The ‘How To’ Of School Trip Risk Assessments

Unfortunately, carrying out risk assessments is a key part of  booking a school trip  Whether you’re heading abroad, or staying a little closer to home, it’s important to make sure that your destination is a safe place for your students.

Although they may sound daunting, there is a lot of help available to make sure that you carry out all the necessary safety checks prior to your trip.

To help, we’ve pulled together a downloadable document that features everything you should be including in a thorough school trip risk assessment. Following this guide will help ensure  safety on your school trip  and give you the peace of mind that every eventuality has be thought through.

HEALTH AND SAFETY IN A DRAMA SETTING

  • the suitability of staging

  • assessment of any accessibility issues
  • Identify a suitable person (or persons) to act as a drama safety co-ordinator to ensure that risks are managed effectively.
  • Develop and implement procedures for staff and students to follow whilst working in your drama studio, or theatre, and ensure that these are documented.
  • Make sure that appropriate training and instruction is provided to both staff and students working in drama.
  • Ensure that arrangements are reviewed regularly and any training, instructions, or actions are recorded.
  • Any incidents or near misses must be reported and recorded by relevant staff members.

Code of Conduct

  • All staff and students must be familiar with the code of conduct prior to undertaking any drama activities. The code of conduct should be displayed prominently within the drama areas and its contents reinforced regularly. Arts On The Move has provided a drama Code of Conduct in this section.
  • Ensure that all students and members of staff are wearing suitable footwear and clothing.
  • At the end of a lesson or rehearsal, a nominated staff member must ensure that all equipment has been rendered safe, any appliances, props, or other items have been stored safely, and all electrical equipment used has been switched off.
  • Back stage areas must be kept clear of obstructions.  Where this is unavoidable they should be clearly marked and brought to the attention of the staff and students.
  • Ensure that all items are put away or returned to the props table after use.
  • Provide safe storage for costumes, make-up and similar items.
  • Restrict access to the back stage areas at all times – especially when the stage is set for a production – and dissuade other students and family members from crowding in.
  • All electrical and mechanical equipment should be operated by a qualified and/or experienced operative.
  • Electrical equipment should be checked regularly and checks should be recorded.
  • Any portable equipment should be given a visual check by the user before use.
  • All fixed and permanently-wired installations should be inspected and tested regularly, as part of the electrical installation check.
  • Cables should be kept tidy, securely tied, and properly routed.
  • Extension cable should be fully unwound from any reels to avoid overheating.
  • Never work on any equipment whilst it is ‘live’, always switch off and disconnect before any work begins.

Stage Lighting

  • Stage lighting must be inspected regularly and must meet the conditions set out in the current regulations.
  • Any electrical work must be carried out by a qualified electrician.
  • Stage lights should only be changed or moved by a competent person, and never by a student.

  • Make sure that staff, students and the audience are aware of emergency evacuation procedures. This is particularly relevant to all Front of House staff.
  • All exit routes must be clearly signed, and any emergency lighting should be operative.
  • Any stage curtaining must be flame resistant, or treated with flame proofing solution.
  • A competent person should review the fire risk assessment for rehearsals and every performance.

Special Effects

  • Carry out a risk assessment for any special effects such as, for example, lasers, smoke machines and dry ice. Make sure that any special effects are handled under the strict supervision of a suitably trained competent person.
  • Risk assessment should also ensure that the environment, size of stage or room and proximity to audience is taken into consideration when planning any special effects.
  • Purchase or hire any pyrotechnics or special effects from reputable suppliers and always use these in full accordance with the manufacturer's instructions.
  • Make one person responsible for setting and executing any special effects. Ensure that students know who to report any issues to, and keep them away from equipment at all times.
  • Make sure that your performers know about any special effects in advance of using them, and that they are aware of where to stand to keep themselves safe.
  • Ensure that you have appropriate insurance cover in place for any specialist equipment. It’s very costly to replace if it gets broken or damaged!
  • Make sure that assessment is made of what could go wrong and that contingency plans and procedures are in place. Ensure that these are known and understood by all staff and students.
  • Check whether any smoke generated on stage will cause fire alarms to activate automatically where smoke detectors are fitted in the building.

Will strobes or lasers affect any member of your audience who may be sensitive to such effects?

Strobe lighting can cause epileptic fits in certain people so make sure that staff members are aware of any audience members who may be sensitive to strobe or laser effects. The British Epilepsy Association recommend that the strobe frequency should not exceed five flashes per second. Post warnings about your use of strobe or laser lights on all publicity and make sure that performers and audience are fully aware prior to attending a performance or rehearsal.

Medical Information

It’s essential that staff and students have information on the medical conditions, especially allergies, of those involved with drama and theatre productions. Considerations and emergency procedures should include students who may react negatively to make up, paints and other substances such as smoke machines, dry ice and also laser and strobe lights. 

Stage Platforms and Rostra

  • Ensure that any stage platforms or rostra are clipped or fastened together securely. Ensure that the stage platform and rostra are inspected before each use by a member of staff.
  • Make sure that all scenery, including flats, movable scenery, platforms and free-standing scenery is stable and secure at all times. Check this between each rehearsal and performance. 

Working at Height

  • Any activity that involves working at height must be assessed carefully and should only be undertaken by a responsible student or a member of staff.
  • Anyone working at height should use appropriate equipment, positioned safely and correctly, and should be aware of people below – possibly by creating an exclusion zone beneath any work taking place.

£11.50 per pupil for non-fee paying school £14.50 per pupil for fee-paying schools 1 teacher free per 10 pupils booked

Excluding Ready, Steady, Lift Off! which is £10.50 per pupil/adult for all schools, with 1 teacher free per 10 pupils booked.

Offers and Support

Schools Save Tiers for 2023-24 season

Non-fee-paying schools booking over 100 tickets can access big discounts and additional free tickets. Book 100+ pupils: £9 tickets and 5 free tickets Book 250+ pupils: £8.50 tickets and 10 free tickets Book 400+ pupils: £8 tickets and 15 free tickets You can use your free tickets on adults or on pupils. If you add more tickets to your order at a later date which tips you into a higher tier, any new tickets will be at the higher discounted price. Book tickets for our new season here.

Subsidised Tickets (for non-fee paying schools) Thanks to The McGrath Trust we are able to offer support to state schools who are unable to visit us for financial reasons. We particularly seek out schools with high levels of pupil premium funding or free school meals, and schools looking to introduce their pupils and their families to theatre for the first time. Subsidy is offered on an ad hoc basis for certain shows throughout the year. Apply using our online form .

Payments and exchanges

Payment due dates We set our payment due date for four weeks after the tickets have been reserved and the invoice sent to you, but we're open to if extensions need to be made to this - just talk to us about what you need.

Exchange and cancellation policy Exchanges can be made to another performance time or date up to eight weeks in advance of the show date. If your school cannot attend a booking and you give us more than eight weeks' notice, we may be able to offer a credit note. If your school cannot attend and it is less than eight weeks to the date of the performance, we unfortunately cannot issue a refund, exchange or credit voucher. If the Unicorn cancels a performance for any reason then you are entitled to a full refund, exchange or credit note.

Getting here

We recommend using TFL Journey Planner and advise that schools arrive around 30 minutes before the show starts to make use of the facilities, collect your group ticket and settle into your seats.

Free off-peak travel is available for school groups using the TFL network. For more information, see TFL .

Tube and train Our nearest station is London Bridge. Follow the London Bridge Station / Tooley Street exit, walk down Tooley Street towards Tower Bridge and you'll find us on the left hand side - just after Brigade restaurant.

Coach Coach drop off is available at The English Grounds at More London and near to the Shard, both of which are very nearby. Short stay coach parking options are available by Tower Hill and Tate Modern. For more coach driver information, see TFL.

Unfortunately, our foyer isn’t large enough for us to allow all school groups to eat lunch, but you are welcome to eat packed lunches if there is space on the day or if you’ve reserved space with us ahead of time. If it’s warm, there are plenty of outdoor spaces nearby at The Scoop or at Potters Fields with great views of the Thames and Tower Bridge.

We offer a range of Pip Organic ice lollies and Simply Ice Cream ice creams for you to order in advance (at least two weeks before your visit to guarantee they'll be ready). You can select between flavours on our form.

Can I reserve tickets? We’re happy to reserve your tickets if you are booking more than 8 weeks in advance, or provisionally for a week before invoicing if you need to check things at your school!

What happens if we are running late? Please contact our Box Office on 020 7645 0560 to let us know as soon as possible. We have strict latecomers policies and if you arrive late you may not be allowed into the auditorium. We understand the challenges of school travel so recommend arriving 30 minutes before the show starts to allow time for travel disruption and to use the facilities before settling into your seats.

What are the payment terms? Payment must be received four weeks after the booking has been made.

What happens when we arrive? An usher will check your e-ticket as you enter the building before directing you to a dedicated waiting space in the foyer. The auditorium usually opens 10 minutes before the show starts and seating is unreserved - our usher team will help your group to get settled in.

Do my pupils need to be quiet during the show? We want your pupils to respond throughout the performance, which means we don’t mind at all if they are quite vocal or energetic. In fact, we actively encourage our audiences to laugh, respond, clap and cheer during our shows - we want to create a space that is different from school, where the normal rules are bent just that little bit. So please don’t feel your class has to watch the show in silence - in fact we encourage the opposite, and want them to feel this is their space where they get to make some of the rules.

There are only three things we ask in the auditorium, of both teachers and pupils: No photos, no phones, no food.

What happens after the show? We love to hear what pupils and teachers thought about the shows – please do fill out our quick post-show surveys (we’ll email it to you), and feel free to send us feedback by emailing [email protected] , phone (020 7645 0544) or tweet your thoughts and questions to @unicorn_schools .

We have pupils with access needs, who do I tell? Please inform the box office as soon as possible if any of your group requires additional assistance, such as wheelchair accessible seating or sound amplification headsets. We also run specific access performances throughout the year - see our access webpage for more information.

Planning an Education Visit

Find useful information to help you plan a trip to the RSC with students and teachers.

We welcome schools, college groups, further education groups and teachers to visit our venues in Stratford-upon-Avon to see our shows and participate in RSC Learning events. Here is information you might need to help plan your trip.

Seeing a show

If you are seeing a show in one of our venues, the Royal Shakespeare Theatre, the Swan Theatre or The Other Place you will be welcomed upon arrive by our Front of House team. Before you arrive here is some important information about your visit. 

  • Performances in our theatres will start at the stated time and it is best to arrive at least 20 minutes early. 
  • All bags will be searched on entry to the theatre. Due to the limited space in the auditorium we recommend not bringing them to the theatre building if possible. 
  • We're operating a cashless service in our theatres, this includes in our shop and cafe. Please note that pre-paid payment cards may not be accepted. 
  • Adult supervision (at a ratio of 1 adult to 10 students) is essential, and accompanying adults must sit in amongst their students during the performance.
  • Use of mobile phones and photography is not permitted during any performance.
  • Our auditoriums are built with a ‘thrust stage’ which means that, even in the Royal Shakespeare Theatre, no one is ever more than 15 metres from the stage. It is therefore important that there is no talking or whispering during a performance, as it can distract the actors and other audience members.

FAQ - Planning an Education visit

Do you do discounted tickets for schools.

UK state schools & colleges (aged 18 and under) £10 UK independent schools £16.50 UK colleges & universities (aged 19 & over) £18

Monday to Thursday performances for groups of 10+ students. Tickets are subject to availability and one free adult place is provided (and required) for every ten students. The teachers’ free tickets will be placed amongst groups of students and must be used by accompanying adults only.

These discounts are only available to UK schools during Warwickshire term time. To book, call our Learning Ticket Hotline on 01789 331259 (Monday to Friday, midday - 6pm). Discounts don't apply to Premium seats.

Overseas schools, colleges and universities can take advantage of our regular group rates. For more information, please contact the Box Office.

Activities in the theatre auditoriums

The following information about conduct in the theatres may be useful to you and your students if you are preparing to see a production with us:

  • Performances in our theatres will start at the stated time and it is best to arrive at least 20 minutes early.
  • There are no phones or photography permitted during the performance.
  • There is limited space for bags in the auditorium so you may wish to leave these on the coach if possible. All bags will be subject to searches at the cloakroom, on entry to the auditorium and before embarking on a theatre tour so please allow plenty of time. 
  • Only cold drinks in plastic bottles/cups are permitted in the auditorium.
  • Once the performance has started you should remain seated in the auditorium unless there is an emergency. Please avoid note-taking during the performance as it is distracting to the actors.
  • Our auditoriums are built with a ‘thrust stage’ which means that, even in the Royal Shakespeare Theatre, no one is ever more than 15 metres from the stage. This means that it is important that there is no talking or whispering during a performance, as it can distract the actors and other audience members.

Adult/student ratios and supervision

We understand that organising school trips can sometimes be difficult and we have endeavoured to make sure that planning your trip is as easy as possible. We already have a child protection policy, public liability insurance and risk assessments for all of our activities and spaces.

As part of these risk assessments we are reliant on schools providing the following:

  • Adult supervision (at a ratio of 1 adult to 10 students), with a minimum of 2 adults to be with the group at all times
  • Teachers or accompanying adults are responsible for the care of group members and their behaviour, and groups should be accompanied at all times.
  • Medical or First Aid provision for all students, including the means to administer specialised care for those with specific medical needs

Theatres at Risk Assessment Criteria

Theatres Trust maintains a watching brief on theatres across the UK throughout the year and updates the Theatres at Risk Register annually.  This explains how we assess the theatres and what the scores mean.

Theatres are assessed based on three criteria – Community Value, Star Rating and Risk Factor. Buildings are scored between 0 and 3 in each category, which are added together to give a total score. A minimum total score of 4 is needed to be included on the register and must not score zero in any category.

Where the total score is the same, Community Value is given precedence, followed by Star Rating, then Risk Factor. If all criteria scores are equal, the buildings are listed alphabetically.

The theatres at the top of the list are not necessarily most at risk, but are those whose loss would be considered a greater tragedy because of their unique character and / or have real opportunity to be used for live performances.

Community Value establishes the local support and demand for a theatre, including the viability of the building as a performance venue.

3 points: clear community demand and viability for the building to be used as a theatre

2 points: possibility and demand for returning the building to performance use, which could include community performances / music

1 point: potential for the building to be brought into use as a community facility with no/minimal community performance

Star Rating judges the building’s architectural quality, workability as a theatre, cultural and social heritage, and geographical uniqueness.

3 points: a very fine theatre of the highest quality

2 points: an excellent example of its type

1 point: a live performance venue which is of some interest or quality and has specific cultural and social value

Risk Factor assesses the level of threat to the building. This could be risk of demolition, alteration to another use, local development adversely affecting the theatre, change of ownership, decay of the building or capital/revenue concerns.
