Some Australian states and territories have introduced new measures, including additional health and safety protocols, in response to Coronavirus that may impact your travel.

Before booking and before you travel, ensure you check the latest government  travel requirements , which may include mandatory health declarations, use of face masks, entry permits, pre-approval and quarantine (possibly at your own expense), or you could be denied entry.

Flight listings are required by staff travellers for all Qantas and Jetstar flights.

Flight listings must be made at least 24 hours prior to travel.

Staff travellers without a listing may be refused travel.

 Qantas flight listings:

  • E-tickets purchased through myIDTravel and issued by Qantas (081 ticket stock) are automatically listed for travel at the time of booking.
  • E-tickets purchased through myIDTravel and issued by your own airline (ticket stock is not 081) or e-tickets purchased directly with your airline require a listing to be made.
  • Flight listings should be made via   https://www.myidtravel.com/myidlisting/ . If you do not have your airline's log-in access to myIDTravel, please contact your staff travel office for the applicable Userid and password. 
  • If you are experiencing problems listing via the myIDTravel website, please ensure your e-tickets have been issued correctly. If the issue continues and travel is imminent please email [email protected]  or call +61 1300 303 411 (select option 1) with your details (including passenger name/s, airline, e-ticket number/s, flight and date details) for assistance in making a listing.

Jetstar flight listings:

  • Bookings purchased via myIDTravel and issued by Jetstar are automatically listed for travel at the time of booking.
  • If your airline has an IET agreement for travel on Jetstar services operated by a QF code-share flight number and e-ticket has been closed to QF carrier-code, a listing must be made with Jetstar prior to airport check-in
  • Listings can be made by contacting Jetstar on the following numbers between 0600 - 2030 (Australian Eastern Standard Time):

  • Refund requests for wholly unused e-tickets will be processed automatically.
  • Partially used e-tickets will be processed manually and can take up to 8 weeks from receipt of refund request.
  • Downgrade refunds will be processed manually and can take up to 8 weeks from receipt of refund request. Please email a copy of your boarding pass, booking reference, ticket number and passenger details to [email protected] to have your downgrade refund actioned.  
  • E-tickets with an issue date exceeding one (1) year are not eligible for refund.

Jetstar / Jetstar Asia / Jetstar Japan:

  • Refund requests for future dated segments will be processed via myIDTravel.
  • Refund requests for past dated segments will be processed manually and can take up to 8 weeks from receipt of refund to process. To request a refund for a past dated flight segment.   • Qantas economy class commercial baggage allowances apply for staff travellers.
  • Refer to qantas.com for full details.
  • Note that even if your baggage meets the requirements, we may refuse to carry it if it is not properly and securely packed.
  • Remember that no single item of checked baggage may exceed 32kg (70lb) and all cabin baggage must fit under the seat in front of you or in an overhead locker, including musical instruments.
  • If you exceed the baggage allowance, you must pay any applicable excess baggage charges.
  • Jetstar, Jetstar Asia and Jetstar Japan checked baggage allowance is 20kg.
  • Additional baggage can be purchased for Jetstar, Jetstar Asia and Jetstar Japan flights. Please contact the Jetstar Tardeline and have your booking details available.
  • Please note that excess baggage fees are non-refundable .

Online Check-In

Online check-in is available for staff travellers. Go to www.qantas.com (or download the Qantas app) and Manage Booking to check-in online.

NOTE:  You can check-in online within two hours of flight departure for all Trans-Tasman and Australian domestic flights. For all other international destinations you can check-in online within four hours of flight departure. If you check-in for your flight earlier than the recommended times you’ll be checked-in to standby. 

Checking in at the Airport

Sydney Australia

  • T1 - Sydney International Terminal. Qantas flights QF1-QF399. Check-in at Economy check-in desks.
  • T2 - Jetstar Sydney Domestic Airport. Jetstar domestic flights operate from this terminal.
  • T3 - Qantas Sydney Domestic Airport.  Qantas Domestic flights QF400-QF1599 and QantasLInk flights 1600 and above operate from this terminal. Check-in at the Check-In Kiosk and follow the prompts on screen.

 Other Australian airports

  • Self Check-In Kiosks are the fast and easy way to check-in at the airport for domestic flights.
  • Where Self Check-In Kiosks are not available go to the Economy class check-in counters.

International Airports

  • Self Check-In Kiosks to be used where available. (Not available in all ports). Otherwise, Economy Class check-in desks.

Through check-in

Through check-in is not available to staff travellers with standby (space available/subload/ID) tickets. When planning your journey, make sure that you leave yourself enough time to land and check-in again at any intermediate point.

When travelling on Qantas services rebate passengers must maintain a high standard of dress and grooming. Generally speaking you need to be neat, clean and conservative.

Failure to comply with the following minimum standards - which apply when you board and disembark - may result in you being refused boarding or an upgrade, with the final decision on this at the discretion of the local airport management.

  • Economy Class
  • Business Class

Special meals

Special meals are not available to any rebate passenger, whether on duty or personal travel. If you have specific dietary needs or preferences which mean that you are unable or unwilling to eat or drink any of the items you are likely to be served on board, you must take your own provisions.

Seat requests

Seat requests are not permitted under any circumstances, whether on travelling on duty or personal travel. If the flight is "open", the check-in agent may ask if you want an aisle or a window seat, but this will depend on the commercial load of the flight.

Even if you are assigned a specific seat at check-in, you may be moved, even when onboard the aircraft, if it is needed to accommodate commercial requirements.

Children under 16 years cannot travel on any kind of staff travel rebate ticket unless accompanied by an adult travelling on the same type of rebate ticket.

Qantas modernises its uniform rules for all staff

If you’re soaring high with the Flying Kangaroo then you might notice a change onboard.

It’s not a change that will have much impact on the quality of your flight, but it’s an important change that’s important to the modernisation of the aviation industry.

As you would’ve guessed from the headline, Qantas Group has updated its uniform regulations for Qantas and Jetstar so that anyone can wear flat shoes, jewellery, make-up and have long hair.

The uniform requirements for cabin crew, pilots and airport employees have not changed, but the gender-assignment that came with the uniforms has been scrapped and grooming requirements have been made to be more inclusive following staff feedback, according to the Sydney Morning Herald .

Qantas received criticism from the Australian Services Union as it called on outgoing Qantas CEO Alan Joyce to give female members of staff  the option to drop the make-up, heels and hosiery.

“Fashions change, and so have our style guidelines over the years,” a Qantas representative said.

“We’re proud of our diversity and as well as bringing our guidelines up to date, these changes will make wearing our uniform more comfortable and practical for all of our people, including those with a wide range of body types and those from diverse cultural backgrounds.”

It’s still mandatory that employees wear specific uniform pieces together, conceal tattoos and wear hosiery with a dress or skirt.

In the past, female Qantas Group employees had to wear heels with their dress or skirt while male employees had to have short hair and weren’t allowed to wear jewellery or make-up. All members of staff were prohibited from wearing clear-framed glasses.

With the new regulations, all employees can have long hair (provided it’s worn in a bun or ponytail) and choose protective styles of hair including corn rows. Diamond earings and big watch faces are now allowed.

“In the ’80s sideburns had to stop at mid-ear, ‘gelled spikes’ were out and we recommended navy blue as the best eyeliner colour. In the ’70s women had to wear skirts above the knee. Today employees can choose whether or not to wear make-up, flat shoes and boots are in, and strict rules on watch sizes are out,” the Qantas spokesperson said.

Some other carriers around the world have also opted to modernise their staff dress code. Bonza has entirely gender-neutral uniforms , no grooming regulations and does not require staff to cover tattoos or wear make-up. The budget airline has opted for white sneakers instead of the traditional enclosed heel or dress shoe.

Virgin Atlantic ditched it gendered uniform requirements and introduced optional pronoun badges.

Your guide to Qantas lounge dress code requirements – Executive Traveller

How you dress can determine your entry success, and there are a few grey areas to be mindful of.

Looking back on photos of the ‘golden age’ of travel, it’s clear the experience was once an occasion worth dressing up for – a chance to don your Sunday best. These days standard travel attire is more about comfort, yet dress codes still apply in certain instances such as airport lounges. And if you’re not suitably togged up, you risk being turned away at the front desk. In the case of Qantas, the airline enforces a strict smart casual dress code at its main  Qantas Club  lounges and Qantas business class lounges across Australia – specifically at Qantas Club and Qantas Business lounges in Adelaide, Brisbane, Canberra, Melbourne, Perth and Sydney. What about regional Qantas lounges, as well as international Qantas first class and business class lounges – including overseas Qantas lounges in Singapore, London and Los Angeles? The airline advises Executive Traveller that visitors to all Qantas lounges, not just ones in Australian capital cities, are expected to follow the same guidelines.

Qantas lounge dress code explained

‘Smart casual’ is a fairly broad term – even Wikipedia describes it as “an ambiguously defined Western dress code” – but if you go too casual and dress down rather than up, you can be denied entry at any Qantas lounge. A spokesperson for the airline previously confirmed to  Executive Traveller  that entry “may be refused at the discretion of the lounge staff if visitors do not meet the appropriate standard”, noting it’s up to the discretion of lounge staff whether a visitor meets its guidelines. So what can you be turned away for? The  Qantas website  breaks down the Qantas lounge dress code – the major fashion faux pas are also posted at the entry of most domestic Qantas lounges – adding that its lounge staff “will decline entry if some items of clothing are too casual or inappropriate.” On that list are the likes of thongs and Ugg boots, revealing clothing and swimwear, as well as head-to-toe athleisure gear (bad news for Lululemon devotees). That doesn’t mean you need to dress up to the nines – it’s the aircraft that are on the runway, not you – but clothes that are just too casual should be left in your luggage rather than trotted out in the terminal. This includes: Singlets: never a good look, so swap the singlet for a neat collared polo top or T-shirt. Just be sure the shirt doesn’t carry what Qantas may describe as “offensive images or slogans” (the airline doesn’t specify exactly what it considers “offensive”, so just use your common sense). Thongs: this includes everything from rubber thongs and Havaianas to the more expensive fashionista footwear, with Qantas’ defining a thong as footwear with a strap between the toes . If it’s got a strap around the ankle or is more a sandal than a thong, you’re good. Ugg boots:  yes, Ugg boots are deliberately called out by Qantas. They may be comfortable but they’re not smart casual by any stretch. Bare feet : well, that should go without saying! Beachwear: this includes board shorts, even those which cost a pretty penny. Save them for the swimming pool or the beach. Head to toe gym wear:  a pair of leggings may pass muster, as might an ‘active wear’ top, but don’t turn up wearing both as if you’re headed for a run on the treadmill. Revealing clothing: to some extent this is open to interpretation, but if you wouldn’t wear it to a decent cafe or restaurant then you shouldn’t be wearing it to a Qantas airport lounge. Sleepwear:  there’s nothing wrong with wearing a pair of smart PJs on your flight, but even that set of Qantas pyjamas should stay in your carry-on bag until then. Ditto for slippers. Clothing in bad condition and one wash away from falling apart: while Qantas doesn’t have a hard and fast rule on this, you should generally avoid wearing unclean or torn clothing. Note that high-vis clothing and other uniforms are permitted within Qantas lounges, as long as they’re clean. As for flying, Qantas doesn’t enforce the same strict dress code onboard its aircraft, although anybody wearing clothing with “offensive images or slogans” could still find themselves requested to make a quick change. Qantas Airlines Lounge to Enforce Dress Code

After passenger complaints, staff sent out reminder to dress appropriately.

— -- Lovers of leisure suits, flip flops and cut-offs, beware. At least one airline may turn you away if you want to use its airport lounges in between flights.

Australian carrier Qantas Airlines, which runs routes between Europe, the Middle East and North Africa, is reinforcing a dress code for all Qantas Club members, as well as their guests, required to access the company's international network of airport business lounges. The gist? Sloppy attire is unacceptable.

"Smart, casual dress standards apply at all times," read the terms and conditions for use of the lounges on the Qantas website. "Individual lounge managers will have discretion to administer these standards as they reasonably deem appropriate in the circumstances."

The airline did not immediately respond to ABC News' request for comment on the conditions and whether the same will soon apply to in-flight attire.

In an earlier interview with news.com.au , Qantas head of domestic product and service Helen Gray said that "the rule would initially be enforced at lounges in Sydney, Brisbane, Melbourne, Adelaide, Perth and Canberra via a 'friendly reminder' about the dress guidelines that apply."

Reinforcement of the rules comes at the request of frequent fliers, Gray said.

“The vast majority of our members meet and exceed the guidelines, but we have had some feedback from customers that they want to see those guidelines apply to everyone,” she told news.com.au.

Signage advertising the dress code will be posted outside the lounges.

Eligible Passengers must comply with the smart casual dress policy of our lounges in order to access them. For further information on dress guidelines click here . Please note that lounge staff have the discretion to refuse entry to any Eligible Passenger, if in their reasonable opinion the customers dress does not comply with the dress policy. You will not be eligible for a refund in this case.

Staff travel information

BA staff travel loads are not always accurate and should be taken as an 'approximate' guide to availability. It shows the number of listings and priority, but not commercial overbookings, etc. There are also examples where more available seats are shown than the cabin capacity, particularly in J class, due to moveable cabin dividers. Loads become available 72hrs before the departure of the flight.

Checked baggage

Please note that once you have made a listing on BA (see Flight Listing section above), you can go to ba.com and check the baggage allowance for your specific flight. It is essential to check that information, because that is the allowance which will apply, regardless of what may be on your ticket.

No single bag or piece of baggage will be accepted if it weighs more than 23 kg/51 lbs, regardless of the allowance applicable to the flight on which you are traveling. If you have an item which exceeds that weight, you must re-pack into separate bags. If this results in you exceeding the baggage allowance, you must pay any applicable excess baggage charges.

Duty travel checked baggage

Your allowance will be in accordance with the type of ticket you are using. JIDxxS1 will mean you are eligible to the business class allowance. YIDxxS1 will mean you are eligible to the economy class allowance.

Cabin baggage

One medium bag, maximum dimensions 56 x 45x 25 cm (22 x 17.5 x 9.85 ins), maximum weight 23 kg/51 lbs (but you must be able to lift it into the overhead locker yourself).

One laptop bag OR one briefcase OR one handbag

BA has a dress code which is applied to rebate passengers. Please ensure that your attire is appropriate for the cabin of eligibility.

Seat allocation will depend on how you present yourself. If your attire is inappropriate for the cabin of eligibility, you will be seated in a lower cabin, or may be refused travel.

If there is a need on the day to upgrade on departure to a cabin higher than your cabin of eligibility, those who do not comply with the dress code applicable to the available cabin will not be considered for an upgrade.

Club World and Club Europe cabins

Employees should dress in a smart casual style which may include smart, clean jeans and training shoes.

In any cabin, for comfort on long-haul overnight flights, employees may change into a plain-colored track (running) suit after take off.

Any items of sports or beach wear or any other extremes of leisure wear are unacceptable in any cabin.

Smart national dress or company uniform is acceptable in all cabins.

Listing is required for all flights.

Passengers without a listing will be refused travel.

Important Note

Please note that BA will not accept coupons for different airport pairs. The airport pair on your coupon must match the flight on which you wish to travel.

For travel on flights operated by BA, BA CityFlyer, OpenSkies and the BA Franchisees (Sun-Air and Comair), listings must be made via idtravel.ba.com

Our listing site is not currently able to process tickets that feature other airlines and routes that are not specific to BA.

Please be sure to complete the Flight Choices section on the web-site: this gives our check-in system information to help us allocate seats, for example, whether you are prepared to split across cabins or across flights if you are travelling with other people on the same ticket type.

If you have any problems using the site, please check that your e-ticket has been correctly issued. If you are sure your e-ticket is correct, and are still having problems, please advise your staff travel office.

All airports with self-service check-in kiosks

  • Please present yourself at a self-service check-in kiosk at least 60 minutes before your scheduled flight departure.
  • The kiosk will tell you what to do next, so please read the screen carefully.
  • The kiosk will print a boarding pass, which will show your booking reference: this is key information, especially if you are not allocated a seat number by the kiosk.
  • If the kiosk prints a boarding card with a seat number, this means you have been accepted for the flight; please go immediately to the departures lounge and the gate.
  • If the kiosk prints a boarding card without a seat number, the kiosk will tell you what to do next.

Additional information about Heathrow Terminal 5 You must be through the ticket presentation point by 35 minutes before scheduled flight departure time. This point is immediately before Security. You should only go to the Staff Travel area located behind Zone A in T5 if:

  • You are travelling on a standby ticket
  • AND You have checked in and have a standby boarding pass
  • AND You have had any hold bags tagged
  • AND You have had passport & visa checked where necessary
  • AND It is 60 minutes before the scheduled departure time of your flight
  • AND You are the party leader (when travelling in a group Once there, information about acceptance onto your flight will be displayed on the Staff Travel Screens.

Additional information about Terminal 3 Staff passengers traveling to destinations from Terminal 3 will need to check-in at a check-in kiosk on arrival at the airport. There will be no staff travel office in Terminal 3. If a seat is allocated at the time of check-in, those passengers with hold baggage should proceed to a Fast Bag Drop desk to have their bags tagged. Passengers without bags should proceed to security. Passengers who are not allocated seats at the time of check-in should retain their bags and go the to Flight Management Desk. Passengers who are not accepted for their flight and who wish to standby for a later flight on the same day will be automatically transferred to the next flight. Alternatively, passengers will be able to re-list themselves at one of the Employee Self Service (ESS) kiosks available by the Customer Service Desk adjacent to the terminal entrance door.

Changes to Terminal 3 check-in effective 17th September 2015 Check in at a kiosk in Zone D. If you are allocated a seat follow the kiosk instructions to have your bag tag(s) issued. You should then proceed to a bag drop desk. Note: there is no dedicated bag drop desk for staff passengers. If you are not allocated a seat at check-in proceed to the Staff Travel Room located to the right at the rear of the zone. You must check the screen in the office for further information. You may also receive a text message if you have registered your mobile/cell number. If accepted for travel go to a bag drop desk in the main area for your boarding card and baggage acceptance. If traveling with hand baggage only, proceed to the ESS Flight Management Desk to have your boarding card issued and documents checked. If you are not accepted for travel you will be automatically listed for the next flight to your destination if it is on the same day. You should return to the area to check the screens for acceptance. If you do not want to be listed for the next flight go to the ESS Flight Management Desk to advise.

At London Gatwick North Terminal All staff travel colleagues who are not assigned a seat when checking in at a self-service kiosk will remain on standby landside until the flight has closed. Staff travel colleagues will then be on-loaded via a dedicated Flight Management Desk in Zone A

All other airports: If there is a desk signposted for standby travel, go to that desk. If there is no signposted standby desk, go to the World Traveler or Euro Traveler desk.

Duty travel check-in Where kiosks don't exist check in at the counter for the class to which you are eligible, which will depend on whether you have JIDxxS1 - meaning business class, or YIDxxS1 - meaning economy.

Check-in times To allow for the added security procedures now in place, please ensure that you have completed check-in formalities by 60 minutes before scheduled departure time .

Through check-in Through check-in is not available to standby passengers. When planning your trip, please ensure you leave yourself enough time to land and check-in again at any intermediate point.

Once you are waiting for your flight at LHR, you can enter your PNR code at www.britishairways.com/onload on your phone. This will give you your flight status. Refreshed every minute.

When there are two or more interline employees travelling on the same flight, the time of check-in at the station where you are boarding your flight will determine the onload/offload and the cabin upgrade/downgrade order.

Please do not ask any BA staff for an upgrade. If on the day of travel seats are not available in your cabin of eligibility, you will automatically be considered for an upgrade to the next higher cabin depending on commercial and operational needs, and subject to complying with the applicable dress code for that higher cabin.

Special meals

It is not possible to pre-book special meals for rebate passengers. Therefore you and/or your eligible nominees who for any reason require a special diet, must provide your own food, in sufficient quantities to last for the duration of the flight.

Seat requests

  • Seat requests are not permitted on Staff Travel. If the flight is open, the check-in agent may ask if you want an aisle or a window seat, but this depends on availability.
  • Even if you are assigned a specific seat at check-in, this may be changed to accommodate commercial requirements.
  • Please note that staff passengers must comply with requests from BA check-in staff, cabin crew, and flight crew, and must change seats if asked.
  • Use of a safety seat for an infant is not permitted on board for rebate passengers.

Unaccompanied minors

Children under 16 years cannot travel on a rebate ticket unless accompanied by an adult travelling on the same type of rebate ticket.

No special service requirement is permitted when travelling on standby travel.

Amenity bags will not be given to staff who travel in premium cabins. If offered, we ask that you politely decline.

Please remember that for international travel, each passenger must have a valid passport, and must have relevant visas for the destination, and for scheduled points en route, in case off-loading becomes necessary.

Also, some countries require Advance Passenger Information (API), and BA requires that this must be provided before check-in, using the Manage My Booking section of ba.com .

USA: (Secure Flight data item added 18AUG10)

Please note that with immediate effect, our listing website will collect the following data items for all travel to or from the USA before the listing is created:

Gender, First name (as on passport), Last name (as on passport), Date of birth.

This information is sent to the USA authority 72 hours before departure, or at the time of listing if that is within 72 hours.

In addition to API, the USA requires all Visa Waiver passengers to have completed the Electronic System for Travel Authorization (ESTA) application, ideally at least 72 hours before departure. You do not need to enter travel details or address in the USA, and if approved, the authorization is valid for two years, so it is worth applying well in advance if you think you have any intention of travelling to the USA in the coming two years.
