Today, a company travel agency cannot concentrate solely on booking tickets and accommodation, but rather their services need to be much more extensive, diverse and comprehensive, covering wide-ranging areas such as consultancy, passenger assistance, cost optimisation, internal communication and technological aspects.

Historically, travel management agencies engaged exclusively in the management of the aspects related directly to the organisation of travel, which practically came down to transport ticket reservations and the search for accommodation.  

However, in recent years, the development of the Internet and online platforms has radically changed the way we understand and carry out travel and business relations in general. This has caused a major expansion in the role and functions of corporate travel agencies.

Today, when a company requires the services of a travel management agency, it not only seeks someone to manage its travel arrangements, since this can be done internally without much trouble using online tools, but also has other needs and expectations.

An agency of this type needs to take on the role of an authentic partner within the travel structure at the companies which it serves. To do this, it has to work closely with the Travel Manager or the person responsible for travel within the company

The role of most agencies has been diversified into a series of services that can be divided into six main areas:

1) Travel Management

This would be the core function and the one which agencies engaged in organising business travel have always performed. This area of services would include the management and reservation of transport tickets, searches for accommodations, car rentals, etc.

Although it is the function that has been performed for the longest period of time, new technologies have significantly changed the way these tasks are carried out, with aspects coming into play such as price comparisons or strategies for obtaining deals and discounts.

2) Passenger assistance

On a trip there may be many unforeseen problems and issues which need to be resolved: repatriation due to illness, accident or emergency, lost luggage or documents, etc.

3) Consulting

Consulting services include a large number of aspects which are related, more or less directly, with travel: information of interest for the traveller (customs of the country of destination, recommendations on behaviour, etc.), cost optimisation and control, advice on travel policies, etc.

4) Marketing and internal communication

Due to its experience, a travel management agency can be very helpful in preparing travel policies for companies (rules regarding expenses, management of per diems, etc.), as well as its proper and effective communication to the employees.  

5) Technology

The proper and constantly updated use of technology is vital, not only for the requesting and comparison of travel services (tickets, accommodation, etc.) but also for such diverse aspects as billing management or locating travellers in extreme situations.

6) Leisure Services

In some cases, some travel management companies offer direct discounts or improved conditions on travel and leisure activities for the employees and their relatives at the companies for which they work.

My first travel adventure was to Venezuela. I booked the ticket with a travel agent over a pay phone. The agent searched a dozen flight itineraries over a few days, all so I could save $15.

Times have changed. Today, flight searches start online , often on your mobile device. Passengers book either directly with the airline or hotel or with online travel agencies. Rarely do we get on the phone. In fact, American Airlines and United Airlines charge $25 to make a domestic flight booking by phone. And pay phones hardly exist anymore.

An online travel agency, or OTA, is a website or mobile app that allows users to search for and book travel services such as flights, hotels, car rentals, cruises, and activities. The booking is made directly with the online travel agency but confirmed by the service provider, such as an airline or a hotel. As a customer, your relationship is with the OTA.

What are the main OTAs?

Many online travel agencies nowadays are owned by two main companies: Expedia and Priceline. The Expedia Group is the largest online travel agency in the United States with 70 percent market share, according to travel data firm Phocuswright. Expedia Group operates Expedia.com , Orbitz, Hotels.com , Trivago, CheapTickets , Hotwire , Vrbo , and Travelocity .

Priceline is a major competitor to Expedia, with global revenues larger than the Expedia Group. The company owns Priceline.com, Booking.com, Cheapflights, Momondo, and Kayak—the latter two being metasearch engines (more on that below).

There are also independent newcomers such as Hopper (a mobile-only booking tool) and Kiwi.com (which allows you to book flights on air carriers that don’t normally have a commercial relationship).

Are OTA fares lower than booking directly?

Generally, no. The fares that are displayed by an OTA will be similar if not slightly more expensive when compared to an airline’s website. They’re usually only a few dollars higher or lower. The OTAs charge a booking fee to the airlines, and often that fee is passed directly to consumers. For example, Lufthansa tacks on an additional $18 to any booking made through an OTA for Lufthansa flights. The same flights are exactly $18 cheaper on the airline’s website.

Where you can score a good travel deal through an OTA is when booking a last-minute hotel and flight package. Many OTAs have cut agreements with airlines allowing last-minute travelers to access lower rates than are typically available when passengers book a flight alone.

Are all airlines available to be booked through OTAs?

No. Many OTAs do not display flights from some of the low-fare leaders. For example, Southwest and Allegiant flights are not available through OTAs; the same goes for Ryanair in Europe. And, earlier this year United Airlines threatened to pull out of Expedia altogether, only recently signing a multi-year agreement to stay in. The airlines would rather not lose any margin to online travel agencies in an already low-margin industry and would rather maintain a direct relationship with the customer.

Are smaller OTAs safe to use?

Expedia and Priceline are the two largest players in the online booking space, but there are dozens of independent OTAs, such as CheapOAir, OneTravel, JustFly, and SmartFares. Confusingly, you might actually stumble on ads for these OTAs while using Expedia or Priceline sites. That’s because the larger OTAs earn revenue through advertising, sending passengers to smaller OTAs and charging those OTAs for the favor.

Buyer beware: some of these lesser-known OTAs are masters at hidden fees. For example, a flight search on JetBlue allows for free seat selection in many instances. If you perform the same search on FlightNetwork, an independent OTA, and select a seat, you will be charged an additional $25—despite the fact that JetBlue doesn’t charge a seat selection fee if you book directly.

What if you need to change your itinerary?

Itinerary changes are often a pain. If your plans change, it won’t matter whether you’ve booked directly with an airline or with an OTA—you’re going to pay fees for the privilege, if you can even change your ticket at all.

For example, CheapTickets.com, which is part of the Expedia Group, charges $25 to change or cancel a ticket if that change is requested after 24 hours of making the booking—it is free if you do so within 24 hours of booking. However, the fees go up from there. JustFly, an independent OTA, charges a $75 fee for changes to domestic flights in addition to airline change fees, plus the difference in fare, for tickets that can be changed. For an international trip, the fee rises to $200. That means to change an international flight with Delta (which charges a $100 change fee) booked through JustFly, you’ll be assessed $300 in fees, plus the difference in fare. At that rate, you may as well book a new flight. FlightNetwork indicates in its terms of service that changes may incur a change fee but doesn’t specify what those fees are. That hardly makes the few dollars you saved by booking with the OTA in the first place worth it.

What is an OTA price match policy?

To assure travelers that they are getting the lowest fare possible, many OTAs have a price match policy. The rules vary and so do the benefits.

For example, if you book with Orbitz and find a less expensive flight, car rental, or activity on any U.S.-based website within 24 hours of your booking, Orbitz will refund you the difference you paid. And it works: I have personally found a flight in the same class, on the same airline, for the same origin and destination cities, and requested Orbitz to refund the difference of around $35. Within a few weeks, I received a check in the mail. A similar program applies for CheapOAir, but there’s a catch—the price difference must be found on a major OTA such as Expedia or Travelocity.

Expedia has a particularly good price match policy, but you have to pay extra for it at the time of booking. Expedia offers the price match option as an add-on that costs between $5 and $30 when you book. With the price match applied, if the airfare on Expedia drops between 120 days of the flight and up to six hours before the flight, Expedia will automatically refund you the difference in fare. Unfortunately, fares generally do not drop substantially as the travel date approaches, so while this might give you peace of mind, it’s probably not worth the expense.

How do Google Flights and other travel metasearch engines work?

Frequent fliers are likely familiar with websites such as Google Flights, Kayak, Momondo, or Skyscanner. On these websites, passengers search on the site but are redirected to the service provider to complete the booking, such as an airline, rental car company, or hotel.

Metasearch started with a product called ITA Matrix, which is a tool for searching airfares online but not for actually booking online. ITA Matrix allows for multi-city searching, such as setting two different departure or arrival airports, and for offering a calendar view of fares for easier comparison. That company was acquired by Google in 2011, and savvy travelers swear by it to help find the least expensive fares online. Most consumers are more familiar with Google Flights, which has gained traction more recently not least because it has the benefit of being displayed first in search results on Google.

Metasearch engines receive distribution fees from the airlines for sending traffic to the supplier websites. There are no additional hidden fees for using a metasearch engine because you’re booking directly with the airline or hotel.

A major benefit of the metasearch engines is their price tracking tool, which lets users know whether the displayed fares are low, average, or high for the flight, allowing travelers to make a more informed decision on whether to book a flight or not . Google Flights and Kayak, for instance, both have price tracking tools.

Why not just book directly?

The airlines would definitely much rather you book directly with them. Over the past five years, they have gotten much better at marketing and selling their product directly to consumers online and through mobile sites and apps. But in the past, they weren’t so good at it. In fact, Delta, Northwest, United, American, and Continental got together to invest $145 million to launch Orbitz in 1999 to counter the threat from Expedia. Now Orbitz is owned by Expedia.

The airlines also try to encourage customers to book directly so that they can maintain a closer relationship with them. It allows carriers to connect bookings with loyalty programs and create special offers and discounts catered to individual passengers.

There is another benefit to booking directly. The U.S. Department of Transportation requires carriers to hold a reservation at the quoted fare for 24 hours without payment or allow a reservation to be cancelled within 24 hours without penalty, so long as the booking is made at least seven days before travel. The law applies, however, only to U.S. and foreign air carriers that have websites marketed to U.S. consumers. This means that, in theory, an online travel agency does not have to offer such a policy, although most OTAs do.

What are the options for booking on your mobile device?

Airlines and the major OTAs all have apps to help you book and manage your trip on your mobile device, but their functionality is lacking compared to these websites’ desktop editions. For example, Expedia’s app doesn’t allow you to view flights on a month-view calendar. Kayak has an app with more bells and whistles and a better user interface, including a month-view calendar with color-coded pricing. It also has a handy “augmented reality” function to help you see if your carry-on bag will fit in the overhead bin (a feature originally developed by KLM). Point your phone’s camera at the luggage, and it’ll give you the dimensions.

While apps are improving and gaining in popularity, you still might find it easier to locate the best deals on flights and hotels by using your desktop, where you can have multiple tabs open and have all the available search tools at your disposal. Apps are fine for booking directly with an airline once you know which flights you want to book.

If you’re determined to use your mobile device, you may want to look into Hopper. Hopper is a mobile-first flight booking tool that has a solid price prediction tool. You can research travel options and book directly on the app. Another benefit of Hopper: Of its team of 300 employees, nearly half are dedicated to customer support and are based in Canada versus some OTAs and airlines that outsource much of their customer service further afield.

The bottom line?

Like many travelers, I enjoy a flight deal as much as the next person, but I also don’t like any added hassle. I typically start my travel searches using the ITA Matrix or Google Flights to get a general sense of the fares. It helps to know what is a good deal and what is expensive for a particular route. I do my research, typically on a desktop computer. When I’m ready to book, I’ll book directly with the airline. I’ve found that customer service is better when booking directly with the service provider. But I’ve also saved money by using OTAs and have booked with them, too. Whichever way you choose to book, you can be safe in the knowledge that finding and purchasing travel online is a lot easier today than searching for a deal with a travel agent on a pay phone.

Do I still need a travel agent?

I f you’ve planned a vacation before, you know firsthand how stressful the planning process can be. Between booking hotels, flights and excursions, planning a vacation can feel like a full-time job. American travelers spent an average of 8 hours and 44 minutes reviewing travel content and resources ahead of their trips and read up to a whopping 277 pages of information on average, according to a 2023 survey from Expedia Group and Luth Research .

The time commitment behind planning a vacation could be one of the factors driving the 14 percent year-over-year increase in travelers who are likely to use a travel advisor, as reported by the American Society of Travel Advisors (ASTA) . Working with a travel agent could save you time and money when planning a complex vacation, but alternatives like online travel agencies, and credit card concierge services could be more affordable. So which option is better — doing your own legwork and booking trips online or hiring a travel agent?

What travel agents do

Travel agents help plan and book travel for vacations, special events or group trips, but their jobs have evolved over the years, particularly in the post-pandemic world.

“In the past, travel agents were very transactional — able to book your flights, hotels, and tours. While that is still a service we provide, in a post-pandemic world, travelers are looking for more,” says Annie Jones, travel advisor and owner of Telos Travel , “They want to think less, have options personalized to their interests, and experience destinations in a more authentic way.”

These days, travel agents advise on multiple aspects of a trip to create a bespoke travel experience. Their role can include:

  • Regional tours and experiences
  • Cultural etiquette
  • Developing a custom itinerary
  • Finding exclusive deals, amenities and offerings
  • Handling emergencies and changes
  • Organizing travel insurance
  • Booking transportation (airfare and ground transportation)
  • Making restaurant reservations
  • Booking hotels, cruises and excursions
  • Arranging necessary travel documents and visas

To reflect the expansions on a travel agent’s role, the American Society of Travel Advisors officially transitioned the title to “travel advisor” in 2018. Some of the best travel advisors even earn certifications and attend trainings to continue their education and stay on top of industry changes.

Do you have to pay a travel agent?

The cost of using a travel agent varies wildly, since there are different types of travel agents and travel advisors. In the past, many travel agents’ services were free, as they earned a commission off the trips they booked paid out by the airlines and hotels. Some still are.

However, after the pandemic, when many businesses in the travel industry struggled to recover (along with the changing landscape of travel agents in general) kickbacks from these vendors became less common. According to a survey by Travel Weekly , 71 percent of travel agencies in 2023 charged some form of service fee for working with them. These days, there are three main ways travel agents get paid:

  • Flat rate fee
  • Hourly rate

Travel agents may charge a percentage ranging from five percent to 15 percent of the trip’s cost. Others may charge a flat rate, anywhere from $100-$500 on average. Some advisors charge an hourly rate to research, plan or arrange your trip. Agents may also ask for a deposit that’s returned once you take your trip or goes towards the total cost.

Although hiring a travel advisor might seem expensive, it could potentially save you money. Paying a travel agent $200 to save you $400 on airfare or obtain a cruise upgrade worth $600 means you’re still coming out on top.

“I think one of the biggest misconceptions out there is that it’s more expensive to book through a travel advisor,” Jones shares. “While most advisors do charge professional service fees, just like you would to a financial planner or lawyer, the actual cost of your trip is no different than if you were to book it on your own.”

To better understand the cost of working with a travel agent, ask about their fee structure to determine if their price feels fair for your budget.

Are travel agents influenced by commissions?

That depends on how your travel agent gets paid. Even though it’s declined in recent years, many travel agents still collect at least part of their earnings from commissions paid by hotels and other travel products.

When there’s a commision tied to each travel booking, travel agents benefit monetarily from what you buy which makes it hard to be unbiased. As such, those commissions will likely influence which vacation packages and options you’re provided. However, that’s not to say that there aren’t travel agents who put your preferences and must-sees at the forefront of their planning process.

Money tip: You may find less of a hard sell on certain travel packages if your travel agent charges a flat fee or a percentage of your total trip. But this could mean a higher out-of-pocket cost. Consider their fee structure and how your agent approaches travel planning as you decide who to work with.

Can a credit card concierge replace a travel agent?

The short answer is… sort of. Many of the best travel credit cards offer concierge services that help cardholders organize travel, accommodations and tours, and they even help when emergencies or travel problems arise. But not to the extent a travel agent might go to.

“Many of my clients are surprised I offer 24/7 support while they are traveling,” says Jones. “If they face an unexpected challenge, I’m there to help resolve the problem or answer their question so they can just focus on enjoying their vacation.”

Complimentary concierge services can take the place of a travel agent on some aspects of your trip. While concierges can help you cross small items off your to-do list, they typically won’t plan a full trip itinerary for you.

  • For example, The Platinum Card® from American Express offers Platinum Card Concierge , through which their agents help you purchase event tickets, make dining or spa reservations and handle general travel inquiries.
  • Cardholders of the Capital One Venture X Rewards Credit Card now have free access to PRIOR , a program providing insider destination advice and curated experiences.
  • Those with Chase Sapphire Reserve® can use the Visa Infinite Concierge, which can help reserve sports events, dining or even Broadway tickets.

In some cases, concierge benefits seem vague, so it’s worth calling or emailing to ask if they can help with your specific issue or need. However, in most circumstances, they probably won’t be able to plan and book an entire curated vacation for you.

If you’re booking travel on your own and simply want to lighten the load, then concierge services might be the way to go. However, if you want a fully customized itinerary without the legwork and within budget then a travel agent is your best bet.

Should you use a travel agent?

The decision to use a travel agent depends on a few factors and is closely intertwined with your preferences, budget and type of trip.

Travel advisors are particularly helpful when planning complex travel. Their connections and expertise come in handy for corporate, group, luxury or special-occasion travel, which could make it worth their fee. Advisors are also helpful when you’re not experienced with vacation planning or have time commitments preventing you from planning. In those cases, having a travel advisor could be a win.

Ask yourself a few questions to determine if it’s the right choice for you.

  • Does this trip require a lot of planning (i.e. corporate, group, anniversary or highly-specific travel)?
  • Are you looking for unique experiences, tours or upgrades?
  • Are you experienced in booking your own travel or designing your own vacation itinerary?
  • Do you have the time to dedicate to travel planning?
  • Are you visiting a location and culture you feel comfortable navigating on your own?

For less complex travel where you’re on a tight budget, you might consider using resources already at your disposal like the credit card concierge service on an existing credit card or booking through an online travel agency (OTA) like Expedia or Kayak.

Travel advisors offer their experience, expertise and connections to take the stress out of planning a vacation. When you want to spend less time planning, get access to exclusive experiences, or need someone to create a vacation you couldn’t imagine planning on your own, a travel agent could save the day.

Pros of using a travel agent

Still not sure whether a travel agent would be worth the cost? Some additional advantages of using a travel agent as opposed to planning your trip yourself include:

  • Saving money . According to a survey by Condor Ferries, travel agencies can save customers an average of $452 per trip through promotions and deals from suppliers that average travelers don’t have access to.
  • Expert planning on important trips. Whether it’s corporate travel, a honeymoon or a 50th anniversary trip, you’ll want it to be impeccably planned.
  • Help with trip disruptions. Many travel agents offer 24/7 support before, during and after your trip to help with any challenges or changes that arise.
  • Upgrades, benefits and extras . Travel agents have connections the general public doesn’t. Their connections and partnerships may get you hotel upgrades, VIP treatment, connecting rooms, free breakfast or other perks.
  • Curated experiences . A destination expert might find you experiences you never have discovered on your own, like an insider, after-hours visit to Cambodian ruins or a vintage car rental in Italy.
  • Extensive vacations . You need expert destination knowledge to plan a cruise to Antarctica, a hiking trip to Bhutan or a two-month-long Galapagos expedition. If you want all the bells and whistles and money is no object, a travel agent may be able to get you into the most coveted hotels, tours and spots.
  • You’re a beginner or don’t have time . Beginners planning a DIY vacation can easily get overwhelmed. The time it takes to plan a trip can also take time away from your other responsibilities. Travel agents make the process easy.

Using a travel agent doesn’t mean you’ll get a vacation that’s just like everyone else’s. Travel agents use the details of your personal preferences, budget and needs to customize your experience. Some of them even specialize in particular destinations or have relationships with hotels and tour guides which could help you get room upgrades, better rates or VIP experiences.

“These relationships not only allow for special treatment, but upgrades are nice, right? After all, you can’t VIP yourself! Some travel advisors have even developed specific travel niches.

“I’m seeing advisors specialize more than they did in the past,” explains Adeline Kuroki, a travel advisor and owner of Savor & Soak Travel Co. “I think this is great for travelers… For example, some advisors will specialize in luxury travel, and make it their mission to visit and understand the pros and cons of luxury resorts all over the world.”

When you have an advisor who’s an expert on one location, you get more curated experiences too. Kuroki specializes in travel to Japan and helps clients navigate the complexities of booking in such a popular destination.

“I can quickly tell them which experiences need to be booked well in advance to avoid missing out, and which can be decided on closer to their travel dates. And as Japan becomes an increasingly popular tourist destination, I’m able to recommend and book more off-the-beaten-path locations that offer a lot of the same sights and experiences as more well-known places.”.

So even with developments in online bookings and credit card concierge services, travel advisors are irreplaceable when it comes to designing a personalized itinerary in a destination with which you’re unfamiliar.

Cons of using a travel agent

While there are many benefits to using a travel agent, there are also disadvantages to consider. Some of those include:

  • Not redeeming points or miles. If you have credit card points or airline miles to cash in, a travel agent might not be the best fit since they typically can’t help you redeem them for the trips they plan. However, niche advisors can best advise you on booking using your points and miles or use your stash to book for you.
  • Less flexibility to make updates. Once your travel agent locks in reservations, it can be difficult to change things since you may have put down a deposit.
  • Added layer of communication. For your travel agent to plan a vacation you’ll enjoy, you have to clue them in on your likes and dislikes, budget, preferences, needs and more. And when you need to make adjustments, you’ll have to go through them.
  • Missing out on planning your own trip. Planning your own trip is exciting for some folks. Plus, you can build the exact type of experience you want at a price point that’s comfortable for you.
  • Fees and price. Travel agents can save you money sometimes, but it comes at a cost that might not fit into your budget. Some agents charge high fees or percentages of the total vacation cost.
  • Finding the right agent. It can take time to find the right travel agent, advisor or expert. If it takes too long, DIY travel might be more convenient.

Do you earn rewards on travel booked by an agent?

You might be hard-pressed to find a travel advisor where you earn rewards by booking through them as opposed to your credit card’s travel portal . However, it’s worth noting that the merchant code for travel agents is often “travel”, which means the travel agent fees you pay through a qualifying credit card could be eligible for bonus points if your card offers boosted rewards on the travel category.

Certain travel benefits still work for you even if a travel agent books your trip. For example, you’ll get lounge access if your credit card offers it regardless of who booked your airfare, which airline or class you’re flying. As long as you use the appropriate card to pay for the trip, it shouldn’t matter if you or the travel agent physically made the purchase.

You might also earn frequent flyer miles through an airline’s loyalty program if your travel agent can include your frequent flyer number on your reservation. You’ll also still have your airline elite status recognized if a travel agent booked your airfare for you, but you may or may not get hotel loyalty brand points. The same goes for recognition of your hotel elite status . It’s best to discuss this directly with your agent or call the hotel to confirm, as each case may be different.

Keep in mind: American Airlines announced in February 2024 it plans to limit which tickets purchased via third parties are eligible to earn AAdvantage frequent flyer miles. The details were still vague at the time of publishing, but it could mean that your ticket purchased by a travel agent would still earn miles – assuming they purchase through a qualifying site or directly on American's site – but if you go the DIY route for your trip and purchase online through a third-party site, you may not earn miles at all.

The bottom line

Choosing to use a travel agent or book vacations online ultimately depends on your personal preferences, budget and the type of trip you’re planning. Opting for online booking might be quicker and more cost-effective, but the personal touch and stress-free approach provided by a travel agent can’t be overlooked.

The days where travel agents just booked your flight and hotel are long gone. Today, they offer bespoke itineraries tailored to your interests and budget while specializing in certain destinations or forms of travel. Taking the time to find and build a relationship with a reliable travel agent could save you money on your next trip even if there’s a fee involved. But it’s still important to weigh the pros and cons to know if hiring a travel agent is right for you.

The Peterson/Ridge station, on the Union Pacific North Line, is expected to open May 20. Metra will also boost weekday service on the line when the station opens, adding trains during morning and evening peak periods in an effort to fill gaps in rush-hour service and reduce crowding on some trains, the rail agency said.

The new $27 million station, which broke ground in November 2021 , came in about $5 million more and a year later than expected when construction began. They were the latest delays for the project, which had been discussed for more than a decade as previous Illinois budget issues held up state funding that had been allocated to the project from a 2009 bond program. Then the project needed engineering work and ran into delays getting city permits, Metra has previously said.

Metra attributed the construction expense and most recent delay to “longer COVID-related lead times” and supply chain challenges that affected the ability to get needed materials.

The new station, along tracks that run west of the intersection of North Ridge and West Peterson avenues, will have two six-car platforms that extend over Peterson so passengers can board from either side of the street. Two shelters will have on-demand heating.

The station will also have paid parking spaces, ADA-compliant parking, bike parking and an access drive with a cul-de-sac turnaround and pickup and drop-off areas.

As the Edgewater station is set to open, Metra is continuing work on a new station in Auburn Gresham on the Rock Island line. The Auburn Park station, also long discussed and tied up in previous state budget issues like the Peterson/Ridge station, broke ground in June 2022. It will serve 79th Street, filling a gap on the line between 87th Street in Gresham and 35th Street in Bronzeville.

When construction began, the project was expected to cost $35 million and be finished around the end of 2024. The project is now expected to cost $42.6 million, and wrap up in early 2026.

Metra said the reasons for the extra time and costs are similar to the COVID-19 and supply chain issues that affected the Edgewater station.

Could Trump Go to Prison? If He Does, the Secret Service Goes, Too

Officials have had preliminary discussions about how to protect the former president in the unlikely event that he is jailed for contempt during the trial.

The U.S. Secret Service is in the business of protecting the president, whether he’s inside the Oval Office or visiting a foreign war zone.

But protecting a former president in prison? The prospect is unprecedented. That would be the challenge if Donald J. Trump — whom the agency is required by law to protect around the clock — is convicted at his criminal trial in Manhattan and sentenced to serve time.

Even before the trial’s opening statements, the Secret Service was in some measure planning for the extraordinary possibility of a former president behind bars. Prosecutors had asked the judge in the case to remind Mr. Trump that attacks on witnesses and jurors could land him in jail even before a verdict is rendered.

(The judge, who held a hearing Tuesday morning to determine whether Mr. Trump should be held in contempt for violating a gag order, is far more likely to issue a warning or impose a fine before taking the extreme step of jailing the 77-year-old former president. It was not immediately clear when he would issue his ruling.)

Last week, as a result of the prosecution’s request, officials with federal, state and city agencies had an impromptu meeting about how to handle the situation, according to two people with knowledge of the matter.

That behind-the-scenes conversation — involving officials from the Secret Service and other relevant law enforcement agencies — focused only on how to move and protect Mr. Trump if the judge were to order him briefly jailed for contempt in a courthouse holding cell, the people said.

The far more substantial challenge — how to safely incarcerate a former president if the jury convicts him and the judge sentences him to prison rather than home confinement or probation — has yet to be addressed directly, according to some of a dozen current and former city, state and federal officials interviewed for this article.

That’s at least in part because if Mr. Trump is ultimately convicted, a drawn-out and hard-fought series of appeals, possibly all the way up to the U.S. Supreme Court, is almost a certainty. That would most likely delay any sentence for months if not longer, said several of the people, who noted that a prison sentence was unlikely.

But the daunting challenge remains. And not just for Secret Service and prison officials, who would face the logistical nightmare of safely incarcerating Mr. Trump, who is also the presumptive Republican nominee for President.

“Obviously, it’s uncharted territory,” said Martin F. Horn, who has worked at the highest levels of New York’s and Pennsylvania’s state prison agencies and served as commissioner of New York City’s correction and probation departments. “Certainly no state prison system has had to deal with this before, and no federal prison has had to either.”

Steven Cheung, the communications director for Mr. Trump’s campaign, said the case against the former president was “so spurious and so weak” that other prosecutors had refused to bring it, and called it “an unprecedented partisan witch hunt.”

“That the Democrat fever dream of incarcerating the nominee of the Republican Party has reached this level exposes their Stalinist roots and displays their utter contempt for American democracy,” he said.

Protecting Mr. Trump in a prison environment would involve keeping him separate from other inmates, as well as screening his food and other personal items, officials said. If he were to be imprisoned, a detail of agents would work 24 hours a day, seven days a week, rotating in and out of the facility, several officials said. While firearms are obviously strictly prohibited in prisons, the agents would nonetheless be armed.

Former corrections officials said there were several New York state prisons and city jails that have been closed or partly closed, leaving wings or large sections of their facilities empty and available. One of those buildings could serve to incarcerate the former president and accommodate his Secret Service protective detail

Anthony Guglielmi, the spokesman for the Secret Service in Washington, declined in a statement to discuss specific “protective operations.” But he said that federal law requires Secret Service agents to protect former presidents, adding that they use state-of-the-art technology, intelligence and tactics to do so.

Thomas J. Mailey, a spokesman for New York State’s prison agency, said his department couldn’t speculate about how it would treat someone who has not yet been sentenced, but that it has a system “to assess and provide for individuals’ medical, mental health and security needs.” Frank Dwyer, a spokesman for the New York City jails agency, said only that “the department would find appropriate housing” for the former president.

The trial in Manhattan, one of four criminal cases pending against Mr. Trump and possibly the only one that will go to a jury before the election, centers on accusations he falsified records to cover up a sex scandal involving a porn star. The former president is charged with 34 counts of felony falsifying business records. If convicted, the judge in the case, Juan M. Merchan, could sentence him to punishments ranging from probation to four years in state prison, though for a first-time offender of Mr. Trump’s age, such a term would be extreme.

If Mr. Trump is convicted, but elected president again, he could not pardon himself because the prosecution was brought by New York State.

Under normal circumstances, any sentence of one year or less, colloquially known as “city time,” would generally be served on New York City’s notorious Rikers Island, home to the Department of Correction’s seven jails. (That’s where Mr. Trump’s former chief financial officer, Allen H. Weisselberg, 76, is currently serving his second five-month sentence for crimes related to his work for his former boss.)

Any sentence of more than a year, known as state time, would generally be served in one of the 44 prisons run by New York State’s Department of Corrections and Community Supervision.

The former president could also be sentenced to a term of probation, raising the bizarre possibility of the former commander in chief reporting regularly to a civil servant at the city’s Probation Department.

He would have to follow the probation officer’s instructions and answer questions about his work and personal life until the term of probation ended. He would also be barred from associating with disreputable people, and if he committed any additional crimes, he could be jailed immediately.

Red Line service disruptions to begin May 2, last several weeks

The MBTA Red Line will have service disruptions starting later this week that'll last several weeks, the transit agency said Monday.

The Red Line will be suspended daily between Park Street and JFK/UMass stations from May 2 to May 10, the MBTA said. The service change was initially scheduled to begin Wednesday.

Evening Red Line trains will also not be running between Park Street and Ashmont stations from about 8:30 p.m. through the end of service every day, according to the MBTA.

Commuters will be able to take free shuttle buses.

On the weekends of May 11-12 and May 18-19, shuttle buses will replace Commuter Rail service between South Station and Braintree.

Also on those two weekends, shuttles will also replace service between Broadway and North Quincy on May 11-12, and again between Broadway and Braintree from May 18-19.

The closure will allow the transit agency to address eight speed restrictions and work on lighting repairs, painting and deep cleaning, the MBTA said.

The MBTA says riders should plan for extra travel time during these disruptions.
