Whether you’re a student or a professional, a visit report helps you document the procedures and processes at an industrial or corporate location. These reports are fairly straightforward. Describe the site first and explain what you did while you were there. If required, reflect on what you learned during your visit. No additional research or information is needed.
Writing a Visit Report
Explain the site's purpose, operations, and what happened during the visit. Identify the site's strengths and weaknesses, along with your recommendations for improvement. Include relevant photos or diagrams to supplement your report.
Describing the Site
- Reports are usually only 2-3 pages long, but in some cases, these reports may be much longer.
- In some cases, you may be asked to give recommendations or opinions about the site. In other cases, you will be asked only to describe the site.
- Ask your boss or instructor for models of other visit reports. If you can't get a model, look up samples online.
- If you visited a factory, explain what it is producing and what equipment it uses.
- If you visited a construction site, describe what is being constructed and how far along the construction is. You should also describe the terrain of the site and the layout.
- If you’re visiting a business, describe what the business does. State which department or part of the business you visited.
- If you’re visiting a school, identify which grades they teach. Note how many students attend the school. Name the teachers whose classes you observed.
- Who did you talk to? What did they tell you?
- What did you see at the site?
- What events took place? Did you attend a seminar, Q&A session, or interview?
- Did you see any demonstrations of equipment or techniques?
- For example, at a car factory, describe whether the cars are made by robots or humans. Describe each step of the assembly line.
- If you're visiting a business, talk about different departments within the business. Describe their corporate structure and identify what programs they use to conduct their business.
Reflecting on Your Visit
- Is there something you didn’t realize before that you learned while at the site?
- Who at the site provided helpful information?
- What was your favorite part of the visit and why?
- For example, you might state that the factory uses the latest technology but point out that employees need more training to work with the new equipment.
- If there was anything important left out of the visit, state what it was. For example, maybe you were hoping to see the main factory floor or to talk to the manager.
- Tailor your recommendations to the organization or institution that owns the site. What is practical and reasonable for them to do to improve their site?
- Be specific. Don’t just say they need to improve infrastructure. State what type of equipment they need or give advice on how to improve employee morale.
Formatting Your Report
- If you are following a certain style guideline, like APA or Chicago style, make sure to format the title page according to the rules of the handbook.
- Don’t just say “the visit was interesting” or “I was bored.” Be specific when describing what you learned or saw.

Monitoring visit report template
The purpose of a monitoring visit (sometimes called a supervision visit or a field visit) is to make sure that project activities are implemented the way they are described in the plan. How to Make Daily Activity Report in Excel (5 Easy Examples)
The article will show you some examples of how to make a daily activity report in Excel. Showing the work progress of an organization is very important for the improvement of a company and it’s also useful to evaluate your employees. In this article, I’ll show you some different types of daily activity reports for different purposes.
We will see different kinds of dataset in the following description and I’m showing the first example in the next figure.
1. Making a Daily Activity Report in Excel to Understand Work Progress
The template in this section for the daily activity report is for monitoring the activities of the employees and the status of a project. We have the Serial number for the tasks, Work Title and the Status of it and also we have an overview of the percentage of work done in this report. Let’s show you how to create the template.
- First, type the following formula in cell B6 .
We are using this formula so that we can put a serial number for each work automatically. The IF Function will leave the serial number entry blank if there is no entry in the Work Title column. As we want a serial number, we set the [value_if_false] as ROW()-5 , because our data starts from the 6th row , and the ROW Function delivers our serial number.
- Use the Fill Handle to AutoFill the lower cells.
- Now, put an entry in the first cell of the Work Title You will see 1 in cell B6 .
- After that, enter all the other work entries in that column and you will see all the Work Titles are marked with a serial .
- To enter the Work Status whether it is done or ongoing , we will create a drop down list for it. For that reason, select the cell G6 and go to Data >> Data Validation
- In the Data Validation dialog box , select List in the Allow: section and type Done, Ongoing in the Source:
- You will see a drop down icon in cell G6 . Use the Fill Handle to AutoFill the lower cells. This will create a drop down list in each cell of column G .
- You can see the options Done and Ongoing if you click on the drop down icon .
- Now put the entries as you wish.
- To see the percentage of work done , type the following formula in any of the cells.
The COUNTIF Function will count the number of times “ Done ” present in the Work Status column. The COUNTA Function will count the number of cells through the range G6:G13 . After dividing, we will get the fractional value of the ratio between work done and total work . To see this value in percentage , go to the Number ribbon and select Percentage .
- Hit ENTER and you will see the percentage of work done in that cell.
- Select Insert >> 2D Bar Chart .
- A Chart will appear.
- Right-click on the blue bar and click on Select Data.
- Click on Add in the Legend Entries
- In the Edit Series dialog box , set Series values as 1 and click OK .
- Move up Series2 by clicking on the marked icon in the following figure.
- And then click OK .
- Uncheck all the Chart Elements .
- Again, right-click on the bar and select Format Data Series…
- Set Series Overlap and Gap Width to 100% and 0%
- After that, resize the bar and drag it to a suitable position.
- Then right-click on the blue part of the bar and select Fill >> Green . You can choose any other color according to your wish.
- Similarly, set a color of your wish for the left part of the bar . The green part of the bar represents the fraction of work done .
- Now, go to Insert >> Text >> Text Box
- Put the Text Box in a suitable position and select it. Then type the following formula in the formula bar.
This formula will simply provide the value of the percentage of work done in the Text Box . We stored the formula of percentage in cell G1 previously, so we put the value of it in the Text Box .
- Hit ENTER and you will see the percentage in the Text Box .
- And then right-click on the Text Box and select Fill >> No Fill .
- Format and set the orientation of the bar according to your convenience.
- If you change any of the work statuses , you will see the percentage change in the bar .
As we changed the work status from ongoing to done , now there are 5 works done out of total 8 works , which means 62.5% of the work is done. See it in the following figure. As we take the rounded percentage , you will see 63% in the bar as a result.
Thus you can make a daily activity report for monitoring the work progress .
2. Using Excel Table to Make Daily Activity Report in Excel
Here, I’ll show you how to use the template of Section 1 as a table . Let’s go through the process below.
- Select the range B5:H13 .
- Go to Insert >> Table
- A dialog box will show up. Check My table has headers and click OK .
- You will see the template converted to a table .
- The advantage is, that if you insert a new entry , it will automatically create the serial number and drop-down list for work status .
- Choose Ongoing in the drop down list and see the percentage change in the bar .
Thus you can make a convenient daily activity report template.

3. Making a Daily Activity Report in Excel for Sales Management
In this section, we created a table for the daily report on sales and quantity sold by an organization. Let’s see the description below.
- The company sells electronic devices. So we entered some electronic devices, their prices, and sold quantity .
- We also used a formula to calculate the sales amount of individual products.
- To find out the total sales and total items sold , make some modifications and type the following formula in cell E2 .
- Press the ENTER button and you will see daily total sales .
- Similarly, type the following formula in cell F2 and press ENTER . You will see the total quantity sold in F2 .
Thus you can make a daily report on sales .

4. Making a Daily Activity Report for Hospital Entries
If you work in a hospital, this template of the daily activity report will help you. Let’s go through the discussion.
- Create a table like the following picture and add columns if you need to put other information.
- If you want to see the total patients admitted, type the following formula.
- Hit ENTER and you will see the number of the total patients .
- If you put a new entry , you will see the number of total patients automatically changes.

5. Daily Activity Report for School
If you are a school teacher, you may need this daily activity report template to observe your students’ progression and activities. Let’s have a look at the description below.
- Make an Excel chart like the following image.
- Make drop down lists in both the Attendance and Remarks and to see how to create a drop down list from Data Validation , please follow the process in Section 1 .
We chose Present and Absent options for the Attendance column.
And then we also selected Good , Satisfactory and Bad for the Remarks column.
- Use the drop-down list to fill the cells according to the student’s activities and to see the percentage of present students, type the following formula.
- Press the ENTER button and you will see the percentage of present
