled clothes.

What to Roll : Casual clothing, gym clothing, jeans, and other items made from travel-friendly fabrics can be neatly laid on top of each other and rolled into one or a few bundles.

What to Fold : We do not recommend rolling suits—whether a business suit or a skirt and blazer—but instead fold them with the natural creases they already have:

  • Fold jackets in half placing them shoulder to shoulder.
  • Fold pants along the length of the pre-ironed creases, and then fold them in half or thirds, but as few times as possible to fit inside your suitcase.
  • Fold button-down dress shirts similarly to how they are shown in a store: Lay the shirt face down and fold each sleeve/shoulder towards the back/middle. Then, fold the shirt into itself lengthwise by half or into thirds.

What to Bag : For even more efficient packing, place items like socks, undergarments, and workout clothes in zip-top plastic bags and squeeze out the air to make them as compact as possible. These bags can go in last to tuck into any extra or empty spaces inside your suitcase. Planning to Combine Business and Leisure Travel? You’re Not Alone.

As employees increasingly add leisure time to their business trips, companies are trying to figure out where their duty of care obligations begin and end.

On a Sunday in late January, Melinda Buchmann, who lives in Florida and supervises client relations for RevShoppe, a 30-person remote company advising organizations on sales techniques and strategies, arrived in Banff, Alberta, to help set up a four-day company meeting.

The last day of the event, her husband, Josh, a director of strategic partnerships for the delivery company DoorDash , who also works remotely, joined her. They spent two leisurely days hiking in Banff National Park and visiting Lake Louise.

“I take advantage, because I don’t know when I’m going to return,” Ms. Buchmann said of the decision to combine downtime with a business trip.

As postpandemic work life has changed, and arrangements now include full-time office attendance as well as hybrid and remote work, so, too, has business travel. The phenomenon known as bleisure, or blended business and leisure travel, was initially embraced largely by digital nomads . But such combined travel is now also popular with people outside that group . Allied Market Research, a subsidiary of Allied Analytics, based in Portland, Ore., estimated that the bleisure travel market was $315.3 billion in 2022 and would reach $731.4 billion by 2032.

As employees increasingly add leisure time to their business trips, companies are struggling to determine where their legal obligation to protect employees from harm — their so-called duty of care — begins and ends. And workers may think that because their trip started with business, they will get all the help they need if something goes wrong on the leisure end. Instead, they should generally consider the leisure part of a trip as a regular vacation where they cover all expenses and contingencies.

Companies are responsible for knowing where their employees are during a business trip, covering expenses if an accident or emergency occurs, securing new lodging if a hotel is damaged, even swapping out a broken down rental car. Still, it’s not entirely clear if that coverage ends completely after the conference or the last client meeting.

Companies recognize that threats are increasing, said Robert Cole, senior research analyst focusing on lodging and leisure travel at Phocuswright, a market research company. They are trying to figure out how to take care of a valuable company resource, the employee, without leaving themselves open to financial risk or potential litigation.

“Crafting a comprehensive policy that balances business objectives, employee well-being and legal considerations can be challenging,” Nikolaos Gkolfinopoulos, head of tourism at ICF, a consulting and technology services company in Reston, Va., wrote in an email.

Employees may be on their own without realizing it and may be surprised by out-of-pocket expenses if they require hospital care abroad or evacuation, said Suzanne Morrow, chief executive of InsureMyTrip , an online insurance travel comparison site in Warwick, R.I.

Ms. Morrow said medical coverage provided by a company “is generally only for the dates of the actual business trip abroad.” If travelers are extending the trip for personal travel, she added, “they would want to secure emergency medical coverage for that additional time abroad.”

Employers and employees are left to figure out when the business portion of the trip ends and the leisure segment begins, a significant detail if an employee has a medical emergency. “Where does the corporation liability end?” said Kathy Bedell, senior vice president at BCD Travel, a travel management company.

Companies have varying policies to deal with the new travel amalgam. The chief executive of RevShoppe, Patricia McLaren, based in Austin, Texas, said the company provided flexible travel options and allowed employees to work anywhere they choose.

Even so, there are constraints. The company requires all employees, including executives, to sign liability and insurance waivers when they are on a voluntary company-sponsored trip, such as an off-site meeting. Such waivers typically place responsibility on employees for their own well-being. And if they bring someone, they are responsible for that person’s expenses.

Employees are responsible for requesting the paid time off and notifying their managers of their whereabouts, although that part is not a requirement. Managers have to ensure adequate staffing, Ms. McLaren said.

Elsewhere, employees may not bother to mention the leisure portion of their trip. Eliot Lees, a vice president and managing director at ICF, said he had been on trips as a child with his parents when they combined business and leisure. His parents were academics, who would piggyback vacations onto conferences.

Now he does the same. “I don’t think I ever asked for approval,” he said. (ICF has no formal business-leisure travel policy. It’s allowed as part of personal time off.) After a conference in the Netherlands last year, he spent four days hiking in the northern part of the country.

“I go anywhere, and take more risks than I should,” he said. He said he didn’t carry personal travel or accident insurance.

Any nonchalance may quickly evaporate if a threat emerges. Security experts say even low-risk locations can become high-risk for a few days or weeks of the year.

“Companies are concerned about losing visibility into a traveler’s whereabouts if they booked flights and hotels outside their corporate travel management company,” Benjamin Thorne, senior intelligence manager in London for Crisis24, a subsidiary of GardaWorld, wrote in an email. “The company may think the traveler is in one city when, in reality, they could have booked a holiday package to another nearby city. This lack of visibility by the company makes it difficult to support travelers when a disaster occurs.”

He also raised the possibility that “a traveler with bleisure travel reservations and expectations may find their work trip canceled due to changes in the risk environment or company policy, disrupting their leisure plans.”

Will a company step in off hours if there’s a problem? “That depends on how you are booked,” Mr. Cole, the senior research analyst at Phocuswright, said. A rule of thumb is the further you get from corporate control, the greater the gray area gets.

Half of GoldSpring Consulting’s clients take the responsibility for the entire trip, said Will Tate, a partner at the consultancy based in Cross Roads, Texas, and a certified public accountant. They don’t want the reputational risk. The other half say: “The business trip ended Friday. That’s when we end our duty of care.”

Some companies are trying to define and narrow the gray area. “If you are clearly on personal time, there is no legal requirement for your employer to provide for you,” said Nicole Page, a lawyer whose practice includes employment law at Reavis Page Jump in New York.

Uber provides employees with advisories before a trip, travel assessments, safety tips while traveling and emergency travel assistance, including medical aid, airport travel support, urgent and emergency assistance, and lost or stolen personal property insurance whether they are on business or pleasure travel or a combination.

And at DoorDash, Chris Cherry, head of global safety and security, wrote in an email that “while personal travel is not something we track, we have received requests to extend our travel support capabilities to personal travel.” Mr. Cherry said in those cases, the company has manually added employee leisure itineraries to its travel risk management system and “provided the same level of overwatch that we do for regular business travel.”

The Buchmanns plan to travel this month to Barcelona, Spain, for the McDonald’s Worldwide Convention. DoorDash will have a booth, and Mr. Buchmann will work on the exhibit floor and also entertain clients.

Ms. Buchmann will accompany him. She plans to go sightseeing in the morning, and work in the afternoons and evenings Barcelona time. She will also take three days of paid time off and has shared her plans with Ms. McLaren, the RevShoppe chief executive.

They will stay a day after the conference and plan to visit the Dalí Theater and Museum in Figueres. “I’m sure there will be no shortage of tapas and window shopping along way,” Mr. Buchmann said. He expects to be back at work the next Monday.

The Wyndham Rewards Earner® Plus Card will increase savings even further as it offers 6x points on Wyndham purchases, as well as on gas. In fact, gas expenses alone could earn over 7,500 points in a year, enough to redeem for a night at various Wyndham properties, which might make this card even more appealing for road trip enthusiasts. On top of that, it also offers 4x points on dining and grocery stores (excluding Walmart® and Target®), as well as 1x point on all other qualifying purchases.

This Wyndham card gives you 8x points at Wyndham, in addition to 12x points as a Diamond level member (automatic upon card approval) — this translates to 20x points per dollar when making eligible purchases at qualifying Wyndham properties.

The card is also roadtrip-friendly as it earns 8x points on gas, which is double what cards in its class offer, and still more than even the most premium cards. Making it even more convenient for cross country trips, Wyndham has the most properties in the U.S. of any hotel chain, and includes budget hotels such as Days Inn and Howard Johnson.

A hotel credit card is a co-branded card issued by a hotel line and a financial institution such as Chase Bank or American Express®. These cards usually provide high reward rates for booking stays, buying tickets for shows or merchandise at all the hotels under the brand’s umbrella. These rewards are in addition to the ones you’ll get as a loyalty member, as these cards will automatically grant you member status with the brand.

Overall, hotel credit cards work just like regular credit cards, meaning you’ll have a credit line for an established amount that you can use, and you have to make at least a minimum payment each billing cycle.

Reward structures are similar to regular credit cards too, you earn a certain amount of points, statement credits or other miscellaneous benefits depending on how much you spend and where.

Here are some of the difference on how rewards work:

  • Hotel credit cards offer more points than average credit cards do when you make eligible purchases at participating hotels, including at restaurants within hotel premises, gift shops and more.
  • Points are added to the ones you get as an elite status member of the hotel brand, a status that also comes automatically with card enrollment. This increases the points earned significantly.
  • Unfortunately, points tend to be limited to the particular brand instead of the issuer’s. For example, points earned through the IHG One Rewards Premier Credit Card, which is issued by Chase, can’t be used in the Chase Ultimate Rewards® portal.
  • Points have drastically more value when redeemed for hotel purchases such as hotel stays or room upgrades when compared to statement credits or gift cards, for example.

Hotel benefits

Some offer other such as a free night every year, free breakfast, special discounts, priority booking, early check-in and much more depending on the hotel and the type of card. These, of course, will depend largely on the type of annual fee the card charges.

There are roughly four tiers of annual fees when it comes to cards. These are, typically, no annual fee cards, budget or low cost ($50-$99), mid-range ($150-$300) and luxury or premium ($350+).

As with any other credit card, you should compare features like the annual fee, APR, the issuer and a baseline of the rewards offered.

As mentioned above, there are different tiers, according to the annual fee. Once you’ve decided how much you’re willing to pay, you can start to compare rewards, benefits, insurance and the hotel network. Once you’re comparing within each category, you’ll more easily find standouts that deliver far more benefits than their direct competitors.

2. Think about how often you travel

If you travel once or twice a year to visit family, you might enjoy the occasional free night, but a co-branded hotel card won’t be the best option for you. One of the main issues with hotel credit cards is that they’re made for a specific hotel chain. While they can be used for any type of purchase (including rival hotels), the highest reward rates and perks are limited to that brand.

The good news is that hotel chains actually have a lot of different hotels under their name, and some can range from very low cost rooms to fine hotels and luxurious villas in any part of the world. All the big names have thousands of properties across the globe, but all are different, so compare the range of options in terms of prices, locations and variety of properties and amenities. Also, see if you recognize any that you particularly enjoy, or that you already use frequently due to your traveling circumstances.

It’s also a good idea to look at the different perks each brand offers for its elite members. Most hotel credit cards grant a certain level of membership, but the benefits that come with it depend on the hotel’s membership program. Look into the details, whether the program offers free nights, free Wi-Fi, room upgrades or more. The program itself could be a deciding factor in your credit card choice.

Use for everyday expenses

One of the best and easiest ways to accrue points is to use your credit card regularly, not just at the hotel. In some cases, cards earn a lot of points for everyday purchases like groceries, gas and utilities. Also, some cards give large bonuses or other perks when a certain spending threshold is reached.

Use your annual free night

This doesn’t necessarily add to your points, but if the card offers a free night per year (and most do), make sure to not let it go to waste. If you don’t get the chance to travel or vacation, using this perk at the end of the year to relax or take a quick trip somewhere ensures that you truly take advantage of your benefits.

Look for transfer possibilities

While using your card within the hotel’s loyalty program is likely the best option, there are some cases in which transferring to a partner can increase the value of your points. The total solar eclipse is a total business boost for hotels, rental cars, and Airbnb

An estimated 931,000 to 3.7 million people will travel from outside the path of totality on eclipse day.

Over 32 million people in the U.S. live in the path of totality of the upcoming total solar eclipse . But not everyone is lucky enough to already live along the 60- to 70-mile wide stretch, cutting across 15 U.S. states, and parts of Mexico and Canada, that will see complete darkness for 4 minutes and 28 seconds on Monday, April 8.

Travelers are still clamoring to get in on the action — booking flights, rental cars, and lodgings to catch a glimpse of the event.

Michael Zeiler, an eclipse cartographer at GreatAmericanEclipse.com, estimates that between 931,000 and 3.7 million people will travel from outside the path of totality on the day of the eclipse. The top states expecting travelers are Texas, Indiana, and Ohio, where the eclipse will be visible for the longest time. Dallas, Austin, and San Antonio are the most popular cities along the path of totality, according to the American Automobile Association (AAA).

And travel-related businesses have been seeing major boosts in those areas as a result. Airbnb data shows a 1,000% increase in searches for stays along the solar eclipse path of totality in the U.S., touting that it has 15 times more listings than there are hotels in the total eclipse’s path.

An image shared by American political scientist Ian Bremmer on X Wednesday showed the high occupancy rates at Airbnbs across the path of totality for the eclipse weekend.

Searches on Expedia similarly soared as much as 1,100% for stays along the path of totality, including in Burlington, Vermont; Little Rock, Arkansas; Dayton, Ohio; Buffalo, New York; and Indianapolis, Indiana, the travel company said last month. Expedia added a feature that allows users to search “Solar Eclipse 2024” in the destination box to find properties within the path of totality for dates around April 8.

And people looking to book hotels will have to pay steep prices to reside in the path. Booking data from AAA showed that hotels in the most popular cities along the path of totality are 48% more expensive during the eclipse weekend than they were at the same time last year.

Car rental company Hertz reported a 3,000% rise in car rental advanced bookings in cities on the eclipse path for that Saturday, compared with last year.

The frenzy prompted the Federal Aviation Administration to warn fliers that there could be higher air traffic volume than normal at airports along the path of the eclipse, and that passengers should anticipate delays around these peak periods.

For those looking for an even more elevated viewing experience (minus a hotel booking and highway traffic), some airlines, including Alaska, Delta and JetBlue, are offering special flights at the exact time of the eclipse, to be able to view the celestial event from 30,000 feet in the air — giving people the clearest view, since they’re cruising above any potential cloud coverage.
