1.  You need to be charismatic

While there’s only one tour guide, there can numerous people on a tour, from 2 to 5 to 20 or more. Each and every person on your tour is looking for information and more importantly, entertainment, from their guide for the most part of a day. As a result, a tour guide needs charisma. Lots and lots of charisma.

Charisma can come naturally… but it can also come with practice. Every day on tour, look for opportunities to charm your group. Also, think about opportunities before you embark on tours and experiment with them during the tour to figure out tactics to delight your crowd.

2. You need to be knowledgeable

You can be the most charismatic tour guide in the world, but if you don’t know your stuff then you’ll lose your audience. A tour guide’s job is, among other things, to know exactly what they’re talking about. This means facts, figures and anything else somebody on a tour might throw at them.

Make sure you’re clued up on everything you need to know and, whenever you answer a question thrown at you by somebody on your tour, think about how you’ve answered it and if you can respond better the next time.

3.  You need to be a good communicator

If you’re extremely knowledgeable and equally charismatic, but you don’t interact with your group, it’s going to make them feel like they’re following their history teacher around. It will also feel like it’s all one-way in terms of communication.

Vacations aren’t about sitting and listening to other people – they’re about chatting and meeting people. This could be fellow travellers or the people guiding them on tours or activities. Make sure to engage with the people you’re guiding and give them one more person to remember their trip by.

When your business is growing, the thought of hiring, vetting, and managing tour guides can be daunting.

In an earlier post, we wrote about the key qualities that exceptional tour guides possess.

Having a defined system for what to look for can make the process of hiring tour guides a lot smoother.

In this post, we’re sharing the key skills you should look for when hiring and vetting tour guides, including:

1. Strong communication skills 

People book tours to have a fun and hopefully unforgettable experience. A successful tour guide knows how to balance providing quality information with listening to the group. 

Tour guides must be able to provide information in a way that everyone in the group can understand. They need to project their voices, speak clearly, and be willing to repeat information as needed.

After all, they’re the ones providing direct customer service to your clients on a daily basis. Effective communication skills are key to providing the kind of customer service that turn one-time guests into repeat customers.

If your guide isn’t great at communication with others, your guests will feel lost and disconnected from the tour.

When you’re interviewing a guide, pay close attention to the way they carry themselves in a conversation. Do they have great public speaking skills? What about their presentation skills? Does the conversation flow naturally? These are great indicators that a guide will keep your guests engaged and provide them with excellent customer service.

Excellent tour guides know how to engage with different personality types and navigate group dynamics. Having exceptional people skills is essential and often underrated. 

A quality tour guide can practice active listening, read the group’s dynamics, and find ways to connect them, so everyone has a great experience. Sightseeing tours, for instance, will attract a wide variety of customers, from families to couples to young groups of friends.

Guides should understand how to ensure that everyone in the group feels heard without one person or subgroup dominating the experience or the tour guide’s attention.

3. Fast learners

Guests want quality information on the tour’s subject matter, including details that they can’t easily find on a 30-second Google search or through 101-level online courses. While guides shouldn’t come across as robotic or stuff, they should be passionate and have extensive knowledge about the subject. The most effective tour guides learn interesting details about a place, landmark, or activity beyond the basic facts.

And they do so quickly. They’re fast learners and are always staying on top of the latest trends, especially if it means they can wow their guests with new and exciting information.

Better yet – experienced guides know how to share these facts through engaging stories that offer insights and draw people in, bringing the content to life.

4. Quick on their feet 

Tour guides that can quickly assess the group’s interests and needs and tailor the tour to meet those expectations will be more successful than those who stick to a script.

This is why improvisational skills are a big plus for a guide. They should be able to improvise when needed and respond readily to unexpected questions and situations no matter what happens.

When you’re interviewing a guide for the first time, present them with a theoretical scenario to see how they would respond. Their answer will give you a good idea of how that person may react under pressure.

5. Professional 

Your guide can be great at public speaking and know about every historical event that has happened in your city — but if they’re unprofessional, your guests aren’t going to be impressed.

Are they punctual and reliable? Will they represent your company in a good light? Do they act with integrity? These are the questions you should ask yourself before making a hire.

A tour guide isn’t just leading a group. They are also on the front lines of your company, and what they say and do are a direct representation of your brand.

For example, if they show up to work 20 minutes late. This makes your brand look bad, especially if it forces someone else to do the guide’s job. or if guests are left waiting around. The same goes for how they manage their schedule with guests. Does the experience they lead feel organized but not rushed? Can they improvise when needed?

6. Problem solvers  

Things happen. Can the tour guide not only stay calm and think on their feet but do they take the initiative for solving the problem at hand?

After all, they may not have the luxury to call a manager or consult a fellow guide at that moment. They need to address and solve unexpected issues independently while maintaining the trust and safety of the group.

7. A positive attitude 

You can teach a tour guide some interesting facts or have them memorize key talking points.

However, teaching someone to have a great attitude or to take pride in their work is nearly impossible.

If a campus tour guide has no connection to the university where they’re leading tours, they’re probably not going to be as passionate about it as one who studies there.

You want someone who will take initiative to do more than the bare minimum as well as go above and beyond for guests.

In sum, great tour guides create memorable experiences for everyone on the tour or experience. They are knowledgeable, engaging, have a can-do attitude, and someone that others enjoy being around.

Great tour guides enjoy what they are doing and are passionate about the topics they discuss.

There are a lot of subpar guides in the travel industry — but if you know what to look for when you’re interviewing them, you’re guaranteed to make a great hire every time.

Empathy: The Most Important Skill for a Tour Guide

Empathy is, by far, the most important skill for a tour guide.  and they use it in more ways than you think..

Historical knowledge aside there are a lot of traits and skills* that make a great tour guide.

But if I had to sum it up into one skill that I think is most useful to a guide?  Empathy.

Empathy, the ability to understand the feelings of someone else, is often simplified to ‘that thing that makes you good with people’.

But it’s much more than nuanced than that and excellent guides use empathy in multiple ways during a tour.

In this article, I’ll list three ways excellent guides utilize their fine-tuned empathy on their tours.

* For the record, I believe most things can be taught, even things that typically ‘come with experience’. Sure, the longer you guide, the more unexpected challenges you experience, but even ‘preparing for the unknown’ is something you can teach.

Three ways guides use empathy on a tour., 1. keeping a group happy, every time..

Taking into consideration that any group might have diverse cultural and social backgrounds, knowing when someone is unhappy isn’t as simple as it sounds.

Every guide has had the guest who laughed at their jokes, smiled the entire time…and then went home to write a horrible review.

Guides can use empathy to get to know their group and understand that people show and communicate their emotions in different ways.

2. Balancing guests’ expectations with education.

For the majority of my guiding career, I would tell my guests about how horrible Times Square was.

I would mourn our city’s golden age of theater and lament the invasion of chain restaurants. I thought this was important for them to know if they wanted to understand the REAL NYC. I now use this as a cautionary tale.

As guides, we need to both educate guests, while still being understanding of their context.

In this case, that would mean acknowledging that the one theater-loving guest might have dreamed their entire lives of standing in Times Square, surrounded by the lights of Broadway.

It is entirely possible to let them have their moment, celebrate the history of Times Square, and still making sure they don’t eat at any of the chain-restaurants.*

* The best way I’ve found to do this is through what I like to call  Gentle Education .

The fact of the matter is, many cultures often conflict when it comes to right & wrong.

For example, in some cultures, in order to understand how to address someone properly, you need to know their age and marital status. However, in other cultures, asking someone’s age, or any other personal questions can be considered incredibly rude.

In addition to clashing cultural faux-pas, many travelers have limited access to non-biased information about other parts of the world.

This means they arrive on tour with preconceived notions and expectations.

It is only when guides are empathetic to the reality that their guests often look at the world through an entirely different lens than they do, that they can take questions objectively (and non-personally). ​ I’m a big proponent of  guides’ responsibility to use their educational platform for good.

However, the best of guides understand how to read their audience , and how far they’ll be able to expand their horizons within one experience.

At times, they may even have to address questions they’ve answered multiple times already. According to John Voci, a former tour guide with over a decade of experience, having strong communication skills is at the heart of being a tour guide. This is because they don’t simply deliver a speech but must first understand what the tourists already know about the place, what interests them, and then match their expectations with the information provided. A significant aspect of strong communication is the ability to listen, understand, and respond in a way that maintains the interest of the people receiving the information.

2. The Right Energy

Tour guides’ enthusiasm can significantly impact the overall tourist experience. Often, we encounter individuals who are overly enthusiastic about selling something or tend to exaggerate the service or product, and they often come off as annoying or inauthentic. It is extremely important for a tour guide to be energetic and excited about the experiences while simultaneously sounding genuine and relaxed. This helps create a relaxed vibe that tourists can enjoy.

3. Flexibility and Adaptability

Charisma is natural, but a tour guide can only be fully equipped if they have training in all aspects of tours and potential situations that might arise. Often, unprecedented situations arise where the guide must change the schedule and adapt to unforeseen circumstances. Adaptability and flexibility are not only required for these unanticipated situations but are also essential to meet various guest needs and interests, while keeping to a natural flow of the experience.

A tour guide might have memorized millions of facts about a destination, but the ability to pull out the right fact for the audience from their personal knowledge bank and present it in a way that is both interesting and engaging truly determines success.

In a rapidly advancing technological landscape, it’s no secret that technology wields significant influence. A tech-savvy tour guide can assist tour operators in creating content that can be utilized across various marketing channels and platforms to attract more customers.

According to John Voci, our Sales Director, who began his career as a tour guide, it is essential for tour guides to quickly assess the group’s state of mind and tailor the tour to create a pleasant experience. For instance, if it’s a walking or biking tour, and the rest point is 30 minutes away but the group members are struggling, possibly due to weather conditions or preexisting health issues, the tour guide might decide to take an early break to ensure the overall experience isn’t too strenuous for the group. This is why tour guides who can easily assess situations and make prompt decisions, instead of strictly adhering to the script or itinerary, are crucial. And to do all this while keeping guests of all speeds engaged takes skill.

9. Professionalism

The work ethic speaks volumes about a tour guide’s ability. They can be smart, humorous, and have extensive knowledge, but if they are unprofessional, miss meetings, arrive late, or are unreliable, they can cause more harm than good. It greatly depends on your guide to elevate your company’s image or potentially tarnish it. 

The element of integrity is non-negotiable as they represent the face of your company. A professional guide ensures your guests enjoy a seamless experience, making your brand shine. They not only impart knowledge but also ensure that guests feel valued and well-cared for throughout the tour. The qualities of a good tour guide.

Anyone who has taken a group tour knows just how important the guide is to the success or failure of the trip.  A good guide can elevate and enhance the experience, creating cherished memories that will last a lifetime and make guests want to return.  A bad guide can do the opposite,  leaving guests feeling neglected and unimportant.

What are the qualities of a good guide?  Based on my own experience, both as a guest on several tours and as a guide for over 20 years who has taken hundreds of guests around Italy, I’ve put together a list of the must-have traits of a good guide.

  • Patience Answering questions they’ve already answered multiple times will not bother a good guide. They will show both competence and enthusiasm, as if they are hearing that question for the first time.
  • Good with “Difficult People” Most times the problem is that “difficult people” don’t know they are difficult. Great guides know how to master the “beast” in the group. They deal with them and they keep the rest of the group safe from them.
  • Empathic – Can Feel the Room Their radar is always on to feel the room. They will put people at ease, reassuring them that they are in good hands and that they should try to have the best time possible.   
  • Good Sense of Humor A guide with a good sense of humor will increase the enjoyment of the tour and temper any tensions that may arise.
  • Energetic Long days, large groups, physical activity, and nearly daily crisis management require a great deal of energy, both mental and physical. Guides often have back-to-back tours and no days off.
  • Timely Punctuality is a must-have quality for tour guides. If a guide is not on time that makes for unhappy travelers and frustrated co-guides.
  • Organized If a tour guide is organized (and the tour is well-planned), the experience should feel seamless and effortless. Logistics should be nearly invisible to the eyes of the participants.

Form Group Bonds

Unless it’s a private tour with friends and family ,  a group tour will be made up of participants from different locations with diverse personalities and backgrounds.

Without a doubt the success of a tour often relies on the members of the group getting along well and enjoying the shared experience, and a good guide can work wonders to make that happen.

When appropriate, a flexible approach can be the difference between a good and a great tour guide. Being flexible means being open to unexpected challenges and changes, as well as being open to spontaneous moments that will arise on a cultural active vacation.

Outgoing, but Not Overly Enthusiastic

A guide has to have an enthusiastic leading style, but not so enthusiastic that they fail to sound genuine or that they stop listening.

An Acute Sense of Direction

Tour guides should know where they’re going! That’s a given. They should also be able to help direct guests on the fly. Should they be forced to take a detour, they can find an alternative route with a glance at a map or by looking for landmarks.

Local (by Birth or by Trade)

What’s great about the “local guide” quality is that in addition to the planned activities and routes, they can bring their own knowledge, experience and personal anecdotes to the tour. This can make a tour feel particularly special for guests who are looking for authentic experiences.

Knowledgeable

Even if they weren’t born and raised in the region where they work, the best tour guides own a deep knowledge of the history, geography, culture and traditions of the area they guide in. They can point out landmarks, tell stories about the characters who call the area home, identify wildlife, and explain dishes and wines. That depth of knowledge makes guests feel like they’re getting their money’s worth on a tour.

Continues to Learn and Train

A good tour guide should continuously learn about his/her destination. They should also improve their hard and soft skills with off-season training. Lastly, they should research new activities, hotels, and vendors in the area.

Good communication skills also come in handy when explaining specific do’s and don’ts in a sensitive destination.

3. Knowledgeable and passionate

The true added value of a good tour guide is their local knowledge. When visiting a destination, travellers are interested in for example local habits, foreign fruits, and history facts. They will always look at the guide first for further explanation and background information. Preferably, the tour guide is an expert and passionate about the destination.

Travellers having to wait on their tour guide because they’re late, are often stressed. And might be dissatisfied about the start of the travel experience. So, it’s important for the guide to always be on time, to have a clear structure and to follow the set itinerary . In case the customer requires a change, this could be possible but only when feasible and well-planned.

5. Patient and able to manage a crisis

Not all travellers are easy-going and flexible. A good tour guide knows how to take care of slower or difficult people. They have to remain patient at all times. They also know what to do in case of an emergency: handling the crisis while maintaining a calm atmosphere where possible.

6. Trained and qualified

It’s not a fundamental quality of a good tour guide, but it does add value to have trained and qualified guides. Guides with an official guide training and/or license are professionally trained to be a tour guide. They are able to organise and run a travel experience following official guidelines.

In terms of sustainability, there are five main tasks of a tour guide during a travel experience. By adhering to these guidelines, they’re ensuring a responsible and good travel experience.

1. Treating local communities respectfully

Especially during community-based travel experiences, but also when simply visiting a local market, treating locals with respect is key. Tourism should benefit the local communities and provide positive impact. The tour guide sets the right example by treating locals with respect and ensuring the travellers do as well. 2. Protecting the natural resources

Same as treating locals with respect, natural resources should be protected and well taken care of. This entails not touching and taking any protected flora and fauna from the environment, staying on the tracks, and always taking (plastic) waste out of nature . The guide is responsible for making sure travellers adhere the same guidelines.

Travel experiences with wildlife are always sensitive and for the sake of the animals, tour guides have to make sure they’re treated well. Not only do they again set the right example, they’re also responsible for reporting mistreatment of animals. Their role is to explain to travellers why certain (captive) animal travel experiences are a no-go and highlight the animal-friendly alternatives.

4. Driving safe and responsible

When driving, the tour guide needs to follow responsible and safe driving guidelines. Every day is a new adventure, one that requires flexibility and an expansive set of skills. Mastery of the basics only goes so far. Exceptional Tour Guides and Tour Directors wear numerous hats to ensure everybody has a positive experience. Variety makes this job one of the most fulfilling in the world.

Here are seven of the most important traits of tour guides and tour directors.

Historian:  There’s much more to telling an engaging story than memorizing dates, names, and places. Understanding relationships between cultures over time and the ability to create modern-day parallels are valuable abilities. Just like in school, the best teachers make their lessons relatable to their students.

Mediator:  Most tour groups get along swimmingly, but misunderstandings between guests happen and tempers occasionally flare. A good Tour Guide or Tour Director knows how to diffuse potentially volatile situations, either by creating space or encouraging guests to talk through their issues. Everyone deserves an enjoyable and safe environment.

Comedian/Entertainer:  When you lead a tour group, you’re always on. That doesn’t mean you’re expected to keep them rolling in the aisles all the time. Not everyone is a stand-up comic. However, Tour Guides and Tour Directors should always make an effort to lighten the mood during a lull if their guests seem bored or restless.

Weatherperson:  Meteorologists are highly trained experts who use many forms of technology to read patterns and make educated predictions. Tour Guides and Tour Directors don’t necessarily need to know why it’s going to rain, but they do need to have a grasp on what the chances are and how to plan accordingly. Inclement weather is beyond their control. Keeping guests happy is not.

Mechanic:  Usually your driver will know what to do or who to call in the event of a motorcoach malfunction or breakdown. However, it always helps to know how to change a tire or replace a windshield wiper. You might be waiting hours for roadside assistance. The more simple fixes you can do yourself, the greater your chances of staying on schedule.

Cheerleader:  Some of your guests will bungee jump without hesitation. Others will be deathly afraid of trying sushi. Nudging people out of their comfort zones requires compassion and sensitivity. There are few greater feelings in the world than succeeding and seeing someone come out of his or her shell. Keep in mind there will also be times when you need to rein in the daredevils for their own safety.

Friend:  Every person you meet on the road faces his or her own unique stresses and worries. They might be reflected in their mood or attitude during a trip. Should they open up to you about them, you must appreciate the importance of that trust. It is to be cherished and nurtured. You could very well develop some of your strongest friendships by providing an empathetic ear when your guests need one.
