Graduate Scholarships

The  International Education Fund (IEF) Scholarship  is a competitive scholarship offered to UT Dallas students who are participating in an International Education program and meet the eligibility criteria.  Applicants must have a UTD cumulative grade point average of at least 2.75.

  • Award range:  $400-5000
  • Deadlines:  June 15 for fall programs, October 15 for spring programs, March 15 for summer programs

Most financial aid and scholarships are applicable to International Education programs, but you should work with the Office of Financial Aid to ensure your funding can be applied to the program you have chosen.  Make an appointment to meet with your  financial aid advisor  and discuss your specific funding.  For questions to ask, visit the  Discuss Your Finances webpage .

Some academic units offer their own study abroad scholarships and/or travel grants. For example, JSOM students may be eligible for the JSOM Study Abroad Scholarship, and EPPS students may apply for the James Scott International Experiences Fund. Check with your academic advisor to see if departmental funds are available.

General Study Abroad Scholarships

Boren Fellowships , funded by the National Security Education Program (NSEP), provide support to U.S. graduate students who plan to study or research abroad in world regions considered critical to U.S. interests.  The Boren Awards give preference to programs based on their duration, focus on intensive study of a preferred language in a preferred country, and the applicant’s field of study.  For a list of preferences, visit the  Eligible Programs webpage .

  • Award:  varies, up to $20,000
  • Deadline:  early February of each year

The  Critical Language Scholarship (CLS) Program , offered by the U.S. Department of State, is a summer study abroad opportunity for U.S. students to learn languages essential to America’s engagement with the world.  Scholarship recipients will spend 8-10 weeks abroad studying one of 15 critical languages and participating in structured cultural enrichment experiences.  Critical languages include Arabic, Azerbaijani, Bangla, Chinese, Hindi, Indonesian, Japanese, Korean, Persian, Portuguese, Punjabi, Russian, Swahili, Turkish, and Urdu.

  • Award:  most costs associated with the program, excluding passport fees and the cost of a medical screening
  • Deadline:  November of each year

Diversity Abroad Overseas Ambassador Scholarships  provide funding to students who commit to serving as overseas correspondents while studying or interning abroad.  Recipients will be asked to share their experiences by writing articles and sharing inspiring photos and videos.  Economically disadvantaged students, first-generation students, students with disabilities, and ethnically/racially diverse students are strongly encouraged to apply.

  • Deadlines:  June for fall and summer programs, November for spring programs

The Fulbright U.S. Student Program , a congressionally-funded international exchange program, provides grants for graduate students to undertake international study, advanced research, university teaching, and primary/secondary school teaching worldwide. The program currently awards approximately 2,000 grants annually in all fields of study and operates in more than 140 countries around the world.

Identity-Based Scholarships

The  Diverse International Women of Color Scholarship  is intended to assist women of color who are exceptional in their studies and in need of financial assistance to study abroad.  In order to be eligible,applicants must have a cumulative grade point average of at least 2.7.  Only study abroad programs starting in June, July, or August will be considered.

  • Deadline:  May of each year

The  June Jordan Joy Fund  provides financial support to Black women who have been accepted to a study abroad program.  The fund is focused on expanding access to women who normally wouldn’t have the funds necessary to go abroad.  Commuter students, non-traditional students, and students with a cumulative grade point average under 3.0 are especially encouraged to apply.

Corporate-Sponsored Scholarships

STA Travel, Inc ., a travel company focused on student and youth travel, teams up with a variety of partners to help make students’ study abroad dreams a reality.  Check the website frequently for updates.

Destination-Specific Scholarships

The  Foundation for Asia-Pacific Education  offers scholarships to students planning to study abroad in several countries within the Asia Pacific region, including Australia, China, Hong Kong, Taiwan, Japan, South Korea, New Zealand, and more.  In order to be eligible, applicants must be U.S. or Canadian citizens.

  • Award range : $500-1500
  • Deadlines:  August 1 for fall programs, December 31 for spring programs, April 30 for summer programs

The  Asia Institute Global Business Scholarship  provides funding to graduate students in international business or a related field who intend to study abroad or intern in Asia.  In order to be eligible, applicants must have selected a global learning experience in a country different from their nationality and/or different from the country that issued their passport.

The  Asia Institute International Engineering Scholarship  provides funding to graduate students in the field of engineering who intend to study abroad or intern in Asia.  In order to be eligible, applicants must have selected a global learning experience in a country different from their nationality and/or different from the country that issued their passport.

Tanaka and Green Academic Scholarships , offered in association with the Japan-America Society of Washington DC, provides funding to U.S. graduate students who are accepted to participate in a semester exchange program in Japan. Priority is given to students who have studied the Japanese language, have taken courses related to Japanese history/culture, or have participated in extra-curricular activities related to Japan outside the classroom.

  • Award range:  $4000-5000
  • Deadline:  July 15

Toshizo Watanabe Study Abroad Scholarships , offered by the U.S.-Japan Council, provide financial assistance to graduate students participating in a semester or year-long study abroad program in Japan. Applicants must demonstrate financial need, and priority is given to first-generation college students and those without previous international travel experience.

  • Award:  depends on applicant’s cost of attendance and other financial resources available
  • Deadline:  mid-February of each year

The  Japan Student Services Organization (JASSO)  provides scholarships to qualified students who are accepted to participate in a semester exchange program in Japan. The host institution will select top-qualified students to apply for the JASSO scholarship.  In order to be eligible, applicants must demonstrate financial need; those receiving more than 80,000 JPY (approximately $750) in other scholarships are not eligible.

  • Award:  80,000 JPY per month of study (approximately $750)
  • Deadline:  To be announced by host institution

The  Global Korea Scholarship (GKS) Program  is funded by the Korean Government and provides scholarships for qualified students who are accepted to participate in a semester exchange program in Korea. The host institution will select top-qualified students to apply for the GKS scholarship.  Selected students will be required to take at least one regular semester course related to Korean language or culture during their exchange program.

  • Award:  round-trip airfare, monthly stipend of KRW 500,000 for three months (approximately $400/month), one-time allowance of KRW 200,000 (approximately $150)

Deutscher Akademischer Austauschdienst/German Academic Exchange Service (DAAD)  maintains a database of scholarships and funding for graduate students who plan to study, research, or intern in Germany.

Eastern European Study Abroad Scholarships  are offered to students planning to study abroad for a semester or full academic year in an Eastern European country.

  • Award range:  $100-7000
  • Deadlines:  March for fall programs, October for spring programs, April for summer programs

ItaliaRail Scholarships  offer funding to help students study abroad in Italy and immerse themselves in the country’s rich and dynamic culture.  In order to be eligible, applicants must be enrolled in a study abroad program for a full semester (12-16 weeks).

  • Award:  $1,000, plus a 3-day Italy Rail Pass
  • Deadlines:  June for fall programs, November for spring programs

Generation Study Abroad (GSA) Excellence and Travel Awards  provide funding to U.S. citizens or permanent residents who have been accepted to study abroad at a university, institute of technology, or polytechnic in New Zealand.

  • Award range:  $500-2000
  • Deadlines:  April for fall programs, October for spring programs
  • Award range:  $500-1500

The  Turkish Coalition of America (TCA)  awards up to 100 scholarships per year to encourage students to choose Turkey as a study abroad destination. In order to be eligible, applicants must identify with at least one of the following backgrounds: African American, Armenian American, Bosnian American, Filipino American, Hispanic American, Macedonian American, Native American.

  • Award range:  $500-2000
  • Deadline:  scholarships are awarded on a rolling basis

Program-Specific Scholarships

Hankuk University of Foreign Studies (HUFS)  – Students accepted into this exchange program may be eligible for the Global Exchange Scholarship (GES) of 500,000 KRW (approximately $400).  UT Dallas students nominated to HUFS will be automatically considered for the GES; no additional application is required.  Upon arrival in Korea, exchange students can also apply for the Peer Tutoring Scholarship of 500,000 KRW (approximately $400). If selected as a tutor, recipients will meet with Korean students once per week to share their language and culture.

Istanbul Kültür University  – Students accepted into this exchange program may be eligible to apply for a scholarship program through the Erasmus KA107 Project, which is funded through the European Commission. The Erasmus+ Grant is €800/month (approximately $850/month) and €1100 (approximately $1200) to cover the flight cost from UTD to IKU.

University of Economics in Bratislava  – Students accepted into this exchange program may be eligible for the National Scholarship Programme of the Slovak Republic. The scholarship is intended for master’s level students or those who have completed at least 2.5 years of their university studies at the time of application.  Recipients will be awarded a monthly living stipend of €400 (approximately $450/month).

University of Nottingham Ningbo China (UNNC)  – Students accepted into this exchange program may be eligible for the following scholarships:

  • UNNC Mobility Scholarship with variable award amounts (up to RMB 650,000 or approximately $100,000)
  • Ningbo Government Scholarship of RMB 6,000 (approximately $900)

University of Sheffield  – Students accepted into this exchange program may be eligible to apply for a competitive scholarship of £750 (approximately $950), funded by Sheffield’s American alumni.

Travel & Conference Awards

Interested in going to a conference to present your research? Worried about not being able to afford the trip?

The GSA Conferences and Travel Awards consist of the  GSA Award for Conferences  and  GSA Travel Assistance Award . These are highly competitive,  merit-based awards intended to cover the costs of attending a conference for NC State graduate students. Students who wish to apply must submit a complete application using the submission form ( Spring 2024 submissions opened on December 15, 2023 ). The Fall and Spring semesters’ deadline is September 15 and February 15, respectively, by 11:59 pm. The submissions will open each year for Fall and Spring on July 15 and December 15, respectively. Although students may apply in advance for funding, the  GSA Conferences and Travel Awards operate on a reimbursement basis , meaning awardees are reimbursed for costs after travel takes place with receipts. Lastly, the awards are  NOT  on a rolling basis, all applications will be assigned to the reviewers from the Graduate Student Association Research Recognition Committee after the corresponding deadline, and the winners will not be announced earlier than the assigned date. Please check the  Application Timeline  section for details.

The General Process

The applications are available online prior to the beginning of each semester, mid-July for the fall application cycle, and mid-December for the spring application cycle. Once available, applicants are able to edit and submit their application and supplementary material (personal statement, abstract and confirmation of acceptance (if received), unofficial transcript, CV, letter(s) of recommendation, DGP Authorization) until the deadline, September 15 and February 15, respectively, at 11:59 pm. Lastly, the applicant is required to be part of the NCSU community at the time of the conference, and we cannot offer funds for conferences that occur after graduation.

Note: The Letters of Recommendation and the DGP Authorization must be submitted through separate links provided on the GSA Travel Award website and in the application. These links are publicly available and should be reviewed prior to emailing them to your DGP or reference writer. Furthermore, these documents must be received before the deadline. Once a DGP Authorization or Letter of Recommendation is submitted, a confirmation email is sent to the applicant and the DGP or reference writer. It is up to the applicant to keep track of this. These two documents are the most common missing items that disqualify an application!

After the deadline, the applications are checked for completeness, including verifying that all supplementary material has been provided. Applications that are complete will then be distributed to the Research Recognition Committee to be evaluated. The Research Recognition Committee consists of over 12 graduate students from various GSAs across the university. Each application is evaluated with a rubric at least 3 times, and the judges evaluating an application do not know the applicant and if possible, are not in the applicant’s program or department. These evaluations are then compiled, analyzed, and put into a report to assist with determining the awardees. Next, the committee meets to discuss the applications. Each judge has the opportunity to bring up their top application for debate, and the committee will discuss the application’s strengths and weaknesses. Each awardee is determined by vote.

Once the finalists are decided, notification letters are sent out to all applicants by November 15 and April 15 for the fall and spring cycles, respectively. Those who receive an award are notified of which award (GSA Award for Conferences or GSA Travel Assistance Award) and the amount. Awardees are required to provide a picture and a brief biography for the GSA website to celebrate their accomplishments with the broader graduate student community. Additionally, after attending their conference, awardees are required to submit a statement describing the impact of the conference.

The Details

A student can only receive the GSA Award for Conferences once per graduate degree

. If awarded, a student is reimbursed up to $1,500 to cover conference and travel expenses.

GSA Travel Assistance Award

The GSA Travel Assistance Award was created through collaborations between the GSA and the Graduate School. These awards were allocated for the first time in Spring 2018.

A student can only receive the GSA Travel Assistance Award once per graduate degree . If awarded, a student is reimbursed up to $500 to cover conference and travel expenses.

Other Awards

The committee may also decide to award applicants with  Arthur B. Moss International Grant  and  Bob & Seuster Sowell Scholarship  based on their availability each semester. Awardees are selected from the GSA Travel Awards application pool.

Eligibility

The GSA Conferences and Travel Awards are open to currently  enrolled, fee-paying  graduate students in good academic standing (GPA > 3.00). Please note that if you are taking advantage of the faculty waiver program (outlined  here ), you are not eligible for these awards. Lastly, the funds cannot cover events that occur after the applicant’s graduation, the graduation is based on the applicant’s corresponding  ETD deadline .

Note: The GSA reserves the right to limit the number of applications to no more than 5% of the total number of graduate students in the same program based on the volume of applications received. In this instance, the DGP will assist in narrowing down the pool of applicants from their respective programs based on the highest quality of research. This restriction would be implemented  after   all applications have been submitted and evaluated.

Recipient Stipulations

Each NC State Graduate Student:

  • Can only receive each award  once  per graduate degree.
  • Can apply to both awards using  one application cycle . Indicating that you are applying to ‘both’ on one application will be sufficient. The type of award received is merit-based and is determined by the selection committee.
  • Can receive  one  award per academic year  (Ex. If you received either award in fall 2017, you are ineligible to receive an award in the spring 2018 OR if you received either award in spring 2017, you are ineligible to receive an award in fall 2017.)

Application Requirements

All parts of the application  must be  received.  Applications missing any of these will NOT be evaluated:

  • Completed  application form.
  • The relevance or impact of your research on the existing field.
  • How your research contributes to society as a whole.
  • How your attendance at the conference contribute to the scientific and academic enrichment of NC State, your department, and/or your program.
  • How your attendance at this conference supports or will support your personal and career goals.
  • Copy of an  abstract submitted to the conference and  confirmation  of abstract acceptance (if received).
  • Copy of NC State  unofficial transcript  (accessible via MyPackPortal).
  • Curriculum Vitae  (include a list of publications, if applicable).
  • Two  Letters of recommendation (applicant should receive confirmation emails from jotform to confirm their letters have been submitted by the recommenders).
  • Authorization  from the applicant’s Director of Graduate Programs (DGP).

GSA Travel Awards

Uc merced gsa conference travel award fellowship.

UCM GSA Conference Travels Awards are designed to assist members of our graduate community who travel to conferences to present original work or network as pertinent to their graduate study. The award will be provided upfront to students who are traveling for the conference. 

Applications must be received by 11:59 pm by the date stated in the call-out email for each cycle. Only one application per person will be considered for each cycle. The conference start date must be within the time of the travel award cycle. 

To be eligible for a travel grant, applicants must:

Be a current graduate student at UC Merced.

Attend a conference (virtual or in-person) at which they present their work.

Have  not   received a GSA Travel award within the last 12 months.

Five students from each school (Engineering, Natural Sciences, SSHA) will receive an award each cycle. Each student can only apply once during each award cycle. Applications will be randomly selected for awards, but students can receive up to one extra entry if they meet one of the following criteria:

  • Applicant is in the final year of their program
  • Applicant is attending a conference with an emphasis or focus on Diversity, Equity, and Inclusion (DEI)
  • Applicant is giving an oral presentation

Applications that are incomplete, submitted out of the specified time period in the GSA official call-out email , or that have not followed instructions will be disqualified. 

Additionally, students who attended a conference in the past cycle and did not receive funding may apply for a travel award. These applicants will be drawn from the pool of previously unused travel funds. These awards will be awarded randomly according to the same criteria as detailed above.

The Graduate School makes awards to support the professional development of its students.

Professional Development Awards

Professional Development Awards provide support for students to attend major professional meetings at which they present an original paper based on their research conducted at the University of Texas. The Graduate School allocates travel funds to each program at the beginning of each academic year. The graduate adviser and graduate coordinator can nominate students for these awards, which are approved and administered by the Graduate School.

Amounts can vary, but the recommended range is $100-1,000, with it suggested that students be limited to one award per academic year. Students must be registered full time during the semester the funds are to be used. (Registration for the prior spring semester will fulfill this requirement for the summer semester unless the student has graduated.)

Graduate School Awards System

Nominations can be submitted by the graduate adviser or coordinator using the online Graduate School Awards System. 

The graduate adviser or graduate coordinator calls for applications for a fall, spring or summer award period by the program deadline (if applicable). Programs should provide their instructions to the student.

The program may use this student application form for their internal process but it does not get submitted to the Graduate School.

The submission to the Graduate School should include a copy of the student’s abstract and evidence of acceptance for presentation. Departments may submit an application as soon as the abstract has been accepted for presentation. 

Award may be paid in advance of travel. If student doesn't attend the conference, then the Professional Development Award must be repaid.

The International Education Fee (IEF) Scholarship supports scholarships for both incoming international students and outbound students studying abroad. A full list of eligibility criteria is available within the application itself.

Policy Statement

The University of Texas at Dallas travel policy is intended to provide for the reasonable needs of travelers, control travel expenditures, and comply with UT System Policies, State and Federal Rules and Regulations. All travel reimbursements must be for actual, reasonable and necessary expenses, incurred for official University business, and authorized by the appropriate supervisor. Travel must be authorized in writing prior to incurring any travel related expenses. Airfare arrangements must be booked through one of the contracted travel agencies. Information on travel agencies as well as The University of Texas at Dallas travel reimbursement policy, procedures and guidelines, including the current travel agents and car rental agents can be found on the Arranging Travel Page . Some sources of institutional funds (such as gifts or grants) may impose additional restrictions and approvals on travelers.

Employee travel must be planned and conducted to achieve economy and efficiency considering all relevant circumstances while complying with this policy and related guidelines or procedures. Travel expenses must be reasonable, appropriately documented and properly authorized.

Guidelines for Travel Expenses

Lodging: Conference Hotel expenses will be paid or reimbursed at the standard conference rate. Non-conference hotel expenses should be reasonable but may not exceed the GSA lodging allowance without approval from the traveler's Fiscal Officer, Dean or Vice President.

Meals: Employees in travel status overnight will be reimbursed the lesser of the actual cost of meals or the GSA meals allowance. Travelers who do not incur an overnight stay are not eligible for meal reimbursement.

Transportation:

  • Rental vehicles will be reimbursed or paid via direct bill for university business. The university's contracted car rental company's rental cost includes insurance coverage. If a rental vehicle is used for both personal and University business, only the portion attributable to University business will be reimbursed.
  • Mileage reimbursement shall be based on the shortest, most cost effective and reasonably safe route.

University faculty or staff may only be reimbursed for actual expenses incurred. Travelers may be required to submit a supplemental explanation or other documentation to substantiate charges that exceed established guidelines.

Travel award program

The Graduate Student Association offers limited financial support to graduate students attending professional conferences. There are several grant award periods per academic year (see below), and a student may only apply to and receive an award during one of these grant award periods per year. The GSA provides limited support for graduate student travel to professional conferences. Grants of up to $500 for domestic travel and $750 for international travel are provided to help students present papers and posters, participate in panel discussions, and attend conferences, lectures, and seminars that contribute to the enhancement of their programs of study. GSA Travel Grants may only be applied to travel expenses, not to conference registration or organizational membership fees.

Please note that you can submit your abstract or other registration information for our travel award application even if you have yet to be formally accepted to attend or present at the conference. You will need the registration confirmation/receipt when filling out the Spend Authorization (Step 2).

The GSA Travel Award Application is now open for travel beginning August 1, 2023 or later. Applications will be reviewed every Monday. Applications must be submitted atleast at least three weeks before the date of departure to be considered for award. 

Eligibility

Graduate Students must be currently enrolled in eligible* graduate programs at the time of application submission and during travel dates. Eligible graduate programs are those whose registration fees include fees to the GSA.

Not eligible: Graduate Students enrolled in the following programs are ineligible for the GSA Travel Award. Medical School, Justice Management, and Judicial Studies and online programs. Undergraduate students are also ineligible to apply for the GSA Travel Award; undergraduate students should visit the Undergraduate Research Office for more information.

Allowable expenses

In-person conferences: Students may apply for only one grant per academic year if traveling for an in-person conference. A travel award can only be used for travel and registration fees if the conference is in person. Expenses that are paid with reward points are not allowable reimbursable expenses per the University Administrative Manual Policy 1420.

Award timeline

Please allow up to 10 days from the date your application is submitted for a response.

How to apply for a travel award

Applications will be accepted no later than 5 pm on the day of the deadline. If the deadline falls on a Saturday or Sunday, applications will be accepted until the following Monday at 9 am. Incomplete applications will not be considered under any circumstances. Award recipients will be notified by email shortly after the application deadline. Recipients must complete steps 2 and 3 outlined below, in order to receive reimbursement. Failure to properly submit these forms within the designated timelines will result in forfeiture of the award.

Step 1: Travel award application

Your travel award application must contain the following items:

  • Lodging paperwork
  • Transportation paperwork
  • Conference registration or Information on Registration if you have not yet registered or been accepted to the conference/workshop
  • A letter from your advisor stating your presence at the conference if you are attending or an abstract of your work if you are presenting.
  • You must list the entire costs of your trip, even though The Graduate Student Association will only award up to $500 for domestic travel and $750 for international travel.

(Note: All of these documents must be attached with your online application, otherwise it will be rejected).

  • You may view an example of a completed travel award application if needed.
  • After you have submitted your award, you will be contacted via email regarding the status of your application, if notified that you have received the award, you will then proceed to fill out the Spend Authorization form in Workday (this is separate from the Travel Award Application).

Step 2: Spend authorization

Fill out the spend authorization in Workday. Additional information on completing the spend authorization is emailed to you along with your award confirmation. The Travel Request Form is a separate form from the Spend Authorization. The online Spend Authorization form in Workday must be completed and routed for approval before travel can be taken.

If you are traveling internationally you must fill out and submit an International Travel Authorization Request Form to the Risk Management Office (located inside the Human Resources building on Artemisia Way). This form must be approved before travel can be taken and must be submitted.

Your spend authorization will need the following information included or attached:

  • Lodging confirmation paperwork - Documentation confirming lodging that shows check-in and check-out date. If you are staying with a friend, a memo will suffice.
  • Conference registration - Proof of paid registration registered for the conference.

Step 3: Expense report

Once you have taken your travel, you are required to fill out an Expense Report in Workday within 15 days of your return.

Your Expense Report must include or attach the following information:

  • Method of Travel invoice - This will either be your plane booking, or car rental booking, if you are riding along with a friend please include a memo that states your are riding as a passenger with someone else.
  • Lodging invoice - You must turn in the final invoice received upon check-out from your hotel at the end of travel).
  • Conference schedule (This is a schedule that lists the details of your conference).
  • A copy of your conference registration form.

  • For rates, select the heading "travel"
  • Enter  your destination location
  • Select "Calculate per diem allowances"
  • Select your dates
  • Select the destination county

Frequently asked questions

View a list of common questions regarding travel awards, q: i applied for and received a travel award in the feb 1 cycle deadline. i am traveling to another conference over the summer - can i apply for another travel grant during the may 15 cycle for my summer travel.

A: No. These two travel awards fall within the same academic year and you can only receive one travel award per year.

Q: I received a travel award in the May 1 award cycle for travel in August. I will be attending another conference in October - can I apply again for the Sept 15 deadline?

A: Yes, you can apply for another travel award because September is the beginning of a new academic year.

Q: I was only approved for $400, can I appeal for a higher amount of money?

A: No, appeals are only used for travel awards that are rejected. Funding amounts are not negotiable and are always based on the current level of funding available In the GSA.

Q: May I request a travel advance from the GSA?

A: No, the GSA travel awards only provide reimbursements. Your department or other funding sources might provide travel advances but any funding provided by the GSA will not be available as an advance.

Q: Since being approved for my travel award, I have been invited to attend a different conference, am I allowed to change my travel plans?

A: In most cases, yes, as long as the new conference is within the same academic year; however you must submit the changes on your travel request form and have this approved by the GSA office before your travel is actually taken.

Q: What should I do if the registration for the conference I plan to attend does not open until after the travel award application period closes?

A: Please take a screenshot showing when actual registration will open along with an estimated cost for the registration.

The Travel Management team assists faculty and staff in travel planning, travel-related paperwork, and travel-related payment/reimbursement requests. The Travel Management team does not make direct travel arrangements for the university community. They oversee the travel contracts (airfare, car rentals and hotels) and process all payments and reimbursements related to travel for UT Dallas.

Faculty and Staff should use Concur Travel Management in the Galaxy portal for:

  • Airfare for faculty, prospective faculty, and staff
  • Non-conference hotels and car rentals
  • Students and guest travel (booked by a staff member)

New faculty & staff are automatically authorized to use Concur. Please email [email protected] to set up a travel arranger who can book airfare/hotels/cars on behalf of other employees, or with any other questions.

GSA Undergraduate Travel Awards

To promote excellence in undergraduate research and education, GSA established this travel award, which supports travel costs (or other conference-related costs for virtual attendees) for undergraduate members who are presenting at and attending a GSA conference.

Application Process

The GSA Undergraduate Travel Awards have two rounds of applications per year; one for GSA conferences occurring between January 1 and June 30, and another for GSA conferences held between July 1 and December 31. The application site will have a link above when it opens.

When the application period is open, there will be a link to the application form on this page. In their applications, applicants must include a letter of recommendation. The letter must be from the PI of the laboratory in which they are conducting research or another professor or supervisor familiar with the applicant’s research.

Eligibility

Applicants must be undergraduate GSA members. Recipients may only use the award to fund their travel to GSA conferences.

The Office of Graduate Studies helps efficiently process GSA-sponsored travel awards. Please complete an Online Pre-Travel Form prior to submitting a Travel Award Application. Basic information about the process can be found here .  

After the conference is complete, the applicant must then submit the Post-Travel expenses via the Chrome River Portal and fill in the Chrome River Post travel (CRPT) Form within 30 days of travel.  

GSA strictly adheres to the NJIT Travel Policy . If the expenses incurred are in violation of the travel policy, that expense or your reimbursement request can be denied by GSA.

A copy of the travel pre-approval form signed by the student's academic department (and advisor) must be uploaded to ChromeRiver if only the GSA is to provide funding for the student's travel.

Graduate Student Assembly allocates funds, called appropriations, for registered student organizations to support events and initiatives on campus that cater to graduate students. Applications will open at the beginning of each term (Fall, Spring, Summer).

Graduate Student Travel Reimbursement

The Graduate Student Assembly Travel Awards are scholarships awarded to select graduate students for qualifying travel related to their degree. Travel must occur in the year prior to the application window.

The GTAP facilitates and promotes the intellectual and professional development of graduate students at the University of Nebraska-Lincoln and contributes to the strengthening of the University and its increased prominence in the greater scholarly community.

Who’s Eligible?

Undergrad and graduate students at the University of Nebraska-Lincoln who are presenting original work at an academic conference, or who are attending an artistic competition/showcase or workshop, are eligible to apply for a GTAP grant. Students must be in good academic standing; the student’s adviser is required to sign off on the application. 

  GTAP Application

The application for the GSA Travel Awards Program can be accessed on  NUramp  at least 60 days prior to the application deadline.

  • Login using your Canvas username and password.
  • From among Open Internal Competitions, select GSA Travel Awards Program Application.
  • Answer the questions about your project and your conference, and upload your short essay. For guidance, applicants may consult the  sample application  that contains a commentary from the reviewer's perspective. 
  • When you have finished yoru application, NUGrant will send a notification to your academic adviser. THEY  must approve your application before it will be considered. The GTAP team does NOT monitor this step, so it is up to you to ensure that your adviser has approved the application by the deadline, below.

GTAP Deadlines

Applications are blindly reviewed by peer and faculty reviewers, who serve as volunteers. Graduate students may apply to serve as peer reviewers for the GTAP. The  reviewer application should be submitted at least one week prior to the GTAP application deadline.

GTAP Reimbursement

GTAP funds cannot be distributed prior to conference travel. Students who are awarded a GTAP grant must submit detailed (itemized) travel-related receipts. An  EMPLOYEE EXPENSE VOUCHER   must be filled out and submitted no later than thirty (30) calendar days from the last day of travel (Cost object: ASUN Graduate Travel Awards Program) to the ASUN Office located in the Nebraska Union. Students are able to received $600 for Domestic Travel (travel within the United States) and $800 for International Travel (travel outside of the United States). Further instructions will be provided to awardees.

Unless otherwise specified, the per diem locality is defined as "all locations within, or entirely surrounded by, the corporate limits of the key city, including independent entities located within those boundaries."

Per diem localities with county definitions shall include "all locations within, or entirely surrounded by, the corporate limits of the key city as well as the boundaries of the listed counties, including independent entities located within the boundaries of the key city and the listed counties (unless otherwise listed separately)."

When a military installation or Government - related facility(whether or not specifically named) is located partially within more than one city or county boundary, the applicable per diem rate for the entire installation or facility is the higher of the rates which apply to the cities and / or counties, even though part(s) of such activities may be located outside the defined per diem locality.
