The best visitor experience starts before they even walk into your office and concludes with guests thinking “I want to do business with these people.”

When a visitor enters your organization's place of work, what do they see? What do they experience? Is the first impression they receive one that reflects well on your organization? If you haven’t asked yourself these questions lately, it might be time to consider the last time you evaluated the visitor management experience at your organization. How you greet visitors in your office sets the stage for the relationship you hope to have with them.

And before you say, “We don’t have any visitors,” consider that all of the people who enter your office but do not work there are visitors. This ranges from package delivery service people to customers and clients, to potential new employees, to the district manager who works in an office the next county over. What kind of impression do you want all of these different people to have?

The Visitor Experience

Why is the visitor experience so important? It is because actually physically experiencing an environment immerses you in it . You see whether it is frantic, merely busy, or miraculously calm. You hear whether it is noisy or quiet. You witness people interacting in friendly, professional ways – or possibly in not-so-friendly or professional ways. You notice whether the office is clean or dirty, organized or unorganized.

This immersion allows you to make both logical and intuitive decisions about whether or not you like a place and its people. You also decide whether or not you want to do business with or otherwise spend more time in that environment. Colleges and universities know this and spend vast amounts of time, money, and effort trying to get prospective students to campus, and then making that visit pleasant and memorable.

Who or What Greets Your Visitors?

The visitor experience begins with being greeted, or possibly with not being greeted at all. What happens in your workplace? Most likely, one of the following greets your guests, though these options can work in combination:

  • A dedicated receptionist is an employee whose primary responsibility is serving guests. This person might be a security guard.
  • A semi-dedicated receptionist is an employee who greets visitors as part of their role, but who also has other equally important -- or more important -- duties.
  • An informal receptionist is an employee who sits near the door and, though it isn’t technically a part of their job responsibilities, ends up handling visitors.
  • An empty, unstaffed reception area with or without directional signage to point people to the correct area.
  • A digital visitor check-in kiosk , either clearly marked or not.

In today’s modern office, not every workplace is staffed with a dedicated receptionist. Receptionists are valuable employees, as they provide personal interaction with visitors. However, few locations can afford to pay a staff person for the sole purpose of greeting and checking in visitors. Unless you process a larger number of visitors regularly or have high-security needs, hiring a receptionist or security guard is not likely a priority. If you have an employee sitting idly, your dollars are not being put to good use.

If you cannot name the person responsible for greeting visitors, it is likely that you have a semi-dedicated receptionist , someone with other responsibilities to keep them busy when they are not assisting guests. However, it is important to consider how often administrative assistants or office managers have pulled away from their desks, leaving behind an unstaffed reception area. On the other hand, how often are they interrupted so often by visitors that they aren’t getting their other duties accomplished in a timely manner?

  • Follow directional signage and hope they are making the right choices
  • Wander around lost until they decide to finally ask for help
  • Make a beeline for the first person they see behind a desk.

Whomever the visitor encounters ends up becoming the receptionist. This person’s work gets interrupted in order for them to assist the visitor in finding where they belong. If this person is unlucky enough to be stationed near the door, interruptions might occur very frequently, causing an incredible loss of productivity, and almost always a level of resentment. There is a good chance this person is looking for a job right now!

A digital visitor check-in kiosk has the advantage of freeing up employee time while still accomplishing the job of “greeting” and processing guest information. Flex workspaces, informal office environments, and other locations that have no real need for a human receptionist might find using a visitor self-check-in kiosk to be the most effective method for handling visitors and connecting them with their hosts. While some may lament the lack of human interaction that occurs with a digital device, it is important to remember that this method of checking in visitors can be used in conjunction with a human receptionist. Allowing guests to check themselves in via an iPad receptionist allows an administrative assistant to complete a phone call, pull a file, or otherwise finish a job.

Which of these options, or a combination of options, you use may depend on the layout of your building and the type of business you are in. Consider what would make the most positive impression on your visitors while also allowing your employees to use their time and the organization’s money as efficiently as possible.

The Key Components of the Visitor Experience

Each of the above methods of greeting guests is used by different organizations all over the world. It is important to assess whether or not the method you are using is providing the visitor experience you desire for your guests. Here are some things to look for.

The Atmosphere

The first thing a visitor is going to notice is the overall atmosphere of a location and the attitudes of the people in it. These play a big part in forming that important first impression . You want to make sure your visitors have professional, engaging first few moments. Some things to consider:

  • The environment: What does your reception area look like? Is it cluttered or tidy, clean or dirty? Is it full of people, or totally empty? Is it noisy, or quiet? Calm or chaotic? Does it reflect your brand? A professional-looking reception area will project the appearance of being organized and not overly busy. Clear, direct signage will point visitors to a reception desk, which may be staffed or may have a digital visitor sign-in system . Posters, artwork, and decor will reflect your brand, and your digital visitor app will be designed with your brand as the focal point.
  • The people factor: If you do employ a receptionist, whether dedicated or semi-dedicated, you should consider how this person behaves with guests. Warmly greeting guests with a smile, asking appropriate questions, and getting them on their way are all very important factors in how a visitor is treated. If your receptionist is harried from being overworked or having too many interruptions, this part of the visitor experience may be less than positive. If you don’t have a dedicated receptionist, it is quite possible any employee who is interrupted by a visitor may not be friendly at all. In an unstaffed waiting area, a digital visitor check-in kiosk ensures the visitor is greeted in a friendly way. In staffed waiting areas, such a device may take some pressure off the employee.
  • Comfort: We all know what it is like to have to wait, and visitors to an office very often have to wait. Whether we are at the doctor’s office or we’ve arrived early to a meeting, we can spend quite a bit of time just waiting. The reality means it is important to consider your guest’s comfort level. Do you have comfortable seating? Are there restrooms or coat areas nearby and clearly marked? Are there magazines, snacks, coffee, or water to help pass the time in relative comfort?

The Nitty-Gritty Details

Part of the visitor experience is making the visitor certain that their needs are being met. While the first impression is important, getting the details in order to efficiently assist the guest is even more important. Whether done by a person or a digital registration app, every guest needs to have the following things done.

  • Be recognized as a visitor: Visitors generally need assistance when they arrive at your organization. They will likely need directions, have questions that need answers, and want to get their business taken care of. In order for any of these things to happen, someone needs to recognize that they ARE a visitor. Receptionists and employees don’t usually look at the coworkers they see every day and say, “May I help you?” but that is exactly what needs to be done with a visitor. Human receptionists need to be attuned to someone new to the office in order to assist them. Digital check-in kiosks automatically recognized that those who check in are visitors. Some print visitor badges to help employees know who might need extra attention.
  • Share important contact information: In order for visitors to be assisted, they often need to provide various pieces of contact information. Receptionists and digital systems typically ask for a first and last name, and possibly what business the person is representing. Without this information, it can be impossible to accurately inform the host – the person the visitor is meeting – of who has arrived to see them. Digital systems also can be programmed to collect phone numbers and email addresses. They can also require visitors to eSign legal documents, like nondisclosure agreements, to help secure your organization's data.
  • Explain needs and other important task-oriented information: Visitors don’t show up at your door for no reason. They come to deliver food or flowers, interview for a job, fix a copy machine, pitch their latest product, or do myriad other possible tasks. In order to accomplish their tasks, they need to tell someone who they are meeting and the purpose of their visit. Again, human and digital receptionists can ask these important questions in order to get the visitor on their way.

The Follow-Through

Once all the information has been collected from the guest, the next part of the visitor experience involves what happens after, both in the office and outside of it. A professional office will do its best to handle these tasks with finesse and efficiency.

  • Connecting the host and the visitor: The most important thing for a visitor, once they have shared the necessary information, is to connect them with their host. No one likes to be kept waiting for longer than seems necessary. What does your visitor see and hear at this point in the process? A human receptionist is likely to place a phone call, send an email, text, or instant message, or otherwise attempt to locate the host. This may first require a search for a phone number in the company directory. If the person isn’t at their desk, a second search might be required. A digital registration system can automatically contact the host via preferences - email, voice call, text message, Slack notification , or Google Hangouts instant message - the host set in advance. If one method doesn’t work, a second can be employed. This all happens automatically and behind the scenes.
  • Smooth transitions to and from the waiting area: Once the host is contacted, how do they meet up? Generally, it is best if the host physically comes to the waiting area to collect their guest. This allows the receptionist to concentrate on getting other tasks accomplished. If it isn’t possible for the host to come to the guest, a designated surrogate can be sent to pick them up. The receptionist can serve as an escort when needed, but it is usually a bad idea to leave the reception desk unstaffed in case another guest arrives. If the office is small and well-marked, the guest might be able to find their own way with directions, but that should be the last resort. The same holds true when the guest leaves the building. Generally, the guest should be walked to the exit by their host or another employee. If the building is uncomplicated, the guest may be able to leave unescorted. In either scenario, it is important to consider the workplace security needs of your organization. Not every organization allows visitors to be unaccompanied. Not only is escorting guests a polite way to have a great personal experience, but it is also more secure for you and your guests.
  • Appropriate follow-up: The visitor experience doesn’t end when the visitor is left at the door. In some organizations, checking out is just as important as checking in. This can be for security and audit purposes, record-keeping, and data analysis. Having an accurate check-out time can assist with everything from determining the average length of job interviews to assisting with criminal investigations. Follow-up also means contacting the visitor after they’ve left your building in order to thank them for coming, invite them to future events, or provide more information. Many organizations utilize Contact Relationship Management (CRM) systems to assist with this type of record-keeping and task management. Receptionists and employees should be trained to enter notes and contact information into CRM systems. Digital registration systems can be used to automatically enter that information into the CRM.

Summary - Making Your Best Impression

The visitor experience starts before they even walk into your office, and concludes long after they’ve left. What happens when they arrive and how they are greeted, treated, and connected with their hosts plays an important role in how they feel about your organization. You want to create a top-notch visitor experience so they walk away thinking, “I want to do business with these people.”

How to Welcome Visitors to Your Office

They say that you only get one first impression, so make it count. The same can be said for when you welcome visitors into your office space, whether it be for a collaborative meeting with a business partner, an interview for a prospective hire, or a welcoming luncheon for the board of directors. There are certainly a few ways you can ensure that your first impression when bringing visitors into your office always hits the mark, and visitors feel welcomed, relaxed, and impressed by your office space.

Why welcoming visitors matters

We’ve talked a lot about what it takes to hold a successful meeting, and often what we’ve mentioned have to do with the preparation and execution of the meeting itself. But if you aren’t doing your best when welcoming visitors, and bringing them in to your space in an inviting way, it can set a negative tone for the meeting to follow. You definitely do not want to run your meeting off the rails before it even starts. 

How you can begin to welcome visitors

  • Make offerings and welcoming gestures - Offer to take the guests’ coat or umbrella if applicable. Offer them a glass of water or coffee or tea. Making offerings and these kinds of gestures can make visitors feel more relaxed, and can also make for a softer beginning to the meeting rather than just getting down to business.
  • Have a comfortable and inviting entrance - You of course by now know how important office layout can be to the overall feel and atmosphere of your office for your employees, but the same can be said for visitors. Plan your entrance area to include comfortable lounge furniture, rather than just a few stark chairs. If it’s on-brand, include warm and bright colors like yellow and orange, and place several plants around the area. All of these things can make people more comfortable going into your meeting.
  • Provide the visitor clear instructions on how to find your office - If it is difficult to find your entrance, or if there is a complicated sign-in needed, make sure your visitors know this ahead of time. Making a visitor feel stressed, or rushed, or panicked because they couldn’t find your office, is not setting your meeting up for success. Clearly describe these things via your correspondence ahead of time.
  • Ensure you have all the equipment you need - Nothing is worse than conducting a meeting and finding out in real-time that you don’t have the correct adapters for their computer and your projector, or other issues with compatibility. If they have a presentation, offer them to email it to you ahead of time in order to have a backup. Or bring a USB drive to the meeting in case files need to be quickly transferred between devices if you haven’t corresponded about their technical needs ahead of time.

While your primary objective shouldn’t be pitching your offering at every opportunity, you might uncover a problem that your product or service can help solve. Noting these potential value-adds can make for more effective, thoughtfully targeted upsell and cross-sell conversations.

Customer visits can be a unique source of sales content, including pictures for case studies, video testimonials, and strong evidence-based customer stories. If you plan on making this one of your primary goals, consider asking your client to set the stage for these kinds of materials before you visit so you already know who you’ll be speaking to, before coming onsite.

How to Plan an Onsite Customer Meeting

By putting more effort in before you go, you’ll have a much better chance of achieving your goals and impressing your clients. Here are some key actions to consider when planning your customer meeting.

Thoroughly prepare before the visit.

Before you arrive, make sure you’re up to date on the state of the customer's account. Who are they usually talking to at your company? What customer service tickets have they raised lately? Are there outstanding issues that need to be addressed? These will come up during your visit.

Secondly, understand the current ecosystem your customer is working within. Is your customer in the news? What’s happening in their industry? What threats and opportunities are arising in their business? Being prepared and knowledgeable about their inner workings will make a better impression than coming in blind.

Decide who you’re meeting with.

Start by setting up a meeting with relevant company leadership. That could be the CEO, the founders, or the VP of the functional team you're working with — depending on the company's scale. Bear in mind, while this contact might be the "reason" for your visit, they're probably not who you'll be spending the most time with.

Once you have a meeting scheduled with the company's leadership, plan the rest of your day around meeting with the team leaders and employees using your product — as well as any teams that are open to signing up or expanding the current seat count or contract scope.

Make dinner reservations for you and your clients.

Traditionally, a customer visit includes taking your client out for a nice dinner as a token of appreciation. It also offers a chance for you to get to know each other outside of the limits of the work environment and form stronger relationships.

That being said, this is not a social visit. Keep your goals in mind — even outside of work hours. If you’re familiar with the restaurants in the area, choose a place that has options for every diet and has a good atmosphere for conversations. If you’re not familiar with the available options, ask the client where they’d recommend.

Complete the wrap-up report.

After the visit is over, you still have work to do. Create a wrap-up report for your internal teams back at the office. It should cover key elements of the visit like any confidentiality agreements put in place and who at your company you can share contact information or sales figures with.

Identify any action items that came up during the visit. Include any positive highlights during the meeting as well as any risks or opportunities that arose. Create a copy of the report for your client as well, to show that you were listening to their concerns and that you’re going to follow up with them.

I distinctly recall a moment about a year ago. I was with friends in Denver’s Cherry Creek neighborhood, known for its upscale shopping, dining, and hotels. One of my friends was getting married in a couple of months and stopped by the store where he and his groomsmen got their tuxedos.

He was greeted by name and with a cold beer. Handshakes and hugs all around.

When we left, I asked my friend, “Do you know them?” He said, “Yeah, they’re helping me with my tux.”

Their entire relationship was forged on a transaction, a customer-brand interaction. But it was authentic. I’m not in the market for a tux, but if I were, that’d be my first stop.

How you greet your destination visitors — along with your succeeding interactions with them — make lasting impressions. It’s a low-cost investment you can make to improve the visitor experience and yield profound results.

One study shows that more than half of shoppers will return to a destination because they’ve previously had “superior customer service.” Plus, in retail, that positive experience can help prevent shoplifting .

Sales greeting techniques: why they’re important

Lack of acknowledgment from front-line staff is one of  visitors’ top three most significant complaints  about shopping — and it could be a contributing factor to why  one Salesforce report  found that only 32% visit stores because they enjoy the experience.

The greeting is customers' first impression of your brand, at least as it relates to that specific in-person experience. “A good customer greeting or even the absence of [one] is the first piece of the customer shopping environment,” says Stephen Ekstrom, Chief Strategist at The Tourism Academy | tourismacademy.org . “They can get a sense of your message through greetings.” That greeting should set the stage for the experience your visitor is about to have.

How do you greet visitors to your community?

Vary greeting techniques and specific verbiage instead of speaking from a script every time. “It displays brand authenticity,” he says. “When destinations train front-line workers to greet in various ways, it allows not just the destination, but also the tourism ambassador to share the breadth and depth of your destination's values.”

That’s not the only reason you should change it up. Ekstrom points out that this demonstrates authenticity, an awareness of what’s happening in the destination, and authority and presence on the visitor front line. That presence is crucial: Three-quarters of consumers place much importance on interacting with sales staff when needed, according to the Salesforce report cited before.

Plus, it feels personal. Customers want to hear their greeting, and it becomes impersonal if everyone who walks in after them is greeted the same. “Greetings, let your guest know you’re there to provide a great visitor experience,” Ekstrom says.

“[Greetings are] also important in sales conversion and loss prevention,” Ekstrom says.

Customer greeting techniques to use in your destination

To help brainstorm ideas, Ekstrom buckets associate-visitor interactions into four categories:

Familiarity

Commonality, orientation.

Small talk is a great way to break the ice and establish a friendly, human connection with visitors. “Typically, small talk is for those visitors you don’t recognize,” Ekstrom says.

Small talk, greetings, and questions should invite two-way conversation. Avoid questions that can be answered with a yes or no — they can quickly lead to dead ends. Ekstrom points out that relationship-building hinges upon that back-and-forth.

“It’s not necessarily the first question that is the most important or the first greeting the associate gives,” he says. “It’s the one that follows up the more important response, particularly regarding this bucket.” Those follow-up questions should be natural progressions of your associates' conversations.

If you’ve ever been to a Chick-fil-A, you know how great their staff is at small talk. Friendly smiles, upbeat energy, and lots of easy small talk make every experience positive. They interact with you while you wait for your order through light conversation. Once, they gave me nearly a dozen free salads because they were closing, and I needed to get rid of them. But it’s not just me who feels this way — they’ve consistently earned the top spot in their industry's American Customer Satisfaction Index .

Remember that experience I had with my friend at the tuxedo shop? That was under the category of what Ekstrom calls familiarity. “Familiarity is when you’ve seen a visitor before,” she says. You’ve already established an initial relationship with a visitor.

Now, it’s about nurturing that relationship. Demonstrate to your returning visitors more than just remembering them — show them you’re getting to know them.

You can use tech to your advantage. Many POS (point of sale) solutions like Vend have built-in customer management features that allow you to add notes and track previous purchases. You can reference these things when encountering a returning visitor and use the data you have to tailor their guest experience.

Salesforce also found that 64% of consumers want personalized offers from retail brands, while more than half will switch to another brand if you don’t integrate personalization into your communications.

“Regulars want to feel like they’re in a   community   and belong,” Ekstrom says. “I like to train my students to be friendly and personable, but not necessarily speak and communicate as they would with friends.” He says to keep it to one or two sentences, as anything that goes overboard can negatively affect the experience.

Customer greeting example: Familiarity in action

You can take a look at hair salons. Many stylists have loyal clientele; it’s one of their selling points when searching for a chair to rent in a salon. Consumers go to the same stylist for years. You share personal stories and information with your stylist; you develop a real relationship. They return to the salon because of the human interactions and the quality of service they receive from that particular stylist. When her stylist moved, My mother would drive 45 minutes to get her hair done. Treat your associates as your version of stylists who can create that authentic, human connection.

This is when your associates represent the people behind your brand and share a piece of themselves (and, thus, your brand) with customers. “Commonality establishes a relationship through something happening in common,” Ekstrom says.

Establishing commonalities with customers through your community members gives visitors something to connect with. A shared value, perception, or even voice can make your destination relatable and instill trust.

Have you gotten outside to enjoy the fall colors yet?

Have you been around the corner to store X? It’s one of my favorites. (Follow up with What do you like about that store?)

Ekstrom's tips on commonality:

1. Be specific : Rather than asking, ‘How about this weather?’ try something like, ‘Did you get outside to enjoy the warm weather we’ve been having?’ “You can show true engagement,” says Ekstrom of specificity.

2. Be personal: You're encouraged to share a bit about yourself through the lens of your destination. “Personal testimonials are important when establishing commonality,” Ekstrom says. “And they need to be true and helpful.”

3. Be authentic: Visitors can sniff out insincerity in an instant. Ambassador-visitor interactions should be faithful to both the brand and our people.

4. Be positive:   Every interaction should be positive. Ekstrom gives an example: rather than saying, ‘When will it stop raining? we can't do anything!’ opt for ‘You’re more than welcome to stay here as long as you need to stay dry.’ “That’s a good way to take commonality, which sometimes tends towards discomfort or inconvenience, and put a positive spin on it,” she points out.

I was shopping for a new snowboard at my local  Christy Sports Ski and Snowboard shop. I hadn’t bought a new one in longer than I’d like to admit, so I didn’t know much about the latest products available. The associate helping me out was a snowboarder himself, and he gave me an objective overview of the different kinds of boards available. Then, he gave me his opinion through his own snowboarding experiences. I immediately trusted him because we established something in common and I knew he was speaking authentically through his own experiences. I bought a snowboard from him that same day, even though I had initially planned to shop around.

Orientation is welcoming and familiarizing visitors to the space in your town. These interactions direct visitors to what they need and help them feel comfortable while exploring.

Sometimes, visitors will tell you exactly what they’re looking for. In that case, orientation is more straightforward: Guide those individuals to get exactly where they want to go. You could also offer helpful information they might not have thought of.

For example, if someone’s looking for running shoes in your sports apparel shop, you could also point out that the running socks are buy-one-get-one and available on your way to the shoe section. Then, mention your favorite running trails nearby.

Look the part

You and your fellow ambassadors (volunteers) must be presentable when facing visitors. The more likable your appearance is, the higher the chances visitors would respond favorably to your greeting.

The right look depends on your setting. Someone working at a shop that sells beach attire clothes would dress differently than someone at a four or five-star hotel. Regardless of your dress code, see that you’re wearing clean and pressed clothing. If makeup is required, ensure that your face and hair are touched periodically throughout the day to keep your best foot forward.

The timing of your greeting will affect how your spiel will land. In most cases, it’s best to wait about 15 to 30 seconds after someone has walked in before you greet them. This gives them enough time to get their bearings and adjust to your environment. Welcoming them too soon could overwhelm visitors, so wait before approaching them.

In addition to the tips above, Ekstrom reiterates the importance of keeping the conversation going but being mindful of visitor preferences. “I like to take the cue from the visitor,” she says. “Typically, locals are very attuned to what’s happening in the neighborhood and the vibe.”

It comes down to your intuition and noting social cues. “If it feels like you’re asking too much, you’re asking too much. If you feel like it’s been a long time since you checked in, you’ve waited a long time to check in.”

Remember that every person, and thus every visitor, is different. “More than [one interaction] for someone who’s very introverted might be too much,” Ekstrom notes. "If a visitor feels like they’ve been authentically and genuinely engaged, you can take their cue for back and forth conversation.”

Train your employees

Ekstrom nods that the best tourism ambassadors are inherently good at interpersonal communications. There are some characteristics that you can’t teach. “A true community advocate associate likes to engage,” he says.

However, you can teach colleagues visitor greeting techniques to enhance their skills and provide a destination-authentic visitor experience. “We need to trust that they can be empowered with the destination knowledge and the brand values to make that engagement genuine,” says Ekstrom.  

Retail Dive reports that almost one-third of front-line employees don’t receive formal training, including sales greeting techniques. However, retail staff training is an area that would benefit from more attention, especially about employing these in-destination tactics. For example, the Salesforce report found that 44% of consumers usually know more about products than associates.

“It’s quite a catch-22 in that the more that we train people to be genuine, it almost becomes more disingenuine,” Ekstrom points out. “When we’re pressuring people to be authentic, it comes across as inauthentic.”

But practical ambassador training is easier said than done. Retail Dive also reports that 35% of retail employees found their training “very effective,” and only 31% felt “extremely engaged” after their workout.

Ekstrom has found one effective training technique: role-playing. “I think that destinations and their front-line partners like hotels, restaurants, attractions, and local shops are best served with experience-based training,” he says. “No one likes to role-play training activities, but that makes them effective and efficient because it highlights confusion, misalignment, and discomfort.” It puts your people on the spot and replicates the real-life experience.

Ekstrom suggests that you switch it up: role play with extroverted, introverted, suspicious, and even rude visitors to help your people build the collective skill set and learn which responses are brand-appropriate.

Ekstrom points to a local Seattle ice cream shop, Molly Moon’s Homemade Ice Cream, as a brand that has effectively trained associates — Scoopers — to ask the right questions and make every customer experience positive. There’s almost always a line out the door. “I always feel genuinely greeted, even though the interactions are quick,” he describes. “[The Scoopers are] so friendly and have fantastic personable personalities. Even though the engagement is quick, I never feel like I’m being rushed.” Customers can taste as many ice cream flavors as they like, and there are visuals to keep you occupied during the wait. “By the time I get to an associate, I don’t feel frustrated and like I waited forever. I’m quite excited,” he says. “That quick but genuine engagement is a great way to cap my experience with the store.”

What is the Welcome to Medicare checkup?

 | You can get one free Welcome to Medicare checkup anytime during the first 12 months after you enroll in Medicare Part B , which is the part of Medicare that covers doctor visits and outpatient services. This checkup is not a comprehensive physical exam but is an opportunity for your doctor to assess your health and provide a plan of future care.

The Welcome to Medicare checkup is optional, but it serves as a baseline for monitoring your health during the annual wellness visits that Medicare will pay for in subsequent years. You do not need this checkup to qualify for later annual wellness visits, but Medicare won’t pay for a wellness visit during your first 12 months in Part B.

What happens at the Welcome to Medicare checkup?

During the exam you can expect your doctor to do the following:

  • Record your vital information, including blood pressure, height and weight.
  • Calculate your  Body Mass Index (BMI).
  • Review your health history — your own and that of your family.
  • Determine your ability to function independently and your level of safety, such as how well you perform activities of daily living and your risk of falls.
  • Assess your potential for depression.
  • Check for risk factors that could indicate future serious illnesses.
  • Provide a simple vision test.
  • Recommend screenings, shots and other preventive services in writing that you may need to stay healthy. Many of these, such as mammograms and vaccinations, may be free under Medicare.
  • Offer to talk about advance directives . A health care proxy lets you designate someone else to make medical decisions on your behalf if you can’t, and a living will specifies your preferences for medical treatment at the end of your life.

How can I prepare for my Welcome to Medicare visit?

To make the most of this appointment, you should gather the following information and records in advance:

  • Your family medical history Learn as much as you can about your blood relatives’ health history. Any information you can give your doctor can help determine if you are at risk for inherited diseases.
  • Your personal medical records That includes providing immunization records if you’re seeing a new doctor.
  • Your prescription medications Along with listing the names of your drugs, include dosage, how often you take each medication and why.

How much will I pay for a Welcome to Medicare checkup?

You’ll have no deductible or copayment for the Welcome to Medicare checkup if you meet the following conditions:

If you’re enrolled in original Medicare, you need to go to a doctor who accepts “assignment,” meaning that the physician accepts the Medicare-approved amount as full compensation.

If you’re enrolled in a Medicare Advantage plan that has a provider network, such as an HMO or PPO , you may need to go to a doctor in the plan’s provider network.

Keep in mind

Even though you won’t have to pay for this checkup, the doctor could order other tests or procedures for which you may have to cover deductibles and copayments out of pocket.

The Art of the Customer Visit: How to Plan One + Why You Should

When was the last time you visited a customer? Customer visits might seem extravagant and unnecessary on the surface.

Why not just get on a phone call or Zoom meeting? Or follow up with them via email? You could just send them a survey, or even dig into your product analytics to surface insights.

That said, if I’m talking to another entrepreneur and say something like, "It's super crucial you physically visit your customers", they all look at me as if I just said the most obvious thing in the universe.

Visiting customers is like working out or eating healthy: everybody knows they should do it, but very few people actually do.

And we’re not excluding ourselves here: We launched Close in January of 2013, but our first customer visit was more than a year later!

Some businesses put off visiting customers because it takes time, and it’s easy to push down on your long to-do list. Or, it may seem more urgent to focus on getting new customers to sign on, rather than visiting existing customers.

If this sounds like you, let’s discuss the benefits of visiting your customers, and how you can set up successful customer visits.

What Are the Benefits of Visiting Your Customers in Person?

It’s true: COVID has permanently altered the way B2B sales works. Studies by McKinsey show that companies have reduced their in-person efforts as a go-to-market strategy by more than 50 percent since the pandemic started.

That said, a decent number of B2B buyers still prefer in-person contact during the customer journey.

And this is exactly where the opportunity lies—fewer companies are vying for your customer’s attention in person. This opens the playing field for your company to perform more customer visits.

And trust me—it’s worth the effort. Here's a quick rundown of the value we got from our first customer visits.

Motivate Your Team to Serve Customers Better

Seeing real people use your product is incredibly inspiring. It energizes you. It recharges your batteries. It gives you a visceral sense of how your work actually impacts the life of your users, rather than just an intellectual understanding. It's like pouring gasoline on the fire that fuels your engine.

Everybody on your team—from the CEO to the intern—should visit a customer, for this reason alone.

It is different from hearing customers tell you how much they love your product or how great they think it is. You just have to experience customer satisfaction happening in real-time. You need to see real human beings depending on what you built. You need to witness how your product helps them to operate better, to be better at what they are doing.

The impact you make on other people's lives is a much stronger driver than any number on a spreadsheet can ever be. Do not underestimate how much this affects you. It's powerful.

Build Better Customer Relationships

Meeting someone in person adds another dimension to your relationship with your customer. You can do a lot of relationship-building via email, chat, phone, and Zoom, but nothing has the same effect as meeting someone in person. It creates a human bond between the two of you.

Jason Lemkin of SaaStr says he never lost a customer whom he had personally visited while he was CEO of EchoSign. Spending time with your customers transforms a transactional relationship into a partnership. It builds empathy on both sides, which ultimately leads to better business.

In-person customer visits are one of the best ways to build customer intimacy . It deepens the commitment on both sides. If one of the people we met needs help one day, we'll be more eager to support them. And I'm pretty sure they'll be more forgiving if there's ever an issue with Close and be more loyal to our product.

Get In-depth Product Feedback on the Customer Experience

Your customers are more than the sum of all their clicks on your product. Yes, you might be monitoring product usage and reading all the feedback people send you via email or even tell you on the phone, but you're missing a lot of crucial context if you can't see your customers using your product within their work environment.

  • How exactly are they using your product?
  • What's happening around them?
  • What else is on their screen?
  • What's competing for their attention?
  • What's their workspace like?

When you visit your customers, you get to see the environment in which they use your software. You experience your product embedded into a user's workday and get a sense of the entire puzzle, rather than just a single piece of it.

And it's little things, like...

  • What kind of headsets /chairs/desks are they using?
  • What other software/apps are they using during their day?
  • Which little hacks did they come up with to make them more productive and efficient?
  • What makes them smile, and what makes them frown when interacting with your web or mobile app ?

It just gives you a better picture of what's working and what's not.

Here’s a real example: during one customer visit, we saw that the customer was using a TV to display our reporting in Close . But at the time, our reporting page wasn’t optimized for full-screen display—it looked crappy.

I remembered that one of our engineers had worked on a quick fix that would make this look better, but we had never released it. I sent a message to the team, and within an hour, this feature was released by our VP of Engineering, Phil Freo . It looked fantastic, and our customers loved it.

While visiting customers, you can gather more in-depth feedback about how they’re using your product and where they would like to see improvements in the customer experience. Product managers can then use this information to build out improvements.

Find Opportunities to Upsell

Years ago, during one customer visit, we found the customer was on a basic plan that didn’t include a specific feature. Instead, they were using a third-party provider to get this feature for their sales team.

Talking with the founder, we faced some resistance to upgrading their plan. But we gained an internal champion during that customer visit by chatting with the sales team manager. We gave him everything he needed to make the transition happen, and they soon upgraded their plan to start using this feature again.

This is the power of in-person visits—not only did the extra revenue help us, but by upgrading their plan, the customer’s success with our product was significantly increased.

Create New Case Studies and Customer Stories

Using case studies and real-life examples of how your customers use your product is an excellent digital marketing strategy and one that will help build trust in your brand.

When planning customer visits, think about the customers you may want to interview for video testimonials or case studies on your website. Having these real customer stories also helps build better marketing alignment with your ideal customers and their needs.

All of these are examples of the kinds of benefits you can get from visiting your customers. You can't predict which benefits precisely you'll get—but you will always get value from a customer visit!

How to Plan a Client Visit That Boosts Customer Loyalty in 7 Steps

By now, you should be sufficiently motivated to actually visit your customers. But what do you say and do? How do you get the most value out of these visits? How do you prepare for them? How do you wrap them up? How do you get started when you visit their office?

1. Identify Which Customers to Visit

Whether you have 10 customers or 10,000, it’s probably not feasible to visit everyone. So, which customers should you visit?

To start, make a list of the customers who already have a good rapport with you—your partners, advocates, and overall best customers.

Next, include customers who are using your product or purchasing from you on a regular basis. Learning about how they use your products and services, or why they keep coming back to you, will be great for your team.

Finally, make sure to include the customers who consistently give you critical feedback. These customers are already pushing your team to do better, and they will likely have super valuable insights to share with you when you visit in person.

2. Decide Who You’re Meeting With

Once you know which companies you’ll visit, decide which individuals inside the company you’ll need to meet with.

First of all, you set up a meeting with the founders or CEO. That's the person you'll be officially meeting. But it's not necessarily the person you'll spend most of the time with.

For SaaS companies, focus on the person managing the team that's using your product, as well as the end-users. If you’re a service-based business, talk to the people who are mainly affected by using your services.

3. Spend Time Getting to Know the Business Beforehand

Just like when prospecting, spend time doing research before the meeting—whether that’s on social media sites like LinkedIn, on the company’s website, or in B2B databases like Crunchbase.

When you walk into that client visit, you should know exactly who you’re talking to, what kind of business they are, which customers they serve, and how your product or service fits into that workflow.

4. Prepare and Share an Agenda

Having a clear agenda for your customer visit is essential to get the most out of the time you spend with your customers.

Start by setting out the agenda for your main meetings with the C-suite and with the managers of the teams that use your product. Set up talking points: such as updates to your product pricing, or upcoming feature launches in your product. Also, leave room in the agenda for their team to add any questions or comments. Leave a clear space for them to give you feedback.

Once your customer visit agenda is prepared, share it with their team. Let them have editing access so they can include their ideas. Make sure that expectations between you and your customer are aligned before you start asking them a lot of questions. Create a setting that encourages them to discuss and share their concerns openly.

Also, make sure to discuss confidentiality. If you plan to report back to your team after your customer visit, explicitly ask them if they're fine with you sharing their business processes, revenue numbers, etc, with your team. (If not, that's fine too—you can still share the learnings, without actual specifics, with your team.)

That way, both teams will be ready to get started when the day comes.

5. Learn About the Customer Experience in Real Time

So, the day of your customer visit has finally arrived! Start by talking in general, broad terms about their business and your business. Then, progress to more specific topics and product use cases.

Be both a student and a mentor. Learn as much as you can about your customers, and look for opportunities to help them. Learn about their workflows, and your product fits into those workflows.

Here are some questions you might ask during a client visit:

  • How often do you use our product?
  • Which team members use our product the most? How often do they use it?
  • Are there secondary users that only use our product occasionally? If so, for what? How often?
  • What are your business goals?
  • How do you implement our product in your daily workflow?
  • What bugs have you encountered?
  • What features are you missing within our product?
  • What do you like most about our product?
  • What do you hate about our product? Which limitations do you find particularly frustrating?
  • Which metrics does your team track within our product? (Or which KPIs does our product impact for your team?)
  • If our product ceased to exist tomorrow, what alternatives would you consider to replace us?
  • Are there any trends or changes in the industry that could affect the way you use our product in the future?

These questions and others like them will give you a clearer picture of how your customers use your product, and how it impacts their business.

6. Ask for and Give Referrals

Visiting customers is a great opportunity to get referrals . And to refer them to others as well. Don't just limit referrals to potential customers—any reason to put them in touch with other people is fair game, as long as you can see potential value for both parties.

Sometimes we see companies serving the same audience with complementary services—that's potential for a co-marketing initiative. If you introduce two happy customers to each other, and they collaborate together, and both get a ton of value out of it, you generate a lot of goodwill, and oftentimes very vocal brand advocates.

If you have a partner program set up, try to see if the customer you’re visiting would be a good candidate for that program, and help them understand how it works and the benefits they could get.

7. Create a Customer Visit Report for Your Team

If you do conduct a customer visit, make sure to document your learnings and take note of memorable moments. Then, you can share these insights with your team.

It's important that all the insights you gain during a customer visit actually become organizational knowledge—otherwise, your customer visits are basically useless.

So, set up a structured customer visit report that your team can peruse and learn from, both now and in the future. Inside this document, note specific items that will be of interest to the different teams in your company—for example, product feedback that your product managers may want to look at, customer journey insights that the marketing team should keep in mind, or product knowledge gaps that the customer success team may need to address.

To make sure everyone in the company benefits from customer visits, we try to share some pictures or highlights from our customer visits in Slack, and then during our weekly team meeting, a team member might give a quick 2-minute summary of their customer visit.

How Often Should You Plan Customer Visits?

There's no one-size-fits-all formula. It depends on your startup, but in general: you should meet them more often than you're meeting them now.

Jason Lemkin recommends every co-founder, CEO, and Customer Success Manager should meet on-site with five customers a month.

Being able to see the environment in which your customers use your product, the atmosphere at their workplace, and talking with the people who use your product daily is always an insightful experience.

Customer visits have been a crucial market research method for traditional businesses for many decades—but they're even more crucial for startups and SMBs . Your most powerful asset when you're in a market with established, large companies is your ability to understand your customers better and focus on their needs better than a large corporation can.

Michael Seibel, Managing Director at Y Combinator, said : "If you look around the startup ecosystem, you can find too many founders who believe that famous investors + lots of employees = winning. I bet most of our VC-backed competitors feel this way, and you can use this to defeat them (they aren't talking to customers nearly enough).”

Trump visits NYC construction site. Why he's making a play for New York voters.

NEW YORK --  Former President Donald Trump visited a construction site in Midtown early Thursday morning for a campaign rally, before returning to court for his alleged "hush money" trial  in New York City.

The former president met with a group of workers at the corner of East 48th Street and Park Avenue, near the JP Morgan Chase Building in Midtown, Manhattan. 

Trump showed up around 6:30 a.m. Thursday, and the campaign stop lasted about 15 minutes. He shook hands, posed for photos and signed autographs for people who went through a security screening to enter a penned-off area.

Some supporters said they woke up early for the chance to catch a glimpse of him. 

"I'm going to make a play for New Yorkers. They said, I just heard, there was a very good poll that came out. Normally, a Democrat will win New York. Biden is the worst president in history, we have some very bad people here, but we have the greatest people and they're right behind me. They all want us to run, and we're going to run very hard in New York," Trump said to reporters. "They've taken my constitutional right away with a gag order. That's all it is, it's election interference, this whole thing is election interference." 

Trump's campaign team also handed out a three-page document, titled, "Union Workers Paying the Price for Biden's Failed Economic Policies." Among the bullet points, Trump says, if re-elected, he will ban Chinese and foreign ownership of critical U.S. infrastructure and cancel Biden's electric vehicle mandate. 

Earlier this month, the former president visited a bodega in Upper Manhattan , where he spoke about crime in the city and criticized Manhattan District Attorney Alvin Bragg .

Trump's appearance kicks off a busy day for his legal battles. He will be inside a Manhattan courtroom as  the "hush money" trial continues, while the Supreme Court hears arguments in his immunity case about 200 miles away in Washington, D.C. Both could have major legal and political implications , as he makes another bid for the White House .

On top of that, a grand jury in Arizona has indicted more than a dozen Trump allies , including former New York City Mayor Rudy Giuliani, for allegedly having false electors declare that he won the 2020 election.

NEW MOVIES TO STREAM

– Jerry Seinfeld has been very picky about his post-”Seinfeld” projects, but the comedian stars in, co-writes and directs the new Netflix comedy “Unfrosted” (streaming May 3). The film, an origin story for the Pop-Tart, is as stocked with comic talent as it is ridiculousness. Melissa McCarthy, Jim Gaffigan, Amy Schumer, Hugh Grant and many others co-star in Seinfeld’s satire of Kellogg’s and Post in a heated raced to create a new breakfast treat.

– “Documenting Police Use of Force” is the result of a three-year investigation by PBS’ “Frontline,” The Associated Press and Howard Center for Investigative Journalism examining deaths that have followed police use of tactics known as “less-lethal force.” Though tactics like prone restraint are meant to be less deadly than firearms, the investigation found that their use, or misuse, led to more than 1,000 deaths over 10 years — often in encounters that began with a minor incident. The film begins streaming on APNews.com , PBS.org/frontline and in the PBS app Tuesday at 7 p.m. EDT. It also premieres on PBS stations (check local listings), on Frontline’s YouTube channel at 10 p.m. Tuesday and will be available on the PBS Documentaries Prime Video Channel.

– If you missed “The Holdovers,” Alexander Payne’s Oscar-winning ’70s-set boarding school comic drama, the film arrives Monday on Prime Video. The film was nominated for five Oscars, including best actor for Paul Giamatti , and went home with one: best supporting actress for Da’Vine Joy Randolph . Giamatti stars as a curmudgeonly teacher tasked with watching a student (Dominic Sessa) over Christmas break.

— First came “Houdini,” a club-banger with new edge. Then the lively ambitiousness of “Training Season,” and the elastic bass of “Illusion.” The English-Albanian pop superstar Dua Lipa ’s third album, “Radical Optimism,” is built of her longstanding pop sensibilities. But she’s shifted slightly away from the disco-pop of 2020’s “Future Nostalgia” and instead, has embraced pop-psychedelia in influences like Primal Scream and Massive Attack, at least partially thanks to a new collaborator in Tame Impala’s Kevin Parker . It’s a euphoric ride straight to the club, and a reminder of the necessity of danceable music in resilience.

— In the late ’90s and carrying into the 2010s, VH1’s documentary series “Behind the Music” offered in-depth insight into the top performers of the past and present – highlighting their path of success and obstacles faced in the process. For music obsesses, it was an education. If you missed it, or if you’re missing it right now, long no more: Paramount+ will debut new episodes of “Behind the Music” on May 1, spotlighting Bell Biv DeVoe , Trace Adkins and Wolfgang Van Halen. And while you wait: There are episodes from the original series available to stream on Paramount+ right now, featuring everyone from Boy George and Busta Rhymes to Jennifer Lopez and New Kids on the Block.

— Tuareg guitarist Mdou Moctar – and his band, Nigerien guitarist Ahmoudou Madassane, drummer Souleymane Ibrahim, and American bassist Mikey Coltun — have been celebrated on the global stage for their ferocious psychedelic rock. On their forthcoming album, “Funeral for Justice,” those riffs have only gotten bigger, better, more explosive atop an anti-colonial message. “Oppressed in all three / In addition to lack of unity, ignorance is the third issue,” Moctar sings for Niger, Mali and Algeria on “Sousoume Tamacheq,” a rallying cry for the Tuareg people. And at the foundation is one of the most exciting rock bands in years.

— Maybe the UK-pop firebrand Rachel Chinouriri first hit your timeline when the music video for her song “Never Need Me” featured an unlikely star, the actor Florence Pugh . NEW SHOWS TO STREAM

— The long-awaited third season of “Hacks,” starring Jean Smart and Hannah Einbinder returns May 2. The show picks up about a year after the finale of season two, with its two stars seemingly worlds apart. Smart’s Deborah Vance is at the top of her stand-up game in Las Vegas and Einbinder’s Ava is busy working as a writer in Los Angeles. The separation doesn’t last long as the two can’t seem to quit each other. Another reason to tune in? The comedic duo Paul W. Downs and Megan Stalter (playing agent Jimmy and his not at all trusty assistant, Kayla) have been bumped up to series regulars. “Hacks” returns for season 3 on May 2 on Max.

— Rob McElhenney and Ryan Reynolds continue their grand experiment of owning a football club on season three of FX’s “Welcome to Wrexham.” We begin with a rewind to last summer –- with the Red Dragons on a high, touring America and enjoying the perks of upgrades to their facility. “Welcome to Wrexham” season 3 debuts May 2 on FX. Streams next day on Hulu.

— While fans wait for the sixth and final season of “The Handmaid’s Tale,” a new Elisabeth Moss series called “The Veil” is coming to Hulu from FX. The series takes place in the high-stakes world of international espionage with Moss portraying a MI6 agent. “I can change into anything, become 100 strangers,” Moss says in the show’s trailer. “The Veil” streams on Hulu beginning April 30.

— We watched Selena Gomez learn to cook over Zoom for four seasons of “Selena + Chef,” and now she’s ready to say “Yes, Chef!” in restaurant kitchens. In her new Food Network series “Selena + Restaurant,” Gomez and her bestie Raquelle Stevens visit popular LA-area restaurants to try to create a dish that would make the menu. The show premieres May 2 on Food Network and streams on Max.

— The best-selling book “The Tatooist of Auschwitz” by Heather Morris has been adapted as a limited series for Peacock. It tells the true story of a Slovakian Jewish man named Lale Sokolov, sent to Auschwitz and given the job of tattooing fellow prisoners. He ends up falling in love with a girl named Gita. The story is told through flashbacks and Harvey Keitel plays an older Lale, recounting the experience to Morris — played by Melanie Lynskey. The series debuts May 2 on Peacock.

— The comedy festival Netflix is a Joke is upping the ante by offering some events live on the streamer. Katt Williams, known for his no holds barred commentary is set to go live with a stand-up set called “Woke Folk” on May 4. And Kevin Hart will host “The Roast of Tom Brady” on May 5. “I played in the NFL, so I’m not worried about a bunch of comedians, trust me,” taunted the seven-time Super Bowl winner in a video shared with NBC’s “TODAY “show. Brady says he does not know who will appear to roast him.

— Judging from the polls, a lot of Americans aren’t happy with their choices in this fall’s presidential election.
