A quotation letter is a formal document written to specify the price of particular goods, products, or services. The letter can be written either by the buyer/client inquiring about the price tag, or seller/service provider for submitting the quote as a response to the inquiry. A buyer or the prospective client can inquire for the price tag of any of the seller’s product or the service being offered by the service provider. The structured format of the letter serves as a convenient way to initiate a discussion between a seller and a buyer. It also helps the buyer to make a rapid decision by comparing the letters submitted by other sellers.

Apart from the price tag, the letter also specifies the details of the inquired product or service along with the details of payment procedure specifying the date to complete payment transfer and other terms and conditions. The letter is not legally binding unless the buyer, submitting the inquiry, accepts the offer of the seller or service provider.  

Before submitting the quotation letter there are few things which need to be considered:

• Ensuring adequate availability of the products requested by the buyer
• Assessing the supply chain to highlight any additional cost which is likely to be incurred
• Understanding the delivery channel, whether the customer/buyer would collect the requested product on his/her own or does it need to be delivered
• Estimating the time required to process the various tasks, in order to avoid any inconvenience in timely delivery of a product or service
• Evaluating the overhead cost and the service charges to ensure profit return

Let us assume, a travel agency Anima Travels is inquired about its service charges and is requested to submit a quotation letter. Below mentioned tips could be effective for the travel agency to grasp the client’s attention and close the deal:

• Clearly understand the client’s requirements and needs. In case of any ambiguity reach out to the client for clarification before sharing the quotation letter
• While writing the letter, show gratitude to the client for showing interest in the services of your agency
• Introduce the agency by providing an overview of the agency’s vision
• Refer to the request of the client
• Tailor the details of service package (for accommodation, travel, activities, and destination) as per the client’s request
• Mention terms and conditions (if any) – such as the timeline for tour dates, reservation dates, or the letter acceptance

You can adapt it to give your clients a detailed itinerary, or to use it as a sample itinerary for particular destinations to help entice your travelers.

Final Thoughts: This form is our exception to the rule. Why? Because it's customizable, but it's not via JotForm. Why did we throw you a curveball? Because we needed to go a different route in terms of template style. (It's essentially a fancified spreadsheet. Shh, don't tell.)

 There is a big difference between a quote that just ‘does the job’ and one that sells more business, so we’ve put together what we’ve learned over the years into this article so you too can create beautiful quotes that sell more!

Align Your Quote with Your Brand

When we say ‘aligning your quote with your brand’ we don’t mean just making sure it matches your brand aesthetically (although that’s important too – we’ll cover that later). Your quote should reflect your brand’s point of difference (what do you want your business to be known for in the market?). It’s highly likely that your prospective customers are evaluating multiple quotes at once, therefore reminding them of what makes you special is a great way to stand out over and above the rest.

So how do we actually bring our point of difference into our quotes? We’re glad you asked!

Here’s what we know:

1. Format Shouldn’t Be One-Size-Fits-All

The best format is different for every business and you need to decide what your target market will respond best to. Perhaps your target market are detail orientated travelers with large complex itineraries – they may respond best to a completely itemised itinerary with extra descriptions; or maybe your target market are price orientated – your format should highlight the price and any discounts they receive by purchasing with you.

2. Keep It Relevant

When crafting quotes, there’s a fine balance you should aim to achieve between information and ‘filler’. Your supplier descriptions should be written with promoting the offering at the forefront. Setting you above and beyond competitors can be achieved by customizing these descriptions and writing them yourself based on a combination of what the supplier is offering, and what you know your target market is interested in. No more cutting and pasting from the supplier’s website, okay?!

3. Make It Polished

Quotes need to contain information and details – but that doesn’t mean that they can’t be aesthetically pleasing! Image-rich quotes stand out and help prospects visualize the experiences that you’re offering.

4. Remember Everyone Is Different

Test, test, test! We can’t say this enough! Everyone uses different tools and it’s important to make sure your quote is appearing the same way across the board. If a client opens a Word document with a different version of Word to yours, they may lose the formatting you worked so hard on.

Your rich, high color quote might look great printed from your office, but don’t forget to think about your clients who might be printing in black and white, or possibly they prefer to work digitally – is your quote optimised for this?

Test your quote on many platforms, and send it to colleagues and trusted friends who can screenshot how it appeared to them. We also recommend using formats like PDF which help you lock in the structure. 

5. Make It Scalable and Consistent

The Bolshoi theatre is familiar to almost everyone as Russia’s grandest theatre, but what people don’t know is that there are many more bolshoi (big) sites in Moscow that are worth travelling all the way to Moscow to see. For more than 100 years, the world’s biggest bell has been hidden behind the Kremlin’s walls and inside Moscow’s main park (which is bigger than some countries!) there is the world’s largest outdoor ice-rink. For a foreigner who has never visited Russia, Moscow is the perfect stepping stone into this great land of mystery. From the country’s best classical ballet troupes to snow-white troikas trotting through the parks, all the highlights of Russian culture can be had in Moscow without any of the complications that would be expected in other, less developed regions of Russia.

In Moscow, everything is bargain when with the current foreign exchange rates being what they are. Even caviar doesn’t seem so dear when the exchange rate is at 60rub to the dollar, so go on indulge yourself! Lena, our guide in Moscow was excellent. She was very knowledgable and could answer any question we had for her. We liked that she could pick up on our interests and take us places we might not have thought of to go. When we realized that one of the places we had chosen to see would probably not be that interesting to us, she was able to arrange entry to the Diamond Fund and the Armoury for us. Riding the Metro with Lena was a real adventure and a lot of fun. In Saint Petersburg we found Anna well versed in the history of the Tsars and in the Hermitage collection. Arkady in Veliky Novgorod was a very good guide and answered all of our questions with ease. Novgorod was perhaps a long way to go for a day trip, but we did enjoy it. Vasily was a great driver to have and kept us safe with good humour and skill. We enjoyed ourselves so much, my daughter says she is already planning to return. We would both have no hesistation to recommend ExpresstoRussia to anyone we know.

Just wanted to let you know that My grandson Bruno and I couldn´t have been more pleased with our week in Moscow (6/15 - 6/21). We were absolutely enchanted with the whole experience, including getting lost a couple of times in the Metro during our free time. Although both our guides (both Eleanas) were excellent, I would particularly commend the first one (she took us to the Tatiakov, the KGB tour, and to that beautiful cemetery where so many great Russian artists, authors, composers, musicians, militarists, and politicians are buried). Her knowledge is encyclopedic; and her understanding of today´s Russia as a product of its past was, for us, truly enlightening. I will be taking another tour in Russia, with my wife, within the next two or three years. I will be in touch with you when the time comes. (CNN) —  NASA is seeking innovative methods that could help retrieve  samples collected by the Perseverance rover  on Mars in the future.

The rover, which landed on Mars in February 2021, has been gathering specimens from Jezero Crater, where an ancient lake and river delta once existed on the red planet. Scientists believe the samples could help them better understand whether life ever existed on Mars.

The original design for the  Mars Sample Return program , a partnership between NASA and the European Space Agency, was a complex one. The architecture involved  multiple missions launching from Earth to Mars  to collect the samples, and then conducting the first rocket launch from the surface of another planet to return the samples to Earth.

But there have been concerns about the program being too unwieldy due to complexity, expense and a delayed return date, which was originally expected to happen by 2031, but has been pushed after  assessments by an independent review board . Budget cuts that have impacted NASA have also put the program at risk.

NASA Administrator Bill Nelson and Nicky Fox, associate administrator for NASA’s Science Mission Directorate, shared the  federal agency’s response to the independent review board  on Monday.

Reviews of the program have recommended that the Mars Sample return should not cost more than $5 billion to $7 billion, Nelson said. But NASA is being forced to deal with the constraints of reduced spending due to budget cuts for the 2024 and 2025 fiscal years, causing the agency to take a $2.5 billion hit, he said.

“Mars Sample Return will be one of the most complex missions NASA has ever undertaken. The bottom line is, an $11 billion budget is too expensive, and a 2040 return date is too far away,” Nelson said. “Safely landing and collecting the samples, launching a rocket with the samples off another planet — which has never been done before — and safely transporting the samples more than 33 million miles (53 million kilometers) back to Earth is no small task. We need to look outside the box to find a way ahead that is both affordable and returns samples in a reasonable time frame.”

Nelson said it’s unacceptable to wait until 2040 to return the samples to Earth because the 2040s is “the decade that we’re going to be landing astronauts on Mars,” he reiterated during a Monday press conference.

Less budget, rising costs impact Mars Sample Return

An $11 billion price tag for the program would cause NASA to cannibalize other science programs and missions, Nelson said.

Those missions include the  NEO, or Near-Earth Object, Surveyor  to discover asteroids that may pose a risk to Earth;  Dragonfly , which will investigate the potential habitability of Saturn’s moon Titan; and missions such as  DAVINCI and VERITAS to uncover the secrets of Venus . (The Venus mission names are short for Deep Atmosphere Venus Investigation of Noble gases, Chemistry and Imaging Plus and Venus Emissivity, Radio Science, InSAR, Topography, and Spectroscopy.)

While Nelson is hopeful that the budget for fiscal year 2026 won’t be as constrained, opening up more science funding for NASA, it doesn’t solve the immediate problem of how to address moving forward with Mars Sample Return.

So, the space agency is opening up a call for help.

Mars is no doubt a lonely place to be, but for more than a year NASA’s Perseverance rover has had a little pal traveling with it. This is the rock that has been stuck rolling around in the wheel of the rover 427 sols or day on Mars.

Innovation and trusted technology

Agency officials will soon announce solicitations to NASA centers and industry to develop a new plan that combines innovation with lessons learned from proven technology, according to Fox. NASA is targeting the 2030s for a sample-return mission with less complexity, cost and risk, he said.

It’s a quick turnaround for proposals, and the agency is expecting to have answers for how best to return samples from Mars by the fall, Nelson said.

The baseline requirement of the proposals is to return the 30 scientifically curated samples Perseverance has taken from a diverse set of locations, Fox said.

“Mars is extremely important to us,” Fox said. “It’s one of the only locations that could have had life. Having said that, we understand that in order to do things faster, we may have to lower the scope of the number of samples.”

The solicitation for a new architecture for Mars Sample Return will include a range of desired specimens to return to Earth, Fox said.

“We are operating from the premise that this is an important national objective that we return the samples,” Nelson said.

He reinforced the idea that NASA did not want to terminate the program because it was deemed too critical, especially as the agency looks to land astronauts on the red planet going forward.

Meanwhile, the current decisions won’t affect the scientific plan for Perseverance’s journey on Mars, and the rover continues to collect samples as it explores the crater rim, Fox said.

NASA shared a video of their Perseverance rover spotting this mile-high dust devil swirling across the Martian landscape on Aug. 30.

NASA’s Jet Propulsion Laboratory, in Pasadena, California, manages the Perseverance rover mission and other exploration endeavors on Mars.

Current efforts for the return program were underway at JPL when  layoffs hit the location in February  to meet the requirements of budget cuts. The new architecture that’s ultimately developed for the sample return mission will determine the scope of JPL’s management oversight, Nelson said.

The European Space Agency has also played a big role in developing the program, and Fox confirmed that the agency is still involved in discussions about the future of the program.

For fiscal year 2025, Fox said she is recommending a budget request of $200 million while NASA assesses alternative architectures, which will also enable other planetary science to continue at JPL and other NASA centers.

“To organize a mission at this level of complexity, we employ decades of lessons on how to run a large mission, including incorporating the input we get from conducting independent reviews,” Fox said. “Our next steps will position us to bring this transformational mission forward and deliver revolutionary science from Mars — providing critical new insights into the origins and evolution of Mars, our solar system, and life on Earth.”
