SWABIZ: Southwest’s Corporate Booking Tool Explained

Southwest Airlines Business, also known as SWABIZ, is a one-stop shop for booking business and group travel. This online tool allows you to book flights with access to the same low fares advertised on Southwest.com, while enjoying some valuable added features.

Additionally, Southwest Airlines ' corporate travel program could make managing business travel easier, with customized plans to fit virtually every type of business. Here's more on how SWABIZ works and how businesses can use it to their advantage.

What you need to know

What is swabiz.

SWABIZ is a free corporate booking tool that business travelers can use to track and manage their travel programs. You can use SWABIZ to book:

Southwest flights.

Hotels at competitive rates (through SWABIZ partner Booking.com).

Rental cars from major rental car companies.

If your company has negotiated a discount rate with a rental car company, you can register your rate code or company ID through your SWABIZ account so the discount will be automatically applied at booking.

Who can book through SWABIZ?

SWABIZ recognizes four types of user roles for accounts. Reservations for eligible travel arrangements can be booked through SWABIZ by any of the following:

Guests are infrequent travelers, such as customers, business partners or interviewees.

Travelers have a registered SWABIZ account that includes their company ID number and their Rapid Rewards member number.

Limited-access travel managers can book reservations on behalf of guests and registered travelers.

Full-access travel managers can handle bookings, run reports and access SWABIZ travel tools.

You can choose which type of user roles you'd like to assign when creating your SWABIZ account online. When you're ready to book Southwest flights or other travel arrangements through SWABIZ, you'll have the option to log in as a traveler or travel manager.

SWABIZ login details

To login to your SWABIZ account, head over to swabiz.com. You will need to specify if you’re a Traveler or Travel Manager and input your company ID number.

Alternatively, you can login with your Rapid Rewards account number or username and password, but you will still need your company ID number.

What are additional SWABIZ features?

Aside from allowing business travelers to book Southwest flights, hotels and rental cars, SWABIZ comes with additional features, like:

Hotel expense tracking.

Ghost card storage for secure booking by limited- and full-access travel managers.

Benefits of booking business and group travel with Southwest

If you're traveling with 10 or more people, you can take advantage of Southwest's business and group travel booking benefits. The perks of booking through the group travel program include:

Flexible payments: No upfront payment to book a group reservation, except a deposit in some cases.

No hidden fees: You'll pay no booking, ticketing or change fees for group travel reservations.

Unlimited name changes: You can make unlimited name changes to your reservation up to 72 hours prior to departure.

Round-trip tickets: Receive one Tour Conductor ticket for every 29 group tickets you purchase.

You may need to put down a deposit of $50 per person to hold a group travel reservation, and you can pay it only with a credit card . When it's time for your flight, you can check in your entire business group online, up to 24 hours in advance.

Tip: Some business travelers can add EarlyBird Check-In

Unfortunately, you can't take advantage of EarlyBird Check-In for business group bookings, but it is a SWABIZ feature that smaller groups or solo travelers can use.

Travelers who opt for this ticket add-on will have access to EarlyBird perks including:

Easier access to overhead bins.

Don't fly alone. Here's how Southwest's Companion Pass lets you bring a buddy for free.

Southwest Airlines is running a promotion to let Rapid Rewards members earn a Companion Pass more easily.

With the pass, qualifying travelers can bring a designated buddy with them for free on any trip between Aug. 5 and Oct. 2.

Normally, to earn a Companion Pass, Southwest frequent flyers need to fly 100 one-way flights in a year or earn 135,000 qualifying points. These points can be accumulated through flight purchases or eligible spending on Southwest-branded credit cards or with program partners.

Under the promotion, all travelers have to do to qualify is register on Southwest’s website and purchase one round-trip or two one-way flights.

“We know the Companion Pass is a favorite perk of our Rapid Rewards program, and we’re thrilled to bring back this promotion for a limited time so that customers can experience why this popular benefit is so meaningful,” Jonathan Clarkson, Vice President Marketing at Southwest Airlines said in a statement. “We invite our customers to take advantage of this offer because traveling with your favorite companion supports sharing of adventures and creating memories that can last a lifetime.”

To earn the promotional Companion Pass, travelers must purchase their qualifying flights by Wednesday, and travel must take place by May 22 after registering for the deal. 

Promotional Companion Pass holders can change their designated companion up to three times during the eligibility period. Full terms and conditions of the deal are available here on Southwest’s website .

Southwest Rapid Rewards is now offering Cash + Points redemption

Southwest Airlines is rolling out a new option for redeeming your Southwest Rapid Rewards points.

As of Monday, the Dallas-based carrier now offers Cash + Points redemptions — the option to redeem a combination of cash and Rapid Rewards points toward your Southwest flight.

Southwest noted in the FAQ section for the feature that not all Rapid Rewards members will have the option available to them during this initial rollout. So be sure to check your Rapid Rewards account to see if you've been given early access to this feature.

Here's what to know about Rapid Rewards Cash + Points:

What is Southwest Rapid Rewards Cash + Points?

Cash + Points is a new redemption option for Rapid Rewards members. Essentially, it's a payment option to use a chunk of points toward a portion of a flight and finish covering the rest of the cost of the plane ticket with cash.

Rapid Rewards members will now see up to five Cash + Points options when booking a flight. These redemptions will start for as few as 1,000 points.

It's important to note that you won't earn Rapid Rewards points, tier qualifying points for A-List or A-List Preferred status , or Companion Pass qualifying points on Cash + Points bookings, so keep that in mind if you're considering this redemption.

How to book Southwest flights with Cash + Points

To book a flight, first log in to your Rapid Rewards account and search for an itinerary through Southwest's website or app. After you select your flight, choose "Cash + Points" as your payment option.

You will see up to five options to pay with a combination of Rapid Rewards points and cash, totaling out to the value of your ticket. Note that you'll need at least 1,000 Rapid Rewards points to book with Cash + Points.

If you're more of a visual learner, Southwest released a video demonstrating how to book with Cash + Points.

Is using Southwest's Cash + Points a good deal?

TPG values Southwest points at 1.37 cents each; therefore, redeeming your Southwest points to pay for a fraction of your trip is not the best redemption option. For example, if you redeem 3,320 points, you'll only receive $20 off your plane ticket when using Cash + Points as your redemption option. However, TPG values 3,320 points at about $45, which means you'll be getting far less value for those points.

Overall, we think it's best to save your points for one big redemption instead of using the Cash + Points option.

Bottom line

Southwest is introducing another way for Rapid Rewards members to save on the cash price of a ticket. It will allow members with a lower number of Rapid Rewards points or those who are trying not to use them all in one place to redeem a portion of their points for a flight and finish paying with cash.

However, the inability to earn more Rapid Rewards points on Cash + Points redemptions, as well as the lack of tier qualifying points and Companion Pass qualifying points, could make this a less advantageous option for those trying to stack up Rapid Rewards points — especially since they are among the airline currencies that don't expire .

Also, access to the Cash + Points feature is currently limited while Southwest is rolling it out, so you may not have the option yet. Be sure to log in to your Rapid Rewards account in the coming days to see when you're able to book with Cash + Points.
