How To Start Your Own Travel Club – Part 1

A travel club is an organization that plans group trips to various destinations around the world. Here’s why you should start your own and how to get started!

A   successful travel club comes as a result of a carefully orchestrated plan of-attack. The sales and marketing process is often feared, resented and avoided by just about everybody at one time or another. But it doesn’t have to be difficult, nor beyond the budgetary constraints of most folks. It does, however, demand a certain level of know-how and a modest degree of discipline. Selling, above all, demands consistency and has little room for half-hearted attempts.

Taking the Next Step…Implementing a Successful Travel Club Sales Campaign

Step 1. establish your “usp”.

This is your UNIQUE SELLING PROPOSITION. It addresses the question, “Why Should I Travel With Your Organization?” If you don’t know why I should hook my wagon to your horse, why should I take the time to figure it out?

“You are the most honest… hard working … brightest …cheapest… most savvy….most knowledgeable…..most fun….most creative……you know the right people … and you were born under the right sign”. Stay away from these textbook, dime-a-dozen responses. Winging glib replies to potentially interested travelers won’t get many people interested in you or your travel program.

Why would anyone in their right mind choose to sign-up for one of your trips is what you need to think about on an ongoing basis? Why you? Finding the answer to this question is going to be harder than it first appears. But the answer will be twice as important as you ever imagined.

Start by thinking about the likes and dislikes of your existing customers. Take a minute and jot down the thoughts that pop into your head in response to these seven questions below. Trust me. This time will be a very good start as you begin to fine-tune your marketing approach by design.

  • What travel-related problems are they concerned with?
  • Are you in position to make their lives more interesting, exciting and enjoyable?
  • How will you save your customers time, money… and effort?
  • How can you help them minimize bad travel related choices?
  • How will you minimize their frustrations?
  • Will you provide them an easier way to experience the world?
  • How can you help educate them so that they can make more effective travel- related decisions in the future?

Step 2. Define Your Territory

Avoid chasing rainbows.  Is it a coincidence that today’s professional athlete earns a tremendous amount of money working within a defined, bordered, clearly marked playing field? Their athletic abilities can be focused within a specific area of play. They know exactly where they need to be at all times. Is it a coincidence that today’s major corporations hire national sales managers…regional managers… territory managers… and product managers? Top-level management also knows that their finest sales people can’t be all places at all times. They make their living between clearly drawn boundaries. This is the way winners do it. This is the way winners win.

In order to compete effectively today, regardless of the industry or specific product or service, you must place yourself in an imaginary arena where you too can focus on specific objectives, goals and potential clients. Failure to narrow your “market” to a definable area will do nothing but confuse your thinking and introduce a “gray area” thereby diluting your sales effort.

It is virtually impossible to be all things to all people. But it is easy to satisfy the needs and wants of a specifically targeted group – which falls within a specifically defined territory, which has a specifically defined need, or problem. A territory is a defined location that you can envision … and understand… and develop a reputation in. Of course you will expand your territory in time, but begin by making it small enough to work for you. For the sake of this report, your territory can involve geographic boundaries or it can consist of a defined demographic profile of customer.

Step 3. A Strategy For Launching Your Travel Club

The next step is to decide how you are going to approach the candidates, or prospects for your travel club. Rather than to quickly read through this information, let’s take a minute to record your initial thoughts for each question below:

  • How are you going to introduce yourself?
  • Can you improve the comfort level?
  • How will you improve your awareness level?
  • How are you going to communicate with them?
  • How can you going to create an environment where they will warmly invite you in and give you their attention while listening to what you have to say?

Narrowing the many marketing possibilities down to the few that make the most sense to you … to your personality… to your budget … and to your time frame becomes a very important decision.

The options include direct mail, e-newsletters, cold calling, social media, press releases, seminars, trade shows, networking, referral chains, writing articles, and public speaking.

It is immaterial which strategy you decide to use. When administered properly, all marketing gambits have been proven to work. But regardless of your final decision, you must commit to a consistent approach.

Making the list is simple. You must now decide how often you are going to utilize these tactics. This of course will be determined by many personal factors. Not the least being your budget. An acceptable guideline: Be prepared to contact each of your prospects a minimum of seven (7) times in each eighteen (18) month period. You should feel comfortable investing the time and effort to contact each prospect a minimum of 7 times.

Step 4. Develop a Traveler Profile

This will save you many hours of needless frustration and “wheel-spinning”. Not every prospect will bring joy to your club. In fact, many travelers have a propensity to create tension, stress and unnecessary aggravation. It is my belief that these particular prospects do not contribute to your overall club mission statement. Don’t voluntarily invite negative influences into your world. There are plenty of people who will appreciate the benefits of a well-run trip. Your job is to find them. But it will be extremely difficult to find them if you don’t know who you are looking for. i.e. the profile. This is a list of traits and qualities that you are attracted to. Call it your wish list. Of course you may need to work with a few people or couples who do not meet your requirements, but you will do so with your eyes open.

What are some of the criteria that you might decide to list? Location. Hobbies. Age. Interests. Income Level. Past travel experience. Group activity. Size of travel budget. Pleasant attitude. You know what qualities you admire in people. Be on the lookout for people who exhibit these traits. And since people hang out with people like themselves, you can start working down the “friend-chain.”

Once you know what kind of member you are looking for, finding them will become much easier and your prospect/client database will grow much faster.

Step 5. Create a Prospect List

Many club organizers confuse a prospect list with a suspect list.  Just about every person, in the beginning stages, looks like a “suspect”. In most cases, if the person can fog a mirror, they qualify as a “suspect”. All “suspects” however, do not have the time or the money to leave town. Therefore, not all suspects make good prospects. Your job is to isolate and identify without doubt, the true prospects: those with time, money and itchy feet.

The easy way to do this is to list people who fall within your designated territory (see step 2.) Then take each suspect and gauge them by how they stack up to your profile (see step 4). Due to your time constraints, focus your attention on those who you feel will produce favorable results required to keep your group active. Begin by making an attractive list of qualified prospects.

Step 6. Write A Script

It is all too common for club organizers to feel that their gift to the organization is their “gift for gab”. They take great pride in having the ability to “wing it” through difficult situations. My advice – take the time to write down the words you feel comfortable with when meeting someone for the first time. Then write a back-up sentence. And a third. Then a fourth. You will soon develop a script to center your discussions around. Chances are you will drift away from the script as your confidence builds. This is only natural. But until then, you should know exactly what information you want to convey.

Actors wouldn’t think of taking the stage without learning their lines. Comedians rehearse “bits.” Sports teams practice set plays. The real professional can ad-lib when he/she has to without the audience becoming aware of the change in pace. BUT, it all starts with the written word. Write a script, and then write answers to every question you encounter that makes you feel uncomfortable.

These six steps will get you off and running in the right direction. They are basic… yet vitally important for the success of your project.  If you take the time to do some planning before plunging into building your group’s activities, you will become one of the more successful entrepreneurs in this part of the industry.

The idea of a “travel club” covers a wide range of organizations and activities, from scam-like timeshares to legitimate memberships that can save you money. All are certainly not equal.

Many are legitimate low-risk operations, such as AARP , AAA , and other independent travel promoters. The most reliable ones are those you’ll recognize the names of. Some resort chains call themselves “clubs,” like Club Med’s all-inclusive resorts . Membership to these is mostly harmless marketing hype, but can offer real discounts: The more exclusive organizations may be exempt from agreements that prohibit third-party agencies from slashing their rates.

Membership fees, if any, are usually nominal—often under $50 a year—and you can easily opt out if the club doesn’t deliver real value. All you have to lose is the minimal initial fee. The discounts they claim may be no better than you could get through other sources, but they’re usually not worse, either. For well-known travel brands like these ones, the scam risk is minimal.

How to Spot a Travel Club That’s a Scam

Others, however, pose a big financial risk. Some require stiff membership fees up front—usually several hundred up to thousands of dollars—and they may commit you to big annual fees indefinitely. They can certainly be honest in that they deliver what they promise; many travelers are happy with their memberships despite the risks and limitations. Others, however, ask you to pay big up front for some promised future benefit. These may or may not be honest; some are clearly outright scams, and others simply inflate the benefits and disguise the drawbacks.

According to law enforcement officials, oftentimes the promised “discount” and “savings” never materialize: The promoters provide prices that are no better than travelers can buy openly, through a wide range of discount sources, and the promised “dream” vacations never seem to become available. They’re selling pie in the sky, and Marie Callender is better at making pies.

The big-dollar travel clubs are the ones should be subject to your scam scrutiny. Although no approach is foolproof, you can usually find out what you need by asking and fact-checking a few specific questions. Here’s what you need to consider:

The Timeshare-Based Travel Club 

Many large travel “clubs” are nothing more than conventional timeshare operations, operating as clubs to avoid the unsavory reputation of timeshares. What they sell is guaranteed annual occupancy, in multiples of weeks, at a vacation area—typically a beach destination, maybe with rights to vacations in a string of different areas. And the questions you need to ask about them are the same as for a timeshare:

What Do I Actually Get?

Examine the offer in detail to find out exactly what it promises, in specific terms. Does it promise a guaranteed specific interval at a specific location? Does it promise enrollment in a recognized exchange system? Check the fine print on the exchange, especially for limitations on how you can use your exchange “points.”

Is There a Switch to the Bait?

Is the asking price the full price? Does the featured buy-in include everything you have to pay up front, or are you subject to additional fees and charges? Does the promotion say or hint that you’d be better off with a higher-level membership?  

What Is My Ongoing Obligation?

In most property-based clubs, your buy-in is only the start. You’re also on the hook for various monthly/yearly “maintenance” payments and assessments. And the operator typically reserves the right to increase these payments without your approval or right of refusal.

Is There Any Asset Value?

Some very high-end vacation clubs actually own a string of vacation properties; members share in the ownership of these properties, and the club operator agrees to repurchase for a reasonable price. But most mass-market vacation clubs offer no asset value to back up your initial “investment.” At best, you own your “membership” and can sell it or pass it along to your heirs. However, some deals are for the term of your life only and revert to the owner on your death.

Is There an Escape Clause or Resell Limitation?

Club promoters may not accept a return, even for a reduced price, and some timeshare-based clubs may limit your ability to resell. The travel literature is full of horror stories of people who just want to get rid of ongoing payments, even if it means giving the interest back to the promoter with no return.

The “Big-Discount” Travel Club

Other clubs promise they have access to large discounts on airfares, hotels, cruises, rental cars, tours, and just about any other travel service you can name. The ones that charge minimal fees are no more than a nuisance; if they don’t work out, you won’t have to refinance your house. But some ask for big membership fees, and those can be a big risk. As with timeshare clones, you have to ask some questions before you buy into one of them:

What’s My Exposure to Risk?

As with a timeshare, you have to check what you actually get, your future ongoing obligations, and, perhaps most importantly, your cancellation options. Check the fine print to make sure that the discounts are guaranteed. “Subject to availability” doesn’t cut it.  

Are the Claimed Discounts Real?

Challenge—and verify—all claimed “discount” deals. Don’t be gullible: Ask to see a list of currently-available deals, and check them through conventional search systems before you accept any broad claim that it will save you money.

Are the Posted Discount Prices Honest?

One hotel-discount membership organization I recently checked out posted some really attractive original prices. But when I went through to the final buy-it page, I found the initial prices did not include mandatory resort fees, taxes, and fees imposed by the travel club. The all-up total prices were about the same as I could get through Tripadvisor (SmarterTravel’s parent company) search links.

What Do Others Say?

The club’s promotional materials probably highlight gushing testimonials. Don’t take them at face value—promoters can easily satisfy enough travelers to elicit a few genuine rave reviews, which the company will then highlight. Instead, check with review and complaint sites like the Better Business Bureau , Yelp , Google reviews (which usually now appear simply by Googling a business), and any other online review source you like. Also, Google the club to see if it has generated any serious complaints—or, even worse, law enforcement actions.

Scam Rules to Know for Any Kind of Travel Club

Make sure any club you’re considering can pass an easy scam test. Often, you can answer the scam-or-not question before you even see the details of a club promotion. Initial claims often can offer some early scam clues:

Scam Clue 1: The promotion is claiming that you’re getting something “free.” No travel service of real value is ever free. The club promoter is making a profit somewhere along the process. Nothing is free. Repeat this to yourself as often as is necessary.

Scam Clue 2: A promotion claiming you’ve “won” something. If you didn’t knowingly sign up for a sweepstakes run by some outfit that had terms and conditions you agreed to, any out-of-the-blue “winner” notification is almost surely a scam.

Scam Clue 3 : A promotion claiming you’ve been “specially selected” for membership. A lot of robocalls are currently making this pitch. The only outcome you’ve been selected for is a fleecing.

Scam Clue 4 : A promotion demanding that you “act now” or lose the deal. If a deal is actually honest, it will still be there after you take a day or so to check it.

Scam Clue 5 : A promotion that poses as an investment. Some property-based clubs claim, or at least imply, that your membership is an investment. That’s just false for anything that’s not outright property ownership. Fractional ownership such as timeshare may be a good way to vacation to the same place every year—but it’s a lousy overall investment.

I can’t guarantee that following these guidelines can totally shield you from a scam (no one can). But they’re a good start to protecting yourself.

The deal means the Accor Vacation Club based in Australia, New Zealand and Indonesia will now be integrated into the Travel + Leisure Co. business structure. The company has assumed responsibility for the development and marketing of Accor Vacation Club, along with the servicing of nearly 30,000 club members and management of 24 club resorts in Australia, New Zealand and Indonesia.

The acquisition increases the international portfolio of Travel + Leisure Co. – outside North America –to more than 100,000 members and its club resort count to 77.

As part of the agreement, Travel + Leisure Co. has the ability to develop new vacation ownership clubs and products utilising the Accor Vacation Club brand across a region including Asia Pacific, Middle East, Africa and Turkiye.

Travel + Leisure Co. oversees the development of Club Wyndham South Pacific and Club Wyndham Asia from its Asia Pacific headquarters in Singapore. Club Wyndham South Pacific and Accor Vacation Club were both launched on the Gold Coast in the year 2000, and are two of the largest vacation clubs in Australia and New Zealand.

Current Accor Vacation Club CEO Craig Wood will stay on and oversee day-to-day operations of that business and will report to Barry Robinson as part of the Travel + Leisure Co. structure.

Santa Clara is a city of nearly 125,000 residents that’s located in Santa Clara County, about 75 kilometers south of San Francisco .

The city was founded more than 200 years ago as a Spanish Mission. Now, it’s most well-known for its booming tech industry that’s commonly referred to around the world as Silicon Valley.

Though it’s common knowledge to most football fans, it’s a surprise to many to discover that the relatively small city is also the home of the National Football League’s San Francisco 49ers.

Visitors to Santa Clara have abundant activity options at their fingertips without venturing outside city limits, so staying engaged and entertained shouldn’t be an issue.

1. Levi’s Stadium

With a capacity of nearly 70,000, Levi’s Stadium on Marie P. DeBartolo Way in Santa Clara is one of the country’s premier professional football stadiums.

The 49ers play their home games here, and during the off-season, the stadium hosts a variety of annual events, including concerts featuring big names in the music industry.

Taking a family to a football game isn’t the least expensive activity option in the area, but for those who’ve never taken in a pro game, it’s an exhilarating experience that may be worth the cost.

Held on Jackson Street near the downtown area, it’s common to find different items each time you go.

Spending a few bucks is a great way to support local farmers and entrepreneurs, and don’t be shy about asking them for suggestions for things to see and do while in town.

Mission Santa Clara is one of the city’s premier historic sites, and it’s now conveniently located on the campus of Santa Clara University.

The mission was established by Franciscans in the 1770s to spread Christianity to the area’s Native American population.

Sadly, things didn’t go according to plan; due to several natural disasters, the mission was forced to move from its original site to where it is now.

Over the years, it was also run by the Jesuits. Though it’s no longer functioning in its original role, it now doubles as a museum and chapel that are open to visitors.

Though guests tend to visit the Triton Museum of Art for the works in its collection, its stunning contemporary architecture usually makes a big impression as well.

The museum’s collection includes works from all over the country, but its emphasis is on pieces created by Bay Area artists using local people and scenery as inspiration.

The grounds also include a sprawling outdoor sculpture garden spread over nearly seven acres, and a home from the mid-1860s that’s among the most well-preserved examples of historic American architecture in the area.

The museum is located on Warburton Avenue, and most visitors spend a few hours on-site.

10. Santa Clara Players

The Santa Clara Players traces its roots all the way back to the early ‘60s, when a group of local performers began putting on small shows for the community.

Now nearly seven decades later, they’re still going strong. Their annual performances run the gamut from dramatic theater and mystery to satire and humor.

The players are part of a community theater group staffed by talented volunteers dedicated to providing high-quality, family-friendly entertainment at a reasonable cost.

They’re located on Don Avenue in Santa Clara and offer lots of volunteer opportunities for budding actors and stagehands.

The Edward Peterman Museum of Railroad History is run by a local historical society. It is housed in the depot of a now-defunct railroad on Railroad Avenue in Santa Clara.

Like many local historical attractions, the museum is staffed by local volunteers who love answering questions and showing first-time visitors around.

The museum’s exhibits include a variety of railroad equipment and memorabilia, including signals, safety equipment, and historical photographs dating back over 100 years.

The museum is regularly open to the public. It maintains an extensive library of books relating to railroad development and local history as well.

Diablos Baseball

The Livermore Diablos are a nonprofit travel baseball club from Livermore, California.

Cooperstown Experience

Cooperstown, New York is home to the National Baseball Hall of Fame and Museum - a destination dedicated to the heroes and history of the game.   Cooperstown All Star Village is a family baseball resort that hosts tournament camps each summer for youth teams. Each summer, 12U teams from all across the US travel to Cooperstown for a weeklong tournament and team experience.

    The majority of the now 13U team has been together since 2018. The squad planned to travel to Cooperstown, NY, for a week long tournament / team experience during the Summer of 2020. Unfortunately, due to the COVID-19 pandemic, the team could not travel to Cooperstown.
