Any privacy information displayed on the screen or printed must be protected from unauthorized disclosure. Employees who violate privacy safeguards may be subject to disciplinary actions, a fine of up to $5,000, or both.

"The information requested in the ConcurGov is collected pursuant to Executive Order 9397 and Chapter 57, Title 5 United States Code. The purpose of the collection is to establish a comprehensive travel services system which enables travel service providers to authorize, issue, and account for travel and travel reimbursements provided to individuals on official Federal Government business. Categories of records in the system records may include: Full name matching the form of ID used for travel; Social Security Number; employee identification number; home, office, agency and emergency contact information; travel and hotel preferences; current passport and/or visa number(s); credit card numbers and related information; bank account information; frequent traveler account information (e.g., frequent flyer account numbers); date of birth; gender; DHS redress and known traveler numbers (numbers DHS assigns to promote resolution with previous watch list alerts and facilitate passenger clearance, respectively); trip information (e.g., destinations, reservation information); travel authorization information; travel claim information; monthly reports from travel agent(s) showing charges to individuals, balances, and other types of account analyses; and other official travel related information.

Routine uses which may be made of the collected information and other financial account information in the system(s) of record entitled "Contracted Travel Services Program GSA/GOVT-4" are: (a) To another Federal agency, Travel Management Center (TMC), online booking engine suppliers and the airlines that are required to support the DHS/TSA Secure Flight program. (b) To a Federal, State, local, or foreign agency responsible for investigating, prosecuting, enforcing, or carrying out a statute, rule, regulation, or order, where agencies become aware of a violation or potential violation of civil or criminal law or regulation; (c) To another Federal agency or a court when the Federal Government is party to a judicial proceeding; (d) To a Member of Congress or a congressional staff member in response to an inquiry from that congressional office made at the request of the individual who is the subject of the record; (e) To a Federal agency employee, expert, consultant, or contractor in performing a Federal duty for purposes of authorizing, arranging, and/or claiming reimbursement for official travel, including, but not limited to, traveler profile information; (f) To a credit card company for billing purposes, including collection of past due amounts; (g) To an expert, consultant, or contractor in the performance of a Federal duty to which the information is relevant; (h) To a Federal agency by the contractor in the form of itemized statements or invoices, and reports of all transactions, including refunds and adjustments to enable audits of charges to the Federal Government; (i) To a Federal agency in connection with the hiring or retention of an employee; the issuance of security clearance; the reporting of an investigation; the letting of a contract; or the issuance of a grant, license, or other benefit to the extent that the information is relevant and necessary to a decision; (j) To an authorized appeal or grievance examiner, formal complaints examiner, equal employment opportunity investigator, arbitrator, or other duly authorized official engaged in investigation or settlement of a grievance, complaint, or appeal filed by an employee to whom the information pertains; (k) To the Office of Personnel Management (OPM), the Office of Management and Budget (OMB), or the Government Accountability Office (GAO) when the information is required for program evaluation purposes; (l) To officials of labor organizations recognized under 5 U.S.C. Chapter 71 when relevant and necessary to their duties of exclusive representation concerning personnel policies, practices, and matters affecting working conditions; (m) To a travel services provider for billing and refund purposes; (n) To a carrier or an insurer for settlement of an employee claim for loss of or damage to personal property incident to service under 31 U.S.C. § 3721, or to a party involved in a tort claim against the Federal Government resulting from an accident involving a traveler; (o) To a credit reporting agency or credit bureau, as allowed and authorized by law, for the purpose of adding to a credit history file when it has been determined that an individual's account with a creditor with input to the system is delinquent; (p) summary or statistical data from the system with no reference to an identifiable individual may be released publicly; (q) to the National Archives and Records Administration (NARA) for records management purposes; (r) to appropriate agencies, entities, and persons when (1) The Agency suspects or has confirmed that the security or confidentiality of information in the system of records has been compromised; (2) the Agency has determined that as a result of the suspected or confirmed compromise there is a risk of harm to economic or property interests, identity theft or fraud, or harm to the security or integrity of this system or other systems or programs (whether maintained by GSA or another agency or entity) that rely upon the compromised information; and (3) the disclosure made to such agencies, entities, and persons is reasonably necessary to assist in connection with GSA's efforts to respond to the suspected or confirmed compromise and prevent, minimize, or remedy such harm. Information requested is voluntary, however, failure to provide the information may nullify the ability to book online travel reservations."

The university offers a self-service online booking tool to support faculty and staff travel needs. The tool offers the option to book air, train, rental car and hotel reservations. In order to access the tool a travel profile must be created through a registration process .

Concur Benefits

  • Time Savings – reduce the amount of time spent searching on individual websites for the best airfare. Concur offers all airline options based on your search parameters.
  • Ease of Booking – by maintaining a secure travel profile within Concur, the booking will automatically apply airline, car and hotel memberships added to your profile. The profile will also collect a list of any cancelled tickets so that they can be applied towards future travel.
  • Ease of Payment – option to use the UT central billed airfare payment method or your own personal credit card.
  • Cost Savings – online self-service ticket fee is lower than a full-service ticket fee booking. In addition, UT contracted discount rates are applied, ensuring the best value use of your funds as consistent with institutional priorities. Check out these airfare comparison examples to see how the UT discounted rates help your department lower their overall travel spend.
  • Compliance – policies and rules for travel can be complicated. With the online booking tool, compliance is built into the offerings. For example, when you reserve a car with the correct codes you are automatically ensuring that the UT rate and benefits are included (where applicable). Or, when you book a trip to Washington D.C. the tool will remind you to follow the Office of State-Federal Relations (OSFR) rules. And when booking international travel, you will get a reminder on the UT Austin international travel procedures .
  • Administrative Efficiencies – travelers can delegate their travel arrangements to a support staff member to book on their behalf.
  • The Trip Library in Concur is a fast way to access past trips.
  • Technology Tools – the online booking tool allows you to clone the trip for another traveler or create trip templates for frequent destinations. There is also a mobile app to assist you while you are on the go.
  • Travel Experience – purchasing airfare on Concur allows the travel agency access to support you during travel. This is a powerful benefit, considering current airline call hold times due to staffing issues. And when booking UT contracted airline rates, you automatically get the benefit of guaranteed boarding positions and priority waitlists when rebooking delayed or cancelled flights.

Concur Travel Helpful Tips

  • Use the matrix at the top of the search to sort the results below.
  • In the search box, open up the window of time by clicking on the +3 and choosing a higher number in order to generate more results.
  • You can toggle between shopping by Fares or Shopping by Schedule. Shop by schedule if you want to piece together your flights based on time selections. This will show you fares on multiple carriers. (note: ticketing fee is per ticket).
  • If you know the flight number, type it in the box at the top near the sort box and search by flight number to review flight option results.
  • In the results, there is a small grayed out area describing the flight duration and aircraft type below the Select button. You can view the seat map ahead of making your selection by choosing the View Seats feature.
  • When looking at airfare results, choose“More fares/details” to open up all the fare types and the rules associated with them.
  • Pay attention to the icons near the airfare results and click on them to see what they say. Those icons are shortcuts to help you understand the most important information or the high-level restrictions for that fare type. For example, basic economy fares can be purchased but the warning icon outlines the risks associated with that fare type.

Booking travel.

Travel can be booked by travelers and/or travel arrangers in three different ways:

  • Concur Travel Module
  • World Travel Service, Inc , the Duke preferred travel agency
  • Direct with travel vendors (Delta, Hilton, Enterprise, etc)

All employees are placed in a default travel class, per Duke policy.  More information on Duke's Travel Policy  

Orange Line

Concur's online tool for booking travel supports all major airlines, including Southwest; hotels and car rentals. It allows users to compare pricing and book all travel needs concurrently as well as leverage e-receipting functionality for expense management.  Itineraries booked in Concur are automatically linked to Tripit Pro.  Itineraries booked outside of Concur can still be linked to Tripit Pro by emailing it to [email protected] with the travelers email address in the subject line.

Not all  travel can be booked through Concur.  You may book directly with travel vendors or with World Travel for the following types of travel:

  • Personal travel (Work directly with World Travel for spouse/companion travel)
  • Travel for Duke employees that are not the cardholder/group travel
  • Duke guests

E-Receipt Partners

Concur partners with many travel vendors to provide receipts electronically, eliminating the need to collect paper receipts for many transactions. Corporate Card charges and airline itineraries automatically match with travel dates within expense reports.  The list below are the major travel vendors used frequently by Duke travelers:

What is a contact/agent assist fee.

A contact/agent-assist fee applies when a phone call, email, or reservation remark occurs or agent assistance is required for any reason to an online reservation.

What should I do if I need to change a ticketed World Travel Service reservation?

Contact World Travel Service. One of our travel consultants will then ad¬vise the best possible way to make the required change. 

What should I do if I want to cancel a ticket?

For cancellations/refunds, simply cancel via Concur and or contact World Travel Service with details of your ticket. Please note that some tickets have cancella¬tion charges.

What if I need a ticket on the same day?

Reservations using Concur Travel can be made up to 4 hours prior to departure.  For departures within 4 hours, please use the toll-free number for assistance.

How do I obtain travel documents?

World Travel Service will provide you with an electronic ticket (e-ticket), hotel and car confirmation via email.

Payment - How does my company pay for travel documents?

Airline tick¬ets are paid by the company credit card built into Concur Travel.

SAP Concur held it’s Fusion 2024 conference in mid-March, and announced product developments and partnerships at the event.

The new booking experience in Concur Travel launched last August , featuring a consumer-grade user experience with a streamlined booking and checkout process. The new experience includes omni-search capabilities that automatically merge options for many locations, such as airports, city centers, or company locations, delivered by a robust travel ecosystem. It also offers increased global content coverage, including additional New Distribution Capability (NDC) content via the Sabre GDS, better imagery, and richer descriptions in one view.  The revamped Concur Travel delivers a modern, intuitive experience that is adaptable for web and mobile and tailored for the traveler.

Many TMCs agree the experience is much improved. According to Flight Centre Travel Group Global Manager of Travel Distribution Nicola Ping, “Flight Centre Travel Group believes that the evolution of the Concur Travel platform is a huge step forward in offering a retail-like experience for NDC air content in a corporate environment. Our partnership and collaboration with SAP Concur brings together the entire value chain to focus on delivering solutions that work in a complex travel ecosystem.”

At Fusion, we are announcing incremental content and features as part of the evolution of Concur Travel:

  • In-app emissions data: Now, employees can further consider environmental impacts when booking through the replatformed Concur Travel. Through an integration with Thrust Carbon , one of the travel industry’s leading independent sustainability intelligence platforms, evolution of Concur Travel users can view and sort the greenhouse gas emissions of each flight segment, as well as rail and car rental options, and browse hotel providers by emissions, certifications, and sustainability scores.
  • Enhanced hotel and rail content: We’re providing greater choice of hotel content with new direct integrations to American Express GBT, BCD, CWT RoomIt, FCTG, and HRS designed to enhance the traveler’s shopping experience by providing more options, clarity, and transparency for bookings. Additionally, users can search, book, and purchase UK Rail content.
  • Microsoft Teams integration : Sharing travel itineraries with coworkers is now easier than ever. Travelers can share a reservation from their Concur Travel trip list to a Microsoft Teams chat, so that their coworkers can book the same trip and join them.
  • Request Integration: Concur Request enhances compliance processes by automating and simplifying spend requests and approvals. When integrated with Concur Travel, the approval process becomes more efficient through automated workflows. Users can easily book a trip in Concur Travel, and a request is automatically generated and completed, offering a seamless experience.

Given the proliferation of airline and hotel content that is outside of legacy technology, and increased costs assessed by several airlines for not booking direct, we have continued to invest in TripLink. Our investment ensures that travelers continue to have access to a wide range of corporate and consumer fares while still enjoying their corporate benefits and allowing travel managers to completely manage their travel programs regardless of where travel is booked. To that end, we recently announced  the Concur TripLink hub, a new home within SAP Concur solutions to help streamline enrollment in TripLink and TripIt Pro. Travelers can easily connect their loyalty accounts to preferred travel partner integrations and gain even more benefits from business travel. For travel managers this means more visibility, improved policy compliance and the ability to provide travelers with more flexibility.

Travel disruptions are part of the new normal of travel, which is why we’ve also made changes in TripIt Pro to help travelers make informed travel decisions. Now, TripIt Pro Risk Alerts notifies users in real-time when a potential disruption may impact their trip. With timely info, users can be better prepared for the next step in their itinerary – whether that’s showing up to the airport early, rescheduling a flight, or doing more research into alternate plans. Reimagining Expense Reports

The reimagined Concur Expense experience is AI-powered, optimized for mobile and already being used by early adopter customers. Expense reports are automatically created and easily managed thanks to the following capabilities and a new partnership with Mastercard :

  • Automatic expense entry, itemization, and categorization with ExpenseIt
  • Timeline view of expenses
  • Intelligent notifications such as missing receipts, missing attendees or expense reports ready for submission
  • Attendee suggestion based on expense type and amount
  • Automated expense creation for Mastercard transactions. Our new global integration will pull real-time spend data from Mastercard corporate card purchases to automatically populate expense reports in Concur Expense and alert users if additional information is needed. As part of the new partnership, we’re also working with Mastercard to provide travel and finance managers with the power to set spending controls and restrictions to help encourage expense policy compliance.

Additionally, we are announcing our new Data Delivery Service, which provides customers direct access to their Concur Expense data flows without manual reports or downloads. Now, customers can bring their Concur Expense data into their instance of SAP Analytics Cloud, their data warehouse, or any other third-party analytics tool to view a complete picture of spend and improve data management. Companies will be able to discover new analytics and insights, combining data sources across their organization to make more informed, efficient decisions.

Concur Founder Steve Singh and Firms Acquire Direct Travel

Steve Singh believes corporate travel is ready for new technology, and he believes the right company can displace the old ones.

Steve Singh, co-founder of Concur, and a group of firms have fully acquired the corporate travel agency Direct Travel . And they’re planning to release a new platform for customers later this year that combines several new technologies from Direct Travel and three other startups that Singh has a stake in.

The group — which includes firms Durable Capital Partners, Madrona Ventures, Top Tier Capital Partners, and Blackstone Credit & Insurance — have purchased the company from the private venture capital firm Antares Capital and other debt providers, Singh said.

Price and terms of the deal were not disclosed. 

Singh, managing partner of Madrona Ventures, is now executive chairman of Direct Travel.

Christal Bemont , who spent nearly 16 years at SAP Concur, most recently as chief revenue officer, is now the CEO of Direct Travel. As part of the deal, Ed Adams is retiring from his role as CEO of Direct Travel.

This is the second big corporate travel agency acquisition announcement recently. Amex GBT last week said it plans to acquire CWT for $570 million .

Direct Travel was founded in 2011 and is based in Denver, with 80 offices in North America and the UK. It has a total of about 1,800 employees.

Travel Weekly ranks the company among the largest corporate travel agents in the world.

It has more than 4,500 clients, mostly in the middle market, though they also include large companies such as PayPal. 

Direct Travel generates over $300 million in revenue annually, and it’s growing by about 10% each year, Singh said. 

“We think we can actually improve that growth rate to 15% to 20% over the course of the next year, and we think we can maintain that 15% to 20% growth rate for years to come,” Singh said in an interview with Skift. 

Singh sold Concur to SAP in 2014 for $8.3 billion .

What’s Next for Direct Travel

Singh and the other investors have been looking for acquisition opportunities in the corporate travel space for about a year, he said. 

He and the same group of firms have invested together in startups Spotnana, Troop, and Center. Singh is executive chairman of all four companies, and Madrona Ventures is the largest investor. 

The plan is to release a platform for Direct Travel customers that integrates the technologies and services of all four of these companies. Each company will continue operating independently, as well. 

Spotnana has raised over $100 million to rebuild the infrastructure of corporate travel agency bookings, away from the traditional global distribution systems and the incentives they provide to agents for booking certain products. In travel industry lingo, that’s what’s known as new distribution capabilities . 

Troop, which has raised around $20 million , is a platform meant to help companies plan, book, expense, and manage logistics for in-person meetings. 

Center, an expense management platform that provides corporate cards to clients’ employees, has raised a total of $140 million . 

The plan is that the single platform will also include AI integrations, including a trip planner that accepts prompts in natural language, and a way to automatically deliver options in response to travel disruptions. 

“What the corporate travel space is really due for is a transformation. The reality is this industry operates on legacy technology stacks, siloed information, disjointed experiences,” Singh said.

“We think that there’s an opportunity for a next-generation [travel management company] to emerge as the leader in this space. We think there’s an opportunity to, frankly, displace many of the technology providers that exist in this space who are all building on top of legacy systems.”

The Vision Behind the Plans

Connecting all four of these travel companies is part of Singh’s long-term vision of “the perfect trip,” or as others in the industry call it, “the connected trip.”

It’s the idea that all travel companies involved in a trip should have easy access to that traveler’s data, with permission, which would theoretically enable a more seamless experience for the traveler. In today’s world, a traveler who books a flight through an agency would usually need to return to the agency to change that flight because the airline doesn’t automatically receive the customer’s booking data. In the world of the “perfect” or “connected” trip, the traveler could change the flight directly with the airline. 

Singh also emphasized that the coming platform will be built with an open technological infrastructure, meaning that clients can choose to connect third-party software and build their own suite of products. It’s more common with next-generation hotel management tech, but not corporate travel. 

“To me, this is what’s been the problem in the travel industry for the last decade: People have been protecting their existing models and not innovating on behalf of the customer, not innovating on behalf of the supplier. And whenever you do that, it opens up opportunities for those that are willing.”
