The Fellowship Committee has set aside funds for Travel Fellowships to assist full-time graduate students in attending a meeting or conference relevant to their degree program to present their research. The maximum sum awarded to any student is $1000. Mentors are strongly encouraged to review their student's applications and to provide funding to the student to facilitate travel to the meeting. This is a competitive process and submitting an application does not guarantee funds will be awarded.

Because University Fellows receive funds that are to be used for travel expenses, they are ineligible for this program during the first two years of their program. Please contact your department's graduate advisor for more information on travel funds if you are a University Fellow.

Travel Fellowship eligibility

To receive support, a student must either:

  • present a refereed or invited paper and be listed as the first author, or
  • present a poster and be listed as the first author.

In addition, students must be currently enrolled in a research degree program on the IUPUI campus (master's or Ph.D.). Students must be registered full time when their application for a travel fellowship is submitted, and be similarly enrolled full time on the IUPUI campus during the semester of their travel.

Confirmation from the meeting or conference that a student has been selected to present their research is required along with a letter of support from the student's research mentor.

Students are eligible to receive this fellowship only one time per academic year.

Fall Fellowships: If you are traveling between May 8, 2024 and April 30, 2025, the application deadline is October 11, 2024. Award notification by November 10, 2024.

Spring Fellowships: If you are traveling between March 1, 2024 and September 30, 2024, the application deadline is March 15, 2024. Award notification by April 12, 2024.

Applications received after the deadline will not be reviewed.

To help you estimate the cost of your trip and how much the university will allow you per day to cover meals on your trip (per diem rate), Indiana University per diem policy and rates can be found at Travel Management Services.

The maximum amount a graduate student may receive from the Graduate Office as a travel award is $1000. Faculty advisors and mentors are strongly encouraged to provide partial funds to support student travel and to indicate this support in the application and letter of recommendation. This is a competitive process and submitting an application does not guarantee funds will be awarded.

Student applicant responsibilities:

1. Applicants must be enrolled in a research-based graduate program as a full-time student during the semester an award is granted and the travel occurs (8 credit hours, 6 credit hours with and Assistantship, or full-time equivalent course such as GRAD-G 901). * 2. Applicants will indicate the total cost of the conference. 3. Applicants must submit proof of the acceptance of their poster or oral presentation from the conference committee. 4. Applicants must complete the online IUPUI Graduate Student Travel Fellowship application and obtain and submit school approvals (see signature page). 5. Applicants must submit a one-page synopsis of the conference and its potential impact on your academics and career. 6. Ensure Faculty Form is submitted prior to the posted deadline. 7. If the Travel Fellowship in not awarded, funding of the trip becomes the responsibility of the student/mentor/School.

The maximum amount a graduate student may receive is $1000. This is a competitive process and submitting an application does not guarantee funds will be awarded.

Faculty/department responsibilities:

1. Faculty mentor/department must submit a letter of support, which outlines the purpose of travel, importance of the research, as well as detailing the talents and strengths of the student, and reasons attendance at the meeting is important for this student. If a mentor nominates more than one student in a semester, they must outline the reason each student is deserving of funding including describing the talents and assets of each student and the importance of their research project. Keep in mind, funding is limited. The mentor or department must outline any funds committed by school/department to support the student's travel, and department account that funds should be transferred to (if awarded) via the online Faculty Form before the deadline. 2. The department is responsible for processing travel with the university. If the Travel Fellowship is not awarded, funding of the trip becomes the responsibility of the student/mentor/School.

How do I apply?

We have created a How-to-Apply guide for your convenience. Fellowships are provided to students who wish to travel to a meeting or conference to present their research studies. Students may also apply for funds to cover travel to a meeting to present research related to a teaching project at IUPUI. This program is competitive and students are encouraged to look for multiple sources of funding to support their travel including funds from their mentors, department, school and external sources.

How to Apply for the Travel Fellowship

How can the award funds be used?

Funds should be used to reimburse your program and/or yourself for acceptable expenses according to Indiana University Travel Policies . This includes, but is not limited to: round-trip flight that originates and returns to the Indianapolis, IN airport; lodging; conference fees; parking at the airport; ground transport while your meeting; and per diem rates to cover food based on the university policies.

Lodging and per diem cannot be claimed for a conference held within a 50-mile radius of IUPUI.

How much is the award?

This depends on several factors. First the committee reviews your estimated expenses, but also takes into account the quality of the overall application and support provided by your program. The maximum sum of $1000 can be awarded.

What is included in the application process?

We have created a How-to-Apply guide for your convenience. Please review this guide before staring your application. Also meet with your mentor or research advisor to discuss how this meeting will benefit your training and whether your mentor, department, or school will also provide financial support for your travel to the meeting. Evidence of financial support from the student’s academic program is important in the application review.

How are the applications reviewed?

Points are awarded for research activities and contributions, as well as achievements. The letter of support, financial commitment from the program, as well as your personal one-page synopsis of how the conference will assist you in your studies and career goals will be the primary focus of the committee.

Incomplete, incorrect or late applications will not be considered. Applicants who did not meet the eligibility requirements will not be considered. Please review materials carefully for accuracy.

You are responsible for all portions of the application; this includes ensuring that the Faculty Form is submitted by the deadline.

How will I know if I have been awarded a fellowship?

You will be notified via your university email account on or around the notification date listed under deadlines.

Will I receive the award prior to my travel?

Funds are awarded as reimbursements to your department only. You may receive notice of your award prior to your travel, but the funds are not transferred to your program until you return from your tip and the required receipts are submitted to your department representative. Your department representative will be responsible for ensuring that you are reimbursed.

How do I plan my trip?

You will need to work with your program / department to plan your travel according to Indiana University Travel Policies .

What do I do after I return from the conference?

After you return you will submit your receipts for acceptable expenses to your department representative to process your reimbursement. Your department representative will then complete the Travel Fellowship transfer electronic form (link provided in award notification) to access University Fellowship travel funds.

What if I am not awarded a Travel Fellowship?

Look at other campus opportunities, such as the Graduate Professional Student government's GPEG award and the IU Worldwide program.

Other funding resources

Indiana University also provides some travel funds for students from under-represented groups pursuing graduate studies within IU programs. Students who have received funds from the President's Diversity Initiative or Herbert Fellowships should contact their graduate program advisor to learn about travel funds provided by sources.

The GPSG offers Graduate and Professional Educational Grants (GPEG) for the assistance in the development of their educational experiences.

IU Worldwide

The Office of the Vice President for International Affairs provides a wide range of services and resources so our students can gain this knowledge and expand their opportunities to travel, study, work, and do research abroad.

Study & Research Abroad

Summer pre-dissertation travel grant.

Summer pre-dissertation travel grants support research-related summer travel abroad prior to conducting dissertation research abroad. Open to all IUPUI graduate students. Awards: Stipend set at economy round-trip airfare plus $1,000

International Enhancement Grant

International enhancement grants support students pursuing academic training which adds or enhances an international component of their graduate degree program. Open to all IUPUI graduate students.

Awards: Up to $2,000

Indiana University is required to comply with the Jeanne Clery Act . Part of this requirement is to report student travel to off-campus locations. More often than not, travel to conferences would be a reportable travel event. The School’s Dean and Department Chair in which the student is enrolled are responsible for complying with request for information and travel sent by the Indiana University Public Safety and Institutional Assurance.

Student Travel Funding

The music theory faculty encourages students to become active in the field by attending and presenting papers at regional and national conferences. The following sources of funding are available to support graduate students who are presenting papers at conferences. Students are encouraged to apply for funds, up to the amount needed, from each of these sources.

Graduate and Professional Student Government Travel Award

The  GPSG Travel Award  is a competitive award of $500 for graduate and professional students at Indiana University Bloomington.

Jacobs School STC Awards

The Jacobs School of Music Student Travel Committee provides awards for students making conference presentations. The Jacobs STC Application Guidelines can be found by following the link. Awards do not exceed $300; in most cases only a portion of travel expenses can be covered. You will receive your reimbursement after the event.

Music Theory Fund

The Music Theory Fund helps to support the professional activities of the department, including support for students presenting research at conferences. Awards are limited to $250 for conferences within driving distance and $500 if airfare is required, but may be lower depending on the availability of funds and the number of applications received. A student is eligible to receive one award per academic year.

You should apply  before  the date of the conference if at all possible. To be eligible, you must first have applied for funding to other sources listed above. The total funding received from all sources may not exceed the actual costs.

  • Student name
  • Name, location, and dates of conference
  • Actual dates of travel
  • Title of paper to be presented
  • An estimated budget (mileage or airfare, lodging, and conference registration may be included; meals are not covered)
  • A list of other sources of support applied for or received

Requests are considered throughout the year, but should be submitted as early as possible to ensure full consideration for the available funds.

  • The maximum individual award for both Conference & Research Travel(regardless of domestic or International) has been increased to $800 from $400.
  • An applicant may combine Travel Awards with other funds , but all other funds must be declared and GPSG funds may only be used once all other funds are exhausted. Non-declaration of funds is an honor code violation.
  • An applicant must be enrolled in the Spring semester for travel from January through June , or the Fall semester for travel from July to December .
  • The STAC shall recommend awards decision to the Senate at the meeting immediately following the conclusion of an application deadline.
  • The Reimbursement period has been reduced from 30 days to 15 days .

FAQ & Travel Awards Process

What is the Travel Fund and how does it work?

GPSG provides funding for graduate and professional students traveling for research or educational conferences through Individual and Group Travel Awards. Students interested in receiving a Travel Award must apply well in advance of their intended travel date(s). All applications are reviewed by the Travel Awards Committee, a standing committee of the GPSG Senate, and approved by the full Senate. This is a very competitive process, and we receive many applications each cycle.

Like all other GPSG revenue, Travel Awards are funded by student fees. Travel Awards are processed as reimbursements; we cannot disburse funds until after your travel has been completed.

Will this affect my financial aid eligibility?

Please note: receiving a travel award may have implications for your financial aid eligibility. In addition, travel award funds may be considered as taxable income. Because every student’s financial situation is different, please email the Office of Scholarships and Student Aid at [email protected] or call their office at (919) 962-8396 to inquire further about how receiving this award may impact you.

Eligibility

Applicants for Travel Awards must meet the following base criteria:

  • Currently enrolled graduate or professional student at UNC Chapel Hill in good academic standing. Students cannot apply for an award for traveling taking place after they are scheduled to graduate.
  • Enrolled during the semester corresponding to the travel
  • Has NOT received GPSG Travel Award in the past two (2) years

An applicant may combine TAs with other funds, but all other funds must be declared and GPSG funds may only be used once all other funds are exhausted. Non-declaration of funds is an honor code violation.

Application

GPSG accepts Travel Award applications year-round for travel occurring during the academic year (September 1st to August 31st), but you must apply for an award based on your travel dates. This means you can apply for a Travel Award well in advance if receiving an award is critical to your travel plans.

Applications shall be due no later than the 1 st of the month prior to which the travel occurs, with the exception of May travel, which will be due on the 15 th of March to give the committee enough time to evaluate applications. (i.e. for travel any time in January, applications are due Dec 1 st ). See table below for full details.

After the application deadline, the Travel Awards Committee will review the applications and make a recommendation to the  GPSG Senate . Pending Senate approval, the Travel Awards Committee Chair will notify applicants if they have received an award. Following travel, applicants must follow the appropriate procedure (outlined below) to receive reimbursement.

International Travelers

Per University policy, students traveling internationally must complete additional steps ahead of their travel.

UNC Global Travel Registry 

Anyone traveling internationally in affiliation with the University of North Carolina at Chapel Hill must register the trip in the university’s Global Travel Policies(GTP) .  The GTP is UNC’s central reporting and communication system for affiliates traveling abroad.  The GTP informs university officials of any UNC affiliates who may be traveling in a particular world area at any given time.  The information travelers provide is restricted to authorized departmental and university administrators and is used only to facilitate communication with travelers who may be in a global crisis situation.  Some students on approved programs offered through the Office of Study Abroad or through a professional school administrator may be pre-registered and, in such instances, would not need to register independently.  For more information, please contact Andrew Hunt with UNC Global at 919.962.6022 or [email protected] .

Insurance Coverage Abroad 

Anyone traveling abroad in affiliation with the university must also enroll in the international health, evacuation, and repatriation insurance program established by the UNC System Office and administered by GeoBlue, which can be found under International Health and Evacuation Insurance section in Global Travel Policies(GTP) . To enroll, please contact Janet Hoernke in Risk Management Services at 919.962.6681 or [email protected] . Some students on approved programs offered through the Office of Study Abroad or through a professional school administrator may be pre-enrolled and, in such instances, would not need to enroll independently. For other travel not affiliated with UNC, we encourage you to review your insurance coverage before traveling and, if necessary, consider purchasing a supplemental policy to cover you while abroad.

Travel Warnings and Alerts

The university monitors State Department Travel Advisories, CDC Travel Health Notices, and daily world news briefings and security alerts.  In accordance with this and other available information, the university assigns an appropriate travel risk level for each world country. Travel to countries with elevated risk levels carries certain implications for university-related travel.  Click here for a list of countries with elevated travel risks as well as information on additional requirements for traveling to these nations. Reimbursement

Students who have already received a GPSG Travel Award should follow the instructions below for reimbursement. This is NOT an application for a Travel Award.

Requests for payment cannot be submitted until  after  your travel has concluded (unless an exception is granted by the Travel Awards Chair) but must be submitted within 15 days of its conclusion.

You will be asked to submit several pieces of documentation in this form, including:

  • Direct Deposit Form (if not already on payroll)
  • A copy of the conference schedule or a letter of acceptance
  • A signed letter from your research advisor or supervisor confirming the details of your travel
  • A report (300-400 words) on your conference or research experience

Please collect this documentation in advance, as you must have all of it in order to submit the form. If you have any questions regarding this form or the reimbursement process more generally, please contact the  GPSG VP for Finance .

Executive Committee

  • The GPSG Executive Committee (ExComm) consists of eight elected and/or appointed officers and two staff members. ExComm members are responsible for the organization and smooth functioning of GPSG Assembly and committee meetings, as well as other GPSG functions.

Assembly Representative Responsibilities

Gpsg assembly representative responsibilities.

Our student government gets 100% of its strength our active and engaged student body. GPSG serves nearly 10,000 graduate and professional students by providing academic support, community, advocacy, and graduate resources.

Assembly Representative : The GPSG Assembly represents the entire Indiana University Bloomington graduate student population. The number of voting seats given to each department or program is determined by the level of enrollment during a bi-annual audit. Each department or program chooses how to elect or appoint their own GPSG representative(s).

Duties and Powers of Representatives.

Part 1: Representatives are expected to perform the following duties:

  • represent the interests of their constituents in all matters before the Assembly;
  • inform the graduate or professional students in their departments of the issues and events important to the GPSG and its members;
  • attend all monthly meetings or send a proxy;
  • serve as members of a standing or ad hoc committee and participate in the activities therein.

Part 2: Representatives have the following powers:

  • propose agenda items for debate before the entire Assembly;
  • discuss proposals and issues before the Assembly; however, only voting members may actually vote on motions before the Assembly
  • be active in one of the five committees listed below

Time Commitment to GPSG Assembly Representatives: A GPSG Representative should expect to commit about 4-6 hours a month, which includes one assembly meeting and campus committee meeting outside of assembly each month. However, different committees meetings outside of assembly may vary. Below is some information about the fall 2016 assembly dates and a brief information of the GPSG campus committees.

    The maximum individual award for both Conference & Research Travel(regardless of domestic or International) has been increased to $800 from $400.; An applicant may combine Travel Awards with other funds, but all other funds must be declared and GPSG funds may only be used once all other funds are exhausted.Non-declaration of funds is an honor code violation.
